The Knoxville Civic Auditorium and Coliseum (KCAC) is a multipurpose event venue owned by the City of Knoxville and managed by SMG, the recognized global industry leader in public assembly facility management.

The venue features several options for entertainment. The Coliseum is the largest space and seats more than 6,500 for concerts and public events. The Auditorium’s 2,500 seats allow for a more intimate experience for performances. A 10,000-square-foot exhibit hall, 4,800-square-foot reception hall and outdoor performance lawn with capacity for 10,000 guests also are available at the KCAC. You will receive the highest level of customer service to ensure the event is a success in the space that best suits your needs.

This Promoter and Event Planning Guide is designed as a handbook for holding an event at our facility by providing information about services, guidelines and event-related topics.

You will be contacted by the event management team member assigned to your event. The event manager will be available throughout the planning process to answer questions and provide assistance.

The event manager will provide a cost estimate associated with the event, assist with development of floor plans, provide lists of preferred vendors and personally supervise your event from the first day through its conclusion.

Since opening its doors in 1961, the Knoxville Civic Auditorium and Coliseum (KCAC) has been an important part of the city’s entertainment scene. The venue has hosted musicals, theatrical productions, sporting events, circuses and concerts featuring such notable performers as the Rolling Stones, Stevie Wonder and Jimmy Buffett.

The KCAC, conveniently located near the junction of Interstates 40 and 75, is in downtown Knoxville near the University of Tennessee campus. The city’s vibrant and walkable downtown is home to a variety of hotels and is a food lover’s paradise with local, authentic restaurants and award-winning festivals, live entertainment, eclectic shopping and a community dedicated to hospitality.

The facility draws an eclectic crowd of more than 250,000 people per year through a wide array of events. It is home to the Knoxville Ice Bears, four-time Southern Professional Hockey League champions. It also hosts Disney on Ice, Disney Live!, the Knoxville Symphony Orchestra Pops Series and a variety of musicals and concerts suited to large and small audiences.

Comprising a 6,500-capacity coliseum with 22,000 square feet of exhibit space; 2,500-capacity auditorium; 10,000-square-foot exhibit hall; 4,800 square-foot reception hall; and performance lawn with a capacity of 10,000, the facility’s size makes it a complementary companion to Knoxville’s 500,000-square-foot Convention Center. The KCAC also has three parking garages with 2,500 total spaces – a coveted commodity in downtown Knoxville and on University of Tennessee football game days. The garages also offer six electric vehicle charging stations and two accompanying solar arrays.

Knoxville provides the perfect balance of outdoor adventure and sophisticated downtown urban culture. After a night out enjoying great food, local music and art, guests can spend the morning hiking or biking in Knoxville’s nearby Urban Wilderness or travel to the majestic Great Smoky Mountains National Park, a 45-minute drive from downtown.

Labor: IATSE Local 197 Stagehand Union

The International Alliance of Theatrical Stage Employees (IATSE) Local 197 chapter is the exclusive provider of labor to all performances at KCAC. The local branch of the country’s foremost labor union for the entertainment industry, the Local 197 comprises workers who construct, install, maintain and operate the lighting and sound equipment and scenery and special effects that thrill and delight audiences attending shows and concerts in and around the Knoxville area. All labor must be coordinated through Local 197 and local wardrobe needs through the IATSE Local 894 Wardrobe Union. CIVIC COLISEUM

The Civic Coliseum is the largest performance and event space in the KCAC multipurpose complex. The coliseum provides seating for up to 6,500 guests and more than 20,000 square feet of exhibit space. The stage and seating capacities are flexible to meet the needs of your event or performance. The coliseum includes a curtain that can divide the space into condensed seating configurations to accommodate smaller events. The coliseum also features an ice chiller plant that can transform the facility into an ice rink for performances and hockey games.

