in the Page Layout view to get a better idea of how itll print.
Click the View tab, and click the Page Layout button.This view
shows print related details, such as page breaks, and headers and
footers.For more information about headers and footers,see the link
to Insert headers and footers in the course summary at the end of
the course.Its also a good idea to make sure all of the data in
your worksheet is visible on the screen.For example, some of the
dates are too wide for column A, they appear as number signs.If I
dont fix this, theyll print this way.I point between columns A and
B in the column header.Click and hold the left mouse button and
drag it to the right to make the column wider.Now all of the dates
in column A are visible.I click File > Print.In the bottom right
of print preview I click the Zoom to Page icon, to make it easier
to review the worksheet.And the dates are visible.From print
preview you can change many default print settings.Click in Copies
and type the number of copies you want to print.Click the arrow
next to the current printer and click the printer you want to
use.Note that changing the printer may change some of your print
options.Click the arrow next to Print One Sided and click one of
the Print on Both Sides options.If your printer doesnt print on
both sides, this option wont appear.In the Print worksheets and

worksheet and an entire workbook.You can also print specific cells
in a worksheet by selecting the range of cells you want to
print.Click a cell in the corner of the range and drag the mouse
over the remaining cells.To print additional non-contiguous ranges,
press and hold the Ctrl key, and select the additional ranges.Press
the Ctrl+P keyboard shortcut to print.Click the arrow next to Print
Active Sheets, click Print Selection,verify print preview contains
only the cells you selected, and click Print.If youre going to
frequently print the same cells in a worksheet,you can configure
them as the print area for the worksheet so you dont have to select
them every time you want to print. Select the cells, click the Page
Layout tab, click Print Area, click Set Print Area, press
Ctrl+P,and even though Print Active Sheets is selected, you can see
in the print preview that only the print area will print. If you
want to print the active worksheets instead of the print area,click
the arrow next to Print Active Sheets and click Ignore Print
Area.To create print areas on multiple worksheets you use the same
steps.Well cover printing multiple worksheets a little later in
this video.You can also add to the print area.Select other cells on
the same worksheet. On the Page Layout tab, click Print Area, and
click Add to Print Area. You can do this multiple times.To remove
the print area from a worksheet, on the Page Layout tab, click
Print Area, and click Clear Print Area. Repeat these steps for each
worksheet you want to remove the print area from.To print a table
in a worksheet, I click any cell in the table, press Ctrl+P, click
the arrow next to Print Active Sheets, click Print Selected Table,
verify the print preview contains only the table, and click
Print.If you want to print multiple worksheets, click the tab of
the first worksheet you want to print. Press and hold Ctrl. Click
the tab of each additional worksheet you want to print.Click File
> Print, make sure Print Active Sheets is selected, if you
want,click the Next Page arrow to preview all of the pages, and
click Print.To print multiple workbooks, they must be in the same
folder.I click File Explorer and go to the folder that contains the
workbooks, check the workbooks I want to print,right-click the

