Brother Awards Chairman,

It is with excitement that we launch the 2022 Phi Delta Theta Awards Program to the Phi Delt Nation this fall! Not only are we able to offer this information earlier than ever before, we are also able to celebrate having made strong strides through the COVID-19 pandemic .

The Phi Delta Theta Awards Program is designed to recognize and promote various levels of achievement and greatness to the Fraternity on an individual and chapter level . This guide reviews the awards available, requirements, selection process, and application process of each award .

This year, we have revised requirements to reflect more closely to those found in the pre-2020 Awards Programs . It is important that the chapter leaders charged with putting together content for the awards submission closely note these changes . Further, we intend on chapter leaders using this document to closely guide them in their journey of tendering a top award-winning submission .

The primary responsibility for the administration of the Phi Delta Theta Awards Program rests with the Awards Committee . This body is composed of a chairman, two-three alumni volunteers, a General Headquarters liaison (director of chapter support), and a General Council liaison who will assist with the gathering of applications and information from all chapters, alumni clubs, and individuals . All award applications are carefully reviewed by this committee and the General Headquarters staff . In addition to this committee, several of the awards are judged by special Fraternity officers or alumni groups .

Note that some awards may have more than one winner or honorable mention awardee(s) . Make sure your application not only reflects the pride you have in your chapter and Phi Delta Theta, but also what your chapter has accomplished this past year . It is crucial that all requested information is uploaded in the appropriate section of the Online submission portal .

Awards will be announced at the 2022 Kleberg Emerging Leaders Institute, taking place in the summer of 2022 . Both the official website phideltatheta .org and The Scroll will also feature stories about the award-winning chapters .

INTRODUCTION TO PHI DELTA THETA’S AWARDS PROGRAMThis guide is a holistic compilation of all awards distributed by Phi Delta Theta and affiliate organizations . Please take the time to read about each award to determine if your chapter or an individual is eligible for that award . Under each description will also include how, where, and when to apply for the award . Most chapter awards will be applied for through the online portal that you will find under Officer Forms on myPhiDelt . This portal is extremely important to the process and will open in January 2022 for applications to begin being filled out .

Finally, all submissions for the online awards packet must be completed by 11:59 p.m. Pacific Standard Time on April 30 . Packets submitted after this date will not be considered . Because of these strict deadlines, read the Best and Worst Practices in Completing the Awards Packet to learn more about how you can utilize the summer and fall to prepare for your awards submission .

There are always updates to the Awards Program, so please read this guide carefully! Make sure to field any questions to your staff leads in advance of the April 30 deadline . Everything you need to submit your awards packet is located within the online awards submission portal on the website .

Finally, be aware that if your chapter is on probation or suspension with the General Council or your province president as of April 30, you are not eligible for any awards.

TIPS FOR EXCELLENCE

DOS:• Stand out! There are over 180 submissions; what will make

your chapter stand out?• Develop a consistent brand among all documents/

materials submitted .• Start early, do not wait until mid-April to begin! • Answer all questions and criteria listed, what you see

is what will be looked for . If you are confused, ask your staff lead .

• Use pictures and videos to boost the quality of your application .

• Make a plan with a timeline and delegate work to multiple officers or members—the awards chairman can only submit what he has been given by his fellow officers .

• Make a list of what you already have and what you will need to develop or retrieve .

• Give at least two (2) weeks for volunteers/staff to write letters of recommendation .

• Complete all Chapter Greatness Checklist reports on time—that is 50 percent of total points!

DON’TS:• Just copying and pasting from last year’s packet . The

evaluators reference previous years’ packets and this can result in disqualification of awards .

• Plagiarizing letters of recommendation . It is better to upload nothing than to get disqualified from all awards for plagiarizing .

• Only link a Google Doc, Dropbox, or website . Provide the original document . The only exception would be if you are submitting your link to the chapter’s social media or news article, but always explain what the link will send the evaluators to .

• Have no one in charge of awards . Elect an Awards Officer annually . This will give him time to do his job in preparing awards documents for the entire academic year .

• No proofreading . Submissions containing large amounts of errors communicate that little time may have been put into its creation .

• Upload a blank document into a mandatory field . If you do not have something that is required within an award, do not apply for that award .

