Portal Console – Overview

Overview Staff will learn how to use the various tabs on the Portal Home page.

News Feed This is where you manage feed items, post news and edit content sent to the Parent Portal and App. Create and post new feed items & post feed items to specific classes, years or students.

1. For quick access click the button below to post a feed item. After clicking the ! button Sentral modules display. To access Portal Console, select Portal Console under the School Admin group.

The Portal Console Home screen displays for the staff.

2. Click on News Feed. News Feed items can be broadcast messages to a select group or whole school. Feeds can have links embedded, attachments uploaded and can be sent as push notification to devices. Health, Attendance, Messaging and Academic Reports that are published display in feed items.

3. To add a newsfeed item, select the New Feed Item button.

4. Staff complete the online form and Save. Title – Create a heading for the feed item. Content – Write out content for your feed item, you can use up to 1,000 characters. Use HTML, links, images to enhance the content for rich text.

Actionable – Display the action required flag for the feed item. Push Notification – Will the feed item be sent as a push notification to connected devices. Recipients – Will you broadcast to whole school, class, roll class, activity, year or as student? Based on your filter option, drop down lists require you to select a roll class as an example.

Type of Recipient – Select All, Parent or Student Attachments – Attach any documentation related to this news feed item

5. To Manage Portal Feeds, staff can Edit a feed item or Delete it. Failed. Try Again indicates the sync to Portal/App failed. You can click on this button to try and sync and get your message sent out to Portal.

6. The Filter option enables a school to search news feed based on date range, fee type and app status.

NOTE: The News Feed displays feed, notification, absences, sickbay, activity, interview, reports and assessment items from other modules that use the Publish to portal function.

School Documents This is where you can upload portal documents, online forms and organise files and folders to make document management easier. Access may be restricted to administrators only.

• Upload files/documents to portal. • Post files to portal as a feed item. • Manage access restrictions on files. • Upload Online Forms for Portal users.

1. The landing page displays current portal documents. 2. Go to Upload Documents to quickly upload a portal document. 3. Complete the onscreen form with Folder location, choose field, summary and

description. 4. If you wish to set access restrictions go to Add restriction and select a date range, a

current year level and a historical year level and year. Next click Save. Go to Documents This option enables schools to create portal folders, add more detail and upload multiple files which the Upload Documents option does not do.

1. Create a New Folder to categorise portal documents. 2. Select Upload File and complete onscreen options- choose file, add summary(title),

tags, description and then Publish to Portal Yes/No. Upload File. 3. The File will now appear on the Portal Document list and can be deleted, or details

viewed. 4. Details option provides last modified date and last accessed date, re upload a newer

version of the document and track major change and note summary of changes. 5. Upload Multiple Files – This enables teachers to drop and drag multiple files quickly

but not add much detail. Adding details can be done after the upload.

Note: Items found within the School Resources section of the Portal are controlled from the Documents module, within the Portal Documents tab.

If a document is relevant only for specific people, or for a specific period of time, you can manage this by setting restrictions on it.

• Date Range: This will make the document available for a defined time period. For example, you can set the date range to a particular calendar year (2020) and parents will not see the document after the year has ended.

• School Year: This will restrict access to a specific school year. If it is set to Year 8 then only students in that year, and their parents, will be able to access it.

• Historical School Year: This allows a document to be tagged to students and follow them throughout their school career. If the restriction is set to students who were in year 7 in 2018, then those students and their parents will be able to access the document while they are enrolled at your school. However, students who were in year 7 in 2019 will not be able to access it.

Alternatively, if you no longer want the document to be accessible at all, you can delete it within the Portal Documents tab. Note that if you do this, the file will no longer be stored on Sentral.

Online Forms Schools may wish to share forms with parents that are required to be downloaded, completed and returned via the Portal. 1. Click on School Documents > Documents >Online Forms.

! 2. A list of current forms will display. 3. The school can Upload Form and complete the details onscreen. Add Title,

Description and Form all are mandatory fields. No push notification is sent to the parent, it simply publishes to the Parent Portal.

NOTE: Parents need to go to the School Forms Tab to download the form and then upload the completed form. 4. View Form Submission – documents/forms that have been uploaded by parents can

be viewed by the school. They appear ion a pending state.

