First, Shelby, made it easy to get a hold of when we had questions. With my busy work schedule

and trying to plan a wedding with my mom's help, and my husband's busy schedule, Shelby was

available when we were free to go over venue ideas, to go over venue lay out, to go over the

menu, and to go over the pieces we wanted to bring in. She made planning a breeze and made

sure her team was on the same page and same vision we hand.

Second, Dusty, the head chef, was awesome. He was noted late that I had a dairy allergy during

the first tasting, and was immediately throwing ideas around for us to try on our second tasting

that modified the food so I, the bride could eat it. Our second tasting was great, and the meal

for the wedding was incredible! We had so many compliments on how tasty and fresh all the

food was!

Third, the staff at Heronswood and the catering staff were fabulous! The gardeners have done

such a great job at making the venue stunning in the summer. The catering staff was super

friendly and when we had a few modifications they were flexible in making it happen (boxing

food up by dish vs. meals).

I can't recommend Heronswood enough to friends and people who need a day trip from Pierce

County. It truly is a hidden gem out in Kitsap!

Heronswood Garden

A Dream Garden of Botanical Beauty!

Heronswood Garden is a wonderful botanical garden and wedding venue located in Kingston, Washington that boasts picturesque beauty. Residing among the lush landscapes of the Pacific Northwest and a rare inventory of unusual trees, shrubs and vines, this venue is perfect for a unique outdoor wedding celebration. Located in Kingston, WA just a ferry ride away from Seattle or Edmonds.

History

The process of creating the garden started in 1987 when the co-founders took possession of the property and transformed it over the next two decades. It was sold to a national plant and seed distribution firm in 2000, but was soon neglected for several years after 2006. In 2012 it was purchased once again by the Port Gamble S’Klallam Tribe where it went through a rebirth with an exciting new inventory of plants and a regrown landscape. This original thriving garden is now a beautiful setting for one-of-a-kind events.

Facilities and Capacity

This 15 Acre world-renowned garden can hold ceremonies in multiple spots on the property. Couples can exchange their vows in the beautiful Potager Garden or one of the many lawns, which can accommodate anywhere from 50 to 175 guests. Heronswood also has a large 20 x 50 & 40 X 60 foot custom wedding tent that is perfect for covered outdoor receptions. The Garden House comes with two wedding party quarters so that the wedding party can properly prepare.

The mission of the Heronswood Garden is to restore, maintain and develop a horticultural facility, making it a truly special place for events of all kinds. With over 8,000 plants in a variety of shapes, sizes, fragrances and colors, this property is ideal for a lovely springtime wedding when all of the flowers are blooming. Accommodations at The Beautiful Point Casino & Hotel

Accommodations will be arranged at The Point Casino & Hotel, just minutes away from Heronswood Garden. The Point Hotel is located on the North Kitsap Peninsula in Kingston, Washington. Located just 10 minutes from the Kingston Ferry or 15 minutes from Poulsbo. Enjoy the 30-minute ride across the Puget Sound by ferry from Edmonds. Or take the Bainbridge Island Ferry and drive through Suquamish. The Point Casino is open 24 hours a day.

The Point Hotels design is rooted in a style known as Coast Modern, an adapted contemporary design that has been modified for the Northwest region. The Hotel takes these elements to create a unique expression based on this Coast Modern tradition, adapting key architectural ideas from the longhouse and other traditional tribal architecture with the all-cedar plank construction that is historically known to the Port Gamble S’Klallam.

The Hotel offers 94 rooms, including single king, double queen, bay suites on the end of the building and a 2 room suite with living room. Rooms include a 49” TV, refrigerator, hairdryer, ironing board, waterfall showers, in-room safe, and pillow top mattresses. Suites include a larger TV and a kitchenette sink.

Point Julia Café – the 64 seat café offers made to order and grab and go meals as well as a selection of beverages, including beer & wine.

Spindle Whorl Courtyard – is located just out back of the Hotel lobby and includes a fire pit and tribal art. Enjoy live music during the summer on Friday & Saturdays from 6 pm to 9 pm, BBQ and Bar.

Easy access from the Hotel to The Point Casino and its restaurants and entertainment venues, including The Event Center and The Boom Room lounge/night club.

This flexible room breaks out onto our outdoor courtyard. Great for meetings, small banquets or receptions. Offers full AV capabilities, including video conference calling. This rooms is also perfect for rehearsal dinners or day after brunches!

