    An Introduction to Reeds School This document is intended to give you some idea of the Schools academic, disciplinary and pastoral structures. The objective is to provide more information so that staff, parents and pupils can co-operate in achieving our aims at Reeds, which are laid out in the Parent Home School Agreement. The School operates an Equal Opportunities Policy and a Disability Policy details of which are contained in the Policy Handbook which can be found on the School Website

    A Message from the HeadmasterWe, who live and work at Reeds, see ourselves as members of a community shared with our pupils and their parents. We firmly believe that this sense of community, a feeling of belonging and having a role to fulfil, are essential to the educational progress of our pupils; we hope it gives us a united purpose and commitment from which comes the confidence to formulate and achieve personal goals. The sys-tems of academic monitoring, pastoral development and disciplinary control which are described in this handbook have been devised from this philosophy and are intended to sustain it. We hope that you will find it useful.

    Senior Management TeamThe Schools Senior Management Team consists of the Headmaster, the Deputy Head, the Bursar, the Development Director, the Director of Studies, the Senior Housemaster, the Director of Sport and Activities, the Senior Master, the Senior Mistress, the Director of Teaching and Learning and Head of Sixth Form.

    The House System A pupil joining Reeds School is allocated to a House. All the First and Second Form pupils are members of The Close and are members of four Houses, Clapton, Reedham, Royal Putney and Royal Wanstead, for competitive purposes. Those in the Middle School and Sixth Form are members of either Bristowe, Blathwayt, Capel or Mullens. Boarding pupils in the Third, Fourth and Fifth Forms live in School House but are members of those Houses named above for the various inter-House competitions. Sixth Form pupils retain these House links as well as being members of the Sixth Form House. In the Sixth Form House both day pupils and boarders are accommodated within one building, but in the 1st, 2nd, 3rd, 4th & 5th Forms the day pupils are based in the Day Pupil Centre.

    The House system is a central part of the pastoral, cultural and sporting life of the School. The House staff oversee the pupils academic and pastoral progress, and it is the Housemaster who is the parents first point of contact with the School.

    During the school year there are a number of inter-House sporting and cultural activities which are run by the members of the Houses themselves with guidance from members of staff. All pupils are encouraged to take part in these activities and to be responsible for them.

    ChapelThe School is a Church of England foundation but all denominations attend Chapel and the spirit of the services is distinctly ecumenical. There is a short daily service for different groups of pupils at 8.30 a.m. on Wednesday, Thursday and Friday. Boarders attend a service every other Friday and there are a couple of special services each term on a Saturday or Sunday which we warmly welcome parents to attend. On Monday lunchtimes there is a Christian Union (Youth Alive) Meeting which is held in the School Chapel and is open to all pupils and staff.

    The Close:Forms 1 & 2

    In Forms 1 & 2 English, French and Maths are set on ability.

    The Senior School:In Form 3 pupils are set in a number of subjects. Pupils are set in Maths and follow this set for their science subjects. Pupils are set in English and the Humanities combined. Pupils are set in French based on their ability in French.

    The School Academic CurriculumThe School Curriculum broadly follows the National Curriculum but provides additional breadth. Lower Sixth Formers study 3, 4 or 5 AS Level subjects, and a General Studies Course. Upper Sixth Formers study 3 or 4 subjects to A2 Level and attend General Studies lectures.The (I)GCSE and AS/A Level Handbooks which detail the 4th, 5th and 6th Form Curricula are distributed during the Autumn Term.

    Activities CurriculumPupils who are selected for a School Team must attend midweek practices and matches, and are obliged to attend matches on Saturdays. The same principle applies to those involved in activities such as music and drama. Pupils in Forms 1 to 4 should be committed to 3 activities per week; in Forms 5 to 6 they are expected to be involved in a minimum of 2 activities. Pupils must select a balance of activities and they are all expected to pursue at least one non sporting and one sporting activity. If a pupil is a member of a club or society organised outside the School, or has extra tuition of some form, then parents may write to the School for special dispensation. Where it is deemed appropriate School Policy may be suspended for an agreed period of time. All pupils in Forms 3 and 4 will be involved in a compulsory service activity through the Outward Bound Course, C.C.F., or Duke of Edinburgh Award Scheme. All pupils are expected to pursue some intellectual, cultural and community action activity during their career at Reeds. Extra academic lessons do not normally count as an activity.

    In addition to Major Sports and Music Rehearsals:

    The last week of the Summer Term is an Activities Week when it is expected that all the pupils in the 1st, 2nd, 3rd and 4th Forms will participate in residential trips away from Reeds.

    Academic and Disciplinary SystemsDISTINCTIONS : All members of the School may be awarded Distinctions for work of an exceptional standard. 3 Distinctions in a school year will gain an award.COMMENDATIONS: All members of the School may be awarded a Commendation for work of special merit in relation to the pupils ability. 5 Commendations in a school year will gain an award.

    Forms 1 - 5 THE RECORD BOOK: this is the focal point of the academic and disciplinary record as it is carried around by pupils throughout the school day. This book is used by parents, pupils and staff. Parents can refer regularly to this as a source of reference on their childs progress at Reeds. Parents are expected to sign the Record Book to indicate that they have seen the record of progress and behaviour. Pupils record their preps and their assessment grades in them. Pupils whose work is giving cause for concern may be put 'on report' whereby their Record Books are signed by the teacher of every lesson. School Prefects may record creditable performances and behaviour, and indiscipline in Record Books.Staff record creditable achievements, unsatisfactory work and misconduct in the Record Book. Unsatisfactory work is recorded with a W, creditable achievement with a G, creditable behaviour with a B

    Parents Evenings: in addition to the above there is a Social Evening or meeting for parents of each year group at which certain academic and pastoral matters may be discussed.Please note that in addition to comments written by members of the teaching staff every pupil writes a statement about his/her performance as part of the reporting process. Pupils will be involved in setting their own academic targets by subject teachers and tutors based upon assessment grades, halfway through each term.