OUTSTANDING PHI DELTA THETA CHAPTER AWARDSCHAPTER EXCELLENCE AWARDS: BRONZE, SILVER, GOLD STARDescription: The Chapter Excellence Awards recognize top-performing chapters based on a list of operational factors during the academic year . There is only one application for these awards; however, there are three separate tiers based on the quality and completeness of the application . There are no restrictions to the number of chapters that can be placed in each tier .

Prerequisites: Chapters must also receive approval from their General Headquarters Staff Lead to receive the Gold Star .

Criteria: There are three tiers to this award based on a cumulative of points from Chapter Operations, Recruitment and Communications, Academics and Education, Philanthropy and Community Service, Risk Management, and Phi Delta Theta Ritual .

• Gold Star = (90%+ 180+ points)• Silver Star = (80–89 percent 160–179 points)• Bronze Star = (70–79 percent 140–159 points)

• Current Year = May 1, 2021–April 30, 2022• Evaluated GPA Terms = Semester: spring 2021 and

fall 2021 Quarter: spring 2021, fall 2021, and winter 2022

Points in the Chapter Excellence category are awarded from the quality of the following (200 points):

• Chapter Greatness Checklist (100) .• Zero balance due to GHQ by April 30 (5) .• Chapter budget (greekbill = full points) (5)

» Provide supporting documentation for: (1) The chapter budget including total expected revenue, collected revenue, budgeted amounts for insurance and all GHQ dues, and a breakdown of each officer’s budget . (2) The process of how the chapter collects dues from its members, including any apps or external services used (i .e . greekbill) .

• Strategic Plan (5) » Provide supporting documentation for the chapters

yearly strategic plan, officer goals, and/or detailed chapter priorities and how the chapter plans to achieve those priorities .

• Chapter Bylaws (5) » Provide a copy of the chapter bylaws which must

include: (1) written descriptions and responsibilities for chapter officers and chapter committees, (2) requirements for extending a bid to new members, (3) requirements for a Phikeia to be initiated, (4) requirements for a member’s GPA to be in good standing, (5) requirements for members who don’t †Collected via myPhiDelt or Chapter Greatness Checklist

meet the minimum or certain levels of GPA each term, (6) judicial procedures in place for any discipline the chapter can take with its members, (7) member expectations and accountability measures, (8) list for different membership statuses available to members (Phikeias, actives, etc .) .

• Facility Management Program (5)* *if no facility, 5 points are awarded

» Provide a copy of the chapters Facility Management Program which includes: (1) the date the facility was built/renovated, (2) number of rooms, (3) total square footage, (4) number of persons living in the facility compared to full capacity, (5) special rooms or rooms designated to a named alumnus or volunteer, (6) a written house maintenance plan for scheduled or routine cleanings and other pertinent facility inspections .

• Membership size meets minimum standards (5)†

» Provide supporting documentation that the chapter’s membership meets minimum standards of being above (forty members or above the campus average fraternity membership size) .

• Recruitment Program (5) » Provide a copy of the chapters Recruitment Program

which includes: (1) explanation of the chapter’s philosophy on recruitment, (2) explanation of how the chapter markets itself to potential new members and how the chapter adds potential new members to their names list, (3) explanation of how the chapter recruitment meetings or event(s) were performed during the current year .

• Social Media (5) » Provide a URL link to the chapters Instagram account

and/or another most used social media platform which will be evaluated on: (1) content, (2) frequency of posts, (3) relevancy of posts, (4) experience of membership represented, (5) supporting the Fraternity brand .

• Alumni and Family Communications (5) » Provide supporting documentation the chapter

communicates with alumni associated and involved with the chapter, as well as, communicating with parents/family of Phikeia and chapter members .

• Chapter academics meets minimum standards (5)†

» Provide supporting documentation that the chapter’s past spring and fall terms of the calendar year meet the minimum standards of the chapter’s GPA is above a (2 .75 or is above the university’s all-male average (i .e . university grade reports) .

• Scholarship Program (5)

» Provide a copy of the chapters Scholarship Program which includes: (1) explanation for why the chapter has a member GPA requirement, (2) explanation of the requirements for members who don’t meet the chapters minimum or certain levels of GPA each term, (3) explanation of any chapter specific event(s) or processes for incentivizing or promoting academic excellence .