Entertainment for your guests

The Point Casino offers over 700 slots with a wide selection of the latest games. For our non-smoking players we offer a dedicated smoke free area. If table games are more of the action you’re looking for, The Point Casino & Hotel offers Las Vegas style table games featuring, Blackjack, Craps, Roulette, Spanish 21, Emperor’s Challenge, and more.

Pizza Pit Stop – Serves pizza, nachos and pretzels

Market Fresh Buffet – The Buffet is open for Dinner Wednesday – Saturday at 4:00 pm and serves Brunch on Sunday at 8:00 am. Enjoy all you’re your favorites including Italian, seafood, and Surf & Turf themed dinner Buffets.

Little Boston Bistro – Your stop for a more intimate dining experience. A variety of steaks and seafood are offered on the menu. Reservations are recommended.

All decoration brought in by Client are the responsibility of the client to put and take down,

including equipment or tools needed to setup decorations.

Payments:

$1500.00 reserves the date, no one can book on top

Deposit – 50% deposit due at time of contract signing

Cancellation Policy:

CANCELATION BY CLIENT/HERONSWOOD/ACTS OF GOD All prepayments are returned in full

(less $200.00) if your event is canceled by you or an act of god 90 days prior to your event. If

your event is canceled by you between 89 and 30 days prior to your event all prepayments are

returned in full less 50% of your deposit up to but no more than $1,000.00. If your event is

canceled by you within 29 days of your event all deposits and prepayments are forfeited in full.

Market Fresh Banquets & Catering reserves the right to terminate this contract for any reason.

If Market Fresh Banquets & Catering terminates this contract over 30 days prior to your event

all prepayments and deposits will be returned in full within 10 days. If Market Fresh Banquets &

Catering terminates this contract within 30 days of your event all prepayments and deposits will

be returned in full within 10 days as well as an additional $250.00 penalty. CHANGE OF EVENT

DATE Market Fresh Banquets & Catering will apply the entire balance of your deposits and

prepayments (less $100.00) towards another event. Subject to our availability, all costs subject

to change.

Catering: Menu prices will range, we have a wide variety of packages available, or we can

custom create a menu/ package for your event.

Bathrooms:

Mobile Port-o-let on site, limited access to Garden House Restrooms. Event Center Rentals,

restrooms are adjacent to facility.

Kitchen:

Heronswood has small kitchen available

Clean-up:

Client is responsible for cleanup of their own décor brought in. Garbage and cleanup is provided

as service.

Parking:

Heronswood (2) large parking areas included in the rental.

Event Center – ample parking available

Venue Crew & Venue Coordinator:

Set-up of tables, chairs, dance floor, and house lighting. Venue Coordinator provides

coordination of DJ or other entertainment a/v for hookup, assists catering staff and other

venue only related details. Site set-up is designed prior to event day, day of changes will need

to be done by event client, and day of changes outside of contract will need to be handled by

client.

DJ & Entertainment Vendor Information or DYI entertainment:

Heronswood Venue will provide the following. Ceremony Location (1) 50ft extension cord ran

to fountain in potager garden or other ceremony location determined via client. NOTE:

Heronswood does not have any other available extension cords or circuit strips. If additional

plug ins are needed, you will need to provide your own power strip. Table in the ceremony area

is the responsibility of the Vendor/ DJ. If Client is providing own entertainment please let Sales/

Event Associate know that an additional table will be required. If Client is providing own

entertainment or music: (1) plug will be the only source of power If you need additional plug

in’s you will need to provide your own power strip and extension cord. The Potager Garden will

only have 1 single source of power. Reception area, 1 table will be provided for DJ/

entertainment. 1 6ft Table with table cloth will be located next to a corner post w/ power.

Please supply own needed cords or power strips. DJ announcements, although DJ is hired by

the Client. Please note that the Venue may request the DJ to make shuttle and send off

announcements. Noise restriction for venue is set at 90 dB, if DJ is asked to turn down the

volume by any Heronswood or Market Fresh Events staff they need to respect the venue

wishes. If DJ does not comply after 2 warnings power with be shut down.

Wedding / Event Coordinator or Planner:

No major changes outside of tables or chairs being moved will be done the day of the event. If

you plan on hiring a coordinator or planner it is advised that they do a site visit prior to the day

of the event.

