Who is this Guide for?

This guide will walk you through the hardware and software setup of TouchBistro Pro. This guide is intended for an IT specialist, someone who has experience running CAT5 Ethernet cable and setting up computer hardware and Internet connectivity.

It is important to follow this guide in the order of steps. Skipping a step will result in the failure to setup TouchBistro Pro properly.

It may be helpful to follow the steps by printing out this PDF. If you do work from a paper copy, be aware there are several hyperlinks in the PDF to web pages with additional information.

Hardware Requirements

Your Mac Mini configuration varies depending on how many iPads you’ll be using.

TouchBistro Pro will not run adequately on the low end 1.4GHz Mac Mini. If you have an older 2.5GHz i5 Mac Mini with 8 GB RAM and a 500GB drive, TouchBistro will work adequately on that machine for an up to 2 iPad solution.

You will also need a Monitor (w/ HDMI compatibility), a Keyboard (USB) & a Mouse (USB). You will need to keep these items on site at all times to update the software as well aid TouchBistro support should they require you to access your Mac computer.

Your Mac computer MUST BE HARDWIRED through an Ethernet connection. An Ethernet cable must be run from the Mac to your Airport Extreme Router.

Using Other Mac Computers

Most multiple iPad TouchBistro solutions are built around the Mac Mini as it offers the smallest possible footprint and lowest possible price. However, you may run TouchBistro Pro on the iMac or Mac Pro as long as they have the same or better specs than the ones listed above (minimum 2.6GHz dual core processor and able to support an SSD Flash Drive).

You should not run TouchBistro Pro on a MacBook. The computer you run TouchBistro on must be hardwired to your router via a CAT5 Ethernet cable. The MacBook does not have an Ethernet port.

Ensure your non-Mac Mini solution comes with a monitor, keyboard, and mouse (or other pointing device).

Where to place all the hardware

Server: Place the server in a safe place within your venue. The server will only be used occasionally, but should be in an accessible place (e.g., an office).

AirPort Extreme: Find a central location in the venue where most of the iPads will be used. Place the AirPort Extreme there.

Printers: Place the printers in the location that is best for service staff and kitchen staff to print out kitchen chits, bar chits, and customer receipts.

Modem (from ISP provider): Have this only plugged into the wall for power. Do not plug any Cat5e cable from this device into the AirPort Extreme / Express until the very end of the setup.

Additional AirPorts: If you’re using multiple AirPort routers to extend your wireless signal place them in locations 10-20 feet (3-6 meters) away from the main AirPort.

iPad

The following iPads are supported by TouchBistro. TouchBistro recommends always purchasing the latest iPad. Consult this chart for our recommendations regarding suitability for use with TouchBistro Standard/Pro or for use in a food truck. Shaded rows indicate the iPad is for sale at the Apple site and recommended.

If your non-food truck venue has access to cable or ADSL Internet (for example, quick serve restaurants or restaurants with tableside service), purchasing iPads that support cellular connectivity would be an unnecessary expense for non-food truck venues. Food trucks with a cellular router are also advised to purchase the Wi-Fi only model. For a greater discussion of hardware requirements for a food truck,

iPad vs Mini?: We do not recommend the Mini for use as a fixed POS. The full-sized iPad offers a better experience. However, venues that offer tableside ordering might consider the Mini for use by servers. Food trucks with limited counter space may also consider using the Mini over the full-sized iPad.

iPad2: we do not recommend sourcing used iPad2s. Performance under iOS8 may be unacceptable.

iPad with Retina: also known as 3rd and 4th generation iPads.

iPad Mini 3: The Mini 2 and Mini 3 have equal performance specs. The Mini 3 has an additional fingerprint identity sensor, which TouchBistro does not support.

Although other routers may work with TouchBistro, TouchBistro’s Support Department will only support:

1. Apple Airport Express (Standard solution with a single printer)

2. Apple Airport Extreme (Standard solution with two or more printers, Pro solution)

Even if you only have one printer (a receipt printer), we recommend purchasing the Extreme, as it allows you to expand in future: for example, plugging in an additional printer or another router to improve coverage.

Notes

Ethernet printers require an Ethernet cable run from each printer to the Airport Extreme Router.