5. The school can click on Review which switches on Approve/Reject option for the school.

6. Click on the link for the received form to download. 7. The school can then save, print or file the form and Accept/Reject. 8. If Accepted the Status is Complete. If Rejected, this will be noted on screen.

Parent Interviews This is where you can create interview sessions, manage bookings and print schedules. It will also display Upcoming Interviews.

NOTE: for a more detailed explanation of the Interviews Module please refer to the Guides.

Usage Sentral tracks Student and Parent portal usage and allows your Sentral Administrator to view reports and statistics based on this usage. 1. You can hover over the Pie Chart to view logged in Today or Not used Today 2. The 3 bars to the right enable the school to download the chart.

See Portal Usage will show the following: 3. Account Usage: will generates graphs and statistics on Logins (per month) and

Currently Active Users (per year). It shows you how many users have logged into the Portal in the last 30 days and what date they logged in. The graph also highlights any unsuccessful logins.

You can change the data displayed in the graph by turning either option of Successful or Failed on or off. Click on the word that represents the data you do not want to see, and it will grey out. As a result of this, the graph will adjust automatically. The 3 bars on this page indicate you can download/print this page.

4. No Linked Accounts: Provides a listing of accounts where Student or Family Keys exist, without having been linked via the Portal by a Parent User. There is a toggle option between Student and Family Accounts. This is a read only page.

5. No Created Accounts: Generate a list of potential Student Users who have not yet logged into the Student Portal if the school is using this option.

Overview There are various areas that staff can publish items, notifications and actions to the portal that do not require administrator access but form part of the day to day actions teachers perform. An explanation of these areas and modules will be discussed to support teachers with managing communication with Students & Parents and, understanding publishing items on the Portal not previously mentioned.

My Classes My Classes Widget/option allows the roll class teacher or academic class teacher to send message and Homework to their student via the Student Portal. 1. Click on School Dashboard > My Classes.

2. Click on a class and the page changes to reflect a list of students and the ability to compose a message or send homework.

3. The compose message screen displays allowing you to message all student in this class.

4. Hover over a student image to find out their name or click on the student to send them a Portal message.

5. The sent message is saved and can be replied too and deleted. 6. Homework tab allows the teacher to add new homework message to the class 7. Compose the Homework message ensuring a Title is added, description and due date

and Save. 8. The sent Homework item can then be edited or deleted by the staff member. 9. The teacher can however View Students to view overdue work and view which

students has completed the work.

My Portal Messages

My Portal Messages allows teacher to view and send messages to students, parent and activity groups.

!

1. Messages sent via My Class will appear here. 2. A teacher can reply to a message they have sent. 3. Teachers can view unread, read and sent Portal Messages

4. A teacher can click the Who? to see who has not read the message.

5. Teachers can create New Message for a student, parent, or Activity group.

6. Once you have selected an option, a compose new message screen displays.

7. Teacher can search a student and then can select a parent to receive this message.

8. Complete the message detail and opt to send message to student also. If Activity is selected, an activity needs to be searched and selected.

Daily Notices Allows parents to see Daily Notices from the Dashboard. When adding a daily notice via the Dashboard, include a selection in the “School Years’ dropdown to make that notice viewable by parents. Note that if you tag specific years, only parents with a student/s in those years can see the message.

Absence response & Future Absences Parents can reply to and provide reason for Student absences. If future absences are switched on, parents may request leave for students which the school need to vet and approve. Absences responses: Go to School Attendance > Notifications > Responses. All parent responses to an absence are list here as new responses. Once updated they will move to Explained responses. A staff member will need to vet the responses ad change the status based on absence reasons if sufficient information has bene supplied. The school should leave the box ticked for Add this response to absence comment. Once saved the absence record is updated. Future absence Requests: Parents can pre-emptively seek a leave of absences for holidays, religious event, medical appointments etc. Based on your school policy, this can be approved, rejected, or requires action. The latter allows the staff member to adda comment. Approved: a new screen opens to enable to the staff member to edit the absences and save to the class roll. Rejected: a comment can be left for why this is not approved.

Family & Student Medical Amendments Parent can edit and update their Family & Student Medical details in the Portal which sends a notification to the Profiles 1 module.