Our facility includes:

CIVIC AUDITORIUMThe 2,500-seat Civic Auditorium provides a spacious, yet still intimate, venue to experience live entertainment. The auditorium hosts dozens of dancing performances, plays, comedians and musicians each year, including the Knoxville Symphony Orchestra’s Pops Series. The 57-by-54-foot stage includes a 27-by-47-foot proscenium. An orchestra pit is available for live accompaniment and orchestraperformances. In the spacious backstage area, dressing rooms, chorus rooms and quick-change rooms areavailable for performers and crews.

FACILITY GUIDELINES AND SERVICES

The following topics appear in alphabetical order for your convenience.

ACCESSIBILITY/ALTERNATIVE FORMATS

Elevator access is available to all floors of the coliseum. Elevator access is NOT available to the balcony of the auditorium; however, accessible seats are provided on the main floor.

Guests with disabilities who require any show-related publications in an alternative format, such as braille, large print or on disk, should contact the box office a minimum of two weeks prior to the show date. Tickets must be purchased at this time in order to process the request for alternative format materials. Please see the deaf/hard of hearing accommodations section below for additional information.

Handicap-accessible parking is available in three adjacent parking garages.

ACCESSIBLE PARKING

KCAC provides accessible parking in Garages A and C, as well as the designated parking lot on the south side of Howard Baker Jr. Avenue across from Garage B. There is no additional charge for accessible parking with a current valid license plate or hang tag displayed.

ACCESSIBLE SEATING FOR PEOPLE WITH DISABILITIES

KCAC provides accessible seating areas for people with disabilities. (Please see seating chart for locations.) Proof of disability is not required to purchase accessible seating. Each wheelchair-accessible space is accompanied by three (3) companion seats, and all may be purchased for the same price per seat. KCAC staff will attempt to seat the remainder of the party as close to the wheelchair/companion seats as possible based on the availability of remaining seats at the time of purchase.

Coliseum: The 19 wheelchair/companion seats in the lower balcony will be sold at the lowest ticket price. If seats are provided on the floor, wheelchair/companion seats on the floor will be sold at the same price as other floor tickets.

Auditorium: The eight wheelchair/companion orchestra seats will be sold at the lowest ticket price. The 16 wheelchair/companion floor seats will be sold at the second-lowest ticket price.

On the day of the event, unsold wheelchair/companion seats may be released and sold to any person with or without a disability if all event seating has been sold.

ADMINISTRATIVE OFFICE

KCAC’s Administrative Office is open from 9 a.m. to 5 p.m., Monday through Friday, and during events to answer any questions. The office telephone number is 865-215-8900.

AIR CONDITIONING

Air conditioning is provided in public areas and event spaces in use on show days. Additional air conditioning required during move-in/move-out will be billed at prevailing rates. Rates are available upon request from your event manager. Air conditioning is not available while loading bay doors are open.

ALCOHOLIC BEVERAGES

KCAC holds a license to sell alcohol. In accordance with state law, outside alcoholic beverages may not be brought into the facility for consumption.

ANIMALS

Visitors may not bring animals into KCAC. Exceptions include service animals that aid guests with disabilities. Live animals used in circuses or other live entertainment may be allowed with advance approval by KCAC and the successful application to the City of Knoxville Animal Control Board of Directors. Information and forms are on our website.

ASSISTED LISTENING DEVICES

Assisted listening devices are available upon request. Inquire at the box office or ask any member of our guest services team for a device.

BOX OFFICE

The box office located in the coliseum is open Monday through Friday from 10 a.m. to 5 p.m. On show days, the box office opens two hours prior to show start time for Coliseum shows and one and a half hours for Auditorium shows.

BROADCAST RIGHTS AND RECORDING

Radio broadcasting, television transcriptions, live broadcasts and recordings or advertising featuring the KCAC are to be coordinated through your event manager.

CLEANING

During your event, KCAC will maintain all public areas, restrooms and event space. Cleaning of loading areas and backstage areas is the responsibility of show management. Our in-house department can provide limited event cleaning services. Contact your event manager for arrangements.

