1 Getting Started

This guide does not replace the daily operations handbook that we recommend customers to create for their specific production operations.

About this Guide

Designing, implementing, and running your SAP solution at peak performance 24 hours a day has never been more vital for your business success than now.

This guide provides a starting point for managing your SAP solutions and maintaining and running them optimally. It contains specific information for various tasks and lists the tools that you can use to implement them. This guide also provides references to the documentation required for these tasks, so you will sometimes also need other Guides such as the Master Guide, Technical Infrastructure Guide, and SAP Library.

1.1 Global Definitions SAP Application:

An SAP solution represents a market view of groups of related business scenarios. The delivery of a solution contains SAP components which are essential for implementing all solution-related business scenarios, processes, and functions. Implementation knowledge is included with each solution.

Business Scenario:

From a microeconomic perspective, a business scenario is a cycle, which consists of several different interconnected logical processes in time. Typically, a business scenario includes several company departments and involves with other business partners. From a technical point of view, a business scenario needs at least one SAP application component (SAP R/3, SAP APO, or others) for each cycle and possibly other third-party systems. A business scenario is a unit which can be implemented separately and reflects the customer’s prospective course of business.

Component:

A component is the smallest individual unit considered within the Application Development Lifecycle; components are separately produced, delivered, installed and maintained.

2 Technical System Landscape 2.1 Scenario/Component Matrix

Project and Portfolio Management 4.5 comprises of the following products:

SAP cProject Suite (consists of cProjects and cFolders)

SAP xApp Resource and Portfolio Management (SAP xRPM)

Both products contain the CPRXRPM component, which contains the application data of cProjects, cFolders, and xRPM.

SAP xRPM also contains the CPRXRPM_UI component that contains the Java user interface of xRPM.

3 Monitoring of SAP Project and Portfolio Management

Within the management of SAP Technology, monitoring is an essential task. A section has therefore been devoted solely to this subject.

3.1 Alert Monitoring with CCMS Proactive, automated monitoring is the basis for ensuring reliable operations for your SAP system environment. SAP provides you with the infrastructure and recommendations needed to set up your alert monitoring to recognize critical situations for SAP Project and Portfolio Management as quickly as possible.

3.1.1 CCMS Monitoring Installation and Setup SAP Project and Portfolio Management is technically based on SAP NetWeaver 7.0 (2004s) and thus re-uses monitoring tools from SAP NetWeaver. In order to enable the auto-alert mechanism of CCMS, see SAP Note 617547.

3.1.2 Alert Monitoring of Components 3.1.2.1 SAP NetWeaver 7.0

SAP NetWeaver 7.0 is the integration and application platform for SAP cProjects 4.50 and xRPM 4.50, therefore the following SAP NetWeaver components must be integrated into the monitoring infrastructure:

SAP Web Application Server (ABAP) 7.00

SAP Web Application Server (Java) 7.00 (only for xPRM)

SAP NetWeaver Enterprise Portal 7.0 (optional for cProjects)

SAP NetWeaver Business Information Warehouse 7.0 (BI) (only if BI is really used)

3.1.2.2 cProjects 4.50 To set up the monitoring for cProjects follow the following procedure. Via this monitoring not all components which can be used by cProjects for example XI are covered but the most important ones.

Procedure 1. Go to transaction RZ20 and create a new monitor: cProjects 4.5 monitor.

2. On the top level, create a virtual node for each of the following areas:

o Adobe Availability

o Database

o ABAP WebDynpro

3. On the second level, create rule-based monitors for each area as described in the following table:

3.1.3 Alert Monitoring of Scenarios There is no special monitoring for the SAP Project and Portfolio Management scenarios.There are no critical scenario-specific situations that need to be monitored.

3.2 Detailed Monitoring and Tools for Problem and Performance Analysis

3.2.1 CPRXRPM and CPRXRPM_UI Analysis Tools

The technology of the CPRXRPM and CRPXRPM_UI components is based on SAP NetWeaver 7.0 (2004s). For information about technical problem analysis (such as with a database, an operating system, or workload analysis), refer to the Technical Operations Manual for SAP NetWeaver. This Solution Operation Guide is for SAP Project and Portfolio Management and covers only the differences and additional information specific to this solution.

