liketohavefivethingstodoonejobifjustonethingwilldothat

onejobvery,verywell.Iwouldsaytryandlookaroundbeforeyou

startpurchasingdifferentpiecesofsoftware,orpiecesofgadgetry

thatyoumightwanttousetorun,andoperatecertainpartsofyour

business.Ultimately,yes.Youwillnotneedallthethingsthatwe

talkabouttodayrightnow,butyoumight,slowlybutsurely,overa

periodoftime,wanttointroducethem.

Pat: Right.Imean,weusetheseforaspecificreason,andwe’regoing

totellyouwhatthosereasonsare,whatwelikeaboutthem,and

whyyoushouldget,orconsidergettingthem.Again,don’tjustgrab

thembecausewehavethem.Also,Iwouldloveeverybodytogoto

theshownotesatsomepoint,perhapsafterthisepisodepreferably,

tosharesomeoftheappsthataremakingbigchangesforyouin

yourbusiness,too.Thatway,asacommunity,wecanallkindof

becauseit’ssuchanimportanttoolforalotofthethingsthatwedo

onlinetohelpbuildauthoritytoday.

Chris: Yeah.Now,Imean,look,youknow,youcangorealheavyonvideo

editing.Youcanjustdoyourwebinarrecordings,youcandoallthat

sortofstuff,buthere’stheonethingthatIuseScreenflowforevery

singlemonth.Iuseitatleastonceeverysinglemonth,andthat

istorecordthegotowebinarmeetingthatwehaveinsideofthe

youpreneurcommunityeverymonth,whichisourlivemastermind

call.Membersfromallaroundtheworldwillbeabletotunein,and

wegobackandforthQandA,wegetmembersonthecallallatthe

sametime,sometimesthey’regivingeachotheradvice,sometimes

I’mjustgivinganswerstotheirquestions,andtheirideas,butI

recordthewholething.Then,insteadofjustdumpingthatfileinto

Dropbox,whichwouldbeafteranhour,maybeanhourandahalf,

abig,bigfile,whatIdoisactually,Iedititmyself.BecauseI’ma

completetechnoidiot,it’ssuchasimple...

Pat: I’veseenitinperson.It’skindofridiculous.

Chris: Yes,youhaveseenitonmorethanoneoccasion.BecauseI’mthat

kindoftechproblematic,IgoaheadanduseScreenflow,because

it’ssosimple.Ijusteditoutthebeginningpart,whereI’mhaving

funwitheveryone,andboom,boom,boom,boom,boom,done,

exportintoDropbox,uploadintoWistia,andoveranddonewith.It

literallytakesmenolongerthanabouttenminutestocutoutthe

stuffIdon’twant,andgoaheadandhitthatexportbutton.It’ssuper

easy.Screenflowisapieceofsoftware,andyoucangrabitoverat

screenflow.com,Ibelieve.

Pat: IloveScreenflow,becauseIuseittoscreenrecordcertaintutorials

thatIcreate.Alotofthetutorialsthatyoumightseeonmysite,for

example,atpostcastingtutorial.com,theyweredoneandediting

usingScreenflow.Now,someofthevideointherewasrecording

usingcamerasandstuff,butyoucanimportthosethingsreally

easily.Actually,evenifIdon’tscreenrecordanythingonmy

computer,IstilluseScreenflowforediting,becauseifsomebody

there’sanequivalentcalledCamtasiaStudios,whichisessentially

theexactsamething.Ithinkit’sCamtasiaversiontworightnow,

orCamtasiaStudioswillhavealltheresourcesattheshownotes.

We’llmentionthelinkagainlater.OnethingIliketodois,ifI’m

goingtobesharingaprocesswithsomebody,forexample,avirtual

assistant,orsomebodywho’sgoingtobedoingsomeworkforme,

andIwanttomakesuretheydoitinthewaythatIwantthemtodo

it,insteadofjustwritingallthebulletpointsdown,orthesteps,Ijust

simplysavetime,andmakeiteasyonmyselfandthatperson,and

justscreenrecordmyselfdoingthattask,andsharingthattaskwith

themonDropbox.

