themselves are trained externally by certified experts and
professional trainers.
Our training program has mandatory training of at least 96 hours
for all trainee employees. Their training mostly
happens on Saturdays (4-hour sessions each). Upon successful
completion of mandatory training hours and
certification from his reporting officer and the HR, a trainee
is confirmed.
The REMI has also arranged for training on PMP certification
which is a
mandatory requirement for 12 managers. Training in some other
areas is in
the QMG training plan for this year and is being scheduled
accordingly.

8. Requirement Overview
MHACY had already implemented the Yardi voyager three years ago,
and all the financial & operational
processing is being performed through Yardi. However, some key
reporting requires users to modify the
reports in excel to have a final accurate report.

Now, MHACY is looking for services to achieve below-mentioned

9. Scope of Work
MHACY is looking for a team of Yardi consultant(s) for system
administration and general consulting to comply
with the state and federal regulations.
Based on the requirements shared, Retransform will perform
below-mentioned activities:
o Assist with implementation and enhancements of the Yardi™
modules such as Service Contract, Legal,
and Section 8 reporting.
o Overall review of existing Yardi™ and system enhancements o
Review business processes and build Yardi custom reports to assist
with business processes. o Provide Ongoing Support o Train and
assist with the training of the users of the software

10. Project Implementation Approach
We would like to propose different approaches for various
requirements listed in the RFP.
Immediate Needs
1. Service Contract Implementation
To enhance and build off existing Purchase Order and workflow
set up to track vendor service contracts, we
would like to recommend the approach mentioned below.
o Step 1: Initiation
o The project will get started by reviewing the existing Yardi™
setup. o Discuss business processes with the users to understand
the processes, associated workflows, and any
custom field requirements. o Post that, a detailed schedule will
be prepared with the approach and the timeline.
Step 2: Implementation
o In the implementation phase, the initial setup of the purchase
order and workflow is analyzed o Define workflows and custom
fields, if required.

o Migrate the sample service contracts into Yardi™. o Implement
validations for data fields, attachments, and workflows.
Step 3: Internal Testing/ UAT
o Perform initial testing and rectify the discrepancies, if any.
o Post that, deploy the module on the UAT environment. o User
Acceptance testing will be performed by the client, and changes are
updated and deployed
accordingly.
o Once approved, the final module will be moved to the live
environment.
2. Yardi™ System Review
We follow an elaborated approach to review the Yardi™ Voyager
from technical as well as functional aspects. All the modules are
examined in detail, and findings are documented. Brief detail on
our approach for Yardi™ System Review is mentioned below.
Step 1: Initiation
o The project is initiated with a kick-off call where key
members and teams are introduced. o A detailed level plan and
deliverables will be identified and documented.

Step 2: Discovery & Technical Review
o In the discovery phase, existing business processes will be
discussed with the department heads/
business users. o Complete Yardi™ system will be reviewed,
including the customization made to the system,
database and reporting structure, customizations, workflows,
user settings, global settings, general user activity,
module-specific designs, and permissions.
Step 3: Observation Report
o Post discovery session, an Observation Summary report will be
prepared based on the findings. This report will have an area of
improvements, best practices, reporting needs, any customization
need in the existing system.
o Post documentation, the summary document will be shared with
the client for sign-off
Note: 1. The scope will be limited to analysis and
recommendations; and not making actual changes to the
system. 2. We recommend the onsite deployment of the consultant
for the Yardi™ System review. 3. MHACY will provide all the details
related to the customization done in Yardi™ and interface with
any
external system.
3. Legal Module Enhanced Configuration
The requirement is to enhance the configuration of the legal
module, which is already implemented. We recommend the
below-mentioned approach to enhance the configuration and identify
any custom need in the Legal module of Yardi™.

Step 1: Initiation
o The project will get started by reviewing the existing Yardi™
setup. o The business processes will be discussed with the business
users to understand the processes,
associated workflows, and any custom field requirements. o Post
that, a schedule will be prepared with the detailed approach and
the timeline.
Step 2: Implementation
o Analyze the initial setup of the module and existing processes
o Understand the business process and define workflows and custom
fields, if required. o Implement validations for data fields,
attachments, and workflows o Migration of sample legal cases into
Yardi™ o Perform initial testing
Step 3: Internal Testing/ UAT
o Perform internal testing and rectify the discrepancies, if
any. o Post that, the module will be deployed on the UAT
environment. o User Acceptance testing will be performed by the
business users of MHACY, and changes are updated
and deployed accordingly. o Once approved, the module will be
moved to the live environment.

