II. Review and Approval of November 7, 2012 meeting minutes

November 7, 2012 meeting minutes were reviewed and approved.

III. Treasurer’s Report Molly Sachse reported that total expense budget for 2012 was $39,610.75 and Total actual

expenses were $24,391.62. The 2013 budget is planned at $39,856, this includes $6,000 for

capital improvement. Significant budget changes from 2012 to 2013 include the replacement of

varsity uniforms plus warmups and coaches apparel and the Duluth trip.

IV. Captains’ Comments

No captains present.

V. Coaches’ Comments

Choice Loyalty check for Q4 was $48.

Added Duluth East to the schedule this year. All teams will go up to play. Coach bus provided

for all grade levels/teams.

Camp St. Croix, will be adding tower climbing.

Added Jump Team Build for entire program on 8-19-13.

Buying backpacks for the JV program this year. New Varsity uniforms. Away Jerseys are Kelly

Green. Home Jerseys are white with Vegas Gold numbering. Uniforms are on a 5-6 year cycle.

Hensley design will be doing all of our clothing this year. She does have an online site for

ordering.

Sunday, May 19th

will be the pre-season Parent/Player Meeting 3:30-4:30.

Coach will visit the middle schools in March. Captains can attend these sessions as well.

bonding event. This is a City-Wide food packing event at Rosemount Middle and Elementary

Schools and is on Saturday, March 2nd

February 6, 2013 meeting minutes were reviewed and approved.

III. Treasurer’s Report Rich shared the monthly treasurer report. One deposit this month from Royalty card and one expense for

down payment on Camp St. Croix.


Marisa and Kaylie gave an update on team bonding events. They have done 3 activities so far: Attended

an adapted hockey game, packing of food for One Rosemount Feeding Families and the Buffalo

Wildwings fundraiser. They are communicating to players via Twitter and Facebook. Will also use list

serve, the website and look into group texting option. They are meeting this weekend with Coach Adams

and the uniform vendor to look at samples. They are also still deciding on a slogan.


Coach Adams shared that time is being spent getting ready for the May 19 preseason player/parent

meeting. He will be visiting the three middle schools in March and April. He and coach Floersch are

meeting with RAAA as well regarding promotion of youth soccer in the community and summer camps.

Most game schedules are final, still working on freshman schedules but will be finalized soon.

4v4 will be run again by coach Tompkins and registration will be handled through Community Education.

Hannah Halterman won the Athena Award.

Kaylie said they have picked out the clothing with Maureen Hensley. Sweatshirt is a navy, quarter zip

pullover, sweatpants will be grey and t-shirt is bright yellow. The captains are working on finalizing the

team slogan. Discussion held about having some parent spirit wear available at the May informational

meeting. Kaylie will discuss with Maureen Hensley.


Coach Adams was unable to attend but sent an email update. The May 19 pre-season player parent

meeting is in the student center from 3:30-5:30. He has also scheduled visits at the middle schools: St.

Joe’s 4/19, RMS, 5/3 and Scott Highlands 5/7.

o FTTH is local company that the Site council will be kicking off a fundraiser with. Football wants

fiber to the stadium so FTTH is willing to work with RHS and provide this at a discounted or free

cost based on the number of new customers and/or upgrades sold during the fundraiser.

Dawn Igoe presented options for photo sharing site. The motion was made and approved to use

Shutterfly. Dawn will set up the site and put together some recommendations on naming

conventions. This will be shared with the team parents/photographers at a meeting at the

beginning of season where we give an overview on team parent duties, website, etc.

Parent/Player meeting – Sunday, May 19 – (Sandra created postcards - almost ready to go out)

Coach met with St. Joes 8th

graders on 4/22 and will meet with RMS on 5/3 and Scott Highlands

on 5/7.

The numbers show that there will be two freshman teams again.

Looking for a 9 Green coach. Coach Kline will coach the sophomore team this fall.

Varsity Uniforms and warm-ups for this fall have been ordered.

Scholarship winners are Madeline Murphy and Sydney Newton.

RAAA created a new board that Coach Adams and Floersch are involved with. RAAA will give

the program $4 per participant this year instead of a specific dollar amount stipend as in the past.

Burnsville has been added to our section this year.

Dawn Igoe has set up Shutterfly websites for each team for photo sharing. They are linked off the

Great turnout for parade, good feedback on t-shirts. T-shirts are available for parent order if

interested. Will discuss at parent/player meeting.

Captains’ practice going well.

Working on team bonding events.

Actively tweeting and updating Facebook with information.

Coaches’ Comments

As of today, 73 have registered for soccer.

Attendance at captains’ practice is not known to the coaches.

8 coaches including a student teacher who is a volunteer coach.

For tryouts, each coach will stay at a station so they can see all players.

8:00 am room 120 Monday morning tryouts begin.

All teams’ schedules are finalized. Coach Adams will give to website coordinator to place on

website.

Team bonding events are important. Aug 19 at 6:30 (?) we will have JUMP program. Entire

program team building and then varsity will have one hour team specific.

Uniforms are on 6 year cycle. We donated old uniforms to kids in Brazil. A former RHS player

who plays at Bethel College brought them to Brazil.

Alumni game was successful and a lot of fun. Alumni won 1-0!

RAAA donated $4 per player.

