New Features

Changes to Supported Platforms

This release adds support for Office 2016 and Windows 10.

Note: The addition of support for Office 2016 affects all EXO Business functions that interface with Outlook 2016 using MAPI, including activity synchronisation.

Updates to Business Alerts

A new Invert Rule option is available on the Options tab when editing Business Alerts:

Ticking this option means that the Business Alert will be triggered when the inverse of the rule conditions is met; it effectively places a NOT operation in front of the rule conditions.

Also, a new @FREIGHTFREE parameter is available for Save Sales Order, Supply Sales Order and Save Debtor Invoice alerts. This parameter returns 'Y' if the transaction is freight free; otherwise it returns 'N'. This parameter can be used in a rule condition such as:

((STOCKCODE='FREIGHT') AND (QUANTITY * UNITPRICE <> 0)) OR ('@FREIGHTFREE' = 'Y')

Updates to GL Searching

GL Search Templates

This release adds the ability to set up search templates for GL accounts and GL subaccounts. When creating search templates in EXO Business Config, new options for “General Ledger Account” and “General Ledger Subaccount” options are available in the Search Template Type dropdown:

Note: The new types are stored in the TYPE field of the SEARCH_TEMPLATES column as GL and GLSUB. In this release, the TYPE field has been redefined from char(1) to varchar(5).

GL search templates are now available on the standard General Ledger Account Search window:

Note: When used in EXO Job Costing, GL search templates work with the SQL statement to select sales GL accounts profile setting.

New Column on Subaccounts

A new FULLACCOUNT field has been added to the GLSUBACCS table. This is a computed field that contains the full account code, including the subaccount’s parent account.

Bank Feeds in Bank Reconciliations

This release adds interaction between the Bank Feeds and Bank Reconciliation functions in EXO Finance. Transactions that have been matched in Bank Feeds will be

highlighted on the Bank Reconciliation window, indicating that they can be reconciled straight away.

Performing a Bank Feeds Reconciliation

When starting a new bank reconciliation, a new Bankfeed option is available on the New Bank Reconciliation window, if bank feeds have been set up for the selected bank account:

When performing a Bank Feeds reconciliation, all transactions matched by Bank Feeds are highlighted green:

Clicking on a green transaction on one side of the window automatically highlights the matched transaction on the other side.

New Show Matched Items and Show Unmatched Items options are available in the Setup menu to filter the window to show only matched/unmatched transactions.

A new Select Matched GL Items is available in the Tools menu. Selecting this option automatically selects all matched transactions, so they can all be reconciled in one operation.

You can also reconcile matched transactions one at a time by double-clicking on them, or select a group of matched transactions using CTRL and reconcile them all at once.

Unmatched Transactions

Any transactions that have not been pre-matched by Bank Feeds must be reconciled manually. To do this, click on one or more unmatched GL transactions (hold down CTRL to select multiple transactions), then click on the unmatched bank transaction(s) that relate to the selected GL transaction(s). Click Reconcile to remove all selected items from both sides of the Bank Reconciliation window. (If the values do not match, the usual bank reconciliation error message will appear.)

Other Reconciliation Methods

If you perform a Manual or CSV reconciliation on a bank account that has bank feeds defined, this can have an effect on the reconciliation process.

When performing a Manual reconciliation on a bank account that has bank feeds set up for it, pre-matched GL transactions are highlighted in green, as they are for a Bank Feeds reconciliation. Highlighted transactions can be reconciled straight away.

When starting a CSV reconciliation on a bank account that has bank feeds set up for it, a warning message will appear:

If you choose to continue, only unmatched transactions will appear on the Bank Reconciliation window.

Company Search Templates in EXO CRM

Company search templates can now be used on Company Search windows in the EXO CRM module:

New Get Profile Functions

This release adds the following functions to the EXO Business database:

• FN_GET_PROFILE_TYPE

• FN_GET_PROFILE_VALUE

• FN_GET_PROFILE_VALUE_INT

• FN_GET_COMPUTER_PROFILE_ID

• FN_GET_SECURITY_PROFILE_ID

• FN_GET_USER_PROFILE_ID

These functions are equivalent to the existing Get Profile stored procedures, but as functions, they are more useful than the stored procedure equivalents—they can be called from within a computed field or stored function, for example.