4. Section 8 Reporting
As the affordable housing module is already implemented in
Yardi™, we presume it is required to perform some
customizations such as workflows and create custom reports based
on the business needs of the users.
To create custom reports in Yardi™, we will follow
below-mentioned approach.
Step 1: Requirement Review and Analysis
o This includes analysis of requirement in terms of any report
template o Analyze system, its configuration, associated workflows
or templates
Step 2: Designing
o Review existing database, custom fields, custom tables, if
created. o Identify the report output, filters to generate the
reports. o Create a report template along with graphical content,
if required.
Step 3: Development
o Once the report template is designed, SQL queries will be
configured and customized as per the
required report. o Perform internal testing and rectify the
discrepancies, if any. o Post-development, deploy the report into
the UAT environment for the testing.

Step 4: Testing
o User Acceptance testing will be performed by the client, and
changes are updated and deployed
accordingly. o Once approved, the final report will be moved to
the Yardi™ live environment.
Ongoing Support
Based on the requirements shared, we presume that ongoing
support will be required to resolve the functional and technical
issues arises on a day to day basis. We recommend below-mentioned

Training We have an inhouse training division called REMI (Real
Estate Management Institute), which only focuses on Real Estate
training. REMI consists of many trainers who are quite experienced
in providing training for Yardi™ and other real estate solutions.
We custom create the course content based on the specific needs of
the clients and hence recommend below-mentioned approach.

based on the business users and their

• MHACY will provide below-mentioned access to the Retransform

o Approaches given in section 10 of this document might get
modified post receiving the detailed
requirements.
o All the data for the migration will be provided in the excel

15. Ability to Respond to Scheduling Needs
To respond to projects that require special attention to
timelines and possible short notice with an accelerated
start dates, there are two different approaches we mostly
adopt:
1. Approach 1: Fast Tracking
2. Approach 2: Crashing
When it comes to scheduling needs, there can be multiple reasons
the client wants to compress the schedule,
and some of them are:
• The project got delayed, and the team is working hard to bring
the project back on track as per
schedule. A delay in the project may happen due to many reasons,
including:
o An unrealistic schedule o Did not get the promised resources o
An unforeseen incident occurred o Due to force majeure
OR
Client intentionally wants to shorten the duration of the
project, although your project is on track, due to such as:
o The client wants to complete the project early.
o An opportunity to get another project if you are able to
complete the project early.
o Client's business is getting affected due to delay, and the
team needs the product
at the earliest, and many more
To bring the project back on schedule, or shorten its duration,
we will use "Schedule Compression Techniques"
such as fast-tracking or crashing or both.
Fast Tracking
In fast-tracking, we review the critical path to find out which
sequential activities can be performed parallel or
partially parallel to each other, and re-plan the activities
accordingly.
It is a 3 step process, which includes:

Important consideration: While selecting or reviewing the
activities to be performed in parallel, we select the
activities on the critical path only because on other paths,
activities have floats. There is no need to shorten
the duration of those activities - on doing so; we are only
giving those activities more float. However, we also
perform checks on other paths whose durations are near the
critical path duration, because if the duration of
the current critical path becomes shorter than any other path,
it will no longer be a critical path. If any other
path has a duration equal to the critical path, it will greatly
increase the risk for the project because you now have to manage
two critical paths. Document: To monitor and evaluate the
activities, we strongly document every step team adopts in our
"Project Tracker Sheet." This respective document is shared with
the client's team that shall enable both the
teams to perform their associated activities as per
schedule.
Crashing
Crashing is another schedule compression technique where we add
extra resource(s) to the project to compress
the schedule. Under this approach, we review the critical path
and see which activities can be completed by adding extra
resources. We try to find the activities that can be reduced the
most by adding the least amount of cost. Once
we find those activities, we apply the crashing technique.
It is a 3 step process:

evaluated, and then only this is taken forward. Cost and
schedule tradeoffs are analyzed to explore the least additional
cost and maximum compression. Based on the complexity and need of
the project, we opt for the approach to be implemented. If the

demands, both "Fast Tracking" and "Crashing" techniques need to
