1 – Introduction

In this document we will try to show the phases of the making a web site. Our example is a company which creates stands for the exhibitions. First of all we will inform you about our company for clarify the object. Then we will make some discussion with the potential user about the content of other web sites about stand exhibition and the content of our site. At the end on the document, you will find our examples upon the categories and subcategories of the web site which were created on Axure by us. Finally, we hope to finish our project in the second semester of MALTT.

2 - Strategic objective

2.1 - General vision of web site

The objective of the client is to make the company internationally known. So through this way the company would be able to attract national clients outside of Damascus and international clients outside Syria that are willing to do an exhibition in Syria. The other objective of the client is to save time and money spent: Having a website will decrease the printing costs of the brochures because potential client can check the information online on the website. Also the visits to the clients can decrease when much information is provided online. The identity design of the company was already created by a design agency and the client does not want to change the current design. So we will create a web site which contain the following pages; * Who we are: Make the company known by a short presentation explaining the benefit of collaboration with this company *Products &Services : To present their services under four categories: 1- Three dimensional design 2- The implementation of the stands with the highest level of accuracy 3- The disassembling and storing of the stands after the end of the exhibition 4- Presenting all the materials provided by the company *Gallery : To present previous project conducted by the company with pictures of the projects where the computer design is compared with the real stand to show the company’s capacity to implement the design to reality (before & after) *Contacts :email , phone , fax, address , contact person . 2.2 - Selected target group The target public of the website will be companies participating in exhibitions, companies who care about their image and all kinds of other big or small companies that can be the targeted to have exhibition stands.

3 - Focus - Content Our user is searching for a professional company which may create useful and attractive stands with good quality. For him, a professional enterprise must be creative, confidential, offering good quality with good prices and respecting the deadlines. All that will give a good reputation for the company. For the website of a company of stands the user asks for some standards like pages with a good graphic conception and a good structure. And he has some propositions for his needs for the preparation of the web site. They may be:

• The services of the enterprise • The portfolio in which we can find the images of the projects which are already

realized • Information about the production of the stand • Contacts

- Functionality & Constraints for the user to be functional, a web site must be clear with a good graphic conception and good structure for our user. So the following features are requested:

• Readability (the size and the colors of the text) • Clear background • Simple page • The size of the page (good layout on the screen) • Not a page full of description. The explications must be short to be readable • Not too many icons on the page • One menu with information at the first page • There must be several pages to be clear; not all the information on only one page.

4 - Proposition of a Horizontal Prototype (Card Sorting) 4.1 - Methodology 4.1.1 - Method of card sorting

Before starting to create our web site about stands organizing, we have prepared some cards about the organization of the web site and then we tested these cards on the two potential users.

Card sorting is a contents organization method which used especially on the domain of web. This method gives us a chance to see the columns of correspond site which creates by the potential users. There can be different kind of cards which includes images, simple phrases or paragraphs. In totally it must be minimum 30 cards for making a good test.

We have already made the exercise of this method in the class, because of this exercise; creation process was not so difficult for us.

4.2 - Content of our cards We decided to start to create our cards on the Google-docs document because; we were at the different places for the Christmas Holiday (Geneva and Istanbul). First two weeks, we have started to create our document on Internet and we made the conversations about the types of cards. First of all we made a list and then we created this list in the form of cards that you can find in the annex. About the content of our cards we decided to present all the materials that we have, we cut the brochure to many cards, we added all the information we had in our old interviews with the sponsor and the user, and then at the end we had 56 cards between photos and texts. And then we tested our cards with the same way of the example realized in the class with the cinema cards. Below, you can find our card sorting exercises with the users.

4.2.1 - Card Sorting (Rolana) My user is working for a computers company, interested in the Medias and technologies exhibitions.

At the beginning of the interview I explained to him the work of the company of stands and I asked him to categorized the content with the way he finds it useful as a customer, then later he asked me if he will categorize the cards as a

Page 7: Scope Statement (Cahier des Charges) - UNIGEtecfaetu.unige.ch/etu-maltt/R2D2/ortaer6/ergo/cahier_des_charges/... · UNIVERSITY OF GENEVA Scope Statement (Cahier des Charges) Rolana

website contents, so he was oriented by himself to the idea of a web site after being a little bit confused with 57 cards.

The user started with collecting the pictures related to the same project together, then he started to organize the content but with a superficial way without reading the full text of each cards.

At the end and after making many changes He created 5 new cards which indicate:

1- Prices 2- Template design for the customer modifications 3- Top view 4- Side view 5- Icon for shutting down the volume.

And this is the result of the user’s categorizing.

The main page was organized with the following way: 1- Introduction A company's image is only represented clearly through the exhibitions that it participates in, and because people have the chance to interact directly with the company and properly evaluate them by looking at the general image inside the exhibition. Why don’t we make this picture complete? Cards (20, 21) 2- Our Services: (under this category the user was putting almost all the text contents) We offer exhibition solutions with all their different shapes and sizes, starting with three dimensional designs which illustrate to the clients how the stand will be done. Our work is presented to the client before execution and during implementation, and finally showing the end product. The stand is implemented with the highest level of accuracy in terms of design and measurements. We also disengage the stand and offer to store them in the client warehouses, taking into consideration that the wing can be used and further enhanced in the future.

