d. Intern Preparation and Visa Procedure

i. Preparation:

- Finances and TM must send the trainee the Reception & Legal Booklet, and keep constantly in touch with him/her. }

- Finances and TM must send the trainee the Expectations Survey, and let the Trainee Service Coordinator know the answers to it. According to the survey, you identify the conditions that trainee wants to live with (kind of housing, level on involving with @, etc.).

- Give the trainee at least two options of housing, and define one person from LC that is going to receive him/her for two or three days at home.

- Define the person from “Padrino Team” who is going to be in charge of the trainee.

ii. Visa: MCVP ICX gives ICETEX the physical docs from trainee.

ICETEX makes a letter for consulate, and sends it virtually and physically (it takes about 2-3 weeks for the letter to arrive to the consulate depending on the distances).

Once the letter is at the Consulate, ICETEX notifies the MCVP ICX, MCVP ICX notifies VP ICX, VP ICX notifies TSR Coordinator, and finally he/she tells the trainee to go to the nearest Consulate and apply for Colombian visa. To apply, the trainee must take this:

- Fill an application form. - 4 pictures white background 3X3 cm. - Passport. - The organizational acceptance note.

The application for visa process lasts around 2-3 days. However, it may differ in some consulates, so you must notify the trainee to call to consulate first before going and verify if the letter from ICETEX has

actually arrived.

Once the trainee gets the visa, Delivery Coordinator must ask him/her to send:

- Scanned copy of visa. - Scanned copy of tickets (they MUST be round). It’s to ensure the trainee gets back

to his/her country when the internship ends.

e. Company Preparation

While intern preparation and visa procedures are being

carried out by Delivery Coordinator, the account

manager of the TN Taker must prepare a brief seminar of

Cultural Shock for the people that are going to work with the trainee, and do it before

trainee arrives

f. Intern Induction into Organization

Once the trainee has arrived, the account manager must introduce him/her to the TN Taker. During this

introduction meeting take into account:

- Take the Agreement and the TN Form to clarify each of the points on them (review carefully the Job

Descriptions). - Ensure the good conditions of work space and

tools needed. - Define exact dates in which the TN Taker requires

to receive the monthly bills. - Write everything down in an act and make it sign.

Ask VP Finance to generate the bill for the second 50% of the CUA.

Take 3 copies of the bill to the TN Taker and make him/her sign them.

Once the TN Taker has paid the second 50% of

the CUA, the MC passes the form to Status: REALIZED

a. Evaluation of Stakeholders’ Satisfaction

The account manager must apply satisfaction

surveys to the TN Taker:

One-month evaluation. Mid-term evaluation. End-term evaluation.

The “Padrino” of the trainee must apply

satisfaction surveys:

One-month evaluation. Mid-term evaluation. End-term evaluation.

All improvement measures must be executed.

Remember the time needed for a realization, in order to have the re-raise on time (2-3 months).