If emergency cleaning is needed, please contact your event manager or any available KCAC employee. Personnel will be dispatched immediately or as necessary.

Event cleanup fees are $500/day for the Auditorium and $1,000/day for the Coliseum.

COAT CHECK

In order to best serve our clients, and protect their items entrusted to our coat check personnel, we will not return items to a guest unless they produce a matching ticket.

COST ESTIMATES

The client should deliver to the KCAC event manager all production requirements, including but not limited to all stage scenic, lighting, sound requirements and fully executed artist technical contract riders, no later than 14 days prior to the scheduled event. Once provided with this information, the KCAC manager will provide the client with an estimated cost.

DAMAGE

Any damage caused by the lessee over and above the normal facility wear-and-tear is the responsibility of the lessee. The KCAC lease agreement requires that the lessee return the facility to the same condition as it was received.

DEAF/HARD OF HEARING ACCOMMODATIONS

Individuals who are deaf and need an interpreter should call the Coliseum ticket office to purchase tickets during regular business hours at least 14 business days in advance of the show date to allow all scripts, music sheets or other pertinent information to be forwarded to interpreters for the purpose of practicing the show materials.

A block of seating consisting of 20 seats is reserved for patrons who are deaf/hearing-impaired. This seating is reserved until two weeks prior to the show, at which time, if no patrons have purchased these tickets or requested an interpreter, the tickets are released and sold to the general public consistent with all other seats.

In the event that a show runs for more than one day, one show will be designated as the interpreted show and, if possible, the chosen date will be on the weekend. KCAC encourages promoters to advertise all shows intended to be interpreted in the same manner (i.e. newspaper and television ads) as all other shows.

DECORATIONS

You are welcome to bring your own decorations or decorator. The use of painter’s tape is allowed on facility doors and walls. Please contact your event manager for a complete list of guidelines or to coordinate details. Lessees and general service contractors should contact the KCAC as early as possible to determine feasibility, labor responsibility and costs associated with the placement of signs and banners. No holes may be drilled or punched into any building surface.

Without prior authorization by the KCAC event manager, client should not drive nails, screws or other objects into the floors, walls, ceilings, doors or woodwork of the premises except as may be authorized by the KCAC event manager. House seats are permanent fixtures of the theater. Advance permission from KCAC management must be obtained for temporary seat removal to accommodate electrical or sound equipment brought in by the client.

DOORS OPEN

Doors typically open one hour prior to the scheduled event start time.

EJECTION

Guests that are removed from the building are no longer welcome at KCAC for that day. Any attempts at reentry will result in arrest for trespassing. If any guest exhibits questionable behavior, the KCAC reserves the right to eject anyone from the premises.

EVENT MANAGEMENT

Your event manager will meet with you to review final seating configurations, floor plans and any work orders for requested services (e.g., air conditioning, labor, etc.). All work orders and other expenses will be included in the final settlement. Any additional charges such as lost keys, building damages, etc., will be invoiced.

FIRE AND SAFETY REQUIREMENTS

Please observe the minimum fire safety requirements of the Standard Fire Prevention Code and NFPA 101 Life Safety Code for all assembly, convention and exhibition centers. Download the full code on our website or contact your event manager. Additional questions can be answered by the fire marshal’s office at 865-215-2283.

Client must obtain prior approval from KCAC staff before putting up or operating any engine, motor or machinery on the premises. Prior approval also is required for the use of oils, burning fluids, camphene, kerosene, naphtha or gasoline for either mechanical or other purposes. All drapes, hangings, curtains, drops and other decorative materials used in the premises should be flameproof. Decisions will be made by the KCAC in the best interest of public safety and guest experience.

