Overview• SharePoint 2007 Products and Technologies are good at

supporting the distributed ownership of team-based web sites and content

• However, SharePoint is poor at fostering enterprise oriented best practices during its initial deployment stages

• It is important to get the foundation right, otherwise SharePoint deployment will be frustrating for everyone involved

• Historically, SharePoint deployments have been project or department focused

• Typically did not take a holistic view of the SharePoint technologies as an enterprise solution

• Organizations who have decided to rollout SharePoint in the enterprise may find it better to start over rather than build from an existing pilot or project-based deployment

Implementing SharePoint as an enterprise solution• Without governance a tactical, grass roots deployment can result in out-

of-control content dissemination and explosive growth in unmanaged workspaces

• A strategic deployment is recommended• May require other Microsoft products for “full” functionality

• Outlook 2007 and Exchange Server 2007 (required for some unified messaging functionality)

• Gaps and weaknesses in the product not likely to change in near term• Lack of enterprise administration tools is fueling an emerging tools market

and Microsoft’s Codeplex (see Resources)• ASP.NET-based web parts model may force web services alternatives• Templates not as good as best-of-breeds• Confusing and fractured off-line strategy• No tagging, minimal social networking and XML feed management

Write up a SharePoint statement of governance• The goal of governance is to

• Reduce total cost of ownership• Encourage consistency, ease of use, and findability

• This is done by setting the boundaries within which the site owners have freedom

• Decide where IT will manage the system and where will users take over, and explicitly state what is centralized and what is decentralized

• Depends on organizational needs, culture, and current situation• A statement of governance should cover

• People: roles and responsibilities• Policy: what site owners should / should not do• Process: how to accomplish common tasks such as creating a new sub-site

or requesting a change to navigation• Security: how sites, collections, and lists will be locked down • Technology: define which technologies will be used for which activities• Experience: branding, consistent usability across sites, and findability

Identify key user requirements • User devices, environments, and applications

• Operating systems, devices, browser support, and productivity applications will drive what you can/will need to implement

• For example, SharePoint rich-text editors are only supported in Internet Explorer (IE)

• Other enterprise applications (e.g., SAP, CRM or other)• Tools and interfaces

• SharePoint falls short of best-of-breed wikis, blogs, discussion forums, and server-side XML syndication

• Offline requirements• SharePoint off-line strategy is fractured and may require a 3rd party tool

• Flexible subscription/syndication/notification options• Support personal preferences and reduce the potential for info overload

• Self-service tools• Use the MySite features to support personal information management

Many SharePoint success factors are non-technical• Some enterprise cultures are counterproductive for

collaboration• Internal competition instead of cooperation

• Changing working models• Highly disruptive to some users – expect push-back• Counter-act with incentives and promotional events

• Continue to measure your success• Follow the metrics you defined in the planning stages

Conclusion• SharePoint 2007 products and technologies have significant

potential to help organizations more effectively communicate, collaborate, and manage content

• However, SharePoint provides little in the deployment stages to foster sound enterprise governance and architecture

• Although the most complete platform yet, there are gaps that will not be resolved for years, if ever

• Organizations that have decided to deploy SharePoint as an enterprise solution will need to deploy an overall infrastructure that is designed to empower users and make it easier to manage

• Adoption of SharePoint depends on what happens before implementation

• Up front work done in the planning and design stages will result in an environment that is easy to use and will reduce end-user resistance