Family Amendment Requests can be viewed and then completed by schools once verified. Staff can also view those Amendments that have already been approved.

NOTE: For all schools, neither family nor Student medical automatically update an enrolment to medical record. The school still needs to update this manually in enrolments or their DOE system.

Payments Schools have the option to create New Portal payments/bills for adhoc items like Mufti Day or track portal payments by parents for activities or adhoc bills. Once configured in the Setup, the Business or Office Managers can manage transactions. Note: More details for Payments will be available in the Payments Guide.

1. Go to Portal Payment Requests > Portal Billing.

!

2. Create New Bill should you wish to create a new payment transaction for an activity, a one-off item. These payments can be grouped by an individual student or groups of students.

NOTE: If you create a payment for an activity within Payments it will NOT link to that Activity. 3. Complete the online form and then Preview and then Run once validated. This option

allows the School Manager to view the recipient list, due date and other items. 4. The Payment page always displays the most recent portal bills; however, Managers can

opt to Filter by using the right-hand side panel.

5. Click on Details to view details online. 6. When you click on the Actions button, you can the Void the transaction. 7. Show Quick Links allows the Managers to have a view of the links generated for this

bill to the list of recipients to quick pay via Portal. 8. Managers can Export a CSV file. 9. Payments Received Option to provide a reconciliation report. To ensure you have an

up to date sync, click on Fetch Latest Disbursement.

Activities Schools trying to streamline permission and payment process on a digital platform and move away from paper-based forms can publish to the Parent Portal based on Activity. Likewise, schools can opt to setup Student self-registration for activities.

Further detail will be available in the Activities Guides.

Student Self Registration: Those teachers responsible for creating and managing the activity, need to ensure the following steps are completed as they are building the activity scope. 1. Excursion Overview: will you limit places? This setting is automatically a no; however,

the teacher can switch to yes and add the maximum places. 2. Student Portal Tab: this option allows the owner of the activity to show this in the

Student Portal, add a description, allow self-registration, decide on registration type, approval required option and allow for a waiting list and numbers of places available on this wait list.

3. The activity owner or administrators can then view those registrations via Manage Tab > Manage Selections.

Parent Portal Payment & Permissions 1. The activity owner can opt to send permissions, costs/payment or both to Parent Portal. 2. Each staff member needs to complete the Excursion/Event Name, Date and Time,

Permission Due Date and Event Details correctly as this will be visible to parents. 3. Costing need to be completed should there be a payment element being pushed out to

the Parent Portal.

4. Once the Activity has been set up and given approval, the staff member can Publish to Portal.

5. Once Published, all parents for the students listed below will be notified to either ask for permission for attending the excursion and/or be asked to pay the cost of the excursion via Portal.

6. Teachers have the option to: • Information only (no permission or payment required) • Permission Only • Payment Only • Permission & Payment • Send Push Notification • Set permission due date • Set payment due date • Add venue • Event Details

7. Teacher can then view and manage permissions/payment via Manage tab > Manage Permission Responses. Payment can also be viewed in Payment module.

Academic Reports Many schools now opt to publish reports to the Parent Portal. Academic Reports need to be completed assigned off by supervisors prior to publishing. More detailed steps will be included in the Academic Reports guide. 1. Schools need to Assign Templates to Students – this is the actual report layout.

2. Generate PDF’s: This allows you to generate reports for publishing to the Portal and to email to parents.

3. Proofing & Approval: allows you to visually check the reports one at a time and approve or reject. The bulk option does not have a viewing feature but allows you to tick multiple reports for approval or rejection.

4. Manage Publish Reports: is the final step in the process. It enables the reporting period to be shown in Portal and once switched on, schools can select publish and manage reports.

Markbook Markbooks created by Faculty Heads can be allowed to be shared with parents and students.

A task or calculation (column) can be published to the Portal. So, the publishing of data is at the direction of the school as the entire Markbook does not have to be visible in portal.

1. Each column in a faculty Markbook can be published to Portal.

2. You will be prompted to Confirm this decision. Once an action has been completed there is an option to unpublish to Portal.

