    This Introduction holds the answers to some frequently asked questions about

    style manuals. New SKILLS Unlimited employees should see Appendix A

    New Employees after reading this Introduction.

    A style manual ensures that all of your written communication with clients

    and associates is consistent and correct. It provides uniformity in writing,

    design, format, and style across multiple documents. This manual establishes

    SKILLS specific standards for creating, formatting, and editing written

    communication.

    It is intended for all in-house, SKILLS employeesnot clients or associates.

    You should use it whenever you want to confirm that every aspect of a

    document that you are producing will meet SKILLS standards, whether you

    Keeping your written communication consistent helps you to be

    understandable, reliable, and recognizable to clients and associates. It may

    strengthen your existing professional ties, bolster your professional image,

    lead to a greater number of clients, and boost revenue.

    This manual eliminates the need to remember every in-depth detail about all

    of the documents that you produce on a daily basis. After getting familiar with

    this manual, you will be able to use it to its fullest potential and trust that you

    are correctly representing SKILLS with all of your interactions with clients

    and associates whenever you use the written word.

    These four basic steps will help you get used to the manual:

    The name of each main section is listed on the tab dividers. Three of these

    sections have sub-sections. Sub-sections give you more specific information

    about the main sections.

    Step 2. Read what each section is about. Descriptions of main sections are on

    the tab dividers.

    Step 3.Go to the page number that corresponds with the section or sub-

    section that you want to brush up on. For example, if you are writing a letter

    to a client, go to the Letters sub-section within the Templates section.

    Step 4.Update the manual when you need to add information or change

    existing information. The content of this manual is located in two convenient

    places: the manual itself and the SKILLS Unlimited Style Manual Flash

    Drive.

    Step 5.See Appendix B Flash Drive to learn how to use the flash drive and

    Appendix C Section Revision to learn how to revise a section.

    Before sending an email, pay special attention to these five elements:

    1.Subject Line

    2.Greeting

    3.Organization

    4.Tone

    5.Closing

    The subject line announces the topic and focus of the email. To help recipients

    manage their emails, be as specific and accurate as possible.

    Here are five tips to consider when writing a subject line:

    ! Write it. People may not read an email with a blank subject line.

    ! Make it personal.Include your recipients name and your company

    name to create familiarity. Use the word youto develop an immediate

    personal connection. See sub-section Writing Style in the Grammar

    section for more information on the You Viewpoint.

    line. Get right to the point in about six to ten words.

    ! Use title case.Title case means capitalizing all major words except

    articles (e.g.,a, an, and the), prepositions (e.g.,of,in, and to), and

    conjunctions (e.g.,and, but, and or) with fewer than five letters, unless

    they are the first or last words.

    ! Proofread. Change the subject line when you are forwarding an email in

    There are two types of greetings that you will use: personal and informal.

    Change your greetings to fit your audience. End a greeting with a colon whenyou want to be more formal and with a comma when you want to be more

    personable.

    Use this space to write greetings that you find yourself using most often:

    In general, your tone should be warm, confident, positive, and courteous so

    your readers know that you are personable and genuine. An appropriate tone

    may help you build relationships with clients and associates by adding an

    element of goodwill to your message.

    A comma creates a pause within a sentence. Many people, when translating

    their oral communication into writing, incorrectly insert commas where theywould have paused if they were speaking. Dont use a comma wherever you

    would pause if you were reading the sentence out loud. Read the following

    bullets for more rules about when to use a comma:

    ! Appositive Phrases. An appositive phrase re-identifies another

    expression in the sentence. Put commas around these phrases.
