PMI® ,PMBOK TM, PMP® AND CAPM®

In 1969, the Project Management Institute –PMI was formed, and topics were discussed and material was written on the topic of project management. These early offerings gave way to the Project Management Body of Knowledge, the PMBOK. The PMBOK that we are referencing is one that has gone through major revisions as project management becomes more and more a major type of management in our modern era.

A second event further codified the standards for project management when in 2000 ANSI (American National Standards Institute) declared that the standard for project management literature would be the PMBOK. This action changed the project management world. The PMBOK is now the official book to read, and the materials from it make up the official exam that qualifies the test taker as a Project Management Professional-PMP or Certified Associate in Project Management -CAPM.

THE VALUE OF PROJECT MANAGEMENT Completing projects more quickly and cheaply. One of the biggest

benefits of using a common methodology is the value of reuse. Saving effort and cost with proactive scope management. Many

projects have difficulty managing scope, which results in additional effort and cost to the project. Having better project management processes will result in being able to manage scope more effectively. Eliminating scope creep.

Better solution “fit” the first time through better planning. Many projects experience problems because there is a gap between what the client expects and what the project team delivers. Using a methodology results in better project planning, which gives the team and the sponsor an opportunity to make sure they are in agreement on the major deliverables produced by the project.

Resolving problems more quickly. Having a proactive issues management process helps ensure that problems are resolved as quickly as possible.

Resolving future risk before the problems occur. Sound risk management processes will result in potential problems being identified and

managed before the problems actually occur.

CONTD. Communicating and managing expectations with clients, team members and

stakeholders more effectively. Many problems on a project can be avoided with proactive and multifaceted communication. In addition, much of the conflict that does arise on a project is not the result of a specific problem, but because of surprises.

Building a higher quality product the first time. Quality management processes will help the team understand the needs of the customer in terms of quality. Once those needs are defined, the team can implement quality control and quality assurance techniques to meet the customer expectations.

Improved financial management. This is the result of better project definition, better estimating, more formal budgeting and better tracking of the project actual costs against the budget. All this rigor results in better financial predictability and control.

Stopping “bad” projects more quickly. ”Bad” projects are those where the cost-benefit justification no longer makes sense. A project may have started with sound cost/benefit justification. However, if the project is late and overbudget it may hit a threshold where the business case is no longer valid. Effective project management allows you to see these situations earlier so that you can make better decisions to re-scope or cancel the project.   

More focus on metrics and fact-based decision making. Metrics give you information that helps you determine how effective and efficient your team is performing and the level of the quality of your deliverables. Metrics also give you the information necessary to validate whether you were successful or not.   

Improved work environment. If your projects are more successful, you will find additional intangible benefits associated with your project team. Your clients will have more involvement, your project team will take more ownership of the project, morale will be better, and the project team will behave with a greater sense of professionalism and self-confidence. This should make sense. People that work on projects with problems tend to be unhappy. On the other hand, people on successful projects tend to feel better about their jobs and themselves.

DEMYSTIFYING PMP® Description – PMP is the profession’s most globally recognised

and respected project management certification. It is aimed at project managers with approximately three to five years experience at a

responsible level. Topics Covered – The Project Management Context; Project

Management Processes; The Project Management Knowledge Areas; Project Integration Management;

Project Scope Management; Project Time Management; Project Cost Management; Project Quality Management; Project Human Resource Management; Project Communications Management; Project Risk Management; Project Procurement Management.

Examination/Assessment Structure – (i) Assessment of education and experience (ii) 200 multiple-choice questions to be answered in four hours that are developed and validated by PMPs. Examinees must obtain a score of 137 in order to pass the examination.

Prerequisites – First degree plus 4,500 hours of project management experience in a position of responsibility OR Secondary school education plus 7,500 hours of experience plus evidence of 35 hours of project management training from a certified instructor.

DEMYSTIFYING CAPM® Description – CAPM is aimed at project team members

and is a foundation level qualification. A CAPM is a project management practitioner who has demonstrated foundation project management knowledge and experience by supporting projects using project management tools, techniques, and methodologies.

Topics Covered – The Project Management Framework; Project Management Processes; The Project Management Knowledge Areas; Project Integration Management; Project Scope Management; Project Time Management; Project Cost Management; Project Quality Management; Project Human Resource Management; Project Communications Management; Project Risk Management; Project Procurement Management.

Examination/Assessment Structure – (i) Assessment of candidate’s experience and education (ii) 150 multiple choice questions in three hours. Prerequisites – A first degree plus 1,500 hours of project

management experience in the last three years OR 2,500 hours project management experience in the last three years.

PROSPECTS & BENEFITS OF PMP® AND CAPM®

For Individuals Recognizes your Expertise in Project Management : The PMP/CAPM certification is the project

management credential of choice for numerous industries and companies. By attaining the PMP/CAPM credential, your name will be included in the largest and most prestigious group of certified professionals in the project management community. STEPS TO BECOMING CERTIFIED1. Make sure you meet the criteria set by PMI before deciding to

apply for the PMP certification by visiting www.pmi.org You should have documents to prove that you had at least 35

contact hours of formal education in project management by a PMP Certified trainer.

If you have a Bachelor's degree, document at least three calendar years experience in project management during which at least 4,500 hours were spent leading and directing project tasks. Note that experience in all the five recognized project management process groups is required. The five process groups are Initiation, Planning, Executing, Monitoring & Control and Closing.

If you do not have a Bachelor's degree, applicants must have a minimum five years professional project management experience, during which at least 7,500 hours are spent leading and directing project tasks, within the past eight years from the time of application. Make sure to read the PMP Handbook published by PMI for more details. Note that you will have to provide the contact information of your manager or supervisor. If PMI chooses to audit your application, they will contact your manager for verification.

2. Become a member of the PMI As of January 2011, the annual membership dues

are $129 for individuals and $75 for students. PMI members get a discount on the PMP examination fee that is bigger than the annual membership fees so it financially make sense to become a PMI member if you are planning to take the PMP exam that year. You may not want to renew it the following year if you decide you don't want it anymore. In addition to the discount, you also get an electronic copy of PMBOK guide (reading this book is essential to prepare well for the exam) and networking opportunities within the PMI community. 

Do not forget to check your local PMI chapter there is one in Lagos Nigeria.

3. Apply online for PMP certification at PMI www.pmi.org

a. You will be filling in all the details that are mentioned in above steps (1a) and (1b) along with your personal information, educational qualification, etc.

b. PMP Examination fees: $405 for PMI members. $555 for non-members. You can use your credit card to pay for this.

c. CAPM Examination fees: $225 for PMI members. $300 for non-members

d. Make sure the application is complete. Do not forget to attach your resume. Once you apply, it may take up to 2 weeks for your application to get approved by PMI. If you apply online, the processing time is only 5 business days.

Schedule a date for PMP examination: Once your application is approved, you have one-year eligibility period in which to pass the PMP exam. Schedule to write the exam online at www.prometric.com in your location.

Exam preparation: Prepare rigorously for the exam. It may take anywhere from 1 to 6 months on average to prepare for the examination. I know some extreme cases where a person spent just 3 weeks preparing full-time and passed the exam.