USB/PARALLEL/IDN PRINTERS are NOT compatible with TouchBistro and will not work. See Do I have the Right Printer? for help determining if your printers work with TouchBistro. Using an adapter that turns your serial, USB, or parallel port printer into an Ethernet plug will not work with TouchBistro.

We also support the Star Kitchen Buzzer.

Cash Drawer

TouchBistro supports the MMF Val-u-Line Series. It needs to be one of the printer-driven models (MMF-VL1616E-04/MMF-VL1616E-06) which uses an RJ12 connection. This connection looks similar to a telephone jack/cable but requires a special RJ12 cable. It goes from your printer to the back of the cash drawer. TouchBistro may work with printer-driven cash registers sold by other companies, however, for guaranteed compatibility TouchBistro suggests the MMF Val-u-Line Series.

APG

If you purchase a non-MMF cash drawer (e.g., the APG line), ensure you purchase the manufacturer’s recommended cash drawer cable. Not all cash drawers use the RJ12 cable.

TouchBistro Installation

This document will help you get your venue ready before your over-the-phone or on-site installation session. It’s important you’ve completed Steps 1 through 8 before the install technician calls or arrives onsite. Failure to have your venue ready for installation may result in the need to reschedule and an additional charge may apply.

Before Installation Checklist

Step Description Completed

1 Ensure you have an Internet connection onsite.

2 Have all TouchBistro hardware out of the box, and in place where you would like it all to go.

3 Ensure all Cat5e wiring (that is the Ethernet cables that connect your modem, routers, and printers) has been run to the proper locations. This step may be eliminated if your onsite install package includes wiring. This must be confirmed prior to the install technician’s arrival onsite.

4 Have TouchBistro downloaded on all your iPads. It's available from your iPad's Apple app store.

5 Ensure you have an HDMI Monitor, HDMI Cable, USB Keyboard and USB Mouse available to setup and use your Mac Mini computer if you're going to be using TouchBistro Pro. This is mandatory requirement to proceed with installation.

6 Please go through the basic setup of the Mac Mini computer.

7 Download TeamViewer www.teamviewer.com/en/download/mac.aspx) and install it on your Mac Mini.

8 Have your Apple ID and password ready.

Before you Begin: Determine the Venue's Wiring

The diagram below show the complete wiring and setup of TouchBistro Pro. Internet connectivity is required if you are using an integrated payment processor. This setup guide assumes your Mac Mini will be connected to the Internet.

These diagrams show the wiring and ports all devices would plug into.

Note: You will need sufficient CAT5 Ethernet cable to run between:

☐ Mac Mini to Airport router

☐ Modem to Airport router

☐ Airport router to printers (required if you're not using an Ethernet switch)

☐ Airport router to Ethernet switch (optional)

☐ Ethernet Switch to printers (optional)

Ensure Ethernet cable lengths account for mounting. Hence, if you're running a cable from the router to a distant printer, add an extra 12' (6' on each end) to account for distance from floor to desk/shelf/bar

Step 1 - Get an Apple ID

Via an iPad or other computer with Internet access, apply for an Apple ID or have the owner apply for an Apple ID. It’s recommended you not use a personal Apple ID or the Apple ID of an employee. Using a personal Apple ID exposes personal activity to other users of the iPad. As well, it does not allow the license owner to transfer their ID to a business partner. Note this ID and password down some place safe.

Step 2 - Set Up Your Mac Mini Server

1. Plug your HDMI monitor, mouse, and keyboard into the Mac Mini. In the above example, we're using a wireless keyboard but you can use a wired keyboard.

Note: Ensure this hardware is on site at all times. It's required to update future versions of TouchBistro Pro as well as help TouchBistro support diagnose problems. If space is tight, the monitor, keyboard, and mouse can be removed after everything is complete. However, as, noted, these items need to remain on site and be easily accessible for updating and support access.

2. Give it power and turn it on.

3. Run through the setup wizard. Have your Apple ID ready. (Please note Apple ID is NOT Required to complete this step)

4. For the account name, we recommend putting the name of your venue for the full name.

5. Note down the password entered here.

6. It will take several minutes to create an account.

7. Disable sending usage data to Apple. *Optional*

8. Once the initial set up is complete. Click Done.

Step 3 - Configure Your Airport Extreme Router

If you have multiple AirPort routers, follow these instructions for the router you'll be using for your actual network. See below for how to optionally add additional routers to extend your network range.