Tutors look at Record Books each week and convey the necessary information to Housemasters.The Schools policy on Ms & Ws means that:A pupil gaining 6 Ms and Ws in a week or 12 Ms and Ws in an Assessment Period will be given a Detention.The policy on Gs means that:-A Close pupil gaining a given number or more Gs in a week or a given number or more Gs in an Assessment Period will gain an award at a House Meeting. A Third Form pupil achieving a given number or more Gs in a week or a given number or more Gs in an Assessment Period will result in an award at House Assembly. A Fourth or Fifth Form pupil gaining a given number or more Gs in a week or a given number or more Gs in an Assessment Order period will gain an award. The award of Ms and Ws will be subtracted from the award of Gs and Bs.Assessment GradesEach half term there will be a formative assessment of each pupils achievement and effort in every sub-ject over the half term period. The Schools expectation is that every pupil will achieve an effort grade of 1 or 2. These assessment grades will be used to set targets for the next assessment period with constant improvement as the goal. Pupils and parents will be able to judge effort through a colour coding system with a GOLD category for the pupils achieving the best effort grades and an AMBER or RED category for the pupils with the worst effort grades. Those pupils who achieve a GOLD category will receive a congratulatory letter from the Director of Studies. Those pupils who fall into the AMBER or RED category will be interviewed by the Director of Studies and/or the Headmaster and a warning letter will be sent home to parents. Any pupil in the 4th or 5th Form who falls regularly into GREY, AMBER or RED categories may not be accepted into the Sixth Form. Parents are able to access their child's reports and assessment grades via SIMS Learning Gateway (SLG).

    Other Forms of School Discipline in Forms 1 To 5Headmaster's Detention: Headmaster's Detention will take place on a Saturday or Sunday from 9.00am to 12.00pm. Pupils might be given a Headmaster's Detention for three or more work Behaviour Detentions or Work Detentons in one term or for gross misbehaviour. Pupils who miss School matches are likely to be put into a Headmaster's Detention.

    Behaviour Detention: Detention will be held between 4.15p.m. and 5.15 p.m. on Fridays. A pupil who receives three or more Detentions in one term will be seen by the Deputy Headmaster or Headmaster. Pupils in detention will be set essays or written work that will be scrutinised by the tutor.

    Work Detention: This takes place on Fridays between 4.15p.m. and 5.15 p.m. Appropriate work will be set by the member of staff giving the Work Detention. A pupil who receives three or more Work Detentions in a term will be seen by the Director of Studies or the Headmaster. Special arrangements may be made on a Saturday or a Sunday to detain pupils who have an accumulation of detentions or a backlog of work.

    Lunch Detention: This takes place between 1.15 and 1.35p.m. on Tuesdays and Fridays for pupils who have been reported for minor misdemeanours such as having untidy uniform; for eating or drinking while walking round the School or walking across grassed areas rather than using footpaths.

    Detention takes priority over all other commitments. Gatings : Boarders and Day pupils may be gated to School. Gatings are given by the pupils Housemaster. Gatings imply loss of free time at weekends or after School.

    Guidelines on School Disciplinary Standards in Forms 1 to 5

    The intention is to increase parents and pupils awareness of the likely consequences of any action; to increase the parents awareness of what the School sees as being important; and to establish a greater degree of consistency in our approach to a number of sensitive issues.

    Communication over academic and disciplinary matters

    Housemaster:The Housemaster is normally responsible for direct contact with parents, unless this takes place at a cal-endared function like a Parents' Evening, where individual teachers can be consulted.

    Tutors:Tutors see pupils daily at Registration, and monitor the pupils performance in Record Books and in Assessment Marks. They communicate directly with the Housemaster. They also keep records of Bs, Ws Ms and Gs and analyse these. Once Tutors have developed a close relationship with their tutees and their family, parents may wish to contact them if there are areas of concern.

    The Deputy Head, Director of Studies and, ultimately, the Headmaster are involved over serious failure to meet the required academic, behavioural and disciplinary standards of the School. The Headmaster may be consulted at any time, but would expect parents to contact the Housemaster in the first instance.

    The Sixth FormThe Sixth Form Handbook is distributed in the Autumn Term of the Fifth Form. This deals with options, higher education and the general ethos of the Sixth Form at Reeds.

    ,

    Academic work in the Sixth Form is considered of paramount importance. Pupils who produce late or substandard work are referred to the Housemaster and Tutor. Other referrals may lead to parents being involved to discuss the problems.

    Sixth Form DisciplineWhile the Staff do make every effort to treat the Sixth Form as young adults, it will be appreciated that such privileges as members of the Sixth Form have need to be earned, and go hand in hand with responsibility. We, in turn, acknowledge the difference between the expectations in the Sixth Form and the rest of the School by operating a separate pastoral and discipline system, as well as relaxing the uniform requirements. Each Sixth Former is allocated a tutor who is then personally responsible for the academic and social development of a number of individuals with whom he or she will meet regularly. Failure to meet the standards of behaviour, self discipline and appearance, which can be reasonably expected of them, will be indicated in Information Slips to the Tutor and Housemaster. Action appropriate to the number and gravity of these offences will be taken, which may mean loss of privileges.Parents of day pupils should contact the Assistant Housemaster in the Sixth Form with responsibility for the Upper Sixth or Lower Sixth and parents of boarders should contact the Head of Sixth Form if there are any queries about pupils academic or social development. All general enquiries about the Sixth Form should be directed to the Head of Sixth Form.

    Sixth Form HouseSixth Formers are different from pupils in the rest of the School - being past the age of compulsory school-ing, older, wiser, more experienced - they are expected to know how to behave, and to discipline them-selves. They are the role models for Reeds pupils.

    This is undoubtedly true most of the time and for most pupils, and so the discipline system of the Reeds Sixth Form is based on a positive approach: the pupil is given the benefit of the doubt from the start and it is assumed that rules will be accepted not broken. It is assumed that pupils have stayed into the Sixth Form because they wanted to, that they want to work in their chosen subjects, that their aim is to suc-ceed and to go on to Higher Education. Sixth Formers are expected to carry on with their sports and to develop new interests of a cultural and intellectual kind.