Documents on Inwards Goods

The Inwards Goods Receipt and Inwards Goods Costing windows now have Documents tabs:

These tabs behave in the same way as the Documents tabs that are available on other records. You can add and remove documents using the standard document toolbar buttons, and you can attach a document by dragging and dropping it onto the Documents tab.

When creating an Inwards Goods Receipt, any documents attached to the Purchase Order(s) being receipted will be copied to the Documents tab of the receipt.

Integrated Cashbook Update

A Subledger Account column has been added to the Integrated Cashbook:

This column can be used for Income and Expense lines, and lets you specify the sub-ledger source account (Creditor, Debtor or GL) related to the transaction. This change brings the Integrated Cashbook window in line with the Bank Feeds Transaction Entry window that was introduced with Bank Feeds in EXO Business 2015.4.

New Zealand Business Number

For New Zealand installations, it is now possible to enter a New Zealand Business Number on the Company Details section in the EXO Configurator:

Job Costing Updates

Workflow Constraints

Workflow constraints on Job Statuses are now applied when invoicing and crediting jobs. When a job is invoiced or credited, a window appears asking the user if they want to change the job’s status; this window now display only statuses that are allowed by the workflow constraints on the job’s current status. The window also displays “(Lock Job)” next to a status if changing the job to that status will cause it to become locked, i.e. read-only:

Attaching Multiple Lines to a Kit

It is now possible to select multiple lines and attach them to an existing kit on a job in one operation. The option Marked Lines > Attach to Kit has been added to the right-click context menu.

Writing off Lines when Crediting a Job

When a credit note is generated from a job, the system can now ask the user if the credited lines should be written off automatically, depending on the new Write off job lines when generating a credit note User-level profile setting. If this is set to “Prompt”, the user will be asked if they want to write off the affected lines; if it is set to “Never”, lines will have to be written off manually.

Update to the Ledger Posting Process

By default, when posting balance sheet transactions, the branch is set to the default balance sheet branch, as configured in the Business Essentials > General Ledger section of EXO Business Config. A new Retain the transaction branch on balance sheet GL transactions profile setting allows the transaction branch detail to be transferred on balance sheet GL transactions when posting to GL, rather than setting all balance sheet entries to the default branch for balance sheet.

Note: Enabling this setting means that the trial balance by branch will not balance.

After entering a new line on a Creditors Invoice, the line periscope was not available until the user changed to a different line. This issue occurred when EXO Business was run in Windows Aero mode, i.e. running executables with the /AERO flag. This has been resolved.

The Taxable Payments Annual Reports (CITP_TaxReturn.CLF and CITP_Details.CLF) did not calculate GST correctly. This has been resolved; updated versions of these reports have now been added to the default library of EXO Business reports.

- It was not possible to process auto-reversing journals in a previous period. This has been resolved.

- For some instances of the General Ledger Account Search window, after entering text and pressing TAB to open the window, the text would not appear in the Search Key field. This has been resolved.

- After opening a Purchase Order and then closing it, the Purchase Order search screen reappeared, but with the toolbar of the Purchase Order window instead of the search window toolbar. This has been resolved.

New Features

Bank Feeds

This release introduces the Bank Feeds function, which is included in the EXO Finance module. Bank Feeds downloads bank statement transactions using an online service, and matches them to transactions in the EXO Business database. This streamlines the bank reconciliation process by pre-matching transactions before they are brought into the bank reconciliation.

Note: Fair use limits apply to Bank Feeds - an additional fee may be charged when processing large transaction volumes. Contact MYOB for more information.

Bank Feeds can be opened by selecting Bank Feeds from the Account menu in EXO Finance, or by opening the Finance.exe executable with the BF command line option.