Decorations:

Restrictions include anything flammable, floral pedals must be organic, rice, open flame candles

not under the reception tents and sparklers.

Alcohol:

Wine or beer brought in will include a $5.00 per bottle corkage fee. Outside Hard alcohol is

prohibited, Liquor Lisc. is on both properties hard alcohol must be provided by The Point

Casino, Market Fresh Banquets & Catering with a bartender. Cash bar packages available and

host bar packages available. We have the right to refuse service or stop service at any time.

Even if Client is providing beer and wine it must be poured by a Market Fresh employee.

Public Access:

Heronswood with the exception of Fridays, Saturdays & Sundays from 9 am to 3 pm is a private

facility. Public access is restricted unless the event falls on a plant show. The Event Center when

booked is a private facility and public access will not be permitted.

Venue Times:

Venue times are to be strictly followed, any overages will constitute the following charges:

$50.00 for every 15 mins delayed. Heronswood, Security will lock the gate and shut down event

at ending time. It is the Clients obligation to ensure the guests are out by designated time.

In-House Linens, table arrangements:

In-House linens are basic colors, table clothes come in an 85X85. They are not full coverage

linens. Table setting are in-house used plates and silverware.

Heronswood Garden what we need and when

Venue Contract: ASAP as soon as you have decided to book with us.

Deposits: $1500.00 locks in date, payment arrangements once package has been finalized.

Menu -

Tasting: please choose from our menu options to give sales associate a good idea of

what your menu choices are. After which please request a tasting from your sales associate. We

like to do tastings 8-6 months out from date. You can attend more than one tasting, additional

cost of $25.00 per person. Must have at least 4 couples per tasting sign up, sales associate will

inform you 1 week prior to tasting or more if 4 couples sign up.

1st guest count – Due upon contract for package, typically you should anticipate 75-80%

of invites.

Final guest count – 5 business days, we order on the Saturday before your event. Final

count must be in by this time. Please do not forget to include your vendors! Most

photographers, DJ’s Coordinators expect a meal as part of their service.

Menu changes or additions – Case by case bases, however no changes will be made 72

hours prior.

Children – under 5 free, please add them to count by letting associate know (X amount

under 5). 5-12 years old, half price (X amount 5-12). We will need children in the count so we

have seats for them. Your final count determines not only catering but seat count as well.

Please include your vendors if you plan to feed them and wedding party.

Overage - We will plan on a 10% overage, but please do not limit your count to this.

Overage will help with unplanned guests.

1st time line & planning guide due: 6 months prior

Linen Colors: 3-2 months prior

Floor Plan: 3 months prior

Custom floor plans – these can be made to match your specific needs, please send back floor

plan with edits and notes that way I can make changes. Minor adjustments can be made the

morning of, or day of rehearsal but not major changes. We should have your custom floor plan

completed 3 month prior to your wedding day, otherwise we will go with the standard plan

listed on site for guest count.

Additional Appointments & Garden visits: Sales associates currently work Tuesday thru

Saturday, availability is based on prior appointments. It is best to schedule a time with sales

associate. Garden visits; the garden is open on Fridays & some Saturdays. However it is a

$10.00 per person fee to walk into garden without the sales associate’s accompaniment. We do

like to meet with clients 3 months prior to Wedding or Event Date to finalize all paper work.

Final Payment: Final payment for your event is due 3 days prior to your event date(s) for all events $2,000.00

and above. Final payment for all events under $2,000.00 is due the day of your event.

Heronswood Bar:

BAR/BEVERAGES Market Fresh Banquets & Catering will provide all beverage service and bar support for events held at Heronswood Gardens or The Point Casino and Hotel. Any events held on Heronswood Garden or The Point Casino & Hotel operating a hosted or non-hosted bar must be bar tended by a Market Fresh Banquets Licensed Bartender. All Market Fresh Banquets & Catering bartenders have the right to refuse service to any guests that appear to be intoxicated. CORKAGE FEE Wine/Champagne or brought in by host will be charged a $5.00 per bottle fee. For on premise events only, held at Market Fresh Banquets & Catering Venues. Negotiable with sales depending on number of guests. Bar FAQ:

If we want to bring in our own wine, champagne, and liquor, I believe the charge on that is a $5.00 corkage fee for each bottle, is that correct? You can bring your own wine, champagne but not liquor. Corkage fee $2.50 per guest included on the contract.