Rain date of Aug 9.

o We raised $2633 after expenses and still some money coming in. 73 girls worked at the

car wash. At least 105 cars came through. We may want to consider not doing pre-

sales and just collected donations the day of the car wash.


o On track, contacted all sponsors and starting to get checks in. We have a couple of new

sponsors. Our first home game is in September so we have a little more time to get

program together. Need childhood photo of senior players.



o Priced food at Sam’s Club. Will have grill from Knights of Columbus again. We have

approval for donating four soccer balls from Medi-car. Two for boys team and two for

girls team. Varsity players sign the balls and are used for prizes. We will need

volunteers to work at concessions, table selling posters, raffles, etc. We work during

boys game and they work during our game. Will have varsity players at a table after

the game to sign posters that are purchased.

o Kelly Ahrens will coordinate team bonding events with captains. Would like to do 2-3

activities. Feed My Starving Children scheduled for Sept 7 from 9:00-11:00 am.

There are 50 spots available and we will need parent volunteers. Kelly will send out list

serve.

o Pumpkin painting event on Saturday October 19 for donation to senior centers or

daycares.

o Dakota United adapted sports game/pizza party. Will schedule once we have the

teams’ schedules.

o A coordinated event with the boy’s teams (program wide or team level) such as bonfire,

movie night, etc. Send any other suggestions to Kelly or the captains.

o Special Olympics unified flag football event on Oct 12-13 in West St Paul. Kelly is

checking on details.

o Several yard signs are still available for sale. Price is $20 each.



o Teams have been assigned to home games. 9/9 9 Green, 9/26 9 Blue, 10/5 Sophomore.

o There are also games where we need volunteers. Will contact Rosemount Middle

School.

o Volunteers will get a snack, a t-shirt, names announced at halftime and free admission.

o Clothing order will open up again soon. Clothing that has already been ordered will be

delivered at parent/player meeting.


o Preparing for Sat 8/17 scrimmage. There will be six teams. Teams include Mankato

East, South St. Paul, Simley, Chanhassen, Park of Cottage Grove, Rosemount.

o Leftover water from car wash will be used.

o First trip is Aug 23-24 for JV and Varsity. Will play Cloquet Friday at 1:00 and

Hermantown Saturday at noon.

o Second trip is Aug 26-27. All teams but Freshman Green will go on this trip.

Sophomore and 9 Blue team will take coach bus up on Tuesday morning. JV and

Varsity will go Monday, practice at St. Scholastica, spend the night and then play

Duluth East at 2:00 pm.

o Program drafted and reviewed and will go to print on Friday.

Community Night/Homecoming – Co-Chairs: Bob Luna, Val Egge, Cindy Purfeest, Becky

Busho. September 26, 2013 at 5:00 vs. Burnsville.

o Met with boy’s booster club to plan the night. Boys team supplying cookies and plastic

cups full of candy, etc. for the kids. They will also get soccer balls for giveaways and

have players sign.

o Crown Rental will provide propane. Knights of Columbus providing grills. Looking

for tents if someone has one we can use in case of rain over cooking, condiments,

merchandise, etc. Will also have table for varsity girls to sign posters that are

purchased. We have communicated with newspapers and schools. Trying to get varsity

players to go to schools the day of game in uniform and hand out flyers. We have some

donations to use for raffle giveaways. Team posters, a yard sign, water bottles, etc.

Will also have these items for sale.


Eastview. o No updates

Publicity/Street Signs – Kelly Ahrens, Open Positions

o Feed My Starving Children is Saturday Sept 7 9:00-11:00.

o Street signs put out for each home game. Kris Hansen and Monica Eichten will put out

the signs.

o Yard signs and water bottles still available for sale. Need volunteer to sell these at

homecoming night and take over the inventory for future sales.


o Captains are putting together. Went a little over budget so will request budget move

from program sponsor funds as we didn’t use these funds for postage, printing, etc.


o Ball girls meet Laurie at concession stand 15 min before the game.

November 6, 2013 Meeting Minutes

Review of October 2, 2013 meeting minutes


Treasurer’s Report Report was reviewed and approved. Discussion around how to show sponsor donations that are not cash

donations.


No captains present. They had a great season and a lot of fun with the girls. Tuesday there will be a

pizza party for varsity for top wreath sales. Still discussing the lock in at RHS.

Coaches’ Comments

Attended each team’s banquet and they were all very nice.

Jefferson and Kennedy out of South Suburban Conference for next season. Shakopee and

Farmington are in. We will still play Jefferson next year. We will not play Cloquet but will play

Esko during the Duluth trip.

Game days/times have changed due to referee availability. Varsity games will be 5:30 and 7:30

next year for Varsity. JV will play on the same day, at the same site as varsity but at 4:15.

Sophomore will move to Mon-Wed at 4:15. Schedules are all set for next year.

2014 captains are Carly Dawson, Sara Stuckey and Brenna Sullivan. There is an application

process for interested captains and the girls vote.

Had a great season this year!

3D patches are in. Kevin will put in plastic bag with player’s name in his mailbox in office and

girls can pick them up.

Discussion around getting more parent volunteers.

No booster club meeting in December.

January meeting is just for the board members for budget purposes.

Full booster meeting in February.

Discussion around what the purpose of the booster club is – the engine that makes things run;

allows the coaches to coach and the booster club to do the fundraising, event planning, etc. The

fundraising allows us to do team bonding events, Duluth trips, etc.

Discussion about how to promote the program to the community. Window clings, wristbands,

RAAA night, elementary feeder school nights, more joint efforts between boys and girls events

and sponsor programs, other ideas?

Program wide Facebook and Twitter accounts that carry over year after year for the program use

to promote the program.

Girls can still have their own twitter account or forum for communications.