Setting up Bank Feeds

The following details are needed to connect to the Bank Feeds service:

• A my.MYOB account – your Business Partner will need to contact MYOB’s administration team with your details to sign you up for an account.

• A Business Reference Number (BRN), which uniquely identifies an EXO Business database – contact your Business Partner for the BRN for your database (they will be given it after your my.MYOB account is created).

Note: See Appendix 2 on page Error! Bookmark not defined. for a step-by-step walkthrough of the process of setting up bank feeds.

Company Details

When you sign up for bank feeds, you will be given login details for your bank feeds account; these will be needed once you begin using the Bank Feeds application. Before this, you must set up the EXO Business system for bank feeds by entering your MYOB customer reference number into the new Business Reference Number field on the Company > Company Details section of EXO Business Config:

Account Details

You must add and set up the bank accounts that you are receiving bank feeds from. Open the Bank Feeds window and click Manage Bank Accounts. The first time you do this, you will be prompted to enter the login details for your my.MYOB account. For security reasons, this must be the specific login associated with this database—if you have another my.MYOB login not yet associated with this database, this will not work. After you log in, the Setup Bank Feeds Account window will appear, showing the details of any bank accounts that have already been added:

Note: This screen is also available in EXO Business Config at Admin > Banks > Bank Feeds (Setup Accounts).

To add a new account, click the Add a bank account button to open the Bank Feed Application window:

Enter the details of the account and click Submit Application. Your application will be submitted and the system will generate a Client Authority Form as a PDF document. You will need to date and sign this form, and return it to the address at the top of the form so that your application can be processed. Any accounts that are pending activation are displayed on the All Applications tab, where you can view their status.

All active bank accounts must be linked with a General Ledger account in EXO Business. To assign a GL account to a bank account, double-click on a bank account, or select it and click Edit. The Details tab appears, where you can enter the GL account to assign to the bank account and save.

Bank Feed Rules

By default, Bank Feeds attempts to match transactions based on their date and amount. You can set up your own rules for matching transactions or creating new EXO Business transactions based on transactions from bank feeds. Set up rules for bank feeds by clicking the Setup Rules button in the Bank feeds module, or configure them in EXO Business Config at Admin > Banks > Bank Feed Rules.

The Setup Bank Feed Rules window lists all rules that have been set up. Rules are listed in priority order—this is the order in which they will be applied to the bank feed transactions. Rules can be re-ordered by dragging and dropping the rule you want to move.

Note: Matching rules (including the default “date and amount” matching rule) are always applied before transaction creation rules; the priority order applies to rules of the same type.

A number of default rules are installed with Bank Feeds; to create a new rule, click New, or select and existing rule and click Copy.

You can set up rules for matching bank feed transactions to existing EXO Business transactions. The Rule Conditions will be used to find bank feed transactions, then the Action Conditions will be used to find EXO Business transactions to match them to.

You can also set up rules to create new EXO Business transactions to match to bank feed transactions. The Rule Conditions will be used to find bank feed transactions, then the Action Conditions will be used to populate the new EXO Business transactions that are created for them. Separate rule types are available for each type of transaction: Debtor, Creditor, Expense, Income or General Ledger.

Transaction creation rules have a Manual option – if this option is ticked, the rule won’t be used to create transactions automatically; instead it will be an available option when creating transactions manually on the main Bank Feeds window (see “Creating Transactions” on page 19).

Using Bank Feeds

To begin matching transactions using Bank Feeds, click the Get Bank Transactions toolbar button to download the latest transactions, then select a bank account from the Accounts dropdown to view the transactions for that account:

New transactions are matched using a default matching rule (transactions are matched if they have the same date and amount) and any custom rules you have set up. Rules are applied in the following order:

1. Custom matching rules (rules with the rule type “Match”) are applied in order of their priority on the Setup Bank Feed Rules window.

