Final Reminder - Please Join Us! Victoria Flying Club AGM - March 5 2015

The Victoria Flying Club An-nual General Meeting has been scheduled for Thursday, March 5 in the VFC pilot’s lounge. The meeting will begin, as it always does, at 6:00pm with wine and cheese. The business portion of the evening gets under way at 7:00pm.

What Happens at the AGM?

The purpose of the Annual Gen-eral Meeting is to provide an opportunity for discussion and decision making amongst club members. As a not-for-profit organization, we are governed by an elected volunteer Board of Directors. Three of the main functions of the AGM are to re-view prior year results, discuss plans for the current year, and also to establish the board of directors for the upcoming year.

Who is Eligible to Vote at the AGM?

While attendance at the AGM is open to all members, voting priviliges are extended to those with Sustaining Memberships and Life Memberships only. If you have been a member in good standing of the Victoria Flying Club for 24 consecutive months, then you are eligible to apply to become a Sustaining or Life Member. Sustaining Mem-bers and Life Members recieve a discount on aircraft rentals, fuel, etc. If you have been a member for 24 consecutive months, please pick up a Sus-taining Member or Life Member application from the VFC office.

How Can You Get Involved?

The Board of Directors consists of a group of Victoria Flying Club members who use their collective knowledge and skills to conduct club business on behalf of all members. They are

governed by a set of by-laws and make decisions regarding aircraft and equipment, facilities, staffing, and various other areas of club business. Sustaining and Life Members are eligible to be nominated for a director position. Nomination forms are available at the VFC office and nominations will also be accept-ed from the floor at the AGM. Directors must be nominated by two other Sustaining or Life Members.

Being involved with the VFC Board of Directors is a great opportunity to contribute to the future of the Victoria Flying Club, and to the local aviation community.

Over the next few months Tracey will be sharing a number of articles which will be relevant to anyone with big dreams and big goals - in aviation or otherwise. Welcome, Tracey! ~CH

INTRODUCTION:

My name is Tracey Burns and I’m delighted to have been asked to contribute to your newsletter on a monthly basis. My intention will be to bring you a coach approach to some leadership topics that I’m hoping you find useful and informative. Some of the topics I will be covering include Goal Setting, Planning & Committing, Getting Un-Stuck, Managing Priorities and a whole lot more! I’m happy to field questions and/or write on specific topics if you’d like to email me at [email protected].

For this first column I thought that I would set a foundation of understanding regarding what coaching actually is. In addition, I thought you might like to know who I am and what my background and credentials are. In future columns it will be all about you and your leadership. Coaches aren’t accustomed to speaking about themselves… we do a lot of listening so this is a rarity.

WHAT IS COACHING?

The International Coach Federation defines coaching as “partnering with clients in a thought-provoking and creative process that inspires them to maximize their personal and professional potential, which is particularly important in today’s uncertain and complex environment. Coaches honor the client as the expert in his or her life and work and believe every client is creative, resourceful and whole. Standing on this foundation, the coach’s responsibility is to discover, clarify, and align with what the client wants to achieve; encourage client self-discovery; elicit client-generated solutions and strategies; hold the client responsible and accountable. This process helps clients dramatically improve their outlook on work and life, while improving their leadership skills and unlocking their potential.

WHAT IS EXECUTIVE COACHING?

Take all of the above and then

add that executive coaching is a partnership between a key contributor and a professionally trained coach that is intended to enhance the executive’s current and future effectiveness while simultaneously working toward specific professional goals. If the individual is working inside an organization then we also take into consideration the individual’s goals and the goals of the organization, making sure that we are aligning the two.

WHAT DO I DO AND HOW DO I DO IT?

I coach high potential individuals to achieve uncomfortable goals, leverage their strengths and sharpen their competitive edge. Like a sports coach, I observe and reflect how you are about what you do and work with you to adopt new behaviour designed to accelerate and improve your results. My coaching method is ontologically based, a cutting edge approach that encompasses an understanding of how our thoughts, physiology and use of language impacts our results. My focus is on an individual’s process, behaviours and habits as they relate to goal setting, outcome creation and process management. The changes experienced as a result of ontological coaching are deeply rooted and profoundly effective.

