OVERVIEW

This guide outlines the information you need to know about new or improved functionality in Oracle Taleo Cloud for Midsize (Taleo Business Edition) Release 16A1. Each section includes a brief description of the feature, the steps you need to take to enable or begin using the feature, any tips or considerations that you should keep in mind, and the resources available to help you.

RELEASE FEATURE SUMMARY

Some of the new Release 16A1 features are automatically available to users after the upgrade and some require action from the user, the system administrator, or Oracle.

The table below offers a quick view of the actions required to enable each of the Release 16A1 features.

CAREERS WEBSITES

With the 15B1 release this past July, we introduced a new modern Careers Website (CWS) which is fully responsive and mobile enabled. This release further enhances the ability to customize the mobile enabled CWS. Customers can use themes to control colors and fonts used on the mobile enabled CWS. Custom HTML code can also be used so that the header and footer of the CWS can match their corporate site. Finally, this release allows customers to include helpful text above or below a field on the application form. All of these changes provide the new responsive CWS with the same functionality as the original CWS. For customers that have not yet set up a mobile enabled CWS, we encourage you to do so with this release.

CUSTOM THEMES

There are three standard themes available for the mobile enabled CWS. These three themes can now be cloned and customized so that you can select colors and fonts for your CWS that match your corporate colors. You can select colors from a user-friendly color picker or enter the specific hex codes for any colors. There is also a preview button that allows you to see how the selected colors and fonts will appear to candidates before committing to the changes.

STEPS TO CLONE AND CUSTOMIZE A THEME

1. Select Administration, then select Customize Recruit. 2. In the Customize Pages section, there is a new entry called Customize Mobile Enabled Website

Themes. Click the Themes link.

3. Select any of the standard themes, and select Clone from the Action menu on the right.

Note: You may also clone a cloned version.

4. The theme name will be “Copy of…” so change the name accordingly. The name must be unique.

5. You will see many different categories of colors that you can customize, broken up into content colors, button colors, and font colors. Each of the categories listed represents a different component on the CWS. For example, here are some of the content color categories you will see:

6. For any particular category, click on the color and a color picker will appear.

7. Select any of the color boxes, or type a code into the box. You can also click in the large color square to see a slightly different shade of the current color.

8. Click Select when you have found the desired color. 9. Continue updating other colors. 10. Scroll down near the bottom to select a font family. The appearance of the font (bolding, etc.) is

controlled by Taleo Business Edition.

Note: If the candidate’s browser doesn’t contain the selected font family, the default font for the browser will be used.

11. When you are ready to see your changes, click the small drop-down next to the Preview button at the top or bottom of the screen. Select the CWS for which you would like to preview the theme. If you have more than one mobile enabled CWS defined, the Preview button will remember your choice while customizing the theme so that you don’t have to select the CWS every time. Instead just click the Preview button.

12. The Preview window will render your new colors on the main search page of the CWS. You can traverse through the entire CWS to test all the pages.

Note: The Preview window is a ‘live’ version of your Careers Website. If you create candidate records in this preview, they will be created in your Taleo Business Edition zone. To test the various pages of the CWS to verify colors, you may want to log in with a single test candidate each time.

As you hover over different areas on the screen, various pop-ups display so that you can better understand which category you need to change to update that area of the CWS. In the image below, notice that `Preview Mode’ displays at the top to clearly indicate that you are just previewing your CWS. With the mouse over the New Search button, 4 different categories appear to indicate that all of these categories are involved in customizing this button.

13. You may exit the preview and continue with changes as needed. 14. Click Save when you have finished updating your theme.

Once you have set up one or more custom themes, you can apply a theme to any mobile enabled Careers Website.

STEPS TO APPLY A THEME

1. Select Administration, then select Customize Recruit. 2. In the Manage Careers Website section click Edit Settings for the CWS you wish to customize.