2. Any unmatched transactions are matched according to their date and amount. 3. Custom transaction creation rules (rules with any of the “Create ... Transaction”

rule types) are applied to any unmatched transactions in order of their priority on the Setup Bank Feed Rules window.

4. Any remaining unmatched transactions must be matched manually.

Each match must be approved, or you can click Approve All on the main toolbar to approve all matches. Approved transactions will be removed from the list the next time you refresh it. You can see all transactions that have been approved by selecting “Approved” from the Display Transactions dropdown.

If a rule matches multiple EXO Business transactions to one bank feed transaction, a Possible matches found link will appear in the Your Transactions section. Click this link to display all transactions and select one to match the bank feed transaction to.

Details of matched transactions appear in the Your Transactions section of the main Bank Feeds window next to the bank feed transactions they were matched to. You can click Undo to un-approve the match and unlink the EXO Business transaction from the bank feed transaction if necessary. Clicking the icon opens the GL Batch Transactions window, showing the GL transactions that relate to the transaction.

The following options are available for manually matching any transactions that were not matched automatically:

• Click Find to find an existing EXO Business transaction to match the bank feed transaction to.

• Click New to create a new EXO Business transaction to match the bank feed transaction to.

• Select multiple transactions and click Create Transactions on the main toolbar to create new EXO Business transactions to match all of the selected the bank feed transaction to.

Note: If there are any transactions in the list that don’t need to be matched, you can hide them by selecting them and clicking Hide Transactions. You can see the hidden transactions by selecting “Hidden” from the Display Transactions dropdown.

Finding Transactions

Clicking the Find button next to an unmatched bank feed transaction opens the Find a Matching Transaction window:

By default, this window searches for all unmatched EXO Business transactions that are within 10 cents of the bank feed transaction’s amount and within one month of its date. You can narrow or broaden these filters to find more or fewer transactions. Once you have located the EXO Business transaction that you want to match the bank feed transaction to, select it and click Match.

Creating Transactions

To create a new transaction to match a bank feed transaction against, click the New button next to an unmatched bank feed transaction, or select multiple unmatched transactions and clicking Create Transactions.

Select the type of transaction to create from the dropdown menu that appears. Available options depend on the kind of transactions it is—for transactions with a Withdrawal amount, you can create a Creditor, General Ledger or Expense transaction; for transactions with a Deposit amount, you can create a Debtor, General Ledger or Income transaction.

Once you have selected a transaction type, the Bank Feeds Transaction Entry window opens. This window functions the same as the Integrated Cashbook window.

Information from the selected transaction(s) is copied to the grid. Enter all other details and save. The new transaction(s) are created and matched to the selected bank transaction(s).

Invoice Search

If you’re not sure what a transaction relates to, you can right-click on one of its columns and select Lookup Invoice. This copies the text of that column to a new window, where you can select the relevant portion of it to use in an invoice search. Locating the invoice that relates to a transaction can help you determine how the transaction should be matched.

Extra Fields on Works Orders

Extra Fields can now be set up for Works Order headers. The WORKSORD_HDR table is available for selection in the Table name dropdown when adding Extra Fields in EXO Business Config:

A new Extra Work Order Search Fields profile setting is available to add search fields (including Extra Fields) to the Works Order search window. This profile setting functions in the same way as the existing Extra … Search Fields settings.

Updates to Document Management

Document Drag and Drop

EXO Business now supports dragging and dropping any document file onto a record’s Documents tab, in the same way that emails could be drag-and-dropped in previous versions. Dragging a file gives the option to save a link to the document, or to save the document to the database, then opens the Document Manager window where information about the document can be entered.

All records that have a Documents tab support drag-and-drop, including the new Documents tabs on Purchase Orders and Creditor Invoices (see below).

Documents on Purchase Orders

A Documents tab is now available on the Purchase Order window:

Source Documents on Creditors Invoices

This release adds the ability to attach documents to Creditor Invoices. A new Documents tab is available on the Creditor Invoice Entry window; you can add a document by dragging the file onto this tab, as in other tabs.

