Jimmy ....... Duraclean & Prism Response both worked through the weekend at Panther Run Elementary on environmental cleaning in building # 1, # 5 & # 7. Please find an update below:
1) Building # 1 - All rooms cleaned. ECS inspection pending.
2) Building # 7 - Three classrooms cleaned (#7-101. # 7-102 & # 7-104). 3) Building # 5 - Nine of the twelve classrooms cleaned.
Cleaning activities will continue through the week except for building # 8 during FCAT testing days. It has already been established that environmental cleaning is not required in building # 10.

Jimmy ..... Per ECS request, Ms. Strachan prov ided a list of test dates and sites for the upcoming FCAT testing on campus, Al l FCAT activity will belimited to building # 10. As you may recal!, this was the only building on site without signs of rodent activity, therefore, ECS crews will not be performingany cleaning activities in the building and, therefore, will not interfere with any FCAT-related school functions. I will hold-off on cleaning activities in studentdining during FCAT testing just to be certain we do not interfere with those students having breakfast on test days.

ECS hasretained two fully-qualified environmental contractors; Duraclean & Prism Response to re-clean above drop ceilings in all campusbuildings with the exception of classroom building # 10 (building # 10 was thoroughly inspected and found to be free from pest debrisabove drop ceilings). Facilities Services custodial cleaning crews have already addressed a more detailed cleaning of cabinet andfurnishing interiors throughout campus with enhanced cleaning anticipated over summer break.
The amount of environmental cleaning work on campus is substantial; therefore, ECS will begin this weekend (02/15112) in buildingswhere there has not been any pest activity detected since the District's initial response in early February. The work will continue weekdaysafter school-hours until completion. ECS is committed to working with school administration during FCAT testing to modify the cleaningschedule as needed to accommodate testing needs.

Steve &Jimmy ..... One of the ECS contractors tasks for this project is replacement of damaged or soiled ceiling tiles. Can FacilitiesServices supply the replacement tiles ?? If so, can I get a few cases sent to the school now?? We are going to start some cleaningwork soon. I'll have more details tomorrow morning on our proposed schedule.

The Districtrequested and was granted an extension until Monday - March 12, 2012. Ms. Strachan ..... Acoustical ceiling-tile condition is one of the PBCHD's inspection criteria: therefore, Facilities Services has been directingconsiderable resources towards all ceilings on campus. All acoustical tiles on campus must be free from un-sealed penetrations andinstalled properly in the ceiling grid. In addition, ECS contractors are performing an assessment of the tiles as they are cleaned. Any tilethat is soiled or stained beyond acceptable use will be replaced ...... Paul

Jimmy & Ms. Strachan ....... Please remember that kindergarten wing rooms # 2-101 & # 2-102 werecompletely cleaned by Duraclean including cabinets and contents; therefore, the instructors in those rooms donot need to move or empty anything.
Ms. Strachan ...... ECS has been advised that instructors in room # 5-104, # 5-105 and # 2-104 have expressed concerns with possible health effects related to the recent District activities on campus. In some cases, the instructors have sought permission to keep windows & doors open to "air out" classrooms.
Please ensure that any employee experiencing adverse health effects in the workplace submits a "Notice of
1st Injury" to Risk Management within 7 days per District policy. Please contact Nancy Patrick in Risk
Management if there are any questions regarding the notification policy or procedure.
Building # 5 and building # 2 have both undergone intensive cleaning by qualified environmental contractorsusing approved disinfectants and air-scrubbing equipment. Follow-up cleaning is also being scheduled for thelast week in February in all campus buildings. In addition, the HVAC systems have been inspected by
qualified District HVAC technicians and all air-filters were recently changed. If there are specific complaintsfrom the occupants of the three classrooms involved, ECS would be glad to conduct follow-up assessments if
details are provided. A check with the school nurse has not indicated an unusual increase in student illness.
Exterior windows & doors must be kept closed while HVAC systems are operating to prevent the formation of
condensation and surface mold. The District's energy conservation measures also mandate closed windows

After hearing from Jim Chapman about the Friday (10th) inspection of some 40 rooms, I don't feel comfortable having the HD come back
yet. He and Kesta are going to try and finish inspecting above ceiling the rest of the rooms today. He said the Admin wing was theworst, the Media Center the best and classrooms from light to medium with droppings.