3. Select the desired theme from the new Themes drop-down menu.

4. Click Save.

At any point you can customize your themes and any mobile enabled Careers Websites that are using those themes will be updated.

HEADER AND FOOTER

This release allows you to configure the header and footer of your mobile enabled CWS to ensure that it fits in with your website’s overall look and feel. You can do this by adding custom HTML code. To take advantage of the responsive nature of the mobile enabled CWS, your header and footer HTML code should also be responsive to achieve best results.

STEPS TO ADD HEADER/FOOTER INFORMATION

1. Select Administration, then select Customize Recruit. 2. In the Manage Mobile Enabled Careers Website section, click Header & Footer for the CWS in

question. 3. Enter the header and footer text into the appropriate text areas. 4. Click Save when you are done.

TIPS AND CONSIDERATIONS

The custom Header and Footer functionality allows you to enter your own header and footer HTML markup, along with any references to CSS and Javascript. The footer and header areas are unlimited in size and will stretch/shrink as defined by your markup. However, the content you provide is limited to the top and bottom parts of the page <body> section. There is no support for setting or overriding content on the <head> section of the page.

Other considerations:

• Your header and footer should be responsive to achieve best results. HTML markup, CSS and scripts entered into the header and footer sections can conflict with the Taleo content and break functionality of the Careers Website.

• Configure any external resources, such as images, CSS and Script files, to be referenced from a secure URL, i.e. https://<yoururl>.

• Refrain from setting page-wide CSS attributes, e.g. h1, body, p, or specifically overriding Taleo CSS classes.

• Verify your HTML syntax is correct. All opened HTML tags should have matching closing tags. There are free HTML Syntax validators on the web.

• The following HTML tags are not permitted: html, head, body, base, title, header, footer.

DISPLAY TEXT FIELDS

This release allows customers to include additional display text at the field level on the mobile enabled Careers Website applications. This feature provides candidates with helpful information pertaining to the field. Additional text can be displayed above the field label, below the field label, or below the field.

STEPS TO ADD DISPLAY TEXT TO ANY FIELD

1. Select Administration, then select Customize Recruit. 2. In the Customize Pages section, select Mobile Enabled Careers Website Pages. 3. Edit the application component which contains the fields for which you want to add explanatory

text, for example, the Candidate Information component. 4. Edit the specific field for which you want to add a label. 5. Select the Display supporting text for this field checkbox, and then select where the field

should be displayed: below the field, above the field label, or below the field. 6. Enter the text into the text area, using the tools to format the text. HTML can be added as well.

7. Click Submit. 8. Back on the previous page you can see the text that you have added. Below is an example of 4

different fields which have display text.

9. Click Save when you have added text to all of your fields.

TIPS AND CONSIDERATIONS

The option for “Below field” is recommended because the alignment of the adjacent field is impacted for tablet and desktop users when the text is placed above or below the field label. On tablets and desktops the application form displays in a two-column format, so the field either to the left or the right will no longer be aligned.

If your display text is only one line you can edit the adjacent field, choose the Display supporting text for this field option with the “Above field” or “Below field” label setting (depending on where you want the extra white space), and submit. One blank line will automatically be added so that the adjacent field will align properly.

If your display text is more than one line, you can use HTML to align the adjacent field. You may want to thoroughly test the alignment on different devices to confirm the correct alignment.

Here is an example of such code. This code will only add extra space to tablets and desktops and will not add the extra space to phones where the application fields display in a single column, so no extra space is required.

The 21px is for a single row of display text so this needs to be updated depending on the number of rows of additional text on the adjacent field. Also, the field_name_empty_row class should be replaced with a unique field name. You probably want to use the same name as the TBE field, although it doesn’t need to match exactly.

PLATFORM FEATURES

The following features apply to all users of Taleo Business Edition, unless otherwise specified.

SOCIAL SECURITY NUMBER VALIDATION

This release allows customers to enable validation of Social Security Numbers for U.S.-based candidates and employees. Validation will apply upon entry of the Social Security number in Taleo Business Edition, as well as the Careers Website and the Employee Website. The system will check for the incorrect format as well as acceptable ranges for the numbers.