Trace Files and Log Files Trace files and log files are essential for analyzing problems.

SAP cProject Suite • The communication between SAP cProject Suite and SAP SRM uses the usage type

Exchange Infrastructure (XI). Therefore the list of communication errors is displayed on the message monitor of XI. You can use built-in XI mechanisms to solve these errors. To monitor a queue, use the transaction SMQ1.

• The ABAP Debugger for Remote Function Calls (RFC) contains a log. In this log, you can see the list of RFCs and also the information on how they are made.

• cProjects: To exchange data, for example the Cross-Application Time Sheet (CATS), Application Link Enabling (ALE) is used. For more information, see the Technical Operations Manual for SAP NetWeaver under Administration of SAP NetWeaver Systems -> AS ABAP (Application Server for ABAP) -> Administration -> Connectivity -> Administering ALE Function.

• For the SRM integration, cProjects communicates via XI with SRM. The logging of XI messages tracks the status of the XML messages that are to be processed before the first processing step (inbound message), as well as after every call of the pipeline service. The system saves the whole message as well as information about the processing status. You can use the XML messages that have been saved for evaluation purposes in monitoring. You can display the messages, if transferred or not, in the logged errors using the transaction SXI_MONITOR . You can archive or delete the messages that are visible here.

• For the CATS integration, cProjects uses ALE technology to communicate with SAP ERP. This means that all the data that is sent from SAP ERP to cProjects is always transferred via an ALE connection. Therefore, the logs for the outbound IDocs are located in the SAP ERP system and can be viewed there using the transaction WE02. You can also view the logs for the inbound IDocs in cProjects using transaction WE02. Here you can view all IDocs located under ALE. You can check the status of inbound and outbound IDocs and edit incorrect IDocs. You do not have to switch this logging on. You can archive the entries to control the size of the database.

• Accounting Integration: You can view all the messages that are issued when you transfer your projects to Controlling in the Controlling Cockpit. For more information, see SAP Library at help.sap.com under SAP Business Suite → Project and Portfolio Management → Collaboration Projects → Accounting Integration → Controlling → Controlling Cockpit.

• To call the back-end system from a web browser, the Hypertext Transfer Protocol (HTTP) and Hypertext Transfer Protocol Secure (HTTPS) is used. For more information about the monitoring of these functions, see the Technical Operations Manual for SAP NetWeaver under General Administration Tasks -> Monitoring and Administraion of the SAP Message Server -> Message Server Monitor

• cFolders: To display and correct errors, you can use a trace. To display this trace, in the cFolders application, on the Diagnosis tab set the Enable Trace indicator.

To display the Diagnosis tab page, on the General tab page, set the Diagnosis Settings Active indicator.

SAP xRPM All reports that are used to transfer data to other systems, for example to the ERP system,

the cProjects system, or the Microsoft Project Server, contain logs. You can access these logs directly from the individual reports.

The ABAP Debugger for Remote Function Calls (RFC) contains a log. In this log, you can see the list of RFCs and also the information about how they are made.

The integration reports /RPM/PROJECTS_BATCH_UPDATE and RPM_WRKCNTR_UPLOAD contain logs that can be accessed directly from the individual reports. For more information about these reports, see section 4.5.1 Schedule Periodic Tasks of this guide.

To call the back-end system from a web browser, use HTTP and HTTPS. For more information about the monitoring of these functions, see the Technical Operations Manual for SAP NetWeaver under General Administration Tasks -> Monitoring and Administraion of the SAP Message Server -> Message Server Monitor.

You can find trace files for the UI on the server under Log Folder in the particular server(s).

You can also find logs in the SAP xRPM application under Portfolio Management -> Administration -> Cache Administration -> Live Logging. Choose Live Logging: On and run the application in another window. The system displays the logs on the Live Logging tab page. You can view the list of RFCs called and their details under Portfolio Management -> Administration -> Cache Administration -> RFC Debugging. Choose Activate RFC Debugging: On and open the application in another window. The system now displays the list of RFCs in the RFC Debugging tab page.