After an invoice has been added, you can attach a document to it by right-clicking on the invoice on the Transactions tab of the Creditor Account Details window and selecting the new Attach Document option.

Note: Only one document can be attached to each Creditor Invoice. Adding a document to an invoice that already has one attached will result in the new document replacing the existing one.

To view the document attached to an invoice, right-click on it on the Transactions tab of the Creditor Account Details window and select the View Scanned Original option.

To remove the document attached to an invoice, right-click on it on the Transactions tab of the Creditor Account Details window and select the Unattach Document option.

Two new Company-level profile settings affect the process of adding documents to Creditor Invoices:

• Default creditor transaction document source folder – specifies the folder to open by default when adding a document

• Last used creditor transaction document source folder – specifies the last folder that a Creditor Invoice document was opened from.

The last used folder has priority; the default folder is only used if the former is blank.

New Features

Custom Table Extra Fields

It is now possible to add Extra Fields to custom tables using the EXO Configurator. This makes it easier to set up custom tables that you want to access via the EXO API. Custom tables are accessed using the customtable endpoint, which was introduced in version 1.3 of the EXO API—see the EXO API Release Notes on the EXO Business Education Centre for more information.

Note: Custom tables can be created in the EXO Configurator (see page 18), or manually in SQL Server. If you are creating a custom table manually, it must include a primary key field; this field must be an integer, and should be named SEQNO.

When the EXO API is installed, the Extra Fields section in the EXO Configurator contains three subsections:

• Standard Tables – this is the existing Extra Fields section, which allows you to add Extra Fields to a selection of standard tables in the EXO Business database. This section is always available.

• Custom Tables (API) – this is a new section, which allows you to add Extra Fields to custom tables. This section is only available when the EXO API is installed.

• Manage Custom Tables – this is a new section, which allows you to set up the custom tables that Extra Fields can be added to. This section is only available when the EXO API is installed.

To add Extra Fields to a custom table:

1. Open the EXO Configurator and go to the System > Extra Fields > Manage Custom Tables section:

Notifications

The Business Alerts feature can now be used to send notifications to a mobile device using the EXO OnTheGo mobile app. A new Action Type dropdown on an action’s Details sub-tab allows you to select an email message or a device notification:

You can select one or more staff members to receive the notification; the Recipients dropdown contains all staff who have the Allow OnTheGo Access option enabled.

When a notification arrives at the OnTheGo app, it can be tapped to open a related record. The On Arrival dropdown lets you specify which record should be opened when the notification is tapped. The available options depend on the kind of rule being configured—for example, for a rule on the “Save Sales Order” event, you have the option of opening the Sales Order itself, the Debtor account on the Sales Order, or the stock item on the relevant Sales Order line.

The Message Body can include any of the parameters that are available for email actions.

Enhancements to the exo:// URL Protocol

This release adds new features to the exo:// URL protocol. To use these new features, you must replace the exoprotocolhandler.exe file with the version of the file supplied with this release. This must be done on all PCs that use the exo:// protocol.

New Commands

The following new commands are supported by the exo:// URL protocol:

You can use the ?find parameter in place of the ?search parameter as follows (in a URL, the percent symbol must be escaped with %25):

Performance Improvements

This release includes improvements to the system’s performance in several areas:

• The Exonetlib.dll DLL, which manages the connection to the EXO Business database, has been enhanced in this release to optimise the performance of database queries. Using the new version supplied with this release can result in speed improvements of up to 10% across the whole EXO Business system.

• The system’s performance has been improved when adding lines to Sales Orders. This improvement is particularly noticeable when copying Sales Orders and when populating a Sales Order using an Order Template.

• The system’s performance has been significantly improved when using serial numbers on products with large unit counts.

Update Logging

The DBUpdate process no longer attempts to email system information to MYOB on completion; the same information is now sent to MYOB automatically, with no user intervention required.