STEPS TO ENABLE SOCIAL SECURITY VALIDATION

1. Select Administration, then select Organization. 2. Click The System & Email Settings.

Check the option Enforce validation of United States Social Security Number.

3. Click Save.

Once set, the system will verify that any candidates or employees with a country of United States or a null value enter their SSN using integers in either of these formats:

• xxx-xx-xxxx

• xxxxxxxxx

Additionally, the number range for each portion must be as follows:

• 1st group: 001-899, no 666 • 2nd group: 01-99 • 3rd group: 0001-9999

Only those employees and candidates with country other than the United States are not validated. The message `Invalid Social Security Number’ will appear if any non-integer characters are entered, or any numbers are not in the correct range.

For existing candidate or employee records, the system will only validate the SSN if the field is changed. In other words, if a user updates a candidate’s address field, the system will not check the SSN. However, if the SSN field is updated the system will check at that point.

EMPLOYEE VETERAN AND INDIVIDUAL WITH DISABILITIES FIELDS ON REPORTS

The two Employee fields `Veteran/Disability’ and `Individual with Disabilities’ are now available on custom reports for any topic containing the Employees table. While these two fields were previously reportable for candidates, they were not reportable for employees. No action is needed for these fields to appear on the topics containing the Employees table, but you may want to edit your custom reports and add either of these two fields if needed.

API ENHANCEMENT

This release includes the following REST API enhancement to support the application.

NEW API RESOURCES --TRANSLATIONS API (ALL ENTITIES)

• A new translations resource has been added to the TBE REST API. • The API can be used to GET the value of a field or set of fields on an entity, for example a

Requisition, in a language or set of languages. • Example: If a Requisition exists in your TBE Zone in several different languages English,

French and Japanese, the translations API can be used to retrieve the Requisition Title, Job Brief and Description in any or all of these languages in a single call.

• The API can only be used to retrieve translations. Only the GET method is supported. • Please refer to the TBE REST API Guide V16A1. The latest REST API Guide is always available

ADDITIONAL CHANGES

RETIREMENT OF TAP MOBILE APP

Due to slow user adoption of the Tap mobile app, the decision has been made to focus development efforts on building out the entire Taleo Business Edition product to be more mobile friendly. The first results of this effort were the responsive Careers Website introduced last July. Continued efforts will be released later this year.

For those customers who did not have the mobile Tap app turned on previously, the option to turn it on has been removed in this release. If you previously had turned on the setting to use Tap, your users can continue to use the mobile app. Please note that there are some known issues with iOS 8 and 9 and these bugs may not be addressed in a future update.

The documentation has been removed from the Help guide, although it is still available on the Resource Center.

INTERNET EXPLORER SUPPORT

As recently announced by Microsoft (view here) beginning January 12, 2016, Microsoft will only support the latest version of Internet Explorer available for a supported operating system. For Windows 7 or 8, the latest supported version of IE is 11.

If you are using an older version of IE, you should consider upgrading to version 11 or switch to another certified browser. From the Internet Explorer menu, select Help>About Internet Explorer to display the version that you are currently running.

Please see the page in the Help guide titled System Requirements for more details about specific browsers.

STATUS TRIGGER NOTIFICATIONS - EMAIL CHANGE

In the last release, status trigger notifications were introduced. If a notification was set up which would email multiple parties, such as requisition owners and requisition approvers, users would receive duplicate emails if they were both an owner and an approver and the same email template was assigned for those parties.

With this release, users will no longer receive duplicate emails. If different email templates are selected for different parties, however, users will receive one of each email.

NEW 2016 W-4 FORM

The Taleo Onboard W-4 Form has been updated with the 2016 information. Any activity templates referencing this default W-4 Form automatically include the new form. Completed activities are not affected.