1. Power on the AirPort Extreme Base Station by plugging it into an electrical socket.

2. From your Mac desktop's menu bar, click Go | Utilities.

3. Open Airport Utility.

4. In the top left of the AirPort Utility dialog click on Other Wi-Fi Devices.

5. Click on the AirPort Extreme found. It could take 2-3 minutes for your Mac to locate your new AirPort.

6. It will take your Mac 2-3 minutes to gather information about your AirPort.

8. Enter a password that is easy to remember. And then type it in again. Write this password down.

10. For now, we won't connect the router to the Internet, so click Next. Not all Pro configurations require an Internet connection. However, if you are using an integrated payment processor, you will need an Internet connection.

19. After AirPort Utility updates your router to ignore the first issue, repeat this procedure on the remaining two issues.

20. Remember, AirPort Utility takes several minutes to update your router each time you ignore an issue.

29. Connect an Ethernet cable from your Internet modem's LAN port to the WAN port of your AirPort Router.

33. Wait until you get green lights on your router and AirPort Utility. You can now test your Internet connectivity. Launch a browser and access a web page like TouchBistro.com or CNN.com.

It's important to setup your router, initially, for a local Wi-Fi solution in case you lose Internet access. If the venue suddenly loses Internet access, TouchBistro Pro will still operate via the router's initially configured local Wi-Fi connection. However, if you have an integrated payment solution, you will not be able to access your payment gateway until your Internet access is back up.

It's always good for to have a "paper service" backup plan in-case you lose Internet access. Consult your payment provider (e.g., Moneris, Mercury, etc.) for paper service options. For example, card imprinters (colloquially known in the restaurant industry as "knuckle busters") and carbon-backed paper slips maybe be offered.

Step 4 - Return to Setting up your Mac Mini Server

After running through your Mac Mini's setup wizard and router setup, you now need to prepare your Mac Mini to run the TouchBistro Pro application.

1. Click on the App Store to open it.

You now have to reserve the Mac Mini's MAC address on your Airport Router.

1. On the Mac Mini Server open the AirPort Utility.

Do Not Use This Router for a Guest Network or Any Other Kind of Network Using Device

TouchBistro does not recommend enabling a guest network (for, say, customers) on the same router that is being used for TouchBistro connected devices. This is to ensure speed, security, and easy troubleshooting when dealing with TouchBistro support. Do not add additional devices that would use this network, for example security cameras. Also do not use the network with bandwidth hungry services like music streaming services.

To aid training and support, download and install on your Mac Mini the third party TeamViewer app. TeamViewer allows TouchBistro support to remotely diagnose and correct issues with your server software as well as connectivity issues.

1. You're now ready to install TouchBistro Pro on the Mac Mini computer.

2. Locate the email from TouchBistro that indicates the venue User Name and Password.

4. Visit cloud.touchbistro.com.

5. Enter the User Name and Password.

6. In Step 2, download the pro server app. (After setting up TouchBistro, the cloud site will become active. Updates to the Pro Server app can be found under Account Settings.)

7. When the download is complete, access your task bar and open it up.

8. If you're prompted with a security warning, click Open.

Optional Setup

Extending the Network

Checking for Proper Signal Strength

There are a number of free Wi-Fi analyzers available for free for iPads, iPhones, and Android devices. Visit the App store or Google Play and download a Wi-Fi analyzers.

After installing and launching your Wi-fi analyzers, move around your venue and test signal strength. Test, particularly, other floors as well as rooms that may be walled off with brick or some kind of heavy masonry. Your iPads need a signal strength of -60 dBM or better to eliminate the risk of disconnection errors.

Extending

If one AirPort does not provide good coverage to all areas of the venue, you need to extend the network with one or more additional Airports. Determine where the extending Airport will provide the best additional coverage and then purchase an Ethernet cable of sufficient length to run between the original Airport and the extending Airport.

