SUBJECT: RFP #R17120 Chiller Preventive Maintenance and Repair Services, renewal RECOMMENDATION: That the Loudoun County School Board renews RFP #R17120 Chiller Preventive Maintenance and Repair Services, with Boland Trane Services, Inc. of Gaithersburg, Maryland, through June 30, 2018. SUMMARY: In June 2016, a contract was awarded to Boland Trane Services, Inc., to provide complete chiller preventive maintenance and repair services to be performed at various Loudoun County Public Schools and facilities. The current contract expires June 30, 2017. Boland Trane Services, Inc. has agreed to renew their contract with the same terms and conditions, including pricing. One (1) new location (Madison’s Trust Elementary) was added to this renewal. This is the first renewal option for this contract. The estimated value of this renewal is $660,601. Funds for inspections ($201,601) and estimated repairs ($50,000) are included in the Facilities Services FY18 Operating Budget. Funds for chiller rebuild at Arcola Elementary, chiller replacements at Balls Bluff and Dominion Trail Elementary Schools, and replacing the chiller panel at Farmwell Station Middle School ($409,000) are included in FY18 CAPP. LOUDOUN COUNTY PUBLIC SCHOOLS RFP#R17120 CHILLER PREVENTIVE MAINTENANCE AND REPAIR SERVICESPRICING SCHEDULE PART 2 - LABOR RATES AND MISCELLANEOUS PRICING
For repairs and service not specifically covered under the Annual Spring Startup, Monthly Preventive Maintenance Inspections and Annual Winter Inspection, quote hourly labor rate. Labor rates will be paid on the basis of time at the site, not travel time to/from. Labor rates shall include all direct and indirect costs such as general and administrative costs, transportation, etc.
NOTE: The successful Contractor will invoice all parts based on the the manufacturer's list price less the discount proposed. Rental Equipment and Subcontractor Services will be invoiced at Contractor's cost. No additional costs of any kind will be allowed.
