Unmatched Students Students where enrollment UIC does not match the tested UIC or tested UIC does not have an enrollment match.

Verify that the student’s name, DOB and gender match between MSDS and the BAA Secure Site. If any of the three are incorrect in MSDS, have the district MSDS person correct them. If they are incorrect in the BAA Secure Site, a school or district level user can correct the DOB and gender in the student’s demographics screen. To correct a student’s name, it must be submitted to [email protected] with the name as it appears on the secure site, DOB and what it should be changed to.

The district MSDS person needs to verify the UIC numbers in MSDS and submit a link request in MSDS if needed.

If it is discovered that the student is associated with a UIC on the BAA Secure Site that belongs to another student, email the full information to [email protected] for assistance in resolving the UIC problem on the Secure Site.

Check that the school is listed as the Primary Educational Providing Entity (PEPE) on the student’s demographic screen on the BAA Secure Site. If it is not and should be, submit a PEPE change request in MSDS.

Check that the student has a UIC on the Unmatched Students screen. If not, verify that the student’s name, DOB and gender match between MSDS and the BAA Secure Site. If any of the three are incorrect in MSDS, have the district MSDS person correct them in MSDS. If they are incorrect in the BAA Secure Site, a school or district level user can correct the DOB and gender in the student’s demographics screen. To correct a student’s name, it must be submitted to [email protected] with the name as it appears on the secure site, DOB and what it should be changed to.

Was the student new after count day? If so, a Student Record Maintenance (SRM) needs to be submitted to MSDS with the student’s enrollment information.

If the student was not enrolled on or before the testing date, then this is correct and nothing needs to be done.

Did the student exit prior the testing date? A Student Record Maintenance (SRM) needs to be submitted to MSDS with the student’s exit data.

The student did test at the school but is showing as not tested, then a missing issue needs to be submitted on the Tested Roster page identifying that the student tests are missing.

If the student was enrolled on or before the testing date and did not test, then this is correct and nothing needs to be done.

For students with missing UICs, verify that the student’s name, DOB and gender match between MSDS and the Secure Site. If any of the three are incorrect in MSDS, have the district MSDS person correct them. If they are incorrect in the Secure Site, a school or district level user can correct the DOB and gender in the student’s demographics screen. To correct a student’s name, it must be submitted to [email protected] with the name as it appears on the secure site, DOB and what it should be changed to.

For students with multiple UICs, the district MSDS person needs to verify the UIC numbers in MSDS and submit a link request in MSDS if needed. If it is discovered that the student is associated with a UIC on the Secure Site that belongs to another student, email the full information to [email protected] for assistance in resolving the UIC problem on the Secure Site.

You may opt to use this screen to review Unmatched Students, Students Not Enrolled but Tested, Students Tested but Not Enrolled, and UIC discrepancies

The search can be filtered by any of the demographic fields listed in the Search Criteria section. For example, if you would like to display a list of your students who are identified as economically disadvantaged (ED), simply change the search criteria on the “ED” field to “Yes.”

The “Enrolled Discrepancy” filter can help you identify students that enrolled during testing but have not yet been submitted in MSDS. It can also help you identify students that were enrolled and not tested because the student moved after student count day. This is a filter that can help you identify possible situations but may not be inclusive.

The Tested column will indicate if the student tested (Y) or was pre-identified (P) for an assessment.