In interest of public safety, the loading dock ramp and fire lane of the back stage entrance should remain open and cannot be blocked. Aisles, halls, stairs, lobbies, elevators and audience chambers of any facility at the KCAC should also remain free of obstructions. Any material, substances, equipment or object likely to endanger life or cause bodily injury or which is likely to constitute a hazard to the property is prohibited.

All wood and paper scenery, displays and plate forming must be properly flame-retardant, meet the requirements of the NATIONAL FIRE PROTECTION ASSOCIATION and be constructed and maintained in good and safe workmanship-like manner.

NOTHING is permitted to be placed within the lines of the fire curtain. No open flames or pyrotechnics are permitted at any time, including candles in the dressing rooms.

FIRE WATCH/CROWD MANAGEMENT

The Knoxville Fire Department (KFD) determines the need for standby fire watch/crowd management while the facility is open to registrants or the public. Fire watch/crowd management may not be required for all events. The number of fire marshals needed on premises is determined by KFD based on event schedule and estimated attendance. All off-duty fire personnel working at the center will be paid through the KCAC. Off-duty police officers may be required depending on the nature of the event and facility use. When in use, police officers are required to hold vehicle traffic and operate a crosswalk from the parking garages. Check with your event manager to determine if officers are required. The lessee is responsible for all related charges. All off-duty fire personnel working at the facility must be paid through the KCAC. All related expenses will appear on your final settlement.

FIRST AID

First-aid offices are located in the auditorium and coliseum lobbies. If you or another guest needs medical attention, please alert a member of the guest services staff. They will be happy to direct you to the first-aid office for further assistance.

FOOD & BEVERAGE

All food and beverage must be supplied by KCAC’s exclusive in-house concessions provider. Guests may NOT bring outside food and beverages into the facility unless approved by the event manager.

FRONT-OF-HOUSE PERSONNEL

All front-of-house personnel, including ushers, ticket takers, security, first-aid/medical team and others, must be arranged through the KCAC. The KCAC will determine the necessary staffing level for the performance to be presented for public safety and an optimal guest experience. The KCAC will present the estimated cost for the required services of personnel in advance to the client, and payment will be due from the client upon final settlement.

GAMBLING/DRAWINGS/PROMOTIONS

KCAC adheres to all Tennessee laws regarding gambling or drawings. KCAC and the presenter of the event collectively establish procedures for giveaways. If you have any questions about giveaways, please call the administrative office at 865-215-8900 during regular business hours.

GRATUITIES

Thank you for your thoughtfulness; however, it is against policy for any employee to accept gratuities or gifts of significant value.

GUEST APPEARANCE

Guests entering the KCAC must be properly attired, including shoes and a shirt.

GUEST BEHAVIOR

We encourage guest participation and enthusiasm; however, guests repeatedly using offensive language or being unreasonably abusive to other guests, entertainers or staff will not be tolerated. Guests who engage in disruptive or abusive behavior will be asked to leave the facility.

Guests who fail to abide by KCAC policies, along with state and federal laws, are subject to ejection and/or arrest. Any guest who is violating these policies will be asked to correct the behavior; if the guest fails to do so in a timely manner, ejection or arrest will occur. Individuals who have been ejected must vacate the property or be subject to arrest on trespassing charges.

Any guest appearing to be intoxicated or under the influence of alcohol or any illegal substance will not be admitted to any event at KCAC. Any guest who is deemed to be under the influence will be turned over to the Knoxville Police Department and subject to ejection from the event or arrest.

INSURANCE REQUIREMENTS

Insurance is required for all events at KCAC. Please visit our website to download appropriate forms or contact your event manager. Lessee agrees that it will indemnify and hold harmless the City of Knoxville and the KCAC, their officers, agents, contractors and employees, and at KCAC’s option defend same, from and against all claims, demands, actions, damages, loss, cost, liabilities, expenses and judgments of any nature recovered from or asserted against the facility on account of box office operations and control of which is exclusively performed by the lessee.