• Phikeia Education modules meets minimum standards (5)†

» Provide supporting documentation the chapter meets the minimum standards of each Phikeia completing the three PDT U Phikeia Education modules prior to being initiated .

• Phikeia Education Program (10) » Provide a copy of the chapters Phikeia Education

Program which includes: (1) overall program schedule with plan of topics and/or activities for each week or day during the program, (2) clearly outlined Phikeia expectations for the program, (3) clearly outlined Phikeia requirements for initiation, (4) Big Brother eligibility requirements, expectations, and a detailed description of how the chapter does the Big Brother ceremony, (5) detailed description of the events planned post each standardized program ceremony (Phikeia induction, Big Brother, and Initiation) .

• Member Education Program (5) » Provide a copy of the chapters Member Education

Program which includes: (1) explanation of the minimum expectations for each member, (2) explanation of any chapter specific event(s) or processes for enhancing its member experience in any way (i .e . time management, positive relationships, career planning, study aids, meal etiquette, resume writing, interview skills, etc .) .

» Points will be deducted for chapters NOT fully utilizing the standardized Phikeia program .

• Philanthropy Program (5) » Provide a copy of the chapters Philanthropy Program

which includes: (1) explanation of the chapters philosophy on philanthropy, (2) explanation of how the chapter promotes the Iron Phi program to members, Phikeia, and alumni, (3) explanation of the chapter philanthropy fundraisers or event(s) performed or participated in during the current year (including virtual), which includes photos, videos, or social media posts of the fundraiser, and any publication written or recognitions given .

• Community Service Program (5)

» Provide a copy of the chapters Community Service Program which includes: (1) explanation of the chapters philosophy on community service; (2) explanation of the chapters community service event(s) performed or participated in during the current year which includes photos, videos, or social media posts of the service, and any publications written or recognitions given .

• Bystander Intervention module meets minimum standards (5)†

» Provide supporting documentation the chapter meets minimum standard of each member completing the “My Brother’s Keeper: Bystander Intervention” PDT U module .

• Risk Management Program (5) » Provide a copy of the chapters Risk Management

Program which includes: (1) explanation of how the chapter educates members and Phikeias on risk management policies, chapter annex policy, Good Samaritan policy, and crisis management plan; (2) explanation of how the chapter educates members and Phikeias on non-hazing policies, fire prevention and life safety/loss control, chapter insurance, chapter event

planning program, alcohol awareness, alcohol-free programming, judicial disciplinary procedures, etc .; (3) bonus points can be earned for campus participation in various program and/or event(s) for alcohol awareness, sexual assault awareness, or social responsibility .

• Ritual Program (5) » Provide a copy of the chapters Ritual Program which

includes: (1) a written description of how the chapter organizes alumni ceremonies like the alumni induction ceremony, Silver, Gold, and Palladian Legionnaire, and Founders Day; (2) explanation of when the chapter performs the officer installation ceremony; (3) explanation of how the chapter teaches ritual to newly initiated members; (4) explanation of how the chapter emphasizes ritual with members of the chapter, including the reading of The Bond and/or alumni support for ritual; (5) ritual equipment inventory and condition list .

• Bonus points: One (1) bonus point will be added to the total point score for each member of the chapter who becomes an Iron Phi during the year (May 1, 2021–April 30, 2022) .†

OXFORD TROPHY, FOUNDERS TROPHY, KANSAS CITY TROPHY, AND HOUSSER TROPHYDescription: The top three trophies for US-based institutions are awards based on campus size . These three awards are presented to the chapters that exemplify the principles of Phi Delta Theta while demonstrating exemplary chapter operations .

Oxford Trophy: First awarded at the 2019 Kleberg Emerging Leaders Institute, the trophy is named to commemorate the birthplace of the Fraternity and home of the General Headquarters . Eligible chapters come from schools with undergraduate enrollment of more than 20,000 . There are fifty-nine eligible chapters .

Founders Trophy: Donated by Judge William R . Bayes, Ohio Wesleyan 1901, in 1929 . Eligible chapters come from schools with undergraduate enrollment between 7,000 and 19,999 . There are fifty-one eligible chapters .

Kansas City Trophy: First presented in 1929, the Kansas City Trophy was originally sponsored by the Cleveland Alumni Club . In 1958, sponsorship was taken over by the Kansas City Alumni Club . Eligible chapters come from schools with undergraduate enrollment of less than 6,999 . There are fifty-six eligible chapters .

