PTA General Body Meeting Minutes Wednesday, June 7, 2017 1 PTA President, Debra Olson, called the meeting to order at 5:35 p.m. on June 7 th , 2017 Treasurer’s Update and Financial Year in Review: Treasurer Green and President Olson • 2016-2017 Financial Review Highlights o President Olson and Treasurer Green provided a presentation on the 2016-2017 financial report. Please see PowerPoint presentation for details. § Treasurer Green reported that revenue raised from fundraisers such as the Fall Membership Drive, Holiday Tree Sale, and Auction brought in $141,363, with the Auction bringing in the most proceeds, c. $40K. § Treasurer Green communicated that expenditures totaling $151,502 exceeded budget projections due to overspending in the technology and curriculum categories. President Olson explained that as the Ross PTA funds a wide range of items and programs that DCPS’ budget does not cover, we had to invest in updating computers and audio-visual equipment, as well as purchasing in-class leveled readers required by DCPS. Treasurer Green also clarified that the Board keeps a reserve of funds to retain financial stability in the case of an unforeseen development such as unplanned expenses. § PTA members thanked both President Olson and Treasurer Green for their extensive work both in securing our tax-exempt status under section 501(c)(3) of the IRS code and for modernizing our budget. • 2017-2018 Budget Preview o President Olson and Treasurer Green gave an overview of next year’s proposed budget, reviewing each line item and what is expected to be spent this coming school year. § Treasurer Green highlighted that the PTA has budgeted $145,000 for expenses, with a revenue goal of $147,900. o Budget Discussion § Ms. Lee thanked the PTA for fundraising to provide the best resources for Ross students. § President Olson indicated that this Fall’s Membership Drive will be held during the first two weeks of the school year and that there will be different levels of membership, with a goal of 100% participation by families. § President Olson also indicated that the PTA will pursue community partnerships to raise approximately $3K from neighborhood businesses. o Budget Approval § After discussion, and motion duly made, seconded, and unanimously carried, the PTA approved the SY2017-2018 proposed budget.
