EXECUTIVE SUMMARY

PSO - Energizing the Nation

In order to progress, every country requires a proper source of energy, to strengthen and energize all the sectors responsible for development. Pakistan State Oil, the largest energy company of Pakistan, is fuelling all the major sectors including automotive, aviation, railways, power projects, industries and agriculture sector, thus steering the national economy towards progress and stability With extensive reach from Karachi to Khyber, PSO is effectively fulfilling the responsibility of driving the nation towards growth and development According to one report Pakistan is on 34th number in the oil import. And they are on the 22nd

number in the consumption in world ranking. Total oil production in Pakistan is 68,870 barrels per day, and the total country’s consumption is 345,000 barrel per day and net import of the country is 290,600 barrel per day.

Pakistan state oil is largest marketing oil company in Pakistan and also among the top 1000largest companies in Asia. Pakistan state oil was set up in December 29th

1976 through the merger of ESSO undertaking with the Pakistan national oil limited (PNOL) and premier oil company limited (POCL).In this report we have summarized all our work which we have done till now during our internship period. We have been in Cards Department, where we deal with all the functions of cards. We also learnt about other miscellaneous payments &how the cheque is finally prepared for the vendors & the tracking system they have for theirs payments to keep check on the processing time period of each bill by different concerned departments.

PAKISTAN STATE OIL (PSO):-

INTRODUCTION:-Pakistan State Oil PSO has been serving the nation for the past 38 years. It is one of the biggest and leading Public Sector Company of Pakistan. PSO contribute a large chunk to the national economy and is the first public company to pass the 1 Trillion rupee revenue mark.

Currently the Company is engaged in the marketing and distribution of various POL products and has the largest retail network throughout the country with about 3800 retail outlets which includes 2200 as NVRO. The various types of POL products that PSO provides include Motor Gasoline (Mo gas), High Speed Diesel (HSD), Furnace Oil (FO), Jet Fuel (JP-1), Kerosene, CNG, LPG, Petrochemicals and Lubricants. PSO is also a major fuel supplier to aviation, railways, power projects, armed forces, marine and agriculture sectors. The Company also possesses the country’s largest storage capacity representing nearly 74% of the nation's total storage capacity.

PSO is now trying to becoming a fully integrated firm by acquiring exploration, refining, transportation and shipping facilities in order to reduce company’s operational costs, dependence on external supply sources and develop self-sufficiency in the energy sector. The Company’s future plans also include exploring new product markets, expanding the lubricants product range, further expansion of the company retail network, and reducing product movement and operational costs. PSO’s main competitors include multinationals such as Shell, Caltex, Total and local companies such as Attock. The competitive advantage that its competitors have include their ability of refining and exploring POL products themselves with their global reach and control over resources whereas PSO enjoy its advantage of the vast distribution and retail network and its contract with the big government organisations.

01-01-1974

Federal Government takes over management of PNO (Pakistan National Oil) and DPL (Dawood Petroleum Limited), renamed into POCL (Premier Oil Company Limited) under marketing of Petroleum Products (Federal Control) Act, 1974.

03-06-1974 Government incorporates "Petroleum Storage Development Corporation" PSDC.

23-08-1976 Name of PSDC changed to State Oil Company Limited (SOCL).

15-09-1976 Government purchases ESSO Undertakings, vests their control in SOCL.

30-12-1976 Government merges PNO and POCL into SOCL (State Oil Company Limited) and names it as Pakistan State Oil Company Limited (PSO).

I mportance Of Company within Industry

:

It would not be wrong to say that „PSO‟ is having a brand and loyal image in the industry. On the basis of this brand image we can have an idea about the ranking and positioning of “Pakistan State Oil Company” in the industrial sector. „PSO‟ has been serving the entire industrial sector in

Pakistan since 1971. As positioning of company within market is a means to target a customer.

So we can say that „Pakistan State Oil‟ is no doubt having the useful and simplest tool to the marketers in the industrial sector. The importance of the „PSO‟ in industry is due to the fact that it always launches a product according to specific requirements of a particular industry. So in this way „Pakistan State Oil „is having more loyal customers that they never switch to another company.

