The exit doors shown on the plan will give direct access into the hall. Parking is free at Sandown for all exhibitors and contractors at Mechanex. 4) Car Parking at Sandown is free of charge for exhibitors and contractors. Exhibitors are able to park on the Grandstand Apron area for the exhibition. Please ensure a completed vehicle pass is displayed in your vehicle at all times. The exhibition vehicle gate will be accessible for exhibitors use for open and build up days. On event open days the gate will be closed approximately 10 minutes prior to the event opening time (10am) and will be opened approximately 10 minutes after the event closing time depending on the amount of visitors still in the halls. event open times for health and safety reasons and are also not encouraged to leave this area. Should exhibitors/contractors wish to leave during event hours they should park within the main car park area. Vehicle movement during open hours of events is strictly prohibited..

5) Stand personnel must wear Exhibitor/Contractor badges at all times. These can be pre-ordered from the show website (www.mechanex.info).

6) There will be members of staff from Hamerville on site during build up, who can

assist your staff during the day and there will also be staff from our contractors on hand to help with your shell scheme or electrical requirements. A service desk will be set up in the exhibition hall.

Please provide the staff who will be building up your stand with the necessary copies of forms that needed to be completed for the shows contractors, for reference on the day, as these should have been returned directly to the contractors. Hamerville do not have copies of these forms so resolving any problems on the day would be made much easier if these were available.

The Organiser’s Office is situated in the Surrey Hall behind stand F1. The contact number in the office, from Monday 6th November, is 01372 461300.

7) Show open times are: Tuesday 7th November 10.00am – 4.00pm Wednesday 8th November 10.00am – 4.00pm However by 9.30am on each morning, we would expect all the ‘finishing touches’ to your stand to be completed and all stand personnel ready to receive any ‘early’ visitors. 8) There has been a change in the law within the Events Industry in regards to CDM

(Construction Design and Management). Sandown Park is enforcing this new legislation. It is very important that you read the CDM Site Induction. Please make sure that you brief all staff working on your stand. If you have any contractors on your stand, they will also need to be given a copy of the CDM Site Information.

Site Induction It is essential that anyone working in and around any CDM site with Sandown Park participates in this induction. This includes all organisers, exhibitors, contractors and Sandown Park staff.

It is important whilst working at Sandown Park that you are aware of the safety rules and procedures that are in place.

All of your contractors and employees are required to read this document prior to working at Sandown Park.

Emergency Evacuation Procedures Please ensure that you are familiar with your nearest Emergency Exits

If you discover a FIRE raise the alarm immediately via the nearest ‘Break Glass’ or by informing a member of staff or Duty Manager

Fire extinguishers & break glasses are located next to each Fire Exit within the Halls

Emergency Evacuation Procedures On hearing the alarm leave the building via the nearest fire exit. Sandown Park staff will evacuate the building. There will be an announcement made following the alarm stating:- “Ladies and Gentlemen we have an important announcement to make. You are requested to leave the building by the nearest available EXIT” This message will be repeated TWICE. Once evacuated out of the building please make your way to either Assembly Point B or Assembly Point C as directed by a member of Sandown Park staff. An announcement will be made when visitors can be re-admitted to the building.

Site Traffic Rules Loading / unloading during Events Report to the security on arrival and follow instructions and directions given Vehicles entering Sandown Park must conform to speed limits (5MPH) and road signs Do not park on double yellow lines or hatched areas Do not park of pavements or pedestrian walkways as this may obstruct pedestrians Slow down when approaching junctions, narrow roadways and in areas of congestion

Avoid obstructing points of access or exit When a pass system is in operation always display your pass in the windscreen

A queuing system for loading / unloading on occasions will be in operation

Site Traffic Rules Loading / unloading during Events Adhere to times allocated for loading / unloading given to you by the organisers. Sandown Park will not allow access without the permission of the Event Organisers.

Once you have unloaded your vehicle you will be directed to a car park

All pedestrians please be aware of vehicles loading and unloading and moving / reversing vehicles including forklifts. Always use designated pedestrian walkways

Vehicles parked in unauthorised areas may be removed by Sandown Park.

Access to the unloading/loading doors is prohibited during Event opening times.

Breakdown Procedure Familiarise yourself with the breakdown procedures and timings as issued from the event organiser. This is key to ensuring the understanding of arrangement and co-operation in maintaining a safe environment.

It is essential that breakdown does not commence until all visitors have left the hall.

Breakdown Procedure Please also be aware of site rules, ensuring that this information is passed on to all contractors and exhibitors working at the TIC. Ø  No persons under the age of 16 are permitted in the exhibition Halls during

these periods

Ø  No vehicles will be allowed to load / unload or enter / exit the venue until authorised by a member of the venue security team

Ø  No large items i.e. pop-up stands or trolleys may be taken through any of the main public entrances. All equipment must exit the building via the fire exit doors at the rear and side of the Halls

Ø  Stands must not be broken down until all public are clear from the hall

Ø  No vehicles allowed with the halls to unload/load at any time

Smoking Sandown Park is a No Smoking Venue. This includes e-cigarettes

Smoking is permitted outside the halls overlooking the Racecourse or the Parade Ring

Site Rules During all event build ups and breakdowns ALL staff, organisers and contractors are required to wear hi vis clothing. It is advisable to wear safety shoes within the CDM site depending on the task you are completing Fire routes must be kept clear from obstruction at all times

No hot works can take place without a hot works permit being issued

Any person suspected to be under the influence of drugs or alcohol will be ejected

Only persons who have received suitable training are permitted to operate plant or machinery (including fork lift trucks) and Sandown Park must see all relevant licenses