Chris: Exactly.Youdoitonemoretime,thelasttimeyoueverdoit,and

itturnsintoatutorialvideo.Youthengoahead,dumpthatinto

Dropbox,andyoudothatwithallthedifferenttypesofthingsthat

youwanttooffloadanddelegate.Then,whathappensis,overa

periodoftimeyou’recreatingthiskindofvirtualencyclopediaof

VAtrainingforyourassistants,andtheotherpeoplethatareon

yourteam.Thereallygoodthingaboutdoingthat,actually,andthis

isvery,veryimportant,isthatwhathappensis,overthatperiodof

timeyoucreatethislistofvideosoncertaindifferentprocessesthat

youwanttobeabletoteachpeople.

If,atanypointinthefuture,oneofyourteammembersdecides

tomoveon,oryouaskthemtomoveon,oneortheother,you’ve

stillgotthattrainingathand.Youdon’thavetodoitalloveragain

yourself,andyoujusthanditofftothepersonthatcomesinto

youtorecordfromaniPhoneoraiPad,now,aswell.Youcan

actuallyendupgoingstraightfromwhatever’sonyourdevice’s

screen,includingaudio,directlytotheScreenflowapp.Youcango

ahead,ifyou’regoingtobedoingFacebookLives,orPeriscopes,

andallthatsortoftypeofstuffaswell,andyouwanttobeableto

capturealltheheats,andthelikes,andallthatstuff,youcandoall

that,too.

Pat: Mygosh,thatopensupthedoorforsomanythingsforpeopleto

somethinglikeScreenflowtocaptureyourmovementsonthe

screen,andcertainclicksandactionsthathappenonthatscreen,

andthenuploadittoYoutube,andthereyougo.

Pat: Great.Onthetopicofeditingstuff,IhaveanothertoolthatI’vebeen

usingrecently.AlotofyouknowthatIeditpodcastsquiteoften,

althoughI’vehandedoffalittlebitofthatediting,especiallyforAsk

inusinganothertoolcalledAdobeAuditiontoreplacewhatIwas

doingbeforewithGarageBand.Now,GarageBandisgreat,comes

freewithmostdevices,Ibelieve,MacbookPros,andwhatnot.

There’salso,whatisit?Audacity,Ithink?

Chris: Yep.

Pat: Audacityisanotherfreetoolthatyoucanuse,sodon’tthink

youhavetogetthis,butifyou’redoinganyheavyliftingin

thepodcastingspace.Forexample,youbatchprocessaton

ofepisodes,andyouwanttomakeyourprocesscompletely

streamlined,andyouwanttobeabletomakemastertemplates,

andfiles,andallthisadvancedstuff,I’musingAdobeAuditionfor

that.It’spodcasteditingkindoftakentothatnextlevel.I’mnot

goingtogettoodeepintosomeofthe...It’smoreyoujusthaveto

lookatitandsee.Thereisalittlebitofalearningcurve,butIfound

thatwithmymassproductionofthingslikeAskPat,andwhenI

massproduceSmartPassiveIncome,forthethingsthatIneedto

do,itmakesitsomucheasier,somuchfaster.Actually,there’sa

lotmoreoptionstohelpmakethesoundevenbetterthanwhatit

wouldnormallybe.

Chris: IhavenotusedAuditionbefore,andIcontinuetouseAudacity,

actually.WhatIdoisIbatchmypodcasts,andjustlikeyoudoin

regardstoeitherrawsolocontent,orinterviewcontent,andthen

whatIdoisIwaituntilI’mabouttosendthemallovertomyeditor

atthesametime,andIrecordawholebunchofintros,whichis

very,verywisetoholdbackrecordingtheintros,becauseyoumight

wanttoproduceoneparticularCTA,oroneparticularoptinoption.

Maybeyou’vegotaliveeventcomingup,youwanttopromotethat,

orwhatever.

SlacksomuchisbecausetheirmobileappontheiPhoneisjustso

easyandgorgeous.

candoanythingtostayoutofmyinbox,Iwilldoso.Slackhascertainly

helpeduswiththat.Iknowthatyouuseitextensively,aswell.