Housser Trophy: George E . Housser Trophy is awarded annually to the top Canadian chapter that exemplifies the cardinal principles of Phi Delta Theta while demonstrating exemplary chapter operations . The trophy was originally presented by the Vancouver Alumni Club, and later rededicated by several Canadian Brothers in 1992 in honor of the late George E . Housser, McGill 1906, and was president of the General Council from 1950–52 . Eligible chapters are Canadian-based . There are nine eligible Canadian-based chapters .

Prerequisites: Chapters must have been installed before the start of the current biennium . Chapters must also earn the Gold Star Chapter Excellence Award to be eligible for one of these trophies .

Criteria: After a chapter has completed the Chapter Excellence Awards application, the chapter will be compared to each Gold Star chapter in their campus size bracket (Kansas City, Founders, or Oxford) . The chapters will upload a video presentation or executive summary essay to further explain why they deserve to be named the best chapter in their bracket . This material will be scored out of 150 points and should not exceed ten minutes or six pages (not including any pictures or multimedia attachments) .

Within the video presentation or essay the judges will look for the following: (150 points)

• Why the chapter deserves to win (10) .• How the chapter exceeds in chapter operations: financially,

judicially, and strategically (10) .• How the chapter exceeds in recruitment and

communications: alumni, parents, social media, and recruitment communications (10) .

• How the chapter exceeds academically and in member education: Phikeia education, member acclimation, and continued member education (10) .

• How the chapter exceeds philanthropically and in community service (10) .

• How the chapter exceeds in risk prevention (10) .• How the chapter exceeds in Phi Delta Theta ritual (10) .

• What positive impact the chapter has made to break negative stereotypes, increase mental health awareness, promote bystander intervention, and/or promote the values of Phi Delta Theta (30) .

• Letter or video of province president’s support for chapter winning this award (20) .

• Letter or video of chapter advisory board member or house corporation member’s support for chapter winning this award (15) .

• Letter or video of a university professional’s support for chapter winning this award (15) .

• Bonus points for additional letters or videos of support from community members, university staff, Greek life organizations, etc . (5 each, max 10) .

• Note: all letters of support must include a date and digital signature.

PHOENIX AWARD

Description: The Valley of the Sun Alumni Club created the Phoenix Award in 2002 to recognize a chapter that has shown dramatic improvement over one academic year . The award was named after the mythological bird that is used in literature as a symbol of death and resurrection . Improvement should be demonstrated in various areas as designated by the General Council .

Prerequisites: Chapters must earn the Silver or Gold Star Chapter Excellence Award to be eligible for the Phoenix Award . Chapters must also submit a letter or video of support from their province president explaining why he believes the chapter should be the recipient of the Phoenix Award . Chapters must also receive the approval from their General Headquarters staff lead .

Criteria: After a chapter has completed the Chapter Excellence Awards application, the chapter will upload a video presentation or executive summary essay to further explain why they deserve to be named the recipient of the Phoenix Award . This material will be scored out of 100 points and should not exceed ten minutes or six pages (not including any pictures or multimedia attachments)

Within the video presentation or essay the judges will look for the following: (100 points):

• Letter or video of province president’s support for chapter winning this award (required) .

• Why the chapter deserves to win (10) .• How the chapter has drastically improved in areas such as:

Description: Dedicated in 2014, the T . Glen Cary Award recognizes the outstanding emerging chapter of the year . Submissions will be judged among their peers based upon equivalent measurements, performance, and overall excellence . This award is named in memory of T . Glen Cary who spent over fifty years giving back to the Fraternity and was known as the “Godfather” of the Phi Delta Theta expansion program .

Prerequisites: Emerging chapters that were installed May 1, 2021 through April 30, 2022 . Chapters must also earn the Silver or Gold Star Chapter Excellence Award to be eligible for the T . Glen Cary Award . Chapters must also submit a letter or video of support from their province president explaining why he believes the chapter should be the recipient of the T . Glen Cary Award . Chapters must also receive the approval from their General Headquarters staff lead .

