5. Workpackages
The first day of the meeting was devoted to monitoring the
implementation of the Project by the
National Erasmus + Office of Montenegro (NEO MNE). At the
beginning of the meeting Ms
Drakic Grgur welcomed the participants and introduced them with
the aim of monitoring of the
project. Ms Bojana Malisic presented the main idea of the
project, specific and general
objectives, the project consortium, and completed and planned
activities and all activities related
to the implementation of the project. Representatives of NEO MNE
were asking questions that
they needed more answers too. The discussion was attended by all
the partners present. In the
end, Ms Vanja Drljevic from NEO expressed their informal
assessment of the monitoring project,
expressing her satisfaction with the cooperation and atmosphere
between the partners, past
activities, noting that the formal report will contain some
suggestions for improving the process.
The suggestions that NEO made were:
- Career centers at the universities should be involved in
training; - Ministries relevant to the topic should be also
involved in the local activities, since
these partners are essential for securing sustainability of
results in the future; - -Since there are some initiatives in the
Employment Agency of Montenegro on the
similar topics, synergy should be enabled.-- Students should be
motivated to get involved in the special mobility strand, for which
purpose some preparatory English language courses could be
organized;
After the opening of the meeting and the opening speech, Ms
Kartasidou had a presentation
and discussion with partners regarding the Project Management
issues. We discussed on many
issues, such as writing the Intermediate Report for the period
of 15th October 2015 to 15th
March 2017; sending supporting documents for the Intermediate
report of the Project; financial
issues - particularly with regard to the procedure of
procurement of equipment, use of unit costs
and subcontracting costs; use and difficulties in the use of
Collaboration platform; activities
related to the Special Mobility Strand and future meetings
within the Project. Ms Kartasidou
again reminded partners that according to documents received
from partners she will complete
the Intermediate Report. All partners were required to provide
all related supporting documents
from financial management occurred within this period since the
Intermediate Report must be
send to the EACEA by 15/04/2017.
Also, Ms Kartasidou reminded that it is necessary to sign the
Inter-institutional agreement
between all the universities in the three countries in which the
student exchange will be realized,
and that it is an obligation to sign the agreement until May
2017, and also she note that some
partners already send their comments regarding SMS. The task of
the partners is to check the
contents of the Inter-institutional agreement and propose
changes, but Agreement needs to be
done until May 2017. The mobility of students will be realized
in the last year of the project, it will
include 32 students and it is necessary to determine criteria
for the selection of students who will
be involved in this process. Money designated for SMS is only
for this purpose and the student

will get the necessary money before going to another
institution. Students cannot be funded by
two European funds.
During the first day of the meeting Mr. Lazar Petrovic from
University of Kragujevac
presented completed and planned activities within WP2 Connecting
Higher Education with work
for students with disabilities. Mr. Petrovic presented that Web
based tools for employers DEV2.1
is completed, Web based tools for students with disabilities
DEV2.2. is completed and also
presented activities need to be done until June 2017 as follows
transfer ready web based tools
on server of UDG, completed list of delegated mentors of every
institution, training of mentors for
web based tools and translation of the website and platform on
Montenegrin and Bosnian having
that website and platform have already translated on English and
Serbian. Representative from
UNIKG note that after website and platform will be send to the
server provided by UDG will be
created Accessible Data Base with WP8 Exploitation and
Sustainability, EXP8.3. After Mr.
Petrovic’s presentation, Ms. Bojana Malisic presented completed
and planned activities under
Exploitation and Sustainability. Focus was on creation of first
E-Learning seminars that need to
be done three for second year. E-Learning seminars need to be
done by UDG, UNIKG and UBL.
UDG, BMU and UBL need to create guidelines for the E-seminars
and UNS, UES and UOM final
content for seminars. After discussion first day was closed.
The second day of the meeting began at 10:00. During the day,
partners from Partners
countries had meetings with the External Evaluators, Mr.
Tomislav Novovic from SECONS and
with representative from DEKRA Akademie, Ms Katja Kalusch, also
during the day coordinator
of the project, Ms. Lefkothea Kartasidou, had a meeting with
partners individually.The individual
meetings are important in order to discuss and solve face to
face any kind of related financial or
management issues as well as project implementation activities.
After finished all meetings with
External Evaluators, Mr. Matjaz Debevc presented activities
related to the WP4 Training: plan of
the training and the training material, after this presentation
trainings were held. The whole
group was divided into 4 groups – training of academic/teaching
staff trained by Pawel Wdowik
from UW, training of students with disabilities trained by
Danilo Zimsek from UM FERI, Andjela
Radovanovic from AYDM and Lefkothea Kartasidou from UOM,
training of mentors trained by
Ioanna Papavasileiou from UOM and training for employers trained
by Despoina
Panagiotopoulou from GNOSI.
Third day began earlier at 09:30h. The first sessions began with
presentation of the Website
and platform by UNIKG. Mr. Milan Milovic from UNIKG train and
presented the main issue
related to the use of website and platform. He showed the main
technical issue that mentors will
use. The leaders of the different work packages have presented
the so far completed tasks and
the plan for the future. During the third day Association of
Student with Disabilities (Serbia)
related to the Terminology and WP3 Higher Education and Web
based learning. The discussion
regarding the activities was very helpful and partners agree
with what is planned in the coming
months of the project realization.

