Benefits

• Accelerate the processing of annual renewals and day to day registrations

• Assist club officers in maintaining their membership information and calculating fees due  

• Provides members with the ability to amend their own personal details 

• Provides a scalable and flexible application to accommodate the current and future data storage strategies of the ASA and WASA

• Access to reports• Ability to view club financial status

Things to note

• Will replace CMS and current paper based processes

• Is not a system to replace existing club management software e.g. Swim Club Manager

• Will still require signed paper membership forms – Cat 2 only

• Ability to export membership information into club management systems

Virtual Workshops

• Using Cisco Webex• Must pre-book, only 22 places per workshop

– Friday 11th November, 7pm – Sunday 13th November, 2pm – Monday 21st November, 7pm– Friday 25th November, 7pm – Wednesday 30th November, 7pm – Monday 5th December, 7pm– Tuesday 6th December, 7pm– Wednesday 7th December, 7pm

• Each club will have a Club Online Administrator which is the Club Registration Officer that is registered with the ASA

• Initial steps - need to activate the log in details

• Please ensure your registration officer has an email address lodged with the ASA

• To activate your membership input your information – membership number, email, surname– get a e-mail to activate (only valid for 24hrs)

– create a password

– use the system

Things to know• Can only assign rights if the member is a club

officer• Difference between renewals membership screen

and everyday membership screen• Cannot submit renewal data until such a time an

action has been made• Can complete renewals over a period of time –

building a renewals batch• Can only select data protection choices

and website visibility on a new member

OMS for members:• Individual member will be able to view their own

details such as:– Name, address, DOB, email address, data protection

choices, qualifications

• Individual member will be able to amend:– Address, telephone number, email address, data

protection choices, website visibility