    The primary approach to Sixth Form discipline will always be to stress the idea of appropriate behav-iour. In the first instances of minor indiscipline the response will be discussion with pupils, pointing out the inappropriateness of the offences, and the consequences of repetition. In more serious cases, and in the case of repetition, sanctions are available in line with whole School discipline policy and parents are informed.

    Use of Cars by Sixth Formers Only Upper Sixth Form day pupils may use cars to travel to and from school. Cars must not be used during the school day either to leave the school grounds or to travel around them. Sixth Formers wishing to park their car on the School site must apply for and display a parking permit. Written permission must be sought to carry passengers. Passsengers must also have written parental permission to travel in another Sixth Former's car. Upper Sixth should park in The Close car park. No Sixth Former should drive their car beyond the mini roundabout without permision. Parking on local "residential" roads is forbidden. Boarders are not permitted to have cars at school except for specific individual instances for which prior requests must be received from parents/guardians. Failure to adhere to these rules will lead to the following sanctions - first offence - letter home; second offence - ban from using car for half a term; third offence - permanent ban.

    Prep and Private Study RecommendationsAny recommendation on hours of study is likely to be somewhat artificial as all children are not of the same ability. Furthermore as the pupil progresses through the School, the academic demands increase. However, the following guidelines should apply. For Forms 1 to 5 prep for all subjects is set at least weekly according to the prep timetable for each year group and tasks set should last the duration of the time allocated. In the 6th Form where tasks may be of a longer nature the expectation should be that a significant written prep is set per subject per week. Preps are recorded on the School's Virtual Learning Environment, Fronter.

    If preps are not completed satisfactorily, day pupils may have to stay for prep time at School. There is a Work Detention on Friday. Pupils may lose some of their weekend privileges if work is unsatisfactory or incomplete.

    Coursework Policy/ Controlled AssessmentCoursework or controlled assessment is a vital component of some GCSE and AS/A2 level final examinations. Significant time is allocated to controlled assessment introduction, preparation, and review in lessons. We review the timing of corsework/controlled assessment across all subjects per year group to maximise pupils' performance in all subjects whilst also allowing significant time for examination preparation. Once in progress coursework/controlled assessment is monitored regularly by teachers. Controlled assessment remains the responsibility of pupils and a copy of coursework/controlled assessment must be kept by pupils at all stages where it is allowed off-site. If work is word-processed, pupils should save their controlled assessment in the relevant departmental controlled assessment folder on the School Network and on a portable storage device, as well as in paper format. Pupils are given clear warnings about plagiarism in their controlled assessment, which if detected by the Examination Board may involve the invalidation of all public examinations sat by a pupil.

    PlagiarismWe have become increasingly aware over the last few years of difficulties arising with some pupils prep and coursework caused by increasing use of the internet for research purposes. Pupils must understand that plagiarism is a form of cheating and that anyone found to have plagiarised may have serious disciplinary action taken against them. The consequences of plagiarism could include coursework being awarded no marks or the candidate being withdrawn from all public examinations.

    Marking PolicyThe purpose of marking at Reeds is two fold: firstly, to monitor the learning and understanding of a pupil and, secondly, to identify ways in which the pupil can improve. As such pupils in all years have work marked regularly in all subjects. Marking is personal to that piece of work, and will identify areas of strength as well as weakness. It should identify wherever possible specific areas for improvement. Where work constitutes part of a larger coursework / controlled assessment assignment or project this will be monitored and marked whilst in progress.

    Forms 1-5 Prep entered by pupil in the Record Book.Three subjects per evening (two on Mondays for 1st & 2nd Forms) will be set and some weekend prep.Prep set on Fronter (VLE)

    30 minutes for each subject in Forms 1 & 2 and 40 minutes for each subject in Forms 3,4 & 5 Prep usually is to be completed for the following day or following subject lesson, but in the 4th and 5th forms it may be set on a weekly basis

    6th Form At least 2 hours per night is recommendedand at least 3 hours each weekend.

    General Information for Parents

    Getting in touch with the SchoolThe progress of pupils while they are in the School is largely in the hands of the Housemasters and Tutors on whom the Housemaster relies for personal knowledge of each pupil. If you have a concern then we suggest you get in touch with your sons Housemaster or for Sixth Form girls the Senior Mistress (Mrs Hart). If, however, you want to get in touch about a routine matter e.g. your son will be late into school because of a medical appointment you should contact your son's or daughters tutor. Important telephone numbers can be found below. You can e-mail your son's or daughters Housemaster or Tutor by using his/her first initial and last name in front of @reeds.surrey.sch.uk so Adrian Blackmans (Housemaster of Bristowe) e-mail address is [email protected]. A list of staff with their job titles and their contact details can be found in the front of the Address Book which is sent to all parents at the start of the academic year. In addition a similar list of names, job titles and contact details can be found on the Parent Message Centre (PMC) via the parent portal on our website. Parents are able to access their child's reports and assessment grades via SIMS Learning Gateway (SLG).

    Lost PropertyAll items of clothing and equipment (where practical) should be named. A system is in place whereby items of clothing and equipment which are left lying around the school are picked up and placed in Lost Property which is located in the Shell Building. The School matrons run Lost Property and when clothing and equipment are deposited in Lost Property they return named items to their owners via the tutor. Unnamed items are held in Lost Property until they are claimed. Parents can email the matrons in Lost Property to enquire about a lost item using [email protected]. Alternatively pupils and/or parents can visit Lost Property at lunchtimes on Mondays and Wednesdays. Valuable items such as mobile phones are sometimes handed in to the Deputy Head

    Parents AddressesThe School Systems Administrator ([email protected]) should be advised of any change of address and/or telephone number, and parents are also requested to notify the Housemaster of any change in their address.     REEDS SCHOOL Parents' Handbookcontains pupils tutor groups and addresses.

