Regional Conference Protocol • Sorors must display their badges to gain access to conference meetings, events
and vendor areas. Only members with badges will be admitted to plenarysessions.

INDIVIDUAL REGISTRATION FEES � Graduate Member – $185.00 regular; $235.00 late� Undergraduate Member – $95.00 regular; $145.00 late� The registration fee includes the Saturday Closing Event; however, you MUST register for
the event for admittance. Most meal events, pre-conference workshops, and specialactivities and events are uniquely priced. Those fees are listed on the REGISTRATIONINFORMATION on page 26.

and late registrations and event fees. All improper registrations will be canceled.� Only registered financial sorors and registered guest(s) may participate in conference activities.� Sorors may not register other sorors using their own login information.� Neither financial nor non-financial sorors may be guests of registered financial sorors at the

Only the authorized chapter officer who remitted the Group Registrationwill receive the registration confirmation for the group.

CANCELLATIONS AND REFUNDS � Cancellation requests must be submitted via email to Soror Toni S. Kendrick, Regional Director
([email protected]) and Soror Lanie Dixon, Regional Technology Chairman([email protected]). All cancellation requests should include your contact informationand documentation supporting your request. Cancellations received by March 11, 2018 MAY beeligible for a refund as all requests must be approved by Madam Regional Director. Aprocessing fee of $35 will be assessed and deducted from the refund amount. Refunds will bereturned via the payment and delivery method by which they were received. There will be noon-site refunds.
� Cancellation requests made after close of registration will not be considered.� No refunds will be afforded to those who violate Alpha Kappa Alpha Policies or Documents
(withdrawal of privilege, suspension) in the period between conference registration and theactual conference date.

SUBSTITUTE REGISTRATION
� All substitutions must be approved and completed in advance. There will be no on-sitesubstitutions.
� A Soror may request to substitute her registration for another Soror. To initiate a substitutionrequest, the originally registered Soror must send an email to Soror Toni S. Kendrick, GreatLakes Regional Director ([email protected]) and Soror Lanie Dixon, Regional TechnologyChairman ([email protected]). Requests must be received by April 1, 2018.
� Please note: The substitute registration selection cannot be changed. The events, workshops,and meal functions the original Soror registered for are what the substitute Soror will receive.
� All transfer of funds must be handled between the sorors involved.

� Conference attendance certificates will be emailed to sorors who attend the conference.� A registered Soror unable to attend the conference may request the Chapter Basileus or
Graduate Advisor (Undergraduate Chapters Only) to pick-up her registration materials andsouvenir during open check-in hours only. The following information will be requiredupon check-in:
o A signed letter from the absent Soror, giving permission to release herregistration materials and souvenir.
o The Soror picking up the registration material and souvenir will be required to presenther financial card and sign a confirmation form.
o Certificates of attendance will not be distributed to sorors who do not attend theconference.
� Registration materials and souvenirs will not be mailed.
CHAPTER DELEGATES All delegates and alternates must be certified by the Basileus prior to registration.

Failure to submit delegate information by Saturday, February 17, 2018 will disqualify the chapter from voting during the conference.
After Saturday, February 17, 2018, any changes in the list of official delegates must be given to the 87th GLRC Registration Chairman by noon, Thursday, April 19, 2018. The Basileus or Grammateus are the only sorors who can authorize a change in delegates or alternates.
All delegates must be certified by noon, Friday, April 20, 2018.

GENERAL INFORMATION AND INSTRUCTIONS The last day to reserve a room is Wednesday, March 28, 2018. The ability to book a room after this date is based on space. The conference rate may not be available.
JEWELS LUNCHEON: Diamond/Golden/Silver Star Forms must be completed for Diamond/Golden/Silver Star sorors initiated in 1943, 1968, or 1993 respectively and postmarked by Saturday, February 17, 2018. For more information contact Soror Carolyn Hunter at [email protected].
SEATING AT MEAL FUNCTIONS Seating for all meal functions will be open on a first come, first serve basis. Exception: Diamond and Golden sorors, as well as select VSG guests will have reserved seats at all functions.
REPORT DEADLINES Please adhere to the requested deadlines for submission of various forms and reports. Deadline dates are generally located on the form. Important note: Regional Recommendations and Regional Resolutions forms must be emailed by Saturday, February 17, 2018.
TRANSPORTATION Yeager Airport is located approximately 5 miles from downtown Charleston. All of the host hotels offer a complimentary shuttle to and from Yeager Airport.
SPECIAL NEEDS Please indicate on the Special Needs and Health History Form if accommodations are needed for those who are physically challenged. Please contact the hotel directly for special room accommodations.
The hotels will not provide wheelchairs or scooters. Scooter and wheelchair rental information is located on the SPECIAL NEEDS AND HEALTH HISTORY form. Please call the company to make arrangements for the scooter and wheelchair rental. Wheelchair accessible seating will also be available during all events.
IVIES BEYOND THE WALL Forms will be accepted for all sorors who have become Ivies Beyond the Wall since the 2017 Regional Conference until Saturday, February 17, 2018. Sorors that become Ivies Beyond the Wall after this date will be accepted at the Soror Services Center until Friday, April 20, 2018 at 3:00 PM. Sorors are reminded that the attire for this solemn ceremony is seasonal white, including shoes. Pants, pantsuits, and hats are not allowed.

Who must receive Graduate Advisors’ Certification?� Candidates for advisor to an undergraduate chapter
� Members of the chapter’s Graduate Advisory Committee
� Sorors in chapter leadership positions (Optional)
� Sorors planning to pursue international offices
What is the Graduate Advisors’ Certification?� LEVEL I – an introductory training for candidates for Graduate Advisor, Graduate Advisory Committee
Members, sorors in chapter leadership positions who have never been certified and sorors who have
allowed their certification to expire (certifications expire after three years on December 31).
� LEVEL II – an intermediate training for candidates for Graduate Advisor, Graduate Advisory Committee
Members and sorors in chapter leadership positions who are seeking to recertify within the effective period
of their certification.
What forms and documents are required for Graduate Advisors’ Certification?� From Applying Soror to Basileus or Grammateus of chapter:
o Review application and sign verification statement
(Sorors who are serving as Basileus or Grammateus who seek to participate in the trainingcannot provide the verification signature for her own application. The Basileus must obtain the verification signature of the Grammateus and vice versa.)

Additional Information
� Sorors must be registered for the conference at which the Graduate Advisors’ Certification Training is to
be received.
� Certification and recertification expire after three years on December 31; you must be recertified prior to
your expiration. Sorors who fail to recertify prior to her expiration will have to complete Level I training.
� If a soror cannot attend the certification training on the dates/location originally indicated on her
application, she may request to transfer her registration to a subsequent Regional Conference (at the
discretion of the Regional Directors) or the Boule provided it is for 2018. A soror must submit a request
for transfer in writing or by email within six weeks prior to the original conference date. Requests should
be submitted to International Graduate Advisors’ Certification Training Committee, c/o ElaineSingh Post Office Box 469, Glenwood, IL 60425.
� Refunds are issued when member is deemed ineligible, withdraws her application or cancels conference
registration and does not transfer to another conference. Refunds are scheduled to be issued after Boule
Seminar.