Portal – Parent View

Target Audience • All Staff

Content Staff will learn how to:

• Obtain Registration & Access Keys • Use the Home Feed & Home Page • Use the Student Home Page • Use Messages & Notifications • Use Other Tabs & Menu Items

Overview The aim of this section is to provide teaching staff with a view of the Parent Portal to gain a better understanding of the parent view and insights into how they are using the modules in Sentral to communicate to parents at large.

Registration & Access Keys The following procedure is to show staff how parents register and apply their access keys. 1. Parents will have received a letter or email from the school to register for the Parent

Portal. 2. Parents need to go to the URL provide in the email/letter and Register or search for the

school in the app and register there.

3. Complete onscreen registration: Title, First Name, Last name and Email. The parent will receive a confirmation email to verify their email address. They will need to click on the link contained within that email to confirm their account.

4. The portal will display all content enabled by the school for parents to access, however will not contain any student data. To enable student data, a parent needs to input the access keys they received in the email/letter.

5. Click on My Access and Add new Access Key. Parents enter their access key below exactly as it appears in the communications they received from the school. Access keys are case sensitive and must be typed exactly as they appear. Add key.

6. A parent should now see their children listed as their key has been accepted.

Home Feed & Home Page Once logged in parents can see the home screen with general information, menu items on the left-hand side and a list of their children. The home page provides a list of news feed items, upcoming events, messages and notifications of a general nature.

1. Home Feed: the feed page is dynamic and updates on a regular basis. It refers to all the students related to this account.

2. Parents can use the Filter to view Home Feed, Requires Action, All or Archived news feed items.

3. The student badges identify if the message is for one or all students. 4. Some items in the news feed will be actionable and others are read only.

5. The Parent may see Upcoming Events, Student Activity, Payments, Homework etc.

Student Home Page The General Homepage will display news feed and general information. Many parents will need to know a little more detail and as such, need to click on each of their children to see and view more. The Student Feed page is dynamic and updates on a regular basis. Like the general feed, there are item to read, action, view details and archive.

Parent can view Class Details and start a conversation with the student’s teacher/s. 1. Simply click on the name of the teacher for a new window to open to start a

conversation. Parents can do this via the Message tab too.

NOTE: the view and modules that display depend on modules switched on by the school. Timetables: Provide an instance view of today with access to the full timetable.

Attendance: The initial view will display the Termly percentage but once you click on View attendance summary this shows a heatmap which outlines all school absences, both explained and unexplained.

2. Click on a specific block to show full details.

Published Reports: This will hyperlink to reports that have been published to the Portal. Homework: Parents can view the timetable for current day or select Full timetable. Activity: This displays a read-only timeline of information for students e.g. Attendance, Sick bay and published reports Wellbeing: Schools can decide to display categories and incidents types. Schools can display Tally’s, summary or all detail.

Continuous Assessment: Work or assessments assigned by the teacher. Parent can view a description only.

Continuums: Parents can view the current status of their child’s continuum tracking and achievement of markers or indicators in subjects.

Assessment & Marks: Schools can opt to display Markbook details to parents

Messaging & Notifications

!

The Notifications Tab is a push notification relating to general communication sent out by the school: e.g. payments or permissions The Messages Tab displays messages sent between the parent and teachers. From within this screen you have the option to create a New message/conversation or notify the school of an upcoming absence. You can also add a message to an existing message.

Within the Messages Tab you can select what messages you wish to display by clicking on the message. Reply to the message and send. Attachments can also be part of the communication.

Other Tabs & Menu Items The view for parents and access is dependent on the modules that have bene activated.

Absences: this tab displays the absences for your child/children. You can update the absence if it is unexplained and notify the school of an upcoming absence. Absences will come through as notifications but will also appear in the Absences Tab. When completed click on the green Finish button in the top right corner. Newsletters: A copy of all published newsletter can be downloaded by parent to read. Daily Notices: displays the Daily Notices for the current day relating to your child's academic year. This are usually nonactionable read only notices. Parent Teacher Interviews: Allows parents to book interviews and the screen displays the current Interviews that the parent.

• Parents Select Timeslots and have a 10-minute window to book in sessions.

3. Scroll down for each teacher and select the relevant time slot. Once you have completed at the bottom of the screen it will display the timeslots you have selected.

4. You may also select Not Attending. A list of selected appointment displays and Save Bookings.

Added ability now for parents to be able to attend online meetings.