The important point is that importance of any organization is related to its perception. The positioning basically is the perception of products and services in the minds of consumer And the perception differs from person to person, what you think about the quality and value, I may not favour that. For example you may go in favour of usage of „CNG‟ because your perception of that product is excellent but I may not favour that, as my experiences of that particular product are not well and good. The importance of “Pakistan State Oil “in the industry becomes obvious when we talk about the different industrial products which they are offering in the market.

The most popular products of “Pakistan State Oil” which are used in bulk amounts by the industrial are: kerosene oil, furnace oil, lubricants and diesel. „PSO‟ is the largest lubricants marketing company in Pakistan. The major consuming industries for „PSO‟ products are: sugar mills, steel mills, edible oil mills, independent power plants (IPP‟s) and paint industry.

PSO AS SAP USEROver the course of three decades, SAP has evolved from a small, regional enterprise into a world-class international company. Today, SAP is the global market leader in collaborative inter-enterprise business solutions. The company now employs more than 51,500 people, whose commitment and innovative spirit pace our future success. SAP is databases that record all the transaction. In Pakistan there is only one official trainer, Siemens.PSO introduce SAP in 2005, I have been brief about SAP by my supervisor. How to record certain transaction whether it is sell transaction or received transaction. SAP is very informative software though it is difficult for me to get knowledge about all the application of software but my MR FEROZ SHAH (sr. in charge of consumer branch) gave us information about the process to record the transaction of revenue & capital related payments.

PERSONEL EXPERIENCE

CARDS DEPARTMENT

PSO came up with a unique idea in July 2002, to achieve a competitive edge over other companies in the industry by introducing PSO Cards. These cards were brought into the market in order to ease the process of purchasing POL products for the customers. Customers had the convenience of purchasing a particular amount of product within a particular time period without having to pay for it at that very instant. A bill at the end of the month is sent to the customers containing a lump sum amount of what is charged on their cards making the process much easier for the customers.

Types of cards:

1. Fleet cards: The PSO Fleet Card is a vehicle specific card that enables customers to track the consumption of each vehicle in the fleet. The vehicle registration number and the vehicle category are embossed on the Fleet Card enabling Fleet Managers to track the purchases of each vehicle, economize fuel expenses and manage the fleet effectively.

2. Corporate cards: The PSO Corporate Card is an employee-specific card with a pre-approved credit limit. It is provided by the employer and has the employer and employees’ name embossed on it for effective management and control. It helps track individual expenditure and maybe used for individual or bulk consumption. Corporate Cards exceeding 500 liters in consumption are treated as a 'Bulk Card' (most frequented in generator fuel purchases.

The upgraded PSO Corporate Card adds to the customer’s convenience since it can be used for fuelling as well as redemption of points. The loyalty feature embedded in the card removes the need to utilize the Privilege Loyalty Card separately.

Corporate Cardholders can avail up to 3 Supplementary Cards and can also share the limit of their Primary Card. Loyalty points earned against the Supplementary Cards are automatically accumulated with the points earned against the primary card.

HOW TO APPLY

In order to apply, kindly follow the below mentioned steps:

Fill in a new account opening form and get it signed and stamped by an authorized signatory - the forms are available at all PSO offices and may also be downloaded from our corporate website.

Attach the requisite documents (listed below) along with account opening form:

o Valid CNIC/SNIC of authorized signatories and Corporate Card applicants

o Account opening request on company letter head

o Bank reference letter

o Letter of Authority' from the Head of Organization in favor of the Authorized

Signatories dealing with PSO on behalf of that organization. In case of GoP-Clients, an official notification of Appointment as Drawing & Disbursement Officer (DDO) or similar Authorization Letter would be required

Submit the new account opening form along with requisite documents at our Head Office or Regional offices.

How much does it cost?