INTERRUPTION OR TERMINATION OF SHOW

The safety of its patrons and employees is KCAC’s top priority. KCAC management retains the right to control the interruption and/or termination of any performance in the interest of public safety and/or the evacuation of the premises at its sole discretion. This action will be coordinated with client.

LASER PENS

Any type of laser pen or laser object is prohibited at KCAC. Any such device is dangerous to fellow guests, athletes and artists. Anyone found carrying such an object is subject to confiscation of the object, and repeat offenses can lead to dismissal from the building. During sporting events, delays created by the use of such objects can result in show delays, cancellations and penalties to the home team.

LOADING DOCK

KCAC manages parking and loading dock traffic to ensure safe and efficient operation. Please submit a detailed request to your event manager covering all move-in/move-out activities, including anticipated freight deliveries, general service contractor materials and access times. The event manager will coordinate your move-in/move-out schedule with security to maintain the smooth operation of your event and other events operating concurrently in the facility.

The KCAC will arrange for one guard stationed at the top of the ramp of the loading dock during load-in and load-out. The client is allowed 10 parking spaces on the loading dock ramp. The parking spots on the KCAC loading dock ramp are NOT part of the license agreement and, therefore, is a courtesy that is extended to the client for artist (personal or livery) and production (runners, caterers and licensee production team) vehicles ONLY, and the amount of spaces is at the discretion of KCAC management. Should this privilege be abused at any time, KCAC management has the right to close the ramp.

Client must provide a list in writing two business days prior to the load-in of anyone who will be entering the loading dock in a vehicle. This includes but is not limited to: vendors, artists and production. If they are not on the list, the ramp guard will not let them down the ramp.

LOADING/UNLOADING

Unloading and loading of exhibits must be done through designated loading docks and freight doors, except for hand-carried materials with prior approval by KCAC.

LOST AND FOUND

All lost-and-found articles are logged and placed in our box office. We attempt to identify the owner and return items, but the facility is not liable for property left or stolen. To inquire about lost items, call 865-215-8900 during regular business hours.

MARQUEE EXPOSURE

Our color marquee screen is featured at the corner of Hall of Fame Drive and Howard Baker Jr. Avenue on the exterior of our facility. The marquee is in prime locations for downtown and University of Tennessee traffic. Your event will appear on our marquees with your permission one week prior to the first show day at no charge.

OBSTRUCTED PASSAGEWAYS/EXITS

No portion of any passageway or exit shall be blocked or obstructed in any manner whatsoever. No exit or any exit shall be locked, blocked or bolted while the facility is in use. All designated exit ways shall be maintained in such manner as to be visible at all times.

PARKING

KCAC has three parking garages with more than 2,500 parking spaces. The parking rates are as follows:

Event parking: $10 per space.

Daily parking: $5 per day in Garage A.

Monthly parking: $15 a month in Garage A.

Knoxville Area Transit (KAT): Offers free downtown and University of Tennessee trolley rides in front of parking Garage A.

RV/bus parking: $25 per day (without hookup); $50 per day (with water, sewer and 50-amp power source). There are currently 20 reserved spaces with hookups issued on a first-come, first-served basis.

Megabus parking: $15 per space for duration of trip. Available in Garage A.

Blink electric car charging station: The City of Knoxville has added six Blink car-charging stations to Garage A on Level 3. These spaces are reserved for electric cars only. Daily and event parking rates apply. Free charging service for limited time.

RV/Bus Parking: 18 reserved spaces with hookups; $35 per day without hookups; $65 per day with full hookups.

PROHIBITED ITEMS

The following items are not permitted into KCAC: bottles or cans; outside food; coolers; backpacks; Frisbees and beach balls; laser pointers; any noise-making devices; fireworks; illegal drugs; outside alcohol; weapons; or any dangerous devices of any type.

All patrons, employees and entertainers will be subject to a search of personal belongings. Anyone that refuses to turn over unauthorized items or refuses to be searched will not be allowed access into KCAC.