    MedicalSchool Doctor Pupils who are ill will be placed in the Medical Centre under the care of the School Sister who is either a Registered Children's Nurse or a Registered General Nurse, and parents will be informed. Boarding pupils will be automatically registered with the School GP and the local PCT will request the transfer of notes from the family doctor. When pupils return home for the holidays they are still entitled to free treatment from their own family doctor. They should be treated as a TEMPORARY RESIDENT in that practice and their names should not be removed from the School Doctors list. This prevents their having to be re-registered on their return to School. Pupils whose parents are Christian Scientists can be accepted only on the understanding that they will conform to the requirements of the School Doctor and accept his treatment while they are in the School.

    Medical ExaminationA pupil will be accepted into the School only subject to the receipt of a satisfactory medical report. Please have the medical forms completed and returned to the Admissions Office as soon as possible, and at least 2 weeks before the start of the academic year.

    ImmunisationRoutine immunisations will be provided by the Medical Centre on receipt of parental consent, either via email or signed consent form.

    Contagious DiseasesIf a pupil experiences any episodes of either diarrhoea or vomiting, they should be excluded from school for a minimum of 48 hours from the last episode experienced. This is in line with the Department of Health guidelines. Please note that should a pupil return to school before the end of the exclusion period, they will be required to return home for the remainder of the time.

    MedicinesAs the School Doctor is responsible for health arrangements during term-time, boarding pupils returning with medicines from home will not be allowed to take them except with his approval. If the medicine has been prescribed by the doctor at home, he or she should be asked to provide a note explaining the treatment; a verbal message is not sufficient. All medicines, together with explanatory notes, should be handed to the Sister as soon as pupils return. Patent medicines not prescribed by a doctor must on no account be supplied to pupils at any time during the School Term. Parents of day pupils should send a note to the Medical Centre together with any prescribed medicine that may need to be taken during the course of the School day.

    Dental TreatmentDay and Boarding Pupils should receive regular holiday treatment by their own dentist, but in an emergency for boarding pupils an appointment will be made with a local dentist. When pupils have teeth which are not growing regularly and require orthodontic treatment, this should be initiated during the holidays. Emergency Dental TreatmentParents are reminded that there may be a charge levied where a pupil who is in need of emergency dental treatment is sent to a dentist with whom he or she is not registered. Emergency cases at Reeds are normally sent to a local dentist. Work carried out on patients who are not registered with the chosen practice will be subject to charges.

    Mouthguards, Cricket Helmets & GogglesMouthguards are strongly recommended by the School Doctor for hockey, rugby and squash. These should be moulded and fitted by a dentist. It is not recommended that these are bought over the counter. Helmets for cricket must be worn by batsmen, and by wicket keepers standing up to the stumps. Goggles are recommended for squash. It is compulsory that pupils wear a helmet on School ski trips.

    Emergency Contacts It is most important that the Housemaster and Sister in charge of the Medical Centre have details of emergency contacts including mobile phone numbers and home e-mail addresses and other important pupil information. Parents' mobile numbers and e-mail addresses will be held securely by ClarionCall for emergency communication purposes. Therefore, NEW PARENTS SHOULD complete and return the necessary form before the start of term. ALL COMPLETED FORMS SHOULD BE RETURNED TO THE ADMISSIONS OFFICE.

    UpdatesThe Medical Centre would be grateful if parents would provide updates on their child's medical conditions where appropriate; this is inclusive of changes to medication, allergies etc. [email protected].

    PossessionsPersonal Possessions & ValuablesAll clothing and equipment should be named. Pupils should be made aware that they bring valuable items such as mobile phones onto the School site at their own risk. Each pupil will have a locker in which valuable items should be secured. We do our best to find lost or missing items using our Lost Property system. Parents and pupils should be aware, however, that the School insurance does not cover loss of or damage to personal possessions.

    BicyclesDay pupils may commute by bicycle, and boarders in the Senior School may keep bicycles at the School provided they have their Housemasters permission to do so. Although the School will exercise all possible supervision, parents must accept the risk of loss or damage. All pupils owning bicycles should, in their own interests, take out a comprehensive policy. (Ref. Section 5 of the School Regulations.) There is a secure cycle shed for those who ride to School. Bicycles must not be ridden on the School grounds. Cyclists are strongly advised to wear a crash helmet of an approved type.

    MiscellaneousExtras - Music, Tennis, MathsWhereas singing and music appreciation are taught in class, individual arrangements can be made for pupils to receive individual instrumental or singing lessons. Applications should be made to the Schools Director of Music. For individual lessons there is a termly charge. A pupil must ensure that any instrument of his/her own brought back to School is insured. A terms notice is required to cancel tuition.Opportunities for extra tennis coaching exist and applications should be addressed to the Master in Charge.The possibility for additional Maths coaching exists and the Head of Maths will make arrangements with parents if necessary.

    DictionariesEvery pupil needs a dictionary, which gives the following information:-derivation, definition, etc.The School has bought a stock of the Heinemann English Dictionary and these are available at the School Shop. Please ensure that if your child does not have the Heinemann, they have a dictionary providing the same detail. The School Shop also stocks copies of the Philips Modern School Atlas, which is a requirement for all pupils studying Geography, and Bibles.

    CalculatorsIn The Close and the 3rd Form the requirement is that pupils should have a non-programmable scientific calculator including square root, sine, cosine and tangent functions. All the pupils in the 4th and 5th Forms will require a calculator with the above minimum requirement. Pupils new to the School who

    School BagsPupils should have a) a recommended school bag b) a sports bagThese are available from the School Shop.

    PensOnly fountain pens, roller ball pens and fibre tip pens are approved.

    Mobile PhonesPupils below the 6th Form may not use mobile phones in school before 3.35 p.m. 6th Form pupils may use mobile phones during break times and after 3.35 p.m. Mobile phones should be locked away when not on a pupils person. Mobile phones which are used improperly are likely to be confiscated by a teacher and given to the Deputy Head who will keep the mobile phone for up to a week.

    The School Shop

    The School Shop is situated on the first floor of the Sports Complex.THE AIM: To provide a service to pupils and parents by selling good quality products at prices, in many cases, at a discount from those charged in outside shops and yet to make a small profit which will be gift aided back to the School.