Parents receive confirmation email

Schools Resources: displays documents uploaded by the school available for parents to download. School Forms: documents parents can download, co0mplete and upload for the school to approve. Payments:– For first time parents they are requested to set up your credentials the first time. A list of Pending Permission Approval and Outstanding payables are listed.

• Pending Permission Approval: parent needs to approve the excursion/activity before payment. Not all events require permission.

5. Click on Show Linked Feed to complete the permission and submit so payment can be made.

• Payable: Tick the item you wish to pay and select Make Payment to complete online transaction and confirm payment via credit card.

• Partial Payments: this needs to be switched on for parent to make incremental payments.

Invoices: (only schools that have Fees & Billings) - The school can publish to the Portal, school related Invoices. Parents then follow the same steps as per payments.

My Details: displays the details for the parent that is currently logged in. The details include name details, email address and access. Parent can edit to certain areas which submits a family amendment form into enrolments. Help & Information All schools have the option to advise to assist parents with the Portal. Parents cannot populate this page as it is simply a read only view of questions and answers to provide guidance or solve an issue. It is recommended that schools update this on a regular basis as process and/or product changes and evolves. Links Schools can embed links to other sites or internal Intranets etc. These links may take parents to another browser to get to QuickCliq as an example.

Portal App – Parent View

Target Audience • All Staff

Overview The aim of this section is to provide teaching staff with a view of the Parent Portal App to gain a better understanding of the parent view and insights into how they are using the modules in Sentral to communicate to parents at large. Note: Parents need to download the App from either the Apple Store or Google Play Store. The app is called Sentral for Parents.

Login to the App

1. Click on the App icon on your phone.

2. Enter your school name in the Search School Name Field. As you type your school name you will be able to select it from the list.

The Login screen displays, asking you for your Email or Username and Password.

Note: If you have forgotten your password, click on Forgot Password. If you do not have an Account yet, click on Register here.

Forgot Password

1. If you have forgotten your password and you have clicked the link Forgot Password, the following screen displays.

Home Page

Once logged in parents can see the home screen with general information, menu items. The home page provides a list of news fee d items, upcoming events, messages and notifications of a general nature.

Newsfeed

The Newsfeed Tab is dynamic and updates on a regular basis. It refers to all the students related to this account. It is a method of sending all or selected parents a newsfeed item with an Action Required and/or Push Notification.

1. If Newsfeed items require action, an orange note will display – Requires Action.

4. The screen will then display permission granted and if payment is required as the next step.

Messages The Message Tab displays any messages received and messages you have sent. Allows sending of messages between teachers and parents.

Note: Parents will only be able to initiate a Message to a teacher linked via a Roll Class or Class to their student.

The Message screen displays.

Subject: enter the subject for the message. Teacher: select the teacher from the drop-down list. Message: enter the message for the teacher.

Absences The Absences Tab displays absences for all students. Notify parents of absences and allow parents to explain absences or advise of future absences.

1. If an Absence require action, an orange note will display – Explain Absence.

3. To create an absence, click on the ! symbol.

Students: select the students from the drop-down list. If you need to select siblings, click on the drop-down list again to add. Reason: select the Reason from the drop-down list. Start/End Date: click on each date and select from the calendar. Comment: enter any additional Comments for the absence. 4. Click on Submit.

Calendar

The Calendar will display any school events with a number on the date. !

Student Portal – View

Overview The aim of this section is to provide teaching staff with a view of the Student Portal to gain a better understanding of the student view and insights into how they are using the modules in Sentral to communicate to students at large.

Student Home Page The General Homepage will display news feed and general information. NOTE: the view and modules that display depend on modules switched on by the school. The Student Feed page is dynamic and updates on a regular basis. Like the general feed, there are item to read, action, view details and archive.

Students can view Daily Notices for today. Students can view Class Details and start a conversation with their teacher/s. Simply click on the name of the teacher for a new window to open to start a conversation. Parents can do this via the Messages tab too. Students can view Homework that has been issued to them and mark as complete. Timetables: provide and instance view of today with access to the full timetable. Published Reports: hyperlinks to reports that have been published to the Portal. School Newsletters: that are published to the Portal can be viewed.