Comments
Ms Marina Lukic and Mr Milan Jankovic from Association of
Student with Disabilities in Serbia presented
the terminology related to the DEV3.2 Development of internship
program for SwD and DEV3.3 Design
recruitment guidelines for employers opening positions for
SwD/graduate wD. She expressed the
importance of the terminology in the reports performed within
WP3. Final version of the internship program
for SWD is done in cooperation with partners from all three
countries, given for feedback to all partners,
and the expected deadline for completion of the final version
was February 14th. The partners expresed
there opinion according to this issue but all agree that all
partners prepare one paragraphs for MNE, BiH
and SRB about terminology used in all three partner countries.
Each partner country will prepare a text of
500 words in english focusing on contextual issues of
disability. These texts will be included in an annex
that will be attached to each deliverable summarizing related
disability issues in order to help partner
countries develop a certain policy towards disability
issues.

Comments
Dr. Debevc pointed out that the aim of WP4 is to give knowledge
for improving the quality of transition
from School to Work of SWD, and provide support and training to
universities and associations involved in
the project. WP4 is based on WP1, WP2 and WP3. There was a
discussion about the translation of
training materials into local languages of the countries
involved in the project, and the method of training:
whether that training is organized by each university
separately, or to organize a training video to be
recorded or video material that would be used in training. It
was suggested that the training is a
combination of face to face training and recorded material that
could be set up on the web tool and
distributed. The target population are: academic staff (20
persons from each university), employers (20
persons from each partner country), supervisor (5 mentors for
each university) and students with
disabilities. Also, Ms Debevc urged to contact four people to
assist in the creation of E-Learning Content,
Courses (management, performing), e-Learning Systems and LMS
(technology) and evaluation. Mr.
Debevc remind to all partners that the book needs to be created
as a final outcome of the training. For the
book there are coordinators for each training group: for
Academic Staff is UNSA (Lejla Kafedzic), for
Employers is UNS (Pavle Milenkovic), for mentors is UES (Biljana
Bosnjak) and for students with disability
is UBL (Drazenko Jorgic). During this project meeting was held
training of academic/teaching staff trained
by Pawel Wdowik from UW, training of students with disabilities
trained by Danilo Zimsek from UM FERI,

Comments
Mrs Kaplarski reminded attendees that completed activities and
expressed the need for the information on
social networks to be more often and faster published. Next
steps should be completed in the coming
period: website analytics; prepare 4th Newsletter until end of
June 2017 in the English language, and its
translation into local languages to be finished by July 14th
2017; and also reminded that planned activities
during the second project year, until October 2017 were
presented and planned by all partners.
Newsletters need to focus more on already organized and future
activities. There is a need to be more
compact by having the format of announcements what is going on
in the project. Ms Kartasidou pointed
out the need to have both quantitative and qualitative
indicators i.e. nr of employers participated in
workshops etc and at the same time note the changes in the
society.

Comments
Ms. Bojana Malisic presented completed and planned activities
under Exploitation and Sustainability.
Focus was on creation of first E-Learning seminars that need to
be done three for second year. E-
Learning seminars need to be done by UDG, UNIKG and UBL. UDG,
BMU and UBL need to create
guidelines for the E-seminars and UNS, UES and UOM final content
for seminars. Creation of Accessible
Data Base will be done after the website and platform will put
on the server provided by UDG.

Comments
During the meeting some issues concerning financial statement
have been discussed especially linked to
the Intermediate Report that will be delivered to EACEA till
14th of April 2017. On the first day a field
monitoring visit took place with the participation of all
partners. Ms Bojana Malisic has prepared a
presentation concerning achieved and planned activities and then
there was a discussion with the
consortium and NEO of MNE. During the 2nd
day coordinator of the project, Ms. Lefkothea Kartasidou,
had
a meeting with partners individually.The individual meetings are
important in order to discuss and solve
face to face any kind of related financial or management issues
as well as project implementation
activities.
Ms Kartasidou discussed with partners about SMS. It was
suggested that during May/ June 2017 HEIs will
plan info days in order to motivate SwD. At this stage it is
also crucial that employers will get more actively
involved in this process. There is a need to have the list of
requirements from employers so the mentors
need to cooperate with employers in order to check the possible
placements.
6. Next meetings

Final dates will be discussed during the next project meeting or
via doodle. Next meeting will be in Slovenia (Maribor) hosted by
University of Maribor. In this meeting all partners from partner
countries will participate and the meeting will focus under the
activities of WP4.