Jimmy:ECS staff is still in the process of evaluating all of the buildings on campus, we are not finished yet. It is my understanding that cleaningwill be conducted again after the rodents are eradicated. As of last week there was still rodent activity. Ms. Strachan ..... ECS needs to conduct a post-clean up inspection of all school buildings above drop ceilings to ensure recent cleaning activities are adequate. Our plan is to have two or three ECS employees conduct the visual inspection during school hours. The work would be minimally intrusive and only take a minute or two for each classroom.

Thank-you Ms. Strachan .......Consuelo Avila-Ramsey &Jim Chapman of ECS will be stopping-by at various times for the remainder of the week to conduct the inspections. I will also be assisting when available. We will sign-in at the main office and request a ladder from schoolcustodial staff as needed. If there are any special programs planned during our visits that can't be disturbed, just alert our staff and we willconduct our inspections accordingly.
Jim ..... Attached for Facilities Services review & action is a copy of the PBCHD partial-campus inspection conducted today. Only building #2. # 5 & # 6 were inspected. The entire campus will be re-inspected on March 5, 2012. Please review the report requirements and discuss a corrective action plan with Ms. Strachan quickly so she is prepared to address parent concerns or press inquiries.
1) The Health Department is requested a more thorough cleaning of the campus to include the interiors of cabinets that may have been impacted by insects including cockroaches. 2) The Health Department is requesting additional sealing of acoustical ceiling tile penetrations and gaps. They are also requesting sealing of all small gaps where classroom cabinets meet exterior walls (old un it ventilator sites).
During my post-inspection meeting with Ms. Strachan. she mentioned that staff in building # 10 have concerns with cockroaches including
room # 10-111. Please let me know if there are any questions regarding this report. Ms. Strachan was attending an urgent PTA meeting; therefore. I Signed the inspection report on beha lf of the District... ..... hanks. Paul
I will have the Zone Team address the small cracks where the cabinets join together. Do you have a location where they want additional acoustical ceiling gaps sealed?
FYI, Emptying all the cabinets and wiping them down can not be accomplished by the three custodians at the school along with their
nightly work. This will require an outside cleaning crew and will take several days a t least. Each teaci1er would have to remove all sto rage from the cabinets while they are wiped out.
Jim ..... The Health Department only provided rooms # 2-101,5-108,5-104 and 6-108 as rooms needing ceiling tile and cabinet sealing, butin verbal comments wanted to be sure the entire campus is re-evaluated and sealed as needed (They only insepcted three buildingstoday).
I agree .... he cabinet & intensive room cleaning the Health Department is requesting is a tremendous amount of work.
Please keep Duraclean out there until we get all of the cleaning issues resolved.

Chris ... 1 will speak with Duraclean this morning and revise the cleaning workscope in accordance with the PBCHD report requirements.Prism is also working on campus inside building. # 6 (Duraclean could not adequately staff the project conducted last night). We may needto split the campus and give each contractor a section considering the time limit involved. I alsO need to coordinate the work with Jimmyand school administration, we will need some school support. The cleaning will be disruptive to classroom operations; therefore, I believemost of the tasks involved will need to be conducted after school-hours and weekends.
As to the ceiling tiles and cabinets, the inspectors indicated they wanted to see all tiles tight to the grid and with no gaps around penetrations. All cabinets tha t adjoin exterior walls also need to be sealed, top & bottom if any gaps are present.
The campus may need full-scale treatment for cockroaches with building # 10 being the largest concern.

When the lAO Contract went out $30/hr or $0,90/sq/ft was the lowest prices for general cleaning and sanitizing.
Some of these firms are very efficient at $30/hr, but not when you add the labor of emptying and restocking cabinets and shelves. Cabinets seldom have their interiors cleaned, because teachers won't empty them and custodians are blamed if they misplace things or don't restock in the exact place the teachers desire. I've recommended to principals in the past to change classrooms yearly to get teachers to move their belongings out.