The PSO Fleet & Corporate Card is available for our customers at minimal cost:

o First time application-processing charges per card - Rs. 250/-

o For the issuance of a replacement (lost or damaged card) - Rs. 250/-

o Renewal of a card is free of cost

o A nominal service charge of 1.65% on monthly consumption will be charged

each month.o A late payment surcharge of 2% is applicable

PSO SMS Alert Service

Being a customer centric company, Pakistan State Oil is proud to introduce its new SMS Alert Service for its Fleet, Corporate and Commercial card customers.

This service shall enable subscribed customers to stay updated on their fuel consumption through instant SMS Alerts on their subscribed mobile phone after each transaction. Now customers can keep a track of their fuel transactions/account activity round the clock.

CRM(Customer relationship management)

CRM stands for customer relationship management and is very important for firms. Companies need to maintain and retain good and healthy relationships with their customers so as to have a profitable outcome.

The CRM software used by PSO is ORIX. ORIX is not allowed to work with any other company but PSO itself because of contract that the two companies have signed that authenticates and binds their collaboration. ORIX is responsible for updating the information in the database and solving any customer queries.

The database consists of the customer’s personal information i.e. the name of the customer, the vehicle, their address, etc. furthermore, it contains all the details regarding the account information of the card holder. The database also provides us with such information;

the amount of products purchased, the amount of litres consumed, the remaining balance whether or not the customer has received the card yet or not., whether the card is still active or not if it has been stolen, blocked or still working

Billing Summary

Billing summary consists of all the transactions that have been made over a period of one month. This summary helps the department calculate the current receivables. A billing summary contains

the surcharge that is charged to the customers for late payments, the consumption that the customers have made and the membership fee of each card. The total cost charged to the customer is crosschecked against the payments that they make and the amount that is unpaid is considered as a receivable/outstanding.

Retail Construction & Facilities department

During 6week of internship, we spent most of time with the cards department. In Retail facility department we spent only two days. Here I would to mention the name of Sir ANWAR Mr. MUJHAID SARDAR AND MR WAQAS NAZIM SIDDIQUI,they delivered us more than our expectation in only two days. No doubt they are all very cooperative and helping men.

SITE VISIT (COCO)

We were introduced to one of the highest earning COCO sites in the capital by our supervisor. COCO stands for company owned and company operated which can be defined as a site where all the investments are made by the company itself and the profits from all the operations are received by the company alone and there is no involvement of a dealer.

How to use a card:

We were taught how to use the cards i.e. how to charge them using the machine POST (Point Of Sale Terminal). There are two types of cards that are used. One of them is a smart card that can be dipped into the machine while the other contains a magnetic strip that can be swiped.

Once the card is dipped or swiped in the machine, POST gives us options among which are the “PSO Smart Card” option. We have to choose that and move further to entering the last four digits of the card so that it can be verified. After that you have to enter the mileage of the automobile but that depends on the driver and whether or not he/she wants to share that information. Moving further POST gives us four options and we have to choose the correct one based on the consumption that can be seen on the pump controllers. Once that option is chosen, there are two receipts that POST provides us with. One is for the use of the merchant, which needs to be signed by the holder of the card while the other one is for the holder him/herself.

Furthermore, POST provides us with the option of an audit report which gives out all the information i.e. all the transactions that have been made on the card up to date. Also there is an option of “summary” which gives out a single value which is the total amount that has been charged. Finally there is also an option of making the transaction void for example in the case of double transactions.

During our visit to coco PSO senior officer MR WAQAS NAZIM SIDDIQUI (Divisional engineer retail facility) along with MR AKHTAR REHMAN give us detail briefing on HSE. They tell us and point out us the compulsory things about HSE according to the code of conduct of company. Some are following....

ELECTRICALE.

How much total electricity load? Is main electrical distribution board is according to PSO standards?. Are equipment cords in goods condition? Is electrical distribution board earthed.. ?

STAFF HSE AWARENESS...

Are all attendants in uniform PSO standards? Are fire drills taught and rehearsed.

Shop stop. Has minimum distance of 30feet been maintained between the shop stop and the nearest

dispensing unit.