Pat: Absolutely.IalsoshareditwithMichaelHyatt,who’snowadoptedit

withhisteam.Hesaidtheexactsamethingasyou.Itcompletelycut

outalltheinternale-mails.Here’sthestrugglewithe-mails.E-mail

communicationwithinyourteam,that’sgoingto...Youknow,allthe

e-mailsyougetfromotherpeople,theoutsidepeoplewhowant

yourattention,too,it’sgoingtobeallmixedinwiththat.Youwant

toseparateouttheteamcommunicationtoaspotwherethings

areeasilyaccessible,notificationsarethere,youcancreatespecial

groups,andprivatechats,aswell,whattheycallSlackChannels.

Maybeyouhavethreedifferentprojectsthatarehappeninginyour

business,butnoteverybodyisonthesameteamforeachofthose

projects.Youcanactuallyseparatethosethingsoutsothatyoucan

seealltheconversationsaboutprojectnumberone,andeverybody

whohasaccesstothat.Youcanseealltheconversationsabout

projectnumbertwo.Youcanseealltheconversationsaboutproject

numberthree.Man,itmakesitsoeasy.Italsointegratesdirectly

withthingslikeGoogleDocs,Slack,Evernote.

Chris: Seamlesslyintegrating,aswell.It’snotclunkyatall.

Pat: No,no,no.Oneofmyfavoritethingstodo,IhaveDropboxsetup,

whichanothergreatapp,it’snotoneitherofourlists,Ibelieve.

Dropboxisgreatbecauseyoucanputfilesthereandsharethem,

right?Yougettheselinksveryeasilythatyoucanshare.Onething

thatIhaveenabledinDropboxiswhenItakeascreenshot,itsaves

itontoDropboxautomatically.Itautomaticallycreatesalinkforthat

screenshot.Icantakeascreenshotofanythingonmycomputer,

itgetsautomaticallyuploadedtoDropbox,givesmealink.Really

connecteddirectlytoDropbox.It’snotthelink,it’stheactualimage,

there.Itmakescommunicationmuchfaster.Ifwegothroughany

troublepointsinourbusiness,that’sthetoolweusetoactuallyhelp

solvethoseproblems.That’swhereweexploreandbrainstorm

ideas,too.

Chris: Yeah.Youknowwhat?I’malwayssayingthattimeisourmost

valuablecommodity.Itreallyis,andSlackisdefinitelyatimesaver.

Pat: Theyalso,however,Idon’tknowifyouknowthis,ifyouguys

dothis,butinmyteam,we’rekindofnerdy.IknowthatGiphy

hasintegratedwithSlackaswell,soyoucouldliterallytypein

somethinglike/Giphy,andthenanywordyouwant,likecake,and

thenit’llrandomlypullfromtheGiphylibrary.Giphysareanimated

gifs,andit’llrandomlyselectacakeanimatedgif.

Chris: Thatstuff’sgreatfromlikeateambuildingperspective.Iloveit.

Pat: Exactly,exactly.That’swhatIwasgoingtosay.However,it’sgotten

toapointwherethingsgetkindofcrazy,butwealsoseparatethat

channelout,too.Wehaveachannelcalled#Giggles,andthat’s

whereweputallthoserandom,kindoffunthings.Idon’tturnon

thenotificationsfor#Giggles,becauseyouknow,Idon’twantthose

notifications.Ihavethenotificationsforthespecificprojectsthat

I’mworkingonrightnow,ortheonesthatIfeellikeIneedtoknow

what’sgoingon.Ilovethat.Ilovethatsuggestion.

Anotherimportantpartwithgrowingyourbusinessotherthan

communicating,andbeingapartofateam,iskeepingtrackofyour

calendar.I’vegonethroughrecentlyabigstrugglewithfindingthe

rightcalendar,becausethecalendarthatIwasusing,youknow,I

useGooglecalendar,butIhadaninterfacethatwaskindofontop

ofthatcalledSunrise.Itwasanotherapp.Ilovedit,becauseitwas

integratedperfectlywithmydesktop,itintegratedperfectlywithmy

mobiledevice,anditwasjustsuchaneasywaytoschedule,and

alsoseewhatwascomingnext.Ilovedit.Then,Microsoftbought