worksheet is wider than a page by just one column,resulting in six
total pages; the page counts down here.But you want to print the
entire worksheet on three pages.There are several ways to do this
without shrinking the worksheet, possibly making it hard to
read.Which way will work best for a worksheet depends its
dimensions and how you want it to look when it prints. One way is
to adjust the worksheets margins.Click the Page Layout tab, click
Margins, click Narrow.The page to the right is grayed out, meaning
it doesnt contain data and it therefore wont print.The entire
worksheet will now print in full size on three pages.Another way to
print the entire worksheet on three pages is to change the
worksheets page orientation.On the Page Layout tab, click
Orientation, click Landscape,and the entire worksheet will now
print in full size on 3 pages.To use a combination of page
orientation and paper size to make the worksheet fit on three
pages.On the Page Layout tab, I click Orientation, and click
Landscape. Its still six pages.So I click Size, and click Legal.
The entire worksheet will now print in full size on three pages.You
can also choose to shrink the worksheet to make it fit on 3
pages,but be careful that doing so doesnt make the worksheet hard
to read.You can use the Page Break Preview view to configure how
the worksheet will print.Click the View tab, click the Page Break
Preview view. A dotted line indicates an automatic page break.I put
the mouse over it, click and hold the left mouse button,drag the
dotted line to the right, and the worksheets now on 3 pages.Since
we shrunk the worksheet,its a good idea to print preview and zoom
to the actual size of the page to make sure you can still read
it.Click File > Print. Click Zoom to Page in the lower right
corner of Excel,and you can look at the preview and see if you can
still read it.I want to have certain information on the same page,
and I can do this by manually setting page breaks.In the Page Break
Preview view, I click the row I want to set a page break above. You
can also click a column.On the Page Layout tab, I click Breaks and
click Insert Page Break.The manual page break is marked by a solid
line. I select another row and do the same thing.And the worksheet
will still print on 3 pages, but have page breaks where I want
them.You can change the scale of a worksheet to make it print
bigger or smaller.Up here on the Page Layout tab, you can see that
the worksheets scale is 100% and down here that itll print on 6
pages. To make it print on 3 pages, we need to decrease the scale.
Click the arrow next to Width, and click 1 page.This shrinks the
worksheet to 1 sheet wide, which happens to shrink it to 3 pages in
length, just what we want. Again, since we shrunk the worksheet,
its a good idea to print preview to make sure you can still read
it.You can also set the scale to a specific number.1. Click the
scale down arrow until the worksheets the size you want.2. You can
also click in Scale and type a number.Up next, print headings,

Help Here are a few more things you can do with printing in Excel,
including printing headings, gridlines,row and column headings, and
formulas.You can even mimic a watermark and print it.The first row
of this worksheet has labels for the columns. This is referred to
as a header row.Since the worksheets longer than a page, printing
the header row on every page makes the worksheet easier to read.
You wont have to keep flipping back to page one to remember what
datas in a column.Click the Page Layout tab, and click Print
Titles. Click in Rows to repeat at top, and then click any cell in
row 1. The entire row is automatically filled in for me. You can
select multiple rows.You can also select Columns to repeat at left
to have columns repeat on the left of every page.Click Print
Preview, and in print preview you can see that the header will
print at the top of every page.If youve frozen or locked panes and
want to print the top or left pane on every page,see the course
summary at the end of the course for a link to the Freeze or lock
panes course.There are comments in this worksheet. When I point to
the red indicator in the corner of this cell, the comment appears.
When you print a worksheet, you can print the comments at the end
of the worksheet or as they display on the worksheet. To print the
comments as they display on the worksheet, you first have to
display them.Click the Review tab, and click Show All Comments. Now
click the Page Layout tab. Click Print Titles.Click the Comments
down-arrow. You have the options to print them At end of sheet or
As displayed on sheet; click As displayed on sheet.Click Print
Preview, and in print preview you can see the comments on the
worksheet.On the screen, by default, the worksheets pages have
gridlines,making it easier to read across rows and down columns.But
when you print, by default, the gridlines are not printed.To print
gridlines in a worksheet, on the Page Layout tab, under Gridlines,
check Print.Now when you print the worksheet, the gridlines are
printed and its easier to read.You can print row and column
headings. This is 1, 2, 3 and so-on for rows and A, B, C, and so on
for columns. It makes it easier to discuss a print-out if the rows
and columns dont have some sort of sequential IDs.On the Page
Layout tab, under Headings, check Print.Now when you print the
worksheet, the headings are printed.You want to put a watermark on
your worksheet that says confidential.There isnt a watermark
feature in Excel, but you can come pretty close.On the Page Layout
tab, click Background. I already have an image I want to use.If you
dont, you can find one by clicking options such as Office.com Clip
Art and Bing Image Search.Browse or search to find the image you
want, click it,and your worksheet now has a watermark that says
confidential.Or say you want to have a group review of the
equations in your worksheet, to make sure theyre correct.But you
dont want to have to click in every cell that has a formula to do
the review.Instead, click the Formulas tab, and click Show
Formulas.And now all of the formulas, not the resulting values, are
displayed in your worksheet.Print the worksheet, and the formulas
are printed.Now youve got a pretty good idea about how to print