WHAT ARE MY TYPICAL AREAS OF FOCUS?

I coach leaders to change specific behaviour due to new challenges; implement or create strategy in business; improve communication skills; gain fo-cus, create action and generate results; enhance relationships at work or home. In addition, I also provide Executive Coaching and Consulting to multi-generational business families. My areas of focus there are family dynamics and communication in the con-text of succession and wealth planning.

WHAT IS MY TRAINING AND BACKGROUND?

I currently hold a Professional Certified Coach designation

awarded by the International Coach Federation and am very close to achieving my final designation - Master Certi-fied Coach. I am also a trainer, speaker and facilitator hav-ing developed and delivered a series of communication pro-grams which I wrote specifically for Senior Level Executives. In addition I have trained and led teams of Coaches in San Diego, Seattle and most recently Kuala Lumpur, Malaysia delivering a rigorous twelve month accred-ited Coach Training Program. My fascination with Coaching began while operating my fam-ily owned legal research com-pany. Realizing quickly that my company’s success depended on the health and success experienced by my employees I began reading and research-

ing the skills needed to promote a healthy company culture and discovered the process of Coaching.

Copa Quadrant

The February 3rd meeting of COPA was held at VFC and was once again very well attended. John Lewis of the BCAM talked about the history and development of CYYJ and brought along a quite a few archival photos, particularly of the airport as a base for the RCAF, RAF and even American trainees.

Our next COPA Flight 6 meeting is on Tuesday March 2nd. There will be a presentation by Pat Phillips from the Catalina preservation society. The aircraft unfortunately is not ready for public display but is expected to be flying by summertime. Pat will brief us on the progress made to date. Much has been written on the heritage of the PBY Catalina (see photo below) and its obvious impact on aviation worldwide. It was indispensible in WW II and our own airport provided a base for

a whole fleet of Catalinas.Once again we will meet at VFC lounge until further notice. Meeting starts at 7 PM and anyone interested is invited to attend. For further information, contact [email protected].

Our April meeting will be a presentation on IFR from VFC Assistant CFI Jason Stewart. The presentation will be a question and answer session about obtaining your IFR licence and is IFR right for you.

A fabulous SKC was the order of the day for the February 21st flyout to CAH3; it was third time lucky after the failure of the first two attempts because of lousy weather.

We had a sizeable crowd for a winter flyout, primarily private aircraft and at least one Club plane - a good start for what we hope will be well-attended events this year. VFC offers a discount on flyout aircraft and a fuel discount for members with their own aircraft.

The next flyout is planned for Gillies Bay, CYGB sometime in March. Get in on the fun by contacting [email protected] for information on up-coming flyout dates and destinations. The only thing better than flying is getting a discount for doing it!

Moving to the next level of Operational Safety at the Victoria Flying Club By: David Gagliardi, VFC InstructorAs you may be aware VFC has completely revamped its web page. Our new site has greatly increased functionality and so early in the new website development process, the Board of Directors (BOD) and the Manager decided it would be the primary vehicle to gather and disseminate all safety related information.

Central to the goal of increasing operational safety at VFC is moving towards a formal Safety Management System (SMS). These systems are designed to link all parts of the operation so hazards are proactively identified, captured, analyzed and a holistic corrective action plan is developed with a persistent review process to ensure that the hazard does not reappear.

