WHO CAN BENEFIT FROM ADVANCED PRICING?

Advanced Pricing can help customers who need the following:

• Quantity discounts on sales of items, as in buy 10 get 5% off

• A timeline for a promotion, such as Labor Day weekend sale

• Users who want to show their customers they are getting a discount by having a field with the base price

• Users who want to know the last price a customer paid for that particular item

• More dimensions for price breaks than by customer or item, like price levels

• To create and combine rules for sales price structure

PRICE RULES VS. PRICE LEVELS

First let’s go through the areas where a price level will suffice and when it should be extended into price rules. Price levels are available in QuickBooks Pro, Premier and Enterprise to apply a fixed percentage or discount to all items a particular customer or job purchases. It is a single point of filtering at the customer or job level. A good example is a retail supply business that sells to both contractors and the general public. The contractor customers can get a 10% discount on all products, whereas the general public pays full retail.

In Premier and all levels of the QuickBooks Enterprise subscription, you can assign price levels to the customer but also have custom price overrides at the item level. This is twofold, with the customer or job getting the price level and changing to a per item price. Taking the previous example of the retail supply business, let’s say contractors get 10% off on all products except five particular items where they get a 15% discount. In QuickBooks Premier and Enterprise you can have these exceptions included in the price level.

Price levels are limited to the customer/job and the item as filters only. With price levels you cannot create multiple promotions nor multiple price levels assigned to one customer. Not that levels aren’t a fantastic feature, but be sure you understand when a level will be enough versus when we need to move to a rule.

In this next topic, we are going to go over how to get started with Advanced Pricing. We will enable Advanced Pricing, show how that affects existing price levels, set up a price rule and demonstrate the features of Advanced Pricing.

LEARNING OBJECTIVE

ENABLE ADVANCED PRICING

This feature is available in QuickBooks Enterprise 14 and above with a Platinum-level subscription or active Full Service Plan. You must be in single user mode to turn on Advanced Pricing.

1. Select Edit from the top menu bar.

2. Select Preferences Company Preferences.

3. On the left select Sales & Customers.

4. Under Custom Pricing select Enable Advanced Pricing.

5. If Enable Advanced Pricing is grayed out you may want to confirm the subscription level with Intuit. If you confirm you have Platinum level, go to Help Manage my license Sync license data online to be sure your installation is updated with the Platinum unlocks.

You can set default rules at this time for price rounding. You can choose not to round prices, use a set rounding rule for all price rules, or set rounding rules on each price rule. Part of enabling Advanced Pricing is setting up the users to have access to this list. You need to be in the company file as the administrator.

1. Select Company Set up Users and Roles.

2. To edit the role you want to have access to the Price Rules List, select the + sign next to the permission category Lists then highlight Price Rule List.

3. You can give full access or modified access to view, create, modify, delete or print. It is important to note that both steps need to be covered to give a user access to the feature.

PRICE LEVEL TO PRICE RULE

When you convert the file to have price rules enabled it will also convert any existing price levels to a price rule. The result will be a rule that applies to the former item price level or price override to a list of customers who previously had that price level. You can see that in this screen shot: 14 customers had the price level before and there were 56 custom price overrides. Be sure to review these with your customers because price rules allow multiple rules to apply to the same customer. You don’t want to have too many discounts enabled.

PRICE RULE CONDITIONS

Now let’s go through the conditions allowed when creating price rules. As we discussed previously, price levels are limited to the customer and/or item to apply a price structure on sales. Price rules allow for more conditions.

Item Condition

You can still base the sales price on the item like you can in price levels, but it is not limited to the item name.

If one of your conditions is at the item level, you can do a find and select on all item fields to include several items affected by the rule.

You can base the rule on the item type as in inventory part, service item, etc. Choosing item type gives you a multiple choice list of the different types of items. You can only apply a rule to one item type per rule.

You can also create a rule based on the preferred vendor, again a multiple choice list.

Customer Condition

We can also create pricing structure based on the customer, however it is not just the customer name like with price levels.

The rule can include conditions based on custom fields at the customer level. Select Custom Field then choose which custom field and fill in the free-type box.

You can also do a find and select for the customer using all fields at the Customer List level to select multiple customers.

PRICE RULE CREATION

Create a Price Rule

1. Select Lists Price Rule List.

2. In the lower corner select Price Rule New.

3. Give it a name. Call it Holiday Special.

4. Put in a description. The more data you can put in the system the better so you can remember why this was created a few months from now.

5. Go through the conditions —say all Inventory parts, and hit the plus sign and select all Customers with Customer type – Website.