Criteria: After a chapter has completed the Chapter Excellence Awards application, the chapter will upload a video presentation or executive summary essay to further explain why they deserve to be named the recipient of the T . Glen Cary Award . This material will be scored out of 100 points and should not exceed ten minutes or six pages (not including any pictures or multimedia attachments) .

Description: The Outstanding Large Chapter House Award and The Outstanding Small Chapter House Award are for chapters situated in a chapter house facility . This award recognizes superior facility management by a chapter and a house corporation including initiatives and programs in areas such as capital improvements, maintenance, life safety and house rules/contracts . There are two awards given (large and small) which are based on the size of the facility, size of the membership, and the size of the school . This award was re-named in 2015 to honor Brother Anderson, UT–Arlington ’70,

who served the Fraternity as a member of the Phi Delta Theta Housing Commission for fifteen years .

Prerequisites: Chapters must have submitted a facility management program within the Chapter Excellence Awards .

Description: The Stan Brown Trophy is presented to the chapter with the most outstanding one day or individual community service project . This award was first presented to the Fraternity in 1986 by Stanley D . Brown, who established Phi Delta Theta’s community service program in 1956 .

Prerequisites and notes: You must apply for the Excellence in Community Service before applying for this award . This award is for the chapter that has the most outstanding single day or long-running community service project . Community service is the action of giving time or a service to an individual or organization in need .

Criteria: Scoring for this award will be based on:

• Completion of your application for Excellence in Community Service .

• Selecting one event that is the chapter’s most successful .• Rationale as to why this event or group of events should

PAUL C. BEAM TROPHY

Description: The Paul C . Beam Trophy is presented to the chapter with the most outstanding philanthropic efforts . This trophy was presented to the Fraternity by the Des Moines Alumni Club in memory of Paul C . Beam, executive secretary of Phi Delta Theta from 1937–55 .

Prerequisites and notes: This award is for the chapter that has the most outstanding single day or long-running philanthropy project . Philanthropy projects ultimately raise money and awareness for an individual or organization in need .

Criteria: Scoring for this award will be based on:

Description: Named after Lou Gehrig, the Iron Horse Award is given to the top individual fundraiser within the Iron Phi program during the Iron Phi year .

Criteria: An individual’s Iron Phi fundraising total from July 1, 2021 to June 30, 2022 will be used to rank him .

Description: Named after Kansas Delta (Wichita State) Phi Clark Jackson, who passed from ALS and was an early inspiration to the Iron Phi program, the Clark Jackson Award is given to the top fundraising chapter within the Iron Phi program during the Iron Phi year .

How to apply: No application necessary . All Iron Phi results will be reported to the Awards Committee by the Iron Phi program .

Prerequisites and notes: None .

Criteria: A chapter’s Iron Phi fundraising total from July 1, 2021 to June 30, 2022 will be used to rank it .

• Bonus points will be added to the chapter’s point total for the Lubbock Award if the chapter wins the Clark Jackson Award .

LUBBOCK TROPHY

Description: The Lubbock Trophy is awarded to the chapter that has demonstrated the most outstanding philanthropic and community service efforts in the current year . The award focuses on a comprehensive approach to community service and philanthropy fundraisers and events . The chapter’s passion, time, resources, and amount of money raised will be taken into consideration when judging their separate community service and philanthropy programs . This trophy was first presented in 1969 by the Lubbock Alumni Club .

Prerequisites: Chapters must have been awarded the Excellence in Philanthropy Award and Excellence in Community Service Award to be eligible for the Lubbock Trophy . Chapters must also have applied for both the Stan Brown Award and Paul C . Beam Trophy .

Criteria: After the chapter has completed the Chapter Excellence Awards application, and the Excellence in Philanthropy and Community Service applications, the chapter will upload the additional documents to apply for the Lubbock Trophy .

Points for the Lubbock Trophy are given for the following criteria:

• Submit at least one video or letter of support specific to this award from any community members, alumni, volunteers, or campus professionals (maximum two) .

• The following applications will be graded and the score will be combined:

HEALTH AND SAFETY AWARDSEXCELLENCE IN RISK PREVENTION

Description: Introduced in 2003 to encourage good risk management practices, Excellence in Risk Prevention recognizes the undergraduate chapter whose risk management program best reflects the policies, goals, and ideals of Phi DeltaTheta .

