Department staff responsible for entering student plans should run the set of Plan Sequence Check Reports to verify that student plans are correctly sequenced. These reports should be run, and any errors corrected, at least twice each year at the beginning of February and October. This document outlines the proper use of Plan Sequence numbers and provides instructions on how to run the Plan Sequence Check Reports.

Every student at the University of Michigan has at least one “Student Plan” indicating the area of study that the student is following.

For newly admitted LSA students, that plan is “LSA Undeclared”. If the student was admitted to the Residential College, the student will also have a plan of “RESCO”. If the student was admitted to LSA Honors, the student will also have a plan of “HONORSLSA”. As students declare their majors and minors, these too are indicated on the student records as plans.

The order in which these various plans appear in the student’s record is critical for business processes beyond the recording of plans. Incorrect sequencing of plans will result in errors in the degree audit report and can potentially affect whether the student’s name will appear in the Commencement Program for Honors students.

Plan Sequence numbers must follow a specific scheme as illustrated in the chart below.

ACADEMIC PLAN SEQUENCE NUMBER SCHEME L O W E S T T O H I G H E S T

RESCO Concentration(s) Minor(s) HONORS

• All Concentration plans must have a lower Plan Sequence number than any Minor Plan Sequence number.

• If the student belongs to the Residential College, the “RESCO” plan must have the lowest Plan Sequence number.

• If the student belongs to LSA Honors*, the “HONORSLSA” plan must have the highest Plan Sequence number.

*”LSA Honors” refers to students who were admitted to the College as Honors students. If a student is doing departmental Honors, this is indicated as a subplan associated with the students concentration plan.

When entering a new plan for a student, review the student’s current plans before making an update on the Student Plan screen. If there is more than one plan click on View All to see all of the Plan Sequence numbers.

The illustrations on the next pages show examples of correct plan sequences for all of the plans associated with these students’ records.

HONORSLSA has the highest Plan Sequence number

A note about “LSA Undeclared”

As noted earlier, newly admitted LSA students start out with the plan “LSA Undeclared”. If the student was admitted to the Residential College, the student will also have a plan of “RESCO”. If the student was admitted to LSA Honors, the student will also have a plan of “HONORSLSA”.

When entering a student’s first concentration, the plan of “LSA Undeclared” must be deleted. Failure to delete the “LSA Undeclared” plan will result in an erroneous degree audit report. You can delete the “LSA Undeclared” plan in one of two ways:

1. Place your cursor in the Academic Plan field for “LSA Undeclared” and replace this plan with their new concentration. Then update the Declare date and Requirement Term and Save.

OR

2. Add a new row and enter the new plan and Requirement Term. Then before you hit Save, delete the row with “LSA Undeclared”. Then Save.

LSA Plan Sequence Check Reports

There are two reports for detecting Plan Sequence errors and a third report for checking whether a student’s record has a plan of “LSA Undeclared” plus a concentration. These reports are run from M-Pathways and can be run by anyone with HEPROD M-Pathways access.

To run these reports select Reporting Tools from the Main Menu.

From Reporting Tools select Query Viewer.

Major/Minor Sequence Check Report

The first report checks whether there are any records where the major plan sequence is higher than a minor plan sequence. To run this report enter the report name M_SR_MAJCON_SEQ_GT_MIN_SEQ in the Query Name field and click on Search. From the Query box below click on either Run to HTML or Run to Excel. If you see both a Private and Public version, select the Public version.

The results are sorted by Academic Career then by Academic Plan Description. Find your concentrators and make the necessary corrections to their records on the Student Program/Plan panels. (Instructions for making corrections can be found at the end of this document.) Note: before you can open another report you must save or close the report that you have open.

The next report checks whether there are any records where the Honors Plan is in any position other than the highest sequence. To run this report enter the report name M_SR_PLAN_SEQ_HONORS_AUDIT in the Query Name field and click on Search. From the Query box below click on either Run to HTML or Run to Excel. If you see both a Private and Public version, select the Public version.

The results are sorted by Academic Plan Description. Find your concentrators and make the necessary corrections on the Student Program/Plan panels. The last report checks whether there are any records where there is a plan of “LSA Undeclared” plus a concentration. To run this report enter the report name M_SR_UNDECLAR_PLAN_AND_OTHER in the Query Name field and click on Search. From the Query box below click on either Run to HTML or Run to Excel. If you see both a Private and Public version, select the Public version.

Making Corrections to Student Plans

To make corrections to a student’s plan go to Student Program/Plan panels. The navigation is Main Menu > Records and Enrollment > Career and Program Information > Student Program/Plan. After searching for the student by their ID#:

Add a row on the Student Program panel. Enter the Program Action code “PLNC” for Plan Change.Enter the Action Reason code “ERRP” for Plan Change to Correct Typo.

Proceed to the Student Plan panel. Make the necessary corrections. Save.