Obviously we cannot manage what we are not measuring so a key part of the program is a hazard/incident/accident report system. A simple and short online reporting form contained in the safety tab of the new web site has just gone live and will be the vehicle to allow anyone, member or staff, at VFC to report hazards or events. The form is deliberately generic and the staff and management at VFC want people to report anything that they thing has, or has the potential, to decrease the safety of VFC operations on the ground or in the air. If you are unsure as to whether or not something is worth reporting then please submit

a report anyway. It may not be auctioned immediately but will still represent a data point in the safety database

The value in these kinds of reporting systems is twofold. Firstly an issue which has immediate safety implications will be captured and formally managed with a long term solution. The chance of problems falling through the cracks, or getting forgotten is minimized when there is a formal process and a system of record. Secondly the value of a robust reporting system grows over time as the database is populated. Individual observations may not in, in themselves, be indicative of a potential problem but over time patterns of observations can illuminate systemic issues that are not obvious

However an obvious question is “I just did something that was maybe a little bit dumb and as a result safety may have been compromised, am I going to get into trouble if I report it ? “

The answer is NO.

The header to the safety form has the following disclaimer which is a message that was formally approved by the BOD and the Manager:

“VFC is committed to maintaining a high level of safety in all its operations. Critical to achieving this goal is for VFC to identify and track

hazards and understand how to prevent or mitigate the factors that led to a incident or accident.The Safety Reporting Form is the vehicle which will allow VFC to capture and record hazards, identity necessary corrective actions, and over time build a database which will help prevent the same hazard from reappearing.

The form is intended to be used by any member of VFC and by VFC staff. You should fill out a form if you observe any hazard or have an incident where safety was compromised even if there was no negative result. If you are in an accident VFC staff will request that you submit a form.VFC’s commitment to you:

1. The form will be always be kept confidential and will only be visible to VFC Management. Extracts may be published in the safety section of the VFC website where the information would be of value to the membership. However all information will be de-identified prior to publishing.

2. In order to foster a culture of information sharing, something that is vital to an effective safety programs; VFC has committed to a non-punitive reporting policy. Nothing submitted in a safety form will be used against the person submitting the form.”

Humans make mistakes and it is essential that not only the individual, but also the staff and membership learn from the mistakes people have made. In addition changes to procedures or equipment can often reduce or even eliminate the chance of a mistake being repeated. How-ever again I wish to emphasize this can only occur if the issue is reported.

So a safety form has been submitted, what happens to it ? Well the safety officer (Marcel Poland) will get an immediate e-mail notification that a new safe-ty form has been submitted. He

will review it and may contact you for more information if he has any questions (that is why your contact information is re-quested on the form). It will be assigned a tracking number and he will make a determination as to whether there is a clear and present danger that requires immediate action, or more likely that there is an issue, but more study is needed to determine the best way to handle it. At this point it will be put on the agenda for the next Monthly safety meeting. The safety com-mittee will then develop a short and long term corrective action plan as appropriate and Marcel

will continue to track the item to ensure the corrective action plans are working. Finally he will then strip any identifying infor-mation from the report and post the details on the safety page of the VFC website so that the information will be available to everyone.

Safety is everyone’s responsibil-ity so please review the safety page of the VFC website on a regular basis and submit a safety report if you observe any hazards or have had an event or incident where safety may have been compromised.

APPLICATIONS ARE NOW BEING REQUESTED FOR THE FOLLOWING MONETARY AWARD.

Applications must be received no later than March 31, 2015. The BCAC Awards committee will re-view applications and, if a winner is chosen, make recommenda-tions for approval by the BCAC Board. The winner, if any, will be announced by June 15, 2015 and flying training can commence shortly after that. The Award will be ‘formally noted’ at the BCAC Silver Wings Gala in October.

PRIVATE PILOT - FLIGHT TRAINING --$5,000This Award may be presented an-nually to a deserving High School student in British Columbia to assist in completing their Private Pilot’s License. The student will have shown an interest in Avia-tion and will have demonstrated a commitment to complete Private Pilot training. The application for the Award is to be supported in writing by a PCTIA accredited or registered flight training school in British Columbia.