Note

Do not use a wireless range extender or try to extend two or more Airports wirelessly. You run the risk of packet loss. The only fail-safe method for reliably extending your network is physically wiring via Ethernet cables.

If you need to add additional Airports, repeat these steps. Daisy chain always LAN from the previous Airport to WAN on the new Airport. Connecting Airports this way connects them in series. If an Airport goes down in your daisy chain, Airports chained AFTER the failed Airport will become unavailable.

Step 8 - Set Up a Star Micronics TSP100 Series Thermal Printer

1. Plug in your thermal receipt printer and load it with paper (don’t forget to close the lid after loading it with paper):

2. Plug in your printer’s power cord into the back of the printer and then into an electrical socket

3. Do not turn your printer on yet.

4. Connect your thermal receipt printer

5. Plug the Ethernet cable provided with the printer into the Ethernet port on your printer.

6. Plug your Ethernet cable into your AirPort Extreme. Plug it into the port with double arrows. Do not plug it into the WAN port. That port is used to connect to your Internet modem.

7. Get your thermal printer’s current IP: Hold down the printer’s feed button and then power it on. Keep the feed button depressed until you hear your printer make a noise. Release the feed button. It prints two papers.

Note: If you're using a TSP100III, release the feed button when the blue ready light starts to blink.

8. Ignore the first print out. The second print out has the printer’s IP address. Keep this paper handy. You will need it shortly.

14. Tap Receipt. (If you’re repeating this step to set up your kitchen printer, tap Kitchen this time.)

15. In the Printer IP field, enter 10.0.1.201.

16. NOTE: If you add an additional printer later, increment the final portion of the IP address by 1 for the new printer. For example, if later you add a kitchen printer, enter 10.0.1.202 for the kitchen printer. It’s important to not duplicate an IP address or enter an IP address less than 201.

17. Under Printer Model, ensure your printer is selected, that is a checkmark appears next to it. If you are setting up your receipt printer, the default selection Star Micronics Thermal (TSP113L/TSP143L/TSP600 II) is the correct selection. You can leave this as selected.

18. Tap Program Printer.

19. In the Current IP field, enter the IP from the printer print out (found under Current IP Parameters Status). Only enter the number portion. Do not enter (DHCP) or (STATIC).

Step 9 - Set Up a Star Micronics SP700 Series Impact Printer

The Star SP700 impact printer does not come with an Ethernet cable included in the box. The printer, usually used to print your kitchen orders, is typically located some distance from the AirPort router it needs to be plugged into. Neither Star nor TouchBistro can provide a cable long enough to address all possible situations. Before you begin setting up your kitchen printer, you will need to purchase an Ethernet CAT5 cable long enough to connect between your printer and your AirPort router. Typically, you’d measure along the floor from your AirPort router to the location for the kitchen printer. Then add an additional 12 feet (a bit less than 4 meters) to account for above floor mounting.

1. Connect the Ethernet cable to the back of the printer (insert it into the Ethernet port) and then plug it into one of the available Ethernet ports on your Airport Extreme. Do not plug it into the bottom WAN port.

2. Put your finger on the Feed button and click the power switch on. Do not release the Feed button until your printer starts to make some noise. Release the Feed button when your printer starts to make some noise. It prints two papers.

3. Keep the second paper with the IP address.

4. Go to the iPad.

5. Open TouchBistro.

6. Load your restaurant.

7. Log in as Admin.

11. In the Printer IP field, enter the IP 10.0.1.20x where x increases by one for each printer you add to TouchBistro. For example, if you’re adding a kitchen printer, you’ve probably already added your receipt printer and given it the IP 10.0.1.201. The kitchen printer is likely the second printer you’re adding to TouchBistro so give it 10.0.1.202. It’s important to never duplicate an IP used by another printer and never give it an IP where the final block is lower than 201.

12. Under Printer Model ensure Star Micronics Impact – SP712ML / SP742ML is selected, that is a

checkmark appears next to it.

13. Tap Program Printer.

14. In the Current IP field, enter the IP from the printer print out (for example, 10.0.1.5).

15. Leave all the other fields as defaulted.

16. Tap Begin Setup.

17. Tap Close after TouchBistro has re-programmed your router.

18. Wait until your printer’s light is green and then tap Print Test Page. Ensure a test print out comes out of the printer.