· Time: Because time element is one of the most important essentials of our

company, our team is trained to deliver the highest quality of services to meet our deadlines.

· Staff: ·The Managerial Department: Specializes in structuring the exhibition stands, overseeing the prompt

implementation and delivery of our services.

·The Design Department: Our team is expert in 3 dimensional designs and all tasks related to

stand design, (brochures, posters…) ·Workshop Department: Our employees are highly trained professionals, capable of delivering the highest level of accuracy and competency and deliver the highest quality to exceed our customers’ expectations. · The address and the contacts person information

Cards (7,8,9,10,22,23,24,26,27,28,29,30,31,32,44,49,50) Then for the next page he chooses the title portfolio for the next category.

1- Portfolio Under this category there is the big picture with many photos of stands (card 25), and then many subcategories described the types of stands offered by the company:

• Business style : with privet center to sit or cozy place Cards (1, 2, 4, 5, 6)

• Casual style: Cards (11, 12, 13, 14, 15)

• Shop style : center product display Cards (16, 17, 18, 19, 33, 34, 35)

• More abstract style : Cards (36, 37, 38, 39, 40, 41, 42, 43)

2- Computer design: in this category the user wants to have pictures of the designs with different views:

• Top view • Side view • Template design for the customer modifications

The card (We also cater to all your printing, advertisement and marketing needs) was added by the user as a foot note for all the pages.

4.2.2 - Card Sorting (Ipek) My user was an author who is interested in stands of book exhibitions.

I showed him our 56 cards and asked him to make a categorization for a web-site.

First of all, he decided to divide the cards with utilities. He eliminated 5 cards:

• “As we know that the real image of the company is only represented clearly through the exhibitions that it participates in, and because people have the chance to interact directly with the company and properly evaluate it by looking at the general image inside the exhibition. Why don’t we make this

Page 9: Scope Statement (Cahier des Charges) - UNIGEtecfaetu.unige.ch/etu-maltt/R2D2/ortaer6/ergo/cahier_des_charges/... · UNIVERSITY OF GENEVA Scope Statement (Cahier des Charges) Rolana

picture complete…” He says that in generally he didn’t read the sentence like that and he didn’t find it useful. But he told that if it was his web-site, he would be adding this phrase. • He eliminated “[email protected]”, “service” and one of the cards which shows addresses and logo’s of the company, because there were the other cards which show the same information. • “Clock / time” image. He didn’t understand the meaning of this image. He said that he prefers one main menu which stays on the left side of the web-site, one visible logo which must be always on the top of the all the pages, one simple phrase which indicate the address and the telephones of the company and which will be always on the bottom of the pages and one or several share/follow buttons (like RSS, Tweeter or Facebook buttons) on the left top of the all the pages. (After all, we designed also one image on the computer for being so clear. You can find this image here.)

He created 3 new cards which indicate: • The other types of contact information like “Skype name, written address” etc. for the contact menu. • For the main menu, “Our departments” point. • And he said for the information point, “coverage area” is so important for understanding with which countries they make works.

He told that normally he doesn’t prefer music on the commercials web sites, but if it exists, he wants an icon for shutting down the volume.

He decided 8 main points of the main menu: 1- Information: One big image and one paragraph which tells the goals of the company. 2- Our services: He divided 2 mains categories:

2.1 – Stands: He divided 7 categories and there are some images on several categories by looking theirs works/goals:

2.1.1 – Automatic stands: The images of the stands which indicate the distribution machines for the foods and drink. 2.1.2 – Multifunctional stands: There can be so many functions at the same time. 2.1.3 – Market stands: Only for selling something commercials products. 2.1.4 – Exposition stands: For making exposition of products of the exhibition. 2.1.5 – Market stands-2: For selling and giving information of the products. 2.1.6 – Animation stands: For example, for the children.

2.2 – Other services: Like; 2.2.1 Printing 2.2.2 Advertisement 2.2.3 Marketing needs

3- Time: “The time element is one of the most important essentials to the company, as we know the tight deadlines that go with exhibitions, however with never compromising the integrity of the services we provide.” 4- Materials: Giving information about the materials which using by the company with some detailed images.

4.1 Flooring 4.2 Furnish

4.2.1 Logos (remarkable) 4.2.2 Electronics

5- Our departments: He divided 3 categories and he said we can put some images in the each department categories for making clear the explications:

5.1 Workshop department 5.2 Managerial department 5.3 Design department

5.3.1 Computer design 6- Staff: Explication of the company team. 7- Portfolio: The previous works of the company with images. The exhibitions stands and the images which indicates the phases before and after the construction of stands. 8- Contacts: Detailed address with Google Maps image, Skype name, telephone numbers (mobile, fax etc.) and e-mail address

Of course, my user describes these categories by looking the cards, so it can be the different combinations of the categories and under-categories on the menu.