    WE SUPPLY: School uniforms, sports wear and sports equipment, in fact everything which would be required by a boy or girl at Reeds School. The Shop is always prepared to order from manufacturers items not normally carried in stock. The shop is the sole supplier of School Uniform. Appropriate clothing lists can be obtained by contacting the School Shop.

    OPENING HOURS: 09.30 a.m. - 12 noon and 1.00 p.m. - 4.30 p.m. Monday to Friday, during term-time*. New parents should arrange an appointment by telephoning 01932 863255 or email [email protected]

    NEARLY NEW DEPARTMENT: The Shop stocks a wide range of secondhand clothing and sportswear. All uniform clothes, in very good condition, can be donated for resale.

    MEANS OF PAYMENT: Parents who have signed the School Shop authorisation form will be invoiced termly (seperately from the main School bill). If this form has not been signed pupils are asked to take the invoices home and bring in payment the following day, or pay cash at the time of purchase. Payment can also be made by credit card.

    Information for Parents of BoardersVisitsAll boarders may go home on Friday afternoon but will be expected to honour any weekend School commitments such as a sports match or weekend Chapel service. Parents inform Housemasters on the form, sent out each holiday, when pupils will be out of School.

    Casual ClothingPupils are allowed to wear their own clothes at set times during the week. Boarders are advised to bring back to school only a small amount of such clothing at a time, and in general the School is not responsible for the washing of such clothing. All clothing must be named.

    CommunicationsPupils have access to telephones situated around the School. These cardphones are specially designed

    REEDS SCHOOL Parents' Handbookso that the charge, if a Reeds School Card is used, is much lower than would be incurred by the use of a BT Chargecard. In order to ensure that pupils are always able to have a card available, the School Shop and Matrons hold these for purchase. Incoming mail is distributed to the Houses. House staff are always prepared to make themselves available for any necessary discussions with parents. Both parents and their children should be aware of the guidelines offered for dealing with problems. Mobile phones may be used in accordance with School Rules.

    InsurancePUPILS PERSONAL BELONGINGS ARE NOT COVERED BY THE SCHOOL INSURANCE POLICY. PARENTS ARE ADVISED TO INCLUDE BOARDERS BELONGINGS UNDER THEIR OWN PERSONAL INSURANCE. BOARDERS ARE ENCOURAGED TO KEEP THEIR POSSESSIONS IN ROOMS OR LOCKABLE LOCKERS WHEREVER PRACTICAL.

    Pocket MoneyThere is no set amount of pocket money for boarders. This will vary with age and the amount of contact with home. All boarders are encouraged to make use of the House Bank system, run by one of the boarding staff. Pocket money is primarily for incidental personal expenses. In other situations, such as the purchase of stationery, theatre trips, etc. the cost will normally be charged to the pupils end-of-term account.

    RecreationIn addition to the carefully structured activities and school games programme, which is part of the cur-riculum, boarders may make use of facilities such as the Swimming Pool, the Gymnasium, the Computer Room, etc. during their free time. Each of these is under the overall control of a member of staff and has its own timetable and regulations for use.

    Safety and SecurityAll areas of the School, including Boarding Houses, are regularly inspected by Fire Safety Officers and other agencies - in addition regular day and night-time fire practices are held. Parents should not enter the Boarding House without reporting to the Housemaster or matron, unless to pick up or drop off their child at weekends. Parents are asked to report to the Main Office when visiting the School unless they have already made a specific appointment to meet a member of staff. Pupils may not invite friends into the School without permission.

    Information for Parents of Day PupilsGeneralDay pupils are expected to play a full part in all School and House activities so that they can contribute to, and benefit from, the corporate life of the community outside the classroom. The day pupils in Forms 1 to 5 have a base during the school day in the Day Pupil Centre. Sixth Form day pupils share facilities with boarders in the Sixth Form House.

    If parents of a day pupil have to be away from home for one or more nights during term they should give to the Housemaster the name of the responsible person left in charge. Arrangements can possibly be made for a day pupil to board temporarily if the need arises, but there will be a charge. A phone number to contact in case of an emergency during the day or night should be made available.

    HOURS - As a general guide:- ARRIVAL DEPARTURE 8.15 a.m. 5.30 p.m.

    A day pupil may come in for breakfast and stay for the evening meal and prep on any night, but prior warning should be given to Tutor or Housemaster. The School reserves the right to ask day pupils to stay for prep if their work is unsatisfactory. Day Pupils are not allowed off site during the School Day with-out the permission of their Housemaster. School House pupils need their Housemaster's permission to leave the School site and must sign out. Close boarding pupils are NOT allowed off site except with an adult who has signed them out. Certain School and House events involve week-end as well as week-day evening attendance, and a day pupil must be present on these occasions. Most of these can readily be

A check on any such events can always be made by contacting the Housemaster. A day pupil put in detention should report in School uniform in the same way as a boarder. The official detention notice will have been posted 24 hours in advance. Deferment of detention can only be granted by the Headmaster, Deputy Head or in the case of Work Detentions the Director of Studies and will only be allowed in exceptional circumstances. It is the responsibility of the pupils to see that their parents are informed if they are unexpectedly delayed at School. If there is cause for concern, the parents should contact the Housemaster after a reasonable time has elapsed beyond the pupils expected time of return.

The following are forbidden and may lead to a pupil being asked to leave the School: - At any time: - a) A breach of the laws of the land b) The possession and/or use of unauthorised drugs c) Bringing the School's name into disrepute d) Computer 'hacking'

    In term time: - a) Repeated infringements of School Rules or Regulations b) Repeated offences concerning the unauthorised possession and/or use of tobacco or alcohol c) Vandalism d) Bullying (including cyberbullying) e) Stealing f) Disruption of lessons g) Cheating in formal examinations

    4. All pupils must:a) Attend meals, lessons, Chapel and games and fulfill other official School commitments b) Present a clean and tidy appearance 5. No pupils may leave the School grounds during the working day without their Housemasters permission. After school boarders must seek permission to leave the School estate.6. No pupils may use public or private transport (including bicycles) during the School day without their Housemasters permission.7. Housemasters should be consulted where there is concern over interpretation of these Rules.