19. Tap Done.

20. The completed printer will now have the IP address next to it.

21. You can now return to your floor plan.

22. As a final test, test the printer by sending an orders to that printer.

NOTE: this must be done on all Star Micronics sp700 printers.

Tap Pro Server. The Pro Server screen allows you to upload your newly configured restaurant to your Mac server. You can then sync your other iPads.

Uploading Your Restaurant

1. Enter the IP address and Port of the Mac computer running Pro Server.

Step 12 - Connecting Additional iPads to the Pro Server

If you need to add an additional iPad to your restaurant you need to connect it to your Pro Server and get the restaurant and menu synched to the new iPad. Follow these steps:

Before You Begin

1. Ensure your new iPad has TouchBistro downloaded and installed on it.

2. Ensure your new iPad is connected to your TouchBistro network before attempting to connect to the server.

3. Open Pro Server and locate the IP address Pro Server has reserved. Copy this IP address down, make sure you include the :1337.

Connecting

1. On your new iPad, open TouchBistro.

2. If you see a Pro Restaurants tab, tap it. Do not open any existing restaurants.

3. Tap Connect to TouchBistro Pro Server.

Best Practices

1. Ensure the Mac Mini and the iPads are dedicated for use with TouchBistro. You may experience unacceptable performance lags if you load up your Mac Mini and iPads with additional apps or use the hardware to play music.

2. Leave Wi-Fi off on Mac Mini.

3. Make sure iPads and the Mac Mini are powered down at the end of each service day.

4. Once installed, you and the staff should not unplug and move around the hardware.

5. If you have contacted your Internet Service Provider for a problem with the Internet, do not allow them to make any changes to the network you setup in these instructions.

Setting Up the KDS

The TouchBistro Kitchen Display (KDS) is a kitchen display system for use with the TouchBistro POS app. You can have menu items sent to the KDS instead of a traditional chit printer.

Getting Your iPad Ready

On the iPad you’ve installed the KDS, ensure it’s connected to the same Wi-Fi router as your iPad(s) running TouchBistro.

1. Tap Settings.

2. Tap Wi-Fi.

3. If Wi-Fi is not enabled slide Wi-Fi to the green position.

4. Under Choose A Network, locate your TouchBistro network.

Reserve Your KDS iPad's IP Address

The iPad with TouchBistro talks to the iPad with the KDS by addressing the KDS iPad's IP address. By default routers will randomly assign any available IP address to your devices and will change these IP addresses from time to time. Hence, you need to set a static, never changing IP for the iPad with the KDS so the iPad with TouchBistro always knows which IP address to address. To do this you reserve an IP address on your Airport router for the iPad running the KDS.

5. Open Settings again on the iPad with the KDS.

7. Write down the Wi-Fi address. This is your MAC address. It is very important to copy down the correct case (hence, write down an uppercase letter if the address letter is upper case). You will need this MAC address shortly.

15. In the IPv4 Address field, enter an IP address where the last three numbers are greater than 100. For example, enter 10.0.1.101. If you add another KDS at a later time, increment the final three numbers by one. So a second KDS should have the IP 10.1.1.102 reserved.

16. After adding the MAC address and deciding on an IP address to reserve, tap Done several times.

17. When you are prompted to Update your router, tap Update.

5. To set up your Kitchen Display System (KDS), tap Printers & KDS.

6. Tap the Add button on the top right.

9. Enter the IP address you wrote down in the Display IP field.

10. Tap Test Kitchen Display. You will get a “Test Successful” message on both TouchBistro and the KDS.

11. Tap OK and Done.

3. Select a category you wish to use the KDS instead of a chit printer. Alternatively, tap Add to create a new category for menu items to be sent to the KDS.

4. In the Menu Category Settings area, if a printer was previously setup, set the Printer option to Don’t Print.

5. Tap the Printer setting and then slide Do not print this item to the green position.

6. Tap Done. You will be returned to the Configure Menu Categories page.

Configuring the Customer Facing Display

The Customer Facing Display settings work in conjunction with the TouchBistro Customer Facing Display (CFD) app. If enabled, as you enter items into your Point of Sale/Register screen, the TouchBistro CFD app mirrors the current order and order summary portions of the register screen, offering customers details about what they are ordering and the amount owed.

