PRISM Project Manager is an innovative project

management information system designed and

developed by professional project managers and

project controls engineers, specifically for

Engineering and Construction projects. With

PRISM Project Manager you can plan, budget and

control a project through all project phases

including proposal, planning, engineering,

procurement, construction, and startup. PRISM

Project Manager meets or exceeds the Earned Value

reporting requirements of all government agencies

and is the system of choice at Los Alamos National

Laboratory in New Mexico and the Hanford site in

Southeastern Washington state. PRISM Project

Manager is also extremely well suited for managing

project data in private industry, for both owners and

contractors and is used on major projects

throughout the world by some of the leading

engineering/construction companies and owners in

the industry.

DATA INTEGRATION

PRISM Project Manager provides true integration

of project data in a single software package. Single

source data entry equals data integrity for all of

your project data.

With PRISM Project Manager you can:

• Import and consolidate estimates from your

estimating software for developing the project

baseline budget,

• Import schedule dates from your scheduling

software, (ARES is a Primavera partner and we

have developed a seamless link to the data in P3

and Suretrack),

• Integrate your cost and schedule data into a

Control Account for quantifying

accomplishments and assessing progress and

performance,

• Time-phase the Control Account to measure

accomplishments for the reporting period and

compare to the plan,

• Import actual and committed cost data from

your financial or accounting system,

• Link the Control Account to the procurement

commitment log,

• Link schedule activities to the estimate, control

account, purchase order, installation contract,

equipment list and engineering activities

including requisitions, specifications, drawings,

and non-drawing tasks, and

• Link the purchase orders and/or installation

contracts to drawing and equipment lists.

The Control Accounts form shown is the main view in

Cost and Progress. Sub-views and links to other

modules are accessed by the buttons along the left side

of the main view . Pressing the Cost button will bring

up the Control Accounts Cost Elements screen which

holds the detail cost data for the account.

In the Cost & Progress module you can:

• Automatically generate Control Accounts from

the detailed baseline estimate by linking the

Control Account to one or more detailed estimate

in the Baseline Estimate Module.

• Link Controls Accounts to schedule activities for

time-phasing budgets and forecasts using both

early and late schedule dates.

• Define an unlimited number of cost elements (cost

types).

• Define an unlimited number of curves for time-

phasing of budget and forecast data.

• Calculate Control Account progress percent

complete and earned value performance criteria

using one of 15 pre-defined Physical Progress

Method (PPM) codes.

• Maintain an audit trail of budget changes and

automatically update current and approved

budgets and forecasts with built-in Change

Control processes.

• Calculate estimate to complete forecasts with

Hours/Unit and $/Hour rates.

• Define progress items for each Control Account

to allow the collection of quantity data at a lower

level of detail than the Control Account.budget.

COST AND PROGRESS

The Cost and Progress Module is used to establish

the time-phased baseline budget, collect actual and

committed data, track progress, monitor and track

project trends and changes, prepare expenditure

forecasts and measure performance and

productivity, for hours and quantities as well as

cost.

The key field in the Cost and Progress module is the

Control Account. The control account forms the

basis for project planning, scheduling, budgeting,

work authorization, cost accumulation, performance

measurement, analysis and progress reporting. The

Control Account maintains all cost and progress

information including actual period costs, open or

total commitments, estimate to complete, estimate at

completion, baseline budget, changes, approved

budget and variances for both budget and forecast.

BASELINE ESTIMATE

The Baseline Estimate module is used to establish

the detailed cost basis for the Baseline Budget in the

Cost and Progress module. Detailed estimates may

be created directly in this module, or may be

electronically imported from any commercial

estimating system, spreadsheet, database or ASCII

file. The Item ID may be a random number or may

be generated with intelligence from the project Work

Breakdown Structure, allowing unlimited flexibility

in grouping and sorting data. By entering a quantity

and a unit hour value the system will calculate total

hours.

Cost detail is generated and shown on the cost

elements screen where the cost detail for each

estimate is entered and calculated. In the example

shown, labor has been defined as a function of

hours, therefore labor cost will be calculated as a

function of unit price (in this case the wage rate)

multiplied by total hours. Materials have been

defined as a function of quantity and material cost is

calculated by multiplying the unit price by the

quantity. An unlimited number of cost elements

(cost types) may be defined for each estimate.

Each Cost Element may be defined as a function of

hours or quantity, or a lump sum value may be

entered. The sum of the cost column on the Cost

Elements screen is shown on the Baseline Estimate

main view, along with the calculated value for total

Unit Price. The Cost Elements screen is a grid that

acts similar to a spreadsheet and columns may be

sized, moved, or closed.