    School RegulationsAll pupils at Reeds are expected to be well-mannered and courteous in their behaviour towards all members of the School community and especially in their dealings with the general public, both on and off the School premises. Their bearing and appearance are also expected to reflect creditably on the School at all times. Any behaviour which offends against common sense and good manners or which is likely to bring the name of the School into disrepute, will be regarded as a breach of School Rules. 1. BOUNDS:- a) In School - the following areas are out of bounds: The Close Grounds, except to members of The Close Bigside cricket and all cricket squares The Front Door may not be used by any pupils except the School Captain b) Out of School - A pupil may only leave the School grounds during normal School hours with the Housemasters permission and knowledge of the destination. No boarders are allowed to be out of the School grounds after 6.00p.m. without specific permission from the Housemasters. The public footpath is out of bounds except when it has to be crossed when moving from one facility to another. All pupils must sign out using the

    AbsencesIndividual leave of absence from School routine is granted by a pupils Housemaster, but parents wishing to take their son/daughter out of School for a whole day or more, or overnight if a boarder, should write to the Headmaster. A pupil coming back late at any time must report to the Housemaster, or, when appropriate, sign in at reception. A pupil must also do this after absence for illness or convalescence, and bring a note from parents or guardian. Arrangement for weekends must be communicated to Boarding Housemasters by parents or guardians.

    Clothing and Appearance (i) All pupils must comply with the requirements of the School Clothing List.(ii) All pupils are responsible for seeing that all their clothes are clearly marked with their name.(iii) School uniform for members of the Sixth Form is described as office wear, details of which can be obtained from the Head of Sixth Form.(iv) School games clothes must be worn for games or calendared events or when attending official school functions, unless a statement to the contrary is issued. Pupils should wear a tracksuit when leaving the school in games kit.(v) Pupils must not have dyed hair. Boys hair should be off the collar and not cover the ears or eyes. Shaven heads or skinhead haircuts are also forbidden.(vi) Hats should not be worn inside School buildings, or with School Uniform.(vii) Jewellery: see the School Clothing List. (viii) Pupils are expected to maintain a high standard of personal hygiene - this should include taking a shower after games.(ix) Pupils in Forms 1 - 5 must wear black leather lace up shoes of conventional style with School Uniform.(x) Pupils who are incorrectly dressed or fail to wear School Uniform properly are likely to be given a lunchtime detention.

    Cars and Motor CyclesA separate form exists for the use of cars by the Upper Sixth. This should be handed into the Head of Sixth Form before driving to school.

    Bicycles (i) Parents are responsible for seeing that all bicycles are insured and of a standard of road worthiness acceptable to the police.(ii) Bicycles may not be ridden around the grounds.(iii) Cyclists are strongly recommended to wear a crash helmet of an approved type.

    Possessions and ValuablesN.B. Parents and pupils should be aware that School Insurance does not cover loss of or damage to personal possessions.(i) All possessions should be clearly marked.(ii) Pupils may not borrow other pupils possessions without express permission.(iii) The borrowing and lending of money is forbidden.(iv) The possession of the following articles is forbidden:- alcoholic drinks, chewing gum, medicines, smoking materials, offensive weapons, fireworks, drugs, pornographic material.(v) The sale and purchase of goods between pupils may not be conducted without Housemasters permission.(vi) Any loss of personal possessions should be reported immediately to the Housemaster.

    Games (i) Pupils who are put `Off Games are not free, but must report to the person i/c of their game or P.E. lesson. (ii) Pupils who are `Off Games after the list has been published must inform the person i/c of their game as soon as possible.

(iv) Casual ball games may only be played on 12 Acre, the Artificial Hockey Pitches and the Heath. (v) The front door and stairs of the Main School and Sixth Form House may not be used by pupils dressed in games clothes or tracksuits. (vi) Pupils in games clothes should enter and leave the Sixth Form House by the rear doors.

    Electrical Appliances, Including Radios and TVs (i) Radios, ipods, laptops and tablets are permitted subject to PATT testing. (ii) Personal stereos may not be used in public or around the School except in Boarding Houses. (iii) Pupils in Forms 1-5 should not use their mobile phones between 8.20am and 3.35pm. A mobile phone is likely to be removed and a detention given if used at an incorrect time. All pupils should ensure that mobile phones are switched off during lessons. (iv) The Housemasters permission must be sought before other electrical appliances are brought to school.

    Dining Hall And Food (i) No crockery, cutlery, food or drink may be removed from the Dining Hall. (ii) Pupils should wear Reed's tracksuit in the Dining Hall if it is necessary to change into games clothes before lunch. (iii) The practice of queue jumping by seniority is forbidden. (iv) Food and drink may only be consumed in Dining Hall, Caf, Common Rooms and in those areas where vending machines are located.

    DamagesAny damage must be reported to the pupils Housemaster and a damage chit completed. In some cases the cost of the damage will be charged to end of term accounts.

    VisitorsVisitors other than parents, guardians and next of kin should only be invited into the School grounds and buildings with Housemasters or Headmasters permission.

    Rules Governing Use of the School BusesA contract is entered into by the parents and members of Reeds School and it governs the conditions under which the School Bus Service may be used.

    1. Pupils must carry a valid bus pass or ticket which has to be shown to the driver on boarding the bus.2. Pupils must wear seat belts.3. School uniform must be worn unless special dispensation has been given as a result of a particular activity. Pupils must ensure that their appearance is neat and tidy, and that they are therefore good ambassadors for the School.4. Pupils must behave well at all times.5. Pupils must not leave their seats during their journey.6. Pupils must obey instructions given by the driver and recognise that he/she is in control of the vehicle.7. Pupils must arrive on time at their pick up point. The buses are not expected to wait for late arrivals.8. Pupils must behave responsibly when waiting for the bus and should be aware of the dangers of other traffic.9. Pupils, or their parents, should contact the Bus Depot if a bus is more than 15 minutes late. The contact number for Routes 1, 2, 3, 4, 5, 7 and 8 is 01784 425608, Routes 6, and 9 is 01932 869044.10. Any pupil who fails to comply with these conventions may have the right to use the bus service withdrawn, or may face other school disciplinary sanctions.

    worn, instruct a pupil to change seat, and report any misbehaviour to the Headmasters office.