4 Management of SAP Project and Portfolio Management

SAP provides you with an infrastructure to help your technical support consultants and system administrators effectively manage all SAP components and complete all tasks related to middleware technology.

You can find more information about the underlying technology in the Technical Operations Manual in the SAP Library under SAP NetWeaver.

4.1 Administration Tools of Software Components

Administration Tools for SAP xRPM You can download the configuration settings that you have made in the portal, such as for iView parameters, to a local file. While installing new Service Packs, you can upload these configuration settings from the local file. For more information, see SAP Library under SAP Business Suite → Project and Portfolio Management → Business Package for PPMDC 4.5 → Role Portfolio Management → Workset: Administration → Backup Custom Configurations and Restore Custom Configurations.

4.2 Starting and Stopping For SAP Project and Portfolio Management, no specific start or stop issues are applicable. You can start and stop the components in any order.

4.3 Backup and Restore You need to back up your system landscape regularly to ensure that you can restore and recover it in case of failure.

The backup and restore strategy for SAP Project and Portfolio Management consists of two parts:

• Backup and restore coverage for each component

• Cross-system data dependencies and handling

The backup and restore strategy for your system landscape should not only consider SAP systems but should also be embedded in overall business requirements and incorporate your company’s entire process flow.

In addition, the backup and restore strategy must cover disaster recovery processes, such as the loss of a data center through fire. It is most important in this context that you ensure that backup devices are not lost together with normal data storage (separation of storage locations).

Based on the type of application data contained in a component, we have introduced a categorization scheme for system components that can be used to analyze the backup requirements of any system component and to easily determine an appropriate backup method for this component. The following table contains a component list for your solution and the appropriate Categories of System Components for Backup & Restore.

• If you lose data in cFolders, it is possible to synchronize the data from the back-end system to cFolders using transactions cfe01, cfe02 or cfe03.

• If you lose data in the back-end system, you can recover it by using transactions cfi01, cfi02 or cfi03. Data that is changed in cFolders is transferred to the back-end system.

• Virtual Room Integration

• If you lose data in SAP Enterprise Portal, you must manually regenerate the connection between the Collaboration Room and the cFolders (Collaboration) or cProjects.

• If you lose data in cFolders (Collaboration) or cProjects, the connection with the target (SAP Enterprise Portal) is lost. You must manually delete the empty connection.

• SRM Integration (optional)

• While backing up data from the SRM system, if you lose the Shopping Carts that were connected to either a cFolders (Collaboration) or cProjects, you must regenerate the Shopping Carts in the cFolder (Collaboration).

• While backing up cFolders, if you lose the cFolders (Collaborations) data, you must create it again. Also, you must manually regenerate the connection between the cFolders (Collaboration) and the Shopping Carts.

SAP xRPM CPRXRPM Classification: This component contains original application data. It is not copied from any other system.

Backup and Restore: SAP Project and Portfolio Management is based on the SAP NetWeaver (Web Application Server ABAP) technology. 4.4 System Copy SAP cProject Suite You can use standard SAP NetWeaver technology to copy the system.

After creating a system copy of the cProjects, there are two references to the same SRM shopping cart.

Both the references are valid. However, the XI connection between cProjects and SRM must

be adjusted as per the system copy so that the SRM callbacks reach the system copy.

After creating an SRM system copy, if the process continues in both the original and the copied system, two purchase orders are created for materials or resources. For system-dependent data changes, see SAP Note 762610.

SAP xRPM You can use standard SAP NetWeaver technology to copy the system. No specific adminstration tools are required. For more information about administration with SAP NetWeaver, see SAP Help Portal at help.sap.com -> SAP NetWeaver 7.0 -> System Administration -> Technical Operations Manual for SAP NetWeaver -> General Administration.

If you copy the complete system landscape used for xRPM, the RFC connections and aliases will be fine. However, if you copy only the xRPM system, we recommend that you ensure that the RFC connections and aliases are correct and refer to the correct systems.
