Job Purpose
• Under the instruction/guidance of senior staff, provide general, clerical, administrative and financial support to the school
• To be responsible for promoting and safeguarding the welfare of children and young people within the school
Duties and Responsibilities
Organisation
To undertake reception duties, answering routine telephone, face-to-face enquiries and signing in visitors to maintain the security of the school in line with safeguarding procedures.
To assist with pupil first aid and welfare, looking after sick pupils, liaising with parents, staff etc and maintain records on the administration of medication.
Assist with arrangements for school trips events etc. Administration
Provide general clerical/admin support e.g. photocopying, filing, faxing, complete standard forms, and respond to routine correspondence.
Maintain manual and computerised records/ management information systems.
Record and monitor pupil attendance
Liaise with DCC Admissions regarding new intake and in year applications
Undertake typing, word processing and other ICT based tasks.
Sort and distribute mail.
Undertake administrative procedures.
Maintain and collate pupil reports.
Assist with the organisation of school trips and events
Assist with the organisation of school meals
Under the guidance of the Senior Administrator, administer the school payment systems including the collection of monies for trips , events and school meals
Under the direction of the Senior Administrator, administer schools financial systems, including the processing or orders, goods received notes and invoices
Operate relevant equipment/ICT packages (e.g. word, excel, databases, spreadsheets, internet).
Maintain stocks and supplies, cataloguing and distributing as required.
Operate uniform/snack or other shops within the school.
Provide general advice and guidance to staff, pupils and others. Undertake general financial administration e.g. processing orders.
Responsibilities
Be aware of and comply with policies and procedures relating to child protection, security, confidentiality and data protection, reporting all concerns to an appropriate person.
To adhere to school health and safety policy including risk assessment and safety systems.
To adhere to school policy on equality and diversity.
To contribute to the overall ethos/aims of the school.
To appreciate and support the roles of other professionals.
Participate in training opportunities and professional development as required.
Undertake similar clerical duties commensurate with the level of the post as required by the Head teacher.
Trust Responsibilities 1. Preparing and contributing to Trust wide development by sharing best practice and
professional feedback. 2. To assist with the production and analysis of regular reports on activity for use at
management meetings and feedback, as appropriate for the role. 3. To maintain designated databases / files in accordance with Trust policies for data
governance, as appropriate for the role. 4. To comply with and promote all Trust policies, including Safeguarding, Health and
Safety, and Equality & Diversity. This list of tasks is not exhaustive; the post-holder may be required, from time to time, to undertake other task commensurate with their grade and level of responsibility.

Qualifications:
Good general education GCSE or equivalent English & Maths
NVQ 3 in Business Administration
Experience:
Experience of general administration in a busy office setting.
Competence in using the internet, email, word processing, databases e.g. SIMS.
Experience of working in an administration role in a primary school
Understanding of Keeping Children Safe in Education and the wider safeguarding agenda
Knowledge, Skills and Abilities:
Effective use of ICT and other specialist equipment/resources.
Good ICT skills.
Ability to relate well to children and adults.
Ability to work constructively as a team, understanding school roles and responsibilities and the post holder’s position within these.
To be responsible for promoting and safeguarding the welfare of children and young people within the school.
Further Requirements:
Ability and willingness to undertake First Aid training