    School Standards Guidelinesfor The Close and Middle School

    INTENTION: To set School standards for certain offences which are of a `School rather than `House nature, i) So that pupils will know precisely where they stand, ii So that there will not be an inconsistency of reaction between Houses, and iii) So that members of the Common Room will know what course of action they should follow and what will happen if pupils break certain rules.There will be cases where the Housemaster may be aware of mitigating circumstances which need to be taken into account - these should be discussed with the relevant member of the Senior Management Team.1. MISSING LESSONS OR GAMESIndividuals should be reported to their Housemaster who will inform the Deputy Head who will keep a central log of details. The standard punishment should be a Behaviour Detention.2. MISSING CHAPEL OR ASSEMBLIESIndividuals should be reported to their Housemaster. The standard punishment should be: first offence - 2 `Ms; second offence - Behaviour Detention3. WILFUL BREAKING BOUNDSIndividuals should be reported to their Housemaster. The basic level of punishment should be a Behaviour Detention. Serious offences should then be referred to the Deputy Head.4. TOBACCO AND ALCOHOL OFFENCESIndividuals caught in unauthorised possession of smoking materials or alcohol or caught in the company of others guilty of such offences should be reported to their Housemaster who will inform the Deputy Head. 5. CHEATING (in preps, tests, etc.)Individuals should be reported to their Housemaster who will inform the Director of Studies and Deputy Head who will keep a central log of details. (See g. in Rules) 6. VANDALISM AND STEALINGAre also regarded as serious offences and will be dealt with accordingly. They should be reported to the Housemasters for action in the first instance who should inform the Deputy Head who will keep a central log of details.7. HAIRSTYLESPupils will be asked to correct inappropriate hairstyles at the earliest opportunity. In extreme cases pupils may be sent home to do so.8. BULLYINGThe School will act in accordance with the School Policy on Bullying which can be found on our website.

    SummarySchool rules apply to both day pupils and boarders, and day pupils should remember that outside the grounds they are ambassadors for the School and that it is in large measure by their conduct that the School will be judged locally especially in areas such as Oxshott Heath and at Oxshott Railway Station. Day pupils should not discredit it by misbehaving in public, by drinking under age or by smoking. They should play their full part in both the academic and activities curricula offered by the School. Parents are asked to abide by the terms set out in the Home School Agreement.

    Rewards and Sanctions System1. RewardsA range of measures are used to reward good behaviour and work: A quiet word or public commendation e.g. School Assembly or House Assembly Record good behaviour in Record Book using the code B (for Good/Helpful Behaviour). In the First and Second Form pupils achieving 12 or more Bs and Gs (good work) in a week or 24 or more Bs and Gs in a half term will receive a 5 voucher for the School Shop. In the Third Form pupils achieving 8 or more Bs and Gs in a week or 16 or more Bs and Gs in a half term will receive a 5 voucher for the School Shop. In the Fourth and Fifth Form pupils achieving 6 or more Bs and Gs in a week or 12 or more Bs and Gs in a half term will receive a 5 voucher for the School Shop. The pupils in each year (Forms 1 to 5) who receives the most amount of Gs & Bs over the term are awarded a book token at the end of every term. A Commendation is usually awarded by a teacher to recognise very good academic work. Those pupils who are awarded Commendations are congratulated by the Headmaster. A Distinction is usually awarded by a teacher to recognise work of an excellent standard. Those pupils who are awarded Distinctions are congratulated by the Headmaster. Those pupils who demonstrate strong personal qualities and good behaviour are rewarded with positions of responsibility e.g. School Prefect, House Captain, Sports Team Captain, NCO in CCF.

    2. SanctionsA range of sanctions are available to the teaching staff or other adults who are in lawful charge of students in the event of poor or inappropriate behaviour from pupils. These sanctions also apply to off site school events such as sports matches and educational visits: Record poor behaviour in Record Book using the code M (misbehaviour). An M will be given for minor offences. Six Ms and/or Ws (poor work) in a week will lead to a School Detention as will 12 Ms/Ws over a half term. Lunchtime Detention given for minor misdemeanours such as having a shirt hanging out or littering. School Detention pupils are given a School Detention for poor behaviour e.g. rudeness, aggression, disobedience, deliberately missing a school activity. School detention takes place on Friday afternoons from 4.15pm to 5.15pm. Parents are informed by the Deputy Headmaster when their child has been put into a School Detention and the letter is put on record. A pupil who is given three or more School Detentions in one term is sent to the Headmaster. Gating boarding pupils who misbehave can be gated for a period of time. This means the pupil is not allowed to leave the school and go home or stay with a friend. Headmasters Detention given for serious breaches of the school rules or persistent poor behaviour. This is a three hour detention which takes place over the weekend usually on Saturday morning from 9.00am to 12.00pm. Parents are informed by the Deputy Headmaster when their child is put into a Headmasters Detention and the letter is put on record. Suspension (fixed term exclusion) - given for serious breaches of the School Rules such as stealing or fighting. A pupil will be seen by the Headmaster and removed from school for several days. The Headmaster will see and/or write to the parents in the event of a suspension and the letter is put on record. Exclusion a pupil may be excluded from School in the event of a serious breach of the School Rules e.g. selling drugs or persistent poor behaviour. The Headmaster will see the pupil and his/her parents.

    Sanctions will be used fairly, consistently and proportionately taking into account the personal circumstances of the individuals involved.

    3. Confiscated ItemsA member of the teaching staff will confiscate items of clothing or equipment from a pupil if they: Pose a threat to health and safety of others e.g. laser pen Pose a threat or distraction to learning e.g. mobile phone being used in a lesson Breach the uniform rules Illegal or offensive items e.g. racist material

    The Friends of ReedsFriends of Reeds School is a parental organisation which has the primary purpose of providing occasions for parents to meet socially and a secondary one of raising funds for the School for minor projects. It has a Committee, elected by parents, a Chairman and a Secretary. There is an annual meeting and usually three social events a year.