Changes to Object Locks

This release includes enhancements to the management of object locks, to prevent historical object locks remaining in the system and warning users unnecessarily. The following changes have been made:

• All historical object locks are cleared when the DBUpdate process is run.

• Object locks are now recorded against the staff member’s ID, and the staff member is now displayed on object lock warnings:

• All object locks for logged out staff members are cleared, i.e. all object lock records associated with a staff member are deleted once that staff member’s session ID is not in the list of active session IDs.

Updates to EXO Job Costing

Editing Job Invoices

This release adds the ability to edit invoices generated by the EXO Job Costing module. Users can edit the details of individual lines, delete lines and add new lines. Job invoices are edited in the same way as other Debtor invoices: right-click on the invoice on the Transactions tab of the Debtor Account Details window and select Edit Job Invoice to open the Edit Invoice window.

After making any edits to the invoice on a completed job, the system opens a window giving the option to change the job out of the “Completed” status:

Restrictions

The ability to edit job invoices is controlled by the existing Permitted level of access to debtor transaction editing User-level profile setting. This must be set to “Full invoice editing allowed” for users to be able to edit job invoices at the line level.

Regardless of the profile setting, an invoice cannot be edited if any of the following conditions apply:

• The invoice contains serialised stock items

• The invoice contains batch-tracked items

• The invoice has already been posted to the General Ledger

• The invoice is from a prior period

Editing Job Invoice Line Details

Users can edit selected details of each invoice line; the stockcode and quantity cannot be changed, but all other details are available for editing. This includes the item description, price and discount on each line.

Deleting Job Invoice Lines

Users can delete lines off a job invoice in the usual way—select the line and press the DELETE key. Deleting a line reverses the stock movement for that line, meaning that the stock item is returned to Work In Progress. This change is reflected in the job that the invoice originated from; the status of the relevant line is set back to “Ready to Invoice” on the Costs and Invoice tabs of the Job Details window.

Adding Lines to a Job Invoice

Users can add lines to a job invoice in the usual way—press the down arrow to add a new line then enter the detail. Adding a line to a job invoice creates a new transaction with the default stock location, not the job’s location.

The new line is visible on the invoice if you view it from the Billing Schedule tab of the Job Details window, but it does not appear on the Costs or Invoice tab.

Crediting Job Invoices

User can also credit job invoice by right-clicking on them and selecting Generate Credit for Job Invoice. When crediting a job invoice, users can edit line descriptions, but not stockcodes, quantity prices or discounts.

As with invoice editing, users can now remove lines from the credit, so that only some of the invoice is credited.

Note: Progress invoices cannot be credited from the Debtors Transactions tab; they must be credited from within EXO Job Costing. It is not possible to delete lines from a progress invoice credit.

Un-Write Off

This release reintroduces the ability “un-write off” job lines. The UnWrite-off right-click option is now available on the Costs and Invoice tabs.

Selecting this option generates new stock transactions to reverse the write off transactions and return the stock item to WIP. The sell price is now re-inserted to the price before write off. For periodic inventory systems, the WIP In date is set to the original date; otherwise it is set to the current date. The WIP Out date on the job transaction is set to null. The stock transaction does not affect average cost (because it is into WIP).

Changes to EXO CRM

As of this release, all EXO CRM Advantage features are now available in EXO CRM, and a separate EXO CRM Advantage licence is no longer required. EXO CRM Advantage is no longer a separate product.

The following features, previously only available in EXO CRM Advantage, are now available from the EXO CRM module:

• Users can set up pricing and discounting details from within EXO CRM. This includes access to the Discounts/Prices tab on the Debtor Account Details window and access to the Price Change Scheduler, Price Update Utility and Setup Price Policies functions.

• Users can create a Sales Order directly from EXO CRM, without first having to save it as a quote.

• Users can edit Sales Orders from within EXO CRM, provided they have the status “Not Processed”, “Quotation”, “Standing Order” or “Layby”.

• Users can access the Generate POs button on the Sales Order window to create “back-to-back” Purchase Orders (but cannot create Purchase Orders in any other way).