Service room area. Is RCC type separator constructed for collection of waste \effluent from car wash.

Visit of Sihala Depot:

On 25of May we visited Sihala depot.Mr. Sohail Anwar the installation manager of Sihala depot warm welcome us and he gives Mr. Yusuf Khanresponsibility for briefing us about the depot. He in detail told us about the Sihala depot.

We were told that Sihala depot is terminal as pipeline from Attock oil refinery which is located in Morgah terminates over here in depot.

The products that are stored in Sihala terminal include

But product was sale only through tank Lorries. Total capacity of Sihala depot is one crore and sixty lac litters.We were told that special PSO units are located at airports for supplying fuel to airplanes which is called Aviation fuel and it need high level purification.We were told some technical terms that were used there like Auto flash point, it is the temperature at which product catches fire. And flash point, it is the temperature at which product starts vaporizing.

After briefing us on details of terminal Mr. Yusuf Khan let us to visit the terminal along with him., so this visit where I can practically see the machines and other engineering products is of vital importance to me.We visited control room from where the fueling of tank Lorries is controlled.In depot NFPA that is National Fire Protection Authority rules are strictly considered under which safety shoes, helmets and mask are used for safety. Due to shortage of these equipment’s we were told not to go in that area where fueling of tank Lorries is done.Mr. Yusuf Khan told us that now due to safety concerns and for stopping illegal fuel stealing electronic tracking system is now used in these vehicles.

Over all our visit to depot was very helping as there we saw that what is happening in the background level.

Findings

During the time I had been at PSO,

I was able to find out the steps for constructing a new retail outlet of a company. The retail outlet has three categories under which it can be constructed in accordance with the company policy. The 3 categories included CF Company Financed, Dealer Financed Category A (DFA), and Dealer Financed category B (DFB).

I was able to find the types of retail outlets. The three types of retail outlets include New development (ND), Ground up and Conversion.

I was able to know how the PSO smart cards can make the transaction more secure and limit an individual with its monthly expenses and how it can benefit an organisation by limiting the chances of corruption.

It was able to learn how to deal with the customers regarding their queries, complains and issues.

My findings also include the use of CRM (customer relation management) system software and to answer their queries upon customers complaint calls.

I was able to know and use the SAP (System Application Protocol) software, which is use by PSO to manage and interact all types of business related activities.

At retail department, I learnt how to increase the number of company retail outlets by interacting, persuading and encouraging the potential customers and allocating the amount of fuel to each outlet. It basically manages all the outlets to ensure its operations and to ensure increase in sales and customer base as well.

At industrial consumer, I was able to deal with the industrial customers to whom the petroleum products are provided in bulk form and for most of the customers dispensers are installed within the customers’ business facilities.

LPG and lube sale & agent trade is another department of PSO which deals with the lubricants and sales of LPG at their regions.

As an internee I was also able to breakdown the billing summary of different customers who had recently closed their PSO accounts to know their accounts financial status and to recover the unpaid fuelling amount.

The staff and employees of PSO are very dedicated to their work and loyal to the company as well. They are punctual too and extremely friendly, helpful , interactive and as always easy to approach.

Limitations and suggestions:-

The limitations include Due to the short time period of six weeks of my internship at PSO, I wasn’t able to

learn in detail about all the departments and to practically deal with customers in each department.

When I started my internship in June, the employees were busy in closing of their fiscal year and they had little time to interact with us during the starting 2 weeks.

The office area of the regional head office here in Islamabad is congested and small.

The suggestions include:- The company should differentiate itself from that’s of its competitor in the form of

providing something unique non refuelling activity to the customer as the product is unique and cannot be differentiated.

PSO should enhance its CSR by initiating education, sports and health facilities to the masses and introducing different theme parks and events.

The internship should be started after the end of the fiscal year so that internee may be able to utilise the two weeks as well so that they can learn and know more about the departments and organisation.

The internship should be paid so that the internee may be able to afford the travelling and residential expenses.

The office area should be increased and the layout should be given a more corporate look.