    Recent gifts to the School include:

    A Parent Link Scheme also exists whereby several parents within each age group act as liaisons to wel-come new parents to Reeds, inform parents of events at the School and encourage participation in social and fund raising occasions.

    Reeds School Enterprises LimitedReeds School Enterprises is a limited company set up to run the Schools commercial activities. It has a Board of Directors from the appointed School Governors and staff, and administers all hirings of School facilities, operates a Sports Club and runs the School Shop. All profits generated are gift aided for the benefit of Reeds School.

    Reeds School Sports ClubThis was established in 1993, and has an annual membership of 250. It consists of parents, former pupils and neighbours of the School who, for a subscription payment, can use the Schools excellent sports facilities, including the swimming pool, badminton, squash and tennis courts and the fitness suite. In addition occasional social events are arranged. Profit generated by the Sports Club is gift aided to Reeds School for the benefit of the pupils.     Parents Complaints ProcedureIn the event of a parent having a complaint about any aspect of school life in relation to their own son or daughter the normal procedure should be to bring the matter in the first instance to the attention of the pupils Housemaster and/or Tutor. If there are further concerns the relevant member of the Senior Management Team should be contacted the Senior Housemaster about pastoral matters; the Director of Studies about academic matters; the Director of Sport and Activities about sport and activities and the Deputy Head about discipline and any other matters. These senior members of staff will investigate complaints and discuss the matter with the Headmaster. If a satisfactory resolution is still not reached an appointment should be made to see the Headmaster, and if matters remain unresolved parents have access to a nominated member of the Governing Body currently Mrs A. Noakes (01932 589957). Complaints about financial matters should be addressed initially to the Bursar and subsequently, if necessary, to the Headmaster and then to the nominat-ed member of the Governing Body. If a parent is still not happy after contact with Mrs Noakes, the Chairman of Governors can convene a panel of Governors and an independent member to investigate the complaint. The Chairman of Governors can be contacted through the Secretary to the Governors (Bursar) at the School. All staff should normally respond within forty-eight hours of any communication although serious issues may take longer. Normally a full response should be received or a meeting should be arranged within a week. A panel hearing should be set up within two weeks of a complaint being made to Governors. A full copy of the Complaints Procedure can be found on our website.

    Pupil GuidelinesWorries and ComplaintsIf pupils feel worried about something and wish to complain about their treatment;

    there are two things to remember:

    (a) They can talk to someone about their problem,(b) They can make a formal complaint to someone.

    There are a number of people to whom a pupil can talk or from whom they can ask advice: a close friend who may be able to help a fellow pupil, or an older student such as a House Captain or one of the Prefects, or a member of the Student Listening and Support Team or Matron, if a pupil does not wish to go straight to a member of the academic staff.Problems with academic work are normally discussed with subject teachers, Tutor or Housemaster. Medical problems should be discussed with Matron or Sister. Other personal problems can be taken to a Matron, Sister, Tutor, Housemaster, the Chaplain or the Schools visiting counsellor. A pupil wishing to see the School Counsellor can make an appointment at the Medical Centre. Pupils who wish to record a concern or a complaint can also use the 'suggestion box' situated in the library, medical centre and on the School email system.

    Child Protection and SafeguardingThe School takes its responsibility towards promoting the welfare of children seriously. Children includes everyone under the age of 18. The School has regard for the statutory guidance Keeping Children Safe in Education from the Department for Education issued under Section 175, Education Act 2002 and the Education (Independent School Standards) (England) Regulations 2010 as amended by SI 2012/2962. It also adheres to the Working Together to Safeguard Children (2013) issued under the Children Act 1989 and the Children Act 2004. For further details on the Schools approach to child protection, please refer to the Schools Child Protection Policy which can be found on the school website. The Senior Master (Mr Paul Kemp) is the Schools Designated Child Protection Officer (DCPO) and Mr Alex Balls (Senior Housemaster) and Mr Jon Ross (Head of Geography) are also trained in this role.

    To Make A Complaint The first thing a pupil should do is to speak to any member of staff he/she trusts.

    If a pupil has tried one of these approaches and is not satisfied that the problem has been dealt with satisfactorily, he/she may speak to either of the following adults who have agreed to act independently on behalf of pupils as student advisors.They are:-

    PARENTAL CONDUCT

    DO Encourage children to play by the rules Teach children to play by the rules Set a good example applaud good play by both teams Encourage your child to improve his or her skills through coaching sessions Encourage all youngsters irrespective of their ability never ridicule any individual player, regardless of the team for whom they play Share concerns, if you have them, with the member of staff taking that team, or with the Director of Sport & Activities. Remember that young players learn much by example Respect decisions made by the match officials and encourage the young players to do likewise Remember that persistent, negative messages will adversely affect the players and referees performance and attitude Always support the school in its efforts to eradicate loud, coarse and abusive behaviour from the game.     DONT Yell at a player for making a mistake they are all trying their best Go onto the pitch unless invited to do so by the relevant member of staff Abuse the referee/umpire they are usually volunteers and the game cannot go on without them.

Understand the values of loyalty and commitment to the school and team-mates Recognise that every young player has a right to expect their involvement in sport to be safe and free from all types of abuse. Understand that if an individual or group of young players feel that they are not being treated in a manner that is acceptable, then they have a right to tell an appropriate member of staff.

    PLAYERS SHOULD: Remember that skill development, fun and enjoyment are the most important parts of the game. Be attentive at all training and coaching sessions. Work equally hard for yourself and your team both will then benefit. Recognise good play by all players on your team and by your opponents. Show good sportsmanship win or lose. Play to the laws of the game and accept, without question, all referees/umpires decisions. Control your emotions. Verbal or physical abuse of team-mates, opponents, or match officials is not acceptable. Treat all players as you would like to be treated yourself.