• Users can create and edit stock items from within EXO CRM, including One-Off Stock items.

• Users can create and edit Bills of Materials in EXO CRM.

• Serial number and batch number searching and tracking functionality is available in EXO CRM. This includes access to the Setup Stock Serial Numbers, Serial Number Tracking and Setup Stock Batch Code functions.

Changes to EXO OnTheGo

As of this release, each core Finance, Job Costing and CRM user licence will entitle the client to one licence to EXO OnTheGo at no additional charge. For example, a client with 5 Finance users and 10 CRM users will have 15 EXO OnTheGo licences. Additional licences over and above the free entitlement can be purchased through the standard order process.

Note: You must also install version 1.2 SP1 of the EXO API to take advantage of these licensing changes.

When EXO Business 2015.x or later is installed, the “EXO OnTheGo Sales” module will be added as a module on the Registration screen of the EXO Business Configurator automatically (if it is not already there). If the client is using free OnTheGo licences only, this module will not contain a Registration Key and will appear red—this is not a problem, and the system will function as normal. If additional licences are purchased, then the “EXO OnTheGo Sales” module will need to be updated with a valid Registration Key.

When consolidating records, the PERIOD_SEQNO in the target database was recorded as that of the source database, which was likely to be invalid. This has been resolved; the system now behaves as follows:

• If a period does not exist in the target database and the profile setting Inter-Company ledger period synchronisation is set to “Do not enforce”, then transactions for that period are no longer downloaded, but other transactions are.

• If a period does not exist in the target database and the profile setting Inter-Company ledger period synchronisation is set to “Enforce”, then the process stops and no transactions are downloaded.

When using the Intercompany Creditor Invoice or Intercompany GL Transaction options in the EXO Business core module, the transaction date details of source transactions are now always copied to the target transaction (on batch headers and lines). The system attempts to determine the period to post into based on the transaction date.

Where a transaction cannot be inserted because the period does not exist in the target database or the period is locked, the user is warned and prevented from proceeding until the situation is resolved.

As a related issue, when opening a suspended batch on the General Ledger Transaction Entry and Intercompany GL Transaction Entry screens, the system ignored the date and period recorded on the suspended batch and set it to the current date and period. This has been resolved.

Support for SQL Server

This release adds support for SQL Server 2012 Service Pack 2 and SQL Server 2014; EXO Business 2015.x has been tested and verified to work on these database platforms.

Note: Microsoft SQL Server 2012 features behaviour that causes the table identities to jump on restart of the server; this will result in sequence number gaps in EXO Business. MYOB recommends consideration of this issue when choosing your database application system.

Changes to Sales Orders

Sales Orders can now be associated with activities, history notes, transactions and documents. These relationships are now displayed on new tabs on the Sales Orders window.

History Notes

History notes can now be added to Sales Orders. Any notes associated with a Sales Order are displayed on the new History Notes tab on the Sales Order window.

Bulk Sales Order Supply Enhancements

This release contains a variety of improvements that make the Sales Order batch supply process more robust.

The following additional checks have been added to the batch supply process:

• Check for object locks on each order.

• Check that the order can be processed (only orders set to “Not Processed” or “Partly Processed” will be processed in the batch).

• Check that the order will not exceed the Debtor’s credit limit.

• Check that the order isn’t on hold.

If any of these conditions are met, the order is skipped. For other conditions that mean that the order cannot be supplied, e.g. if the order’s account is on stop credit or if the order will result in negative stock, the order will open and the user will need to skip the order manually. (In the case of negative stock, depending on profile settings, the user may be given the option of skipping the order or allowing it to proceed.)

To improves the its robustness, the batch supply process checks each order as it is loaded, so that, for example, if an order is opened and supplied by another user while the batch is processing, this will be detected and the order will be skipped in the batch.