Would the bartender be able to make cocktails for us if we supplied the liquor? Is there any extra gratuity that applies to the bartender/ alcohol? Guests tipping is appreciated, if you want to do specialty cocktails we would need recipe. We set up provide and bill accordingly, per glass served. Tallied and billed at end of night.

We would like to bring in our own wine and manage bar. What supplies due we need to provide? If you are planning to bring in your own beverages, you will in turn need to provide any and all plastic ware, glassware or garnishes. You are then taking over managing the bar, we simply provide the bartender. However if you choose to have us supply beer & wine then we will provide ice, nice plastic ware and any other items needed to manage the bar.

NOTE: regardless of who is managing the bar, Market Fresh Banquet & Catering bar tender must serve all alcoholic beverages. Our bartenders have the right to refuse service to any individual. Any parties abusing this privilege, causing unruly behavior, or abusive language to staff members will be asked to leave.

FAQ -

Is the "service charge" a gratuity, or would we need to plan to tip on top of the total amount? Service charge covers as an operating cost for things such as insurance, advertising, admin staff, trucks maintenance, fuel to get to events, cocktail napkins, and various sundries. If you would like to tip servers that is up to you and their performance.

For the seating, do you transfer chairs from the ceremony site to the reception site during the cocktail hour? We stock a total of 320 chairs. Transferring depends on amount of guests. We were considering renting some brown fruitwood chairs in place of the white wood chairs; would there be any additional charges on your end for this? No additional charges, but we would want delivery on Friday by 3pm.

Is the rehearsal window flexible? If we wanted to come in earlier, say 1-4pm instead of

3-6pm, is that possible? Rehearsal window depends on availability of the garden, if

other events or tours are scheduled. We prefer to do the rehearsals on Thursdays or

Fridays after 4pm. They must be scheduled with your Sales associate, and include a

count of how many people to anticipate.

RSVP: So far we have 92 confirmed for the wedding but still have about 100 we're

waiting to hear back from. Please let us know when your final RSVP Date is.

Transport: love the idea of a signup sheet at check in to get it in guest's minds! Pretty

sure all guests in our room block would want to shuttle over, so there would likely be

about 80 needing a ride. 3 shuttles may not be enough before the wedding... do we

need to look into hiring an additional shuttle service? Yes, unfortunately I can only

accommodate so much with shuttles, we have 2 drivers on schedule. However, we have

effectively executed large number of guests via shuttle with multiple runs.

The Heronswood website says that it would be open to the public on 6/24. Is that true?

We're not in danger of having it open to the public when the ceremony is happening,

right? I imagine we'd have people onsite getting set up right at 10am onward.

Heronswood is aware that a wedding is booked. People will not be allowed in the back

by the house or reception garden. Also they will be done by 3.pm. That is why we like to

schedule ceremonies to start after 3:30pm.

Dessert: We will bring in 3 half sheet cakes plus a cheesecake (our 'cutting cake') and

possibly brownies. Will there be enough room onsite to store the cakes in a fridge or

keep them cooled until time to serve them? Need dimensions on cakes. Is there a

charge for cutting sheet cakes? Yes $200.00, unless this service is included in your

package. Will there be enough forks or should we buy those too? If we are charging a

cake cutting fee, we will provide nice hard plastic plates as well as nice plastic forks. We

use plastic for cake cutting to cut back on catering labor of transporting & washing

dishes.

Centerpieces: In lieu of floral centerpieces we've been thinking of having an homage to

our love of snacks! Is it okay if we have bowls/vases of store-bought

popcorn/olives/pretzels/etc on the table? Would that conflict with catering? I vaguely

remember you mentioning that that type of stuff would be okay to bring in for cocktail

hour too. Also curious if there's an option to include a variety of bowls as part of the

rentals. Ok to bring in, I do not have a big selection of bowls for rental. I suggest

Advance Party Store Rentals.

Lighting: Are we free to hang string lights in the reception area from poles we bring in (if necessary)? Yes, keep in mind any additional décor you bring in you are responsible for bringing the correct equipment & tools for set-up. Anything attached to the trellis must have prior approval. Any damage done to garden, plants, beds or structures you will be billed a damage fee.