Prerequisites: Chapters must have submitted their Risk Management program within the Chapter Excellence Awards . This award is judged by Phi Delta Theta’s senior vice president of member development and support . Items within the criteria may not be eligible to be submitted but are collected throughout the year to be judged .

Criteria: Based on reporting from the chapter, this award will be judged on information obtained throughout the year . No application is needed .

Points for the Excellence in Risk Prevention are given for the following criteria:

• Risk management program in Chapter Excellence .• Chapter must have had zero risk management violations in

the current year .• Chapter must have paid insurance premiums in full and

on-time .• Chapter must have promptly reported all accidents and

injuries occurring on the chapter property or at a chapter event in the current year .

Description: Hayward S . Biggers Excellence in Ritual is awarded to the chapters that demonstrate quality ritual performance in accordance with the laws of the Fraternity . The award was established in 1990 in memory of Hayward S . Biggers who served as member-at-large of the General Council from 1962–65, editor of publications from 1950–65, and the author of I Believe in Ritual.

Prerequisites: Chapters must have submitted their Ritual program within the Chapter Excellence Awards .

Criteria: After the chapter has completed the Chapter Excellence Awards application, the chapter will upload the additional documents to apply for the Hayward S . Biggers Excellence in Ritual Award .

Points for this award are given for the chapter meeting the following criteria:

• Chapter must have submitted ritual program in Chapter Excellence .

• Chapter must submit an essay not to exceed 500 words, explaining the chapter’s efforts this current year to maintain sound ritual . How the chapter educates all members on proper ritual practices, and what their biggest success in practicing ritual in-person again has been .

BINNINGER-STITT CULTIVATION OF RITUAL AWARD

Description: The Bininger-Stitt Cultivation of Ritual Award, formerly the Fraternity Life Award, was donated by Dr . Clem E . Bininger, president of the General Council 1960–62 . This award is presented annually to the chapter of Phi Delta Theta whose members, individually and in group projects, best seek to develop on their campus the high moral character and service contemplated in The Bond and ritual of Phi Delta Theta . The award was dedicated to Past President of the General Council and former chaplain of the Fraternity J . W . “Bill” Stitt in 2017 after his passing in honor of his service to the Fraternity .

Prerequisites: Chapters must have been awarded the Hayward S . Biggers Excellence in Ritual Award to be eligible for the Binninger-Stitt Cultivation of Ritual Award .

Description: The award is presented to the undergraduate Phi who is recognized as the Fraternity’s outstanding collegiate representative in baseball . The George M . Trautman Award was created in honor of the late president of the Association of Minor Leagues of Professional Baseball . During the nine years prior to his death in 1963, Brother Trautman served as chairman of the Lou Gehrig Award Committee .

Prerequisites: Nominees must play for a NCAA Division I, II, or III baseball team .

HARMON-RICE-DAVIS AWARD

Description: The Harmon-Rice-Davis Trophy is awarded to an undergraduate Phi who is an excellent varsity athlete, a good scholar, and an active participant in chapter and campus activities . The trophy was presented by Brother Tom Harmon in the name of Brother Grantland Rice . The name was later changed to the Harmon-Rice Trophy in order to commemorate both of these dedicated Phis . Additionally, Brother John Davis was included for his unyielding devotion to Phi athletics .

Prerequisites: Nominees must play for a NCAA Division I, II, or III athletics team . The NCAA regulates the following sports:

Baseball, basketball, cross country, diving, fencing, football, golf, gymnastics, ice hockey, indoor track and field, lacrosse, outdoor track and field, rifle, skiing, soccer, swimming, tennis, volleyball, water polo, and wrestling .

Description: In 2018, the Texas Delta Housing Corporation at Southern Methodist University endowed the Live-In Leadership Adviser Program . To recognize the success of these advisors, the Live-In Adviser of the Year was created to award the live-in adviser that goes above and beyond to create a safer chapter culture within the walls of the chapter house .

Prerequisites: Live-in advisers must be regulated by the local Housing Corporation or university . These advisers can be graduate students, house mothers/ fathers, or residence/hall advisors . Undergraduate house managers and risk managers that reside in the house, but are not official advisers, are not eligible for this award .

Prerequisites: Every alumnus of Phi Delta Theta, in good standing, is eligible except previous recipients, past Presidents of the General Council, current Fraternity staff, and current general officers of the Fraternity .