Reserve Your CFD iPad's IP Address

If you have multiple iPads, you need to select one iPad to act as the cash register iPad. This is the iPad you will typically want to use in cash register mode, open the cash drawer, and address the CFD.

The iPad with TouchBistro (heretofore called the Cash Register iPad) talks to the iPad with the CFD by addressing the Cash Register iPad's IP address. By default routers will randomly assign any available IP address to your devices and will change these IP addresses from time to time. Hence, you need to set a static, never changing IP for the Cash Register iPad so the iPad with the CFD always knows which IP address to address. To do this you reserve an IP address on your Airport router for the Cash Register iPad.

1. Open Settings again on the iPad with the CFD.

3. Write down the Wi-Fi address. This is your MAC address. It is very important to copy down the correct case (hence, write down an uppercase letter if the address letter is upper case). You will need this MAC address shortly.

9. Tap New Reservations.

10. In the Description field, call this reservation CFD. If you plan to have multiple Cash Register iPads connecting to other CFDs, call your first reservation CFD1.

11. In the MAC Address field enter the MAC address you copied down.

12. In the IPv4 Address field, enter an IP address where the last three numbers are greater than 119. For example, enter 10.0.1.120. If you add another CFD at a later time, increment the final three numbers by one. So a second CFD should have the IP 10.1.1.121 reserved. (If you installed the KDS, we recommend using the 10.0.1.101-10.0.1.119 block for KDS reservations.) Note, your Airport router cannot connect to more than 50 devices. That includes iPads, kitchen displays, and customer facing displays.

13. After adding the MAC address and deciding on an IP address to reserve, tap Done several times.

14. When you are prompted to update your router, tap Update.

15. It will take a few minutes for router to update. Wait until the yellow indicator under the pictured Airport changes to green.

This field reports the IP address for your iPad. If will be the IP address you just reserved (e.g., 10.0.1.120).

When you launch the CFD for the first time you will be prompted to enter this IP address into the CFD’s setup screen.

Wi-Fi Network Name

Your Cash Register iPad must be on the same network as the CFD. You can use this field to see what network the iPad with the CFD needs to be set for.

Connected Displays

You can have your Cash Register iPad address more than one iPad running the CFD. This field indicates how many CFDs are connected to this iPad.

Displaying Your Logo

Tap Logo to add your venue’s logo. For best results, your logo should be incorporated into a banner image scaled for 500w x 65h. The CFD supports images with transparent backgrounds. Tap Back to return to the Customer Facing Display main page.

Font Color

Tap the color box to select the desired color of the messages. Use the color control to manually select a color. Use the shade slider at the bottom to lighten or darken the color. You can also specify a color by inputting a hex value.

Tap Save when you’ve selected a font color.

Font Size

Use the font size slider to increase the default font size used on your payment screen. If you are finding your menu item names are too long, you can setup TouchBistro to use a short name on the Menu Item screen. The CFD will use the short name instead.

Brand Color

Tap the color box to select the desired color to back your message and logo. Use the controls to manually configure a color or enter the hex value. Tap Save.

Show Takeout

By default, items check out under Orders (Takeout, Delivery, and Bar tabs) will not display on the CFD. You can enable their display with the Show Takeout option.

Orientation

You can use the CFD in either landscape or portrait mode. However, CFD makes best of use of your attached images when your iPad is in landscape mode.

Resetting TouchBistro CFD IP Address

Note, when you install the TouchBistro CFD, a settings option for the app is added to your iPad Settings screen (accessible when you tap the Settings icon on your iPad home screen).

Scroll down various settings options to see the TouchBistro CFD settings option.

If the IP address of your TouchBistro iPad changes, close the TouchBistro CFD. Visit the TouchBistro CFD settings item and slideReset IP Address to the green position. Reopen the TouchBistro CFD and enter the new IP address reported in TouchBistro.

Preventing Customers from Exiting Out of the CFD

You can use your iPad’s Guided Access feature to lock your iPad into CFD only mode. See Prevent Users Exiting TouchBistro or TouchBistro CFD and Accessing Other Apps for step by step help.