PURCHASING TICKETS

KCAC box office is open Monday through Friday from 10 a.m. to 5 p.m. to purchase individual event tickets. Tickets also can be purchased www.ticketmaster.com. For group ticket information, please call the KCAC box office at 865-215-8999 during business hours.

RE-ADMITTANCE

KCAC has a no re-admission policy. Once guests have entered through the main gates, they will not be allowed to exit and re-enter.

RESTROOMS

Restrooms are located throughout KCAC. Our guest services staff will be happy to direct you to the closest restroom from your seat.

The KCAC and its representatives reserve the right to enter and free access to the KCAC premises at all times. Keys will be under the control of the KCAC at all times. Entrances and exits can be opened or closed by KCAC staff at client request. At no time should the client place its own or additional locks on any portion of the facility.

SALES TAX/TAX EXEMPTION

Tennessee Sales & Use Tax is applied to the building rental and to certain other rentals and services at time of final settlement. If your event or organization qualifies for tax exemption, please provide a valid certification of exemption.

SIGNAGE

Building policy prohibits the covering of facility signage, art or other building surfaces without KCAC’s written permission. Commercial advertising signage or displays placed in public areas must be pre-approved by KCAC.

SMOKING

All forms of smoking, to include but not limited to tobacco and electric/vapor, are not allowed in the facility. Outdoor designated smoking areas have been set up for guests. Our staff will be happy to direct you to the closest designated smoking area. Ash/trash units are supplied.

TELEPHONES

There are no public pay phones located in the facility.

TENT PERMITTING

The Tennessee Building Code is the governing authority for the erection and use of tents. A building permit issued by the City of Knoxville’s Building Codes, Permits & Inspections is required for the erection and/or occupancy of any tent. THROWING OBJECTS

Patrons must refrain from throwing any objects in the stands or onto the playing surface or stage. Patrons who do not comply will be removed from the facility and are subject to arrest.

VENDOR SCHEDULING

Please notify KCAC in advance to obtain approval and schedule access for decorators, caterers and other service people or agencies employed by the client to enter the facility.

VIDEO/AUDIO RECORDING

Video or audio recording is not permitted except by accredited members of the media. Still cameras without flash or with the ability to turn off the flash and with lenses that are 90mm or less can be brought into most sporting and family events. Shooting areas are limited to your ticketed seat. Please note that camera policies may differ on certain events due to the requirements of a particular show. Most concerts do not allow the use of any recording devices, including cameras, audio and video recording equipment. Please abide by the posted signage with rules on photography and videography.

WEAPONS/FIREARMS

No firearms or weapons of any kind maybe be brought into KCAC. Guests with a concealed handgun permit are not allowed to enter KCAC with a firearm. Any guest with a weapon will be instructed to return the firearm to his/her vehicle. Guests who refuse to follow this policy will be given a refund on their tickets and asked to leave the premises. As authorized by T.C.A. 39-17-1359 possession of a weapon within any portions of this facility is prohibitedand is a criminal offense.

On-duty working local, state and federal law enforcement officials are permitted to bring weapons. These officials must check in with facility management and an officer in charge of the event before bringing firearms/weapons into our venues.

International Alliance of Theatrical Stage Employees (IATSE) LOCAL 197 RULES

1. Load in and load out are based on a four-hour minimum.

2. Show rate is based on a three-hour performance. A performance exceeding threehours will be billed at the prevailing hourly rate for each hour over the three hours.

3. National holidays, Sundays any part of a shift between the hours of midnight and 8a.m. and any hours exceeding an eight-hour shift will be billed at time and a half.

4. A fee of 22% will be added to the bill to cover workers’ compensation insurance, FICAand payroll fees.

5. Truck loaders are not allowed to convert to stagehands on a call.

6. Breaks:

No person has the authority to change the Wardrobe billing without the permission of the business agent or steward on the job. All payments should be processed and sent to Appalachian Staffing Services, LLC.