You can find the images of activity in the annexes part of our document.

4.4 - Difficulties Our general difficulty was, do not make the test together. Because of this problem, we do not know exactly we asked the same questions or we made the same reactions or not. We have especially the problems on the future product of our site; because our users preferred different styles for the different titles. Their construction of web-site is not the same. But we think that we can try to put all together and then we can build our site. For this, we will meet and we will combine all the work. But for now we made a little stencil table that you can find in the report category. The first user did not take any decision to remove any cards , for example he does not like the cards of follow us on Facebook or others sites but he did not want to remove it from the

list , he said i don't care about it, it is not for me but i will keep it !! Many decisions was taken like that and this user wasn't logic in organizing its categories … 4.5 - The unification of the categories: You saw our table in 3.3 which reduce the preferences of the users. Now, we will combine these preferences.

When we were trying to unify the categories, fist of all we created our tables separately then, we combined these ideas on the main table below.

Category Subcategory Description

Homepage This page will have an introduction about the exhibitions and the importance of these opportunities to present the participants with the best image.

About Us Our departments: - Workshop department - Managerial department - Design department - Computer design

We will try to explain the functions of each department briefly and we can add some pictures to describe more their work especially for the computer design department and to the workshop department too.

Our Services

- Stands - Other Services - Printing - Advertisement - Marketing needs - Materials - Prices

We will explain the work of the company and how it produce the stand, starting with the three dimensional design then the implementation of the stand with the highest level of accuracy, and finally with the disengagement of the stand in the client’s warehouse. Under this subcategory we will present the other services offered by the company like the printing of the posters and flyers and all kind of advertisements like designing and booking in different medias : outdoors , press , TV …. And provide all promotional materials and articles to complete the marketing campaign of the client if needed. This category will give an idea to the clients about the materials normally used in the exhibitions (wood, metal, chrome, glass, plexi, Stands, lightings, LCD monitors, flooring, and furniture)

Portfolio -Business style -Casual style -Shop style -More abstract style - Photo gallery general

(the computer design & the stand after the implementation)

This page will contain a set of images of the stands classified under different styles that way will help the users to see the precedent projects realized by the company to get a general idea about the quality of work.

Contacts The contacts information ,email, phone number , the name of the contact person and , the address of the company … all contact information provided from the owner of the company will be in this page .

You can find the link of our separated tables in annex.

4.5.1 - Why did we choose these categories? These categories are the common part between the first user and the second users of the Card sorting, modified to the requests of the company's owner.

First of all we created our individual tables which you can find in this link and then we made a main table that you saw on the chapter before.

We chose five categories:

1. Homepage: Even if our users do not choose a homepage, we decided to create it,

because we cannot imagine a web site without a main page. When the user enters our web site, he finds directly this page and he can also find the information about the exhibitions and the company.

2. About Us: We chose this category for combining so many categories. Instead of making 2 or 3 others categories (like “information”, “our categories” and “staff”), we made only one and then we put the others like a subcategories.

3. Our Services: We can find this category in the tables of users. It was logic also for us. Because this is one of the most important categories for the company for making explanations about their services, and the materials which they use.

About the prices it was the opinion of the users to add it but the realization of this category will be complicated specially because the exhibitions stands are not a specific products and it will be different from stand to another and any small detail in the sizes or the materials used will change the cost of the stand.

4. Portfolio: Also the portfolio is very important for a company like ours which

create the exposition stands. The users want to look at the images or photos of

Page 14: Scope Statement (Cahier des Charges) - UNIGEtecfaetu.unige.ch/etu-maltt/R2D2/ortaer6/ergo/cahier_des_charges/... · UNIVERSITY OF GENEVA Scope Statement (Cahier des Charges) Rolana

13

the stands. So, we can say the portfolio is useful to show the services, to support the explanations about the services and the materials.

5. Contacts: We thought that making a main category of the contacts is so useful than put it like a subcategory. Because the users like that will find it easily and they will go directly to this page to get the contact information of the company.

For more information about the content of the categories, you can look at the descriptions in the main table because; in this paragraph (why did we choose these categories?) we explained only the reasons of choosing the main categories.

4.5.2 - The contents of the pages (Plan of the web site): You can find our plan created by Axure in the annex .

For now, we didn’t choose the colors and we didn’t write all of the contents. But we will finish all the design in the second semester. At least now we know what it would be the design of our website after taking advantage from the discussions with two potential users and using the software Axure.

4.5.3 - Conclusion: The static model made in Axure helped us to imagine how the web site will be, and helped in organizing our ideas proposed about the pages and the content of each pages. This plan will be the starting point for the web site development. And during the realizing of this website We might have to modify some of the paragraphs or information, As we find appropriate for our needs while respecting the needs of the users and the website owner, Such as what we have done previously after getting the results of the cards sorting, which prompted us to change most of the initial plan.