6. Give a start date, an end date or a range. Make it 12/15 – 12/31.

7. Set the price to be: 10 dollars or percent, higher or lower, than the base price or the cost. This is the stated cost from the item card not the average cost. We will do 10% lower than base price.

8. Select the rounding rules. Let’s round to the nearest dollar.

9. Use per item price overrides as needed. Let’s select three items and give them a different price.

10. Set this to be an Exclusive Rule so it cannot be combined with other specials going on if that pertains.

11. Select OK to save the rule.

Price Rule Reports

Back on the Price Rule List, on the bottom you can select Reports and see the two reports that can be generated based on the rules.

Price Rules by Customer shows each customer and job and which rules apply to them. It is a good consulting opportunity to review this list with your clients to be sure no single customer is getting too much of a discount.

The other report is Item Prices by Price Rules. This shows items and the prices that will result from the price rules; another good opportunity for consulting. Review this list with your client to be sure there are no duplicate efforts with the rules and they are not offering too much off the sales price.

Items Card after Price Rule

Now we will go to the Items List to see how an item can be affected by this rule.

1. Select Lists Items List.

2. Right-click on any inventory part and select Edit.

3. On the right side select Price Rules.

You can see which price rules can affect this particular item.

Price Rule on a Transaction

Now to examine how a price rule affects a transaction. Price rules will show up on any sales transaction — estimates, sales orders, sales receipts or invoices.

1. Create an invoice then select a customer.

2. Add an inventory part.

3. Notice there is a little box with a Z in it next to the item price. Select that box.

The Applied Price Rules box will display. This shows us which price rules are being applied for this customer, for this item. One important thing to note here is that a Bill Rate Level will override the Price Rule.

4. You can uncheck if you do not want one or more rules to apply. Note that the discounts are 10% off of 10% off of 10% — not 30% off.

You can also see the last price this customer paid for this item where it says Last Sold Price.

On the sales transaction you can format the template to add a column to show the base price so your customer will see they are getting a discount.

5. From the Formatting tab select Customize Data Lay Out.

6. Select the Columns tab and check the box next to Base Price. This will add a column that cannot be altered and pulls the base sales price from the Item card.

Price Rule Features

Here is a review of the Price Rule features:

• Price rules allow for exclusive rules or multiple rules per item or customer

• You can have a start date, end date or date range for the rule

• You can do percentage or fixed based on cost or base price with line item price overrides

• Reports on price rules show you which customers are receiving the result from the rule as well as how it affects item pricing

• You can edit an item to see the price rule associated with that item

• On a sales transaction you can click the Z icon to see the price rules applied and also see the last price paid by that customer

• You can add the base sales rate for the item to sales transactions to show customers they are getting a discount

• Price rules can be used on service items, inventory, non-inventory, assemblies and other charges

QUANTITY DISCOUNT

Now let’s examine the second aspect of Advanced Pricing, quantity discounts.

Quantity Discount Setup

Here are the steps to set up a quantity discount:

1. Select Lists Items List.

2. Edit an inventory part.

3. On the right side select Qty Discount.

A box will open to set the quantity discount levels.

4. Qty From allows you to say, once they hit this level, the discount will apply. Then you can set a Discount %, set the New Price, the Markup or the Margin.

Notice in the grayed columns the base cost and sales price. These can be edited on the Item card itself but not on this screen.

5. In Qty From enter 10 and in Discount % enter 5% off. For quantity 20 enter 10% off.

Quantity Discount on a Transaction

Now to examine how the quantity discount affects a transaction.

1. Create an invoice. Do not select a customer yet because then price rules will affect the transaction. Be sure you have edited the invoice template to include the Base Price as shown above.

2. Add the item that was edited to have a quantity discount to the invoice with a Quantity of 1. Notice that the base price and the amount are the same.

3. Change the Quantity to 10 and it takes 5% off the sales price of the item. The base price also changes. This means that the only way to show customers they are getting a quantity discount is to have multiple lines.

4. Add another line and put a Quantity of 1. The discount isn’t based on the transaction quantity, only the line quantity.

5. Add a customer — the price rules begin from the base rate, including the quantity discount.

Quantity Discount Features

Here is a review of the Quantity Discount features:

• Create per item quantity discounts based on Qty From levels

• Apply the discount based on a percent, amount, markup or margin

• Create a start date for when the discount should begin

• Quantity break levels are not shown on the transaction so you would have to create a second line on the transaction with the higher quantity to show the discount levels to a customer

• Quantity discounts can be used on service items, inventory, non-inventory and assemblies. Unlike price rules, other charges are not included
