This guide provides instructions to help you book an appointment with an adviser in your Faculty, School or Department via the Student Advising System (SAS).

1. Book an appointment

1.1 Log in to the SAS.

1.2 On the home page, click on the ‘Calendar’ tab.

1.3 In Calendar, click on ‘Advising Appointment’.

1.4 In the Requested Appointments section, click on ‘Request New Appointment’.

An Advising Appointment screen will display. The green ‘Hints’ box at the top of the screen provides step by step instructions on how to request an appointment.

1.5 Select an ‘Appointment Type’.

Note: You must select an Appointment Type before you complete further fields.

1.6 Complete the remaining fields to locate an available appointment.

Refer to the table in section 2 for further details about each field.

As you populate each field in the form, the system will search for results that match your criteria. Results will display in the right hand side of the screen as shown in the example below.

1.7 Click on the appointment you wish to request. ‘Student Notes’ is a mandatory field.

A pop up box will ask you to confirm the appointment.

1.8 Click on ‘Submit Request’ to confirm the appointment (located at the bottom of the pop up).

The approved appointment will show in the ‘Approved Appointments’ section of the screen.

1.9 An ‘Appointment Approved’ email notification will be sent automatically to your student Gmail account.

1.10 An ‘Appointment Reminder’ email notification will be sent to your student Gmail account 24 hours prior to your appointment.

2. Advising Appointment search fields

The table below provides details on each field in the Appointment Request form.

Field Name Usage Comments

Type Type of advising appointment required

Advisers offer a range of appointment types

Only one appointment type can be selected

Date Range A set of date parameters for the appointment

Time Range A set of time parameters for the appointment

Time range 12:00am – 11:30pm

Length Length of appointments that have been offered by advisers

Multiple appointment lengths can be offered by advisers (from 10 -120 minutes)

Location Location that the advising appointment will take place

Only a single location can be selected

Advisers Name of the adviser Only a single name can be selected

Check availability Used when booking an appointment The system will ‘check availability’ when each field is populated

Refine results Tip: If no results are shown, change parameters

Days of the week time selectors

Select times on each day of the timeslot that the adviser is available for advising appointments

Contiguous blocks of time and separate blocks of time within any day can be set. e.g. 7-12 or 7-8 and 10-12

3. Appointment GuidelinesQuestion Answer

How will I know when my request has been approved?

All appointment requests are automatically approved. Once you submit a request, an email notification will be sent to your university email account confirming the appointment.

How far in advance can I request an appointment?

This will depend on who you are requesting an appointment with. Local areas can release appointments up to 90 days in advance; however, they may only allow bookings up to 2 weeks in advance.

What is the minimum notice to request an appointment?

This will depend on the vacancies available; however, the system will allow you to submit a request up to half an hour prior to the start time of an appointment.

How much notice do I have to give to change an appointment?

If you need to reschedule or cancel an appointment, you can do so up to one hour before the appointment start time.

Why can’t I reschedule my appointment? When rescheduling an appointment you will not be able to select the same date and time as the original appointment. If you wish to select the same date and time, you must cancel the original appointment and create a new request.

Will I receive an email reminder for my appointment?

An email reminder notification will be sent to your University student Gmail account 24 hours prior to the appointment start date.