I'm sure the vendors that our ancillary facilities are not charging $30/hour. Any reason we cannot use them? I want Duraclean to continueworking until we can either get in-house custodians. the cleaning vendors and/or the staffing company to step up. I want activityhappening every day until we are assured that we will pass the next DOH inspection with flying colors.
I have Morris in Purchasing checking to see if we can use the bid for the ancillary sites for Panther Run.
I talked to Ms Strachen this morning about the teachers possibly cleaning out their own cabinets to save us time and money. She agreedthat it was the teachers responsibly to remove the storage and she would ask the teachers to help. Given that, it shouldn't take long towipe some cabinets in each room.
I asked Morris to get me five people for three days. I will coordinate with the school and go building to building wiping interior cabinetry.
If we can't use the ancillary bid, we can go with A& Associates again or get some District custodians to work some OT. I think for about 4days working fours hour a night with 6 people I could have it done. That's 90 hours of custodial overtime. I don't know the average salary,but if it's an average of $13.00 per hour per person comes to $ $1755.00. Shirley would know the average better than L
Everybody: Bear in mind that we have a dozen Frizzels. We will be prioritizing their pest issues based on those WOs and working onthem through the end of the year (fyi Cal usa is underway already - we will have a plan by the end of today to catch it up to Panther
Run).
Grounds OT budget balance is down to $13k of General Fund dollars - we need to keep them on straight time if possible.
Harley, please make a list of the small tools (listed by priority) your crew talked about needing replaced and we'll find some cash for that.

Jimmy ...1have Duraclean cleaning the fixed cabinet interiors and storage closets for the kindergarten wing tonight. They already cleanedall the bookcases, books and cubbies last night. They also re-cleaned the vinyl-tile floors. If they finish early, they will move over tobuilding # 5 and keep working there this week after school-hours until directed otherwise.
Ms. Strachan .......ECS is keeping Duraclean on campus to continue cleaning activities as requested during the latest PBCHD inspection. A Duraclean crew will sign-in between 3:00 pm &3:30 pm today and will begin work in the kindergarten wing shortly thereafter. If time allows, they will move over to building # 5. For now, affected teachers do not need to move classroom contents; however, there will be modifications to the cleaning procedure announced soon.

They will arrive between 3:00 pm &3:30 pm to start unloading equipment and begin cleaning at 4:00 pm. All work will be 100% completed tonight If you don't mind, I will give Duraclean the master key I obtained yesterday. It will be returned promptly on Tuesday morning.

Jim ...... ECS contractor Duraclean will be returning to the campus after school-hours today to finish-up building # 6 (Media Center). Therodent debris above the drop ceilings was significant and could not be 100% completed yesterday. The eastern 1/2 of the building whichhouses mostly Media production rooms require attention, everything else was completed as scheduled.
From the debris pattern encountered, it appears that building # 6 was the center of rodent activity on campus. The area above the dropceilings in building # 2 (four classrooms) and building # 5 (twelve classrooms), plus five rooms in building # 6 were thoroughly cleanedyesterday including disinfection of flat classroom surfaces. Duraclean also cleaned the mechanical chases in building # 2. The chases inbuilding # 5 and # 6 were cleaned by Facilities Services crews.
One dying rodent was encountered in the courtyard between building # 5 & # 4 last evening ...... t was captured, bagged and placed in
the trash-can next to MER # 5-191 for Pest Control pick-up this morning.

Jim & Ms. Strachan .... FYI ........ 1was just notified by the Palm Beach County Health Department that a reinspection of the campus has been scheduled for 10:30 am today. I will be meeting the PBCHD inspector (Selva Selvendran) at the main office.

I have had several complaints from the teachers in pre-K wing. The following rooms were not cleaned: 2-101, 2-104, 2-103. Will you cleanthose rooms as well tonight?