Basic Nominating Criteria: • For Private Pilot License training only.• High school or flight training aca-demic standing. Mark(s) (attach mark transcripts - copy ok)• Application to include letter of recommendation from a PCITA accredited or registered flight school advising on candidate’s potential to complete the program.• Student will be recommended by a BCAC Member (either the flight school or individual member.)• Student must show some com-

mitment to training and finishing, such as showing a dedicated interest in aviation, a commit-ment to complete the program, completed ground school and/or completed a minimum of 10 hours of flight training.• Student to be between age 16-19.• Student to provide a written nar-rative explaining need/reasoning for financial assistance.

About the Anderson Family Flight Training Scholarship Award

This Award may be presented an-nually to a deserving High School student in British Columbia to assist in completing their Private Pilot’s License. The student will have shown an interest in Avia-tion and will have demonstrated a commitment to complete Private Pilot training. The application for the Award is to be supported in writing by a PCTIA accredited or registered Flight Training school in British Columbia.

Award Criteria1) The scholarship fund is set up to be awarded annually, if the BCAC determines that a suitable application has been submitted.2) The intent is to help a young, serious student with their fixed or rotary Private Pilot License only.3) Student must show some com-mitment to training and finishing, such as showing a dedicated interest in aviation, a commit-ment to complete the program, completed ground school and/or completed a minimum of 10 hours of flight training.4) The application must include a letter of recommendation from

a PCTIA accredited or registered flight school advising on candi-date’s potential to complete the program.5) The application must be sup-ported by a BCAC Member in good standing (either a flight school or individual BCAC Mem-ber). Contact the BCAC Admin-istrator if you don’t know one at [email protected]) Student to be between ages 16-19.5) Student must provide a per-sonal outline and include need/reasoning for financial assistance.

Administration1) BCAC Award Committee will promote Scholarship, administrate and review application process and select winners, if any, on Mr. Anderson’s behalf. Recipient of the Award will be announced by June 15th and winner, if any, will be asked to present an update on their train-ing at the Silver Wings banquet in October.3) Funds will come directly from the Vancouver Foundation to BCAC, who will distribute the funds to the PCTIA accredited or registered flight school, who will ensure that training does in fact take place. A member of the Anderson family will be asked to present the Award if possible at the BCAC Silver Wings Banquet.

THE 2015 BC AIRPORT CHALLENGE Flying With Friends Has Never Been More Fun!The inaugural BC Airport Challenge was a stunning success in 2014. With individual pilots visiting up to 70 airports in BC, we covered a lot of ground and had a lot of fun doing it!

The BC Airport Challenge continues in 2015, but with an exciting new twist and more chances to win! Read through to the end for all the details!

Starting January 1, 2015 and running until De-cember 31, 2015, the Victoria Flying Club is chal-lenging pilots to visit as many airports in BC as possible. The event, known as the “BC Airport Challenge”, will have two categories. The first category will include pilots flying club aircraft and the second category is for owners flying their own aircraft.

Want to win more prizes in this year’s challenge? It’s easy! Take a non-pilot friend along on a flight and you’ll receive an extra entry in the monthly draw. Please Note: Canada Customs and Revenue Agency (CCRA) has recently been requiring proof of enrollment in the Commercial Pilot Program before allowing a deduction for the hours under the Private Pilot Licence. A letter from the Club confirming enrollment in the CPL is available to students actively pursuing a CPL (i.e., a Category 1 Medical, enrollment in Commercial Ground School, working towards a Night Rating or actively completing the dual requirements of the CPL). Members are reminded that all deductions taken are the responsibility of the person claiming the deduction on their tax return. Instructions: Complete all areas of this form. There is no need to complete the form if you reached the maximum hours per course in 2013. Mail/fax/or drop off this form to Dispatch. Allowable deductions: As outlined by Revenue Canada Taxation 875 Heron Road, Ottawa, Ontario K1A 0L8 Licence or Endorsement: Private Pilot Licence Commercial Pilot Licence Instructor Rating Night Rating Allowable Tuition Fees (Please read carefully): Private Pilot Course Any number of dual flying hours.
