• The festival services that my company provides is full extensive knowledge of the venue selection in the Pittsburgh area, providing clients with the top selection of food vendors, and creating memorable experiences.

• Our secondary target market is married couples

• Target Audience: 250 - 300

GOALS, OBJECTIVES, AND MISSION STATEMENT• Goals

– Have a huge turnout for the first festival– Receive enough positive feedback from the community and the participants to start planning

next year’s festival– Have the festival fully planned out four months before the festival (by November 14)

• Objectives– I hope that the community will come away learning new recipes and trends in the food world.– I hope that the community will come away with wanting to cook more at home rather than

spending money at a restaurant.– I hope that the community will grasp the concept of food that makes chefs love what they do

• Mission Statement– “Sinful & Sweet Food Festival is going to provide a tasty and romantic experience for

Pittsburghers and all incoming foodies by providing them with live cooking demos, recipe cards, and vast amounts of culinary knowledge”

FESTIVAL MANAGEMENT TEAM

• The Festival Management Team will include people taking over these roles:– Jake Jasionowski (ME) – Artistic Director– PR Coordinator– Vendor Coordinator– Food & Beverage Coordinator– VIP & Entertainment Coordinator– Personnel Manager

ROLES & RESPONSIBILITIES• Artistic Director

– In Charge of the Event; Oversees total operations

• PR Coordinator– Arranges all flyers, advertisements,

ticketing, commercials

• Vendor Coordinator– Contacting all booths

• Food & Beverage Director– In charge of finding catering for

entertainment, procurement of food

• VIP / Entertainment Manager– In charge of lining up and finding

special guests for the festival (AKA celebrity chefs and famous food bloggers / foodies)

• Personnel Manager– In charge of keeping booth / business

employees taken care of; In charge of the volunteers

POTENTIAL HAZARDS• Natural: Snowstorms, Heavy Gusts of Wind, Fire, Flooding

• Physical Harm (Person to Person): Drunks, Theft, Abduction, Shooting, Food Tampering, Protesters, Bomb Threat,

• Physical Harm (No Control): Food Poisoning, Allergic Reaction, Electrical Problems, Medical Emergencies, Double Booking, Severe Traffic Jams, Vendor No-Shows, Food & Water, Slipping, Tripping, & Falling

CONTINGENCY PLAN• In case of an extreme emergency and the Sinful & Sweet Food

Festival has to be postponed, pre-bought tickets can either be kept for the make-up date or money can be returned and those guests have a first priority when it comes to a new ticket sales date.

PLANNING FOR THE WORST

• Incident Control Center will be located on the third floor

• First Aid Stations will be stationed on the 2nd floor and 3rd floor

• Firefighters, Police, and EMTs will be on location in case of an emergency

• Lost & Found will be in the same room as the Incident Control Center

• Incident Reports will be filled out in the ICC and be addressed immediately

DEALING WITH INFRASTRUCTURE• David L. Lawerence Convention Center has some concession stands,

but some booths will also serve as food booths

• Food will be purveyed by the booth attendants and also by the DLLCC for the concession stands.

• Alcohol will be provided by Fine Wine & Good Spirits

• Restrooms are managed by DLLCC janitorial staff

DEALING WITH INFRASTRUCTURE• Water is provided by the city

• A stage will be constructed for our VIPS to do their cooking demos

• There will be background music, so we’ll be obtaining the licenses needed to do that.

HOW TO KEEP ATTENDEES SAFE• There will be security guards / police to control a crowd when there is

an issue

• No more than 20 attendees at a booth at a time

• Communicate via Walkie Talkies

• Circuit Breakers will be used to control flow of power; all wired will be taped to the floor so no one trips

PROMOTING SINFUL & SWEET• Tickets will be purchased online.

• Signs & Banners will be posted all over the DLLCC… First floor, Second Floor, and the Third Floor

PROMOTING SINFUL & SWEET• We will be advertising via social media, print media, television

commercials, and TV appearances.

• Guests will receive a red tote at the registration table. Guests will also be receiving recipe cards and coupons from the different booths.

IMPORTANCE OF VOLUNTEERS & VENDORS• Our volunteers & vendors are going to be treated just like our

sponsors and VIPS. We thank them for spending their day helping us pull off a successful festival.

• Special perks and gifts will be given to our volunteers and vendors.

MONTH-TO-MONTH TIMELINEFebruary 2015 Initial research of festival, festival committee is put together

March 2015 Tour, select, and put deposit on venue, finalize details of festival with committee

April 2015 Start contacting VIPs, make and distribute booth applications

May 2015 Fundraising event, collect initial applications, start mock-up advertisements, apply for special event permit

June 2015 Advertisements are finalized, Security and emergency staff are consulted and booked

July 2015 Advertisements are now public, website is public, ticket sales start

August 2015 Hear back from VIPs & vendors, all booth applications are submitted and collected

September 2015 Fundraising Event, venue floor plan is completed

October 2015 Festival committee is meeting individually with booth companies to go over content

November 2015 Festival committee meets to discuss contingency plan, safety, etc.

December 2015 Special Events permit is obtained, final round of advertisements is public

January 2016 Contact all vendors, booths, VIPs to make sure they’re still coming, walkthrough of venue, Ticket sales close, appearance on Pittsburgh Today Live

February 2016 Last minute run-through and walkthrough of festival, Festival: 2-14-16

EVALUATING OUR SUCCESS• Survey will be emailed to all attendees 1 week after festival ends

• Multiple Choice and a few short ended questions will be included

• Festival Committee will review surveys and address them in final debriefing