Cost and schedule integration is achieved by

creating links from the Baseline Estimate to

Schedule Activities and Control Accounts. There

can be many-to-one relationships of estimate line

items to Control Accounts, so a very detailed

estimate can be rolled-up to create a Baseline

Budget that is more suitable for tracking and

controlling the project, without losing the detailed

basis for the control account. Links may be

established to Master or Original Estimates for the

purpose of comparing the current estimate to

previous estimates. Links may also be created to

integrate the estimate with the schedule for time-

phasing the budget and applying escalation to the

estimate.

SCHEDULE INTERFACE

The Schedule Interface module holds the schedule

information used by the Cost & Progress module for

time-phasing and progressing the Control Account

and by the Baseline Estimate module for applying

escalation to the estimate. Schedule dates can be

entered directly here in the Schedule Interface

module or may be imported from popular

scheduling packages such as Primavera Project

Planner® (P3), and Microsoft Project®. ARES is a

Primavera Partner and PRISM Project Manager

provides a seamless link to P3 and SureTrak

activity files, allowing for easy one-step importing

of schedule data. Calendar days and Total Float are

calculated by PRISM PM from the dates that are

entered.

Many-to-many relationships between schedule

activities and control accounts can be established,

allowing several schedule activities to be linked to a

single Control Account. PRISM PM can then

create a distribution curve for time-phasing cost

data based on weighting that was manually entered

for the activity or imported from a resource loaded

schedule. Schedule activities can also be linked to

engineering drawings, specifications, non-drawing

activities, capital equipment tag numbers, and

procurement and expediting activities. As the

schedule is updated for the current forecast, the

current schedule may be imported and compared to

the approved schedule.

ENGINEERING PROGRESS

The Engineering Progress module is used to develop

the engineering budget and track engineering

progress and performance in hours for Requisitions,

Specifications, Drawings, and Non-drawing tasks

like engineering supervision.

In the Engineering Progress module you can:

• Budget hours at the document level and collect

actual hours at any level of the user defined

work breakdown coding structure for measuring

overall progress and performance

• Track budget change by document

• Maintain lists of Requisitions, Specifications

and Drawings

• Link to the Document Control module for trans-

mittal of engineering documents to vendors and

customers

• Link to the Control Account to status the

progress of the engineering effort

• Link individual documents to the Schedule

• Link to Procurement for listing documents that

belong to each P.O. or Contract.

CAPITAL EQUIPMENT

The Capital Equipment module is used to list

and track the Capital Equipment for the

project. Capital equipment can include

process equipment that is installed in the

plant, spare parts, or mobile equipment that

will be used during the operation and

maintenance of the plant.

Features include:

• Equipment attribute fields for sorting and

reporting equipment data like weight,

size, horsepower, etc.

• Link to the schedule for equipment

delivery and installation dates.

• Link to the Control Account for

equipment costs

• Link to the Engineering Progress module

for drawing numbers and specifications.

DOCUMENT CONTROL

The Document Control module is used to manage

engineering documents.

In the Document Control module you can:

• Track the issue of engineering documents to

vendors and customers.

• Link to drawing lists and specification lists in

the Engineering Progress module.

• Track the receipt and distribution of vendor

documents.

PROCUREMENT

The Procurement module is a full featured

procurement system for creating, tracking and

expediting Purchase Requisitions, Purchase Orders

and Service and Installation Contracts.

In the Procurement module you can:

• Search master databases for Vendors and

Contractors by key word search

• Automatically generate P.O. line items from the

engineering equipment list

• Link to MS Word or use the internal word

processor for boiler plate documents

• Define event sets for procurement scheduling

and tracking

• Link to schedule for required on-site dates

• Maintain a Commitment Log that is available to

the Cost & Progress module

• Link to the equipment and drawing lists

• Maintain a rating of vendor performance with

user defined criteria

• Create a database of all equipment and

materials ordered for a project.

MATERIALS MANAGEMENT

The Materials Management module is designed to

track the receipt and issue of material and

equipment into and out of a project warehouse or

storage location. The Material Management module

is also designed with full inventory control.

In this module you can:

• Create Receiving reports with overages,

shortages and damages.

• Link inventory to the Purchase Order.

• Link to the Procurement Schedule.

• Material checkout by Contractor and inventory

transfers.

• Maintain a Contractor database including

materials received and plant area installed.