Once the process is complete, a summary window is displayed, listing all orders that were not processed and the reasons why:

Clicking Copy Order Numbers copies a comma-separated list of the skipped orders to the clipboard. This list can then be pasted into the Order # List field of the Sales Orders - Extra Filter Options window to display only the skipped orders in the main Sales Order search grid.

Search Templates

Search templates are pre-defined SQL filters that can be applied to stock and company record searches in the EXO Business system. Search templates can take in parameters such as a Debtor account number, so that they can return results specific to one record. Search templates were introduced in EXO Business 8.7 SP2; initially they were only available for use via the EXO API.

Setting up Search Templates

This release adds the ability to create and edit search templates using the EXO Business Configurator, in the new Business Admin > Search Templates section:

The Active check box lets you mark a template as active or inactive. Inactive templates are not available for selection on interfaces that support search templates.

The Preview sub-tab displays the results of a search using the entered SQL statement, while the Generated SQL sub-tab displays the SQL statement that will be generated from the query on the Query sub-tab—if any problems are detected with the query, this can be used to debug them.

The Available for Forms section lets you specify which EXO Business forms the search template will be available on, and whether or not it should be available via the EXO API. The Available to Users section lets you specify which users the template should be available to; an Available to All Users option is also available.

Suggested Quantities

Stock search templates can return suggested quantities for stock items. When searching for a stock item on the Stock Search window (see page 50), stock quantities will default to the suggested quantity if one is present.

To use suggested quantities, a field named SUGGEST_QTY must be included in the search template query; the value of this field can be calculated however you want.

Using Search Templates

Search templates can now be used to filter stock searches when selecting a stock item for a transaction line, e.g. on a Sales Order or Debtor Invoice.

The Stock Search window contains a new dropdown, which displays all of the search templates that have been defined for Stock searches:

Selecting a search template immediately filters the Stock Search window according to the selected template. The currently selected template is displayed at the top of the window. The new Filter button on the Stock Search window’s toolbar can be used to toggle the filtering on and off.

When a stock item is selected, the Sel Qty amount defaults to the item’s suggested quantity, as calculated by the search template. (The quantity defaults to 1 if the template does no defined a suggested quantity.)

Stock Search Enhancements

Several enhancements have been made to the Stock Search window, in addition to the introduction of search templates (see page 50).

The window now supports multi-select; users can tick the checkboxes next to multiple stock items, and when Select & Close is clicked, all selected stock items will be added as lines to the parent document (Sales Order, Debtor Invoice, etc.) Ticking the checkbox in the column header selects all displayed stock items.

A new Sel Qty column lets users enter a quantity for each stock item before adding them (entering a quantity automatically ticks the item’s check box if it isn’t already ticked). When a stock item’s check box is ticked, the Sel Qty amount defaults to the item’s suggested quantity, as calculated by the selected search template. (The quantity defaults to 1 if the template does not define a suggested quantity.)

Right-clicking on the grid header and selecting Save column settings now saves the grid layout separately for each search template; you can have a different layout for each search template and swap between them.

Sales Order Print and Email Options

This release includes changes that simplify the system for users who commonly email Sales Orders without printing them. A new Email button is available on the Sales Order window toolbar:

This button is always available (unlike the existing Email button on the Sales Order search window, which is controlled by the Sales order form email option profile setting as in previous versions).

A new profile setting is available to prevent the system from prompting users to print Sales Orders whenever they are closed or processed. When the Suppress Sales Order print prompt setting is enabled, no print prompts will be supplied to users. The setting is disabled by default.

Custom Search Fields on Non Accounts

This release adds the ability to set up extra search fields for the Non Account search window. Extra fields are added by editing the new Extra Prospect Search Fields profile setting (EXTRA_PROSPECTS_SEARCHFIELDS). This setting works in the same way as the existing settings for adding fields to other search window; documentation is included in the setting’s description.

Updated Sales Order Report

This release includes an updated version of the Sales Order Listing report (SOHOrderListing.CLR), which adds the ability to include or exclude lost quotes from the report. (Lost quotes are excluded by default.)
