Assessment Description
This assessment pack requires the learner to prepare for, plan and manage project
integration. To complete this comprehensive assessment, the learner must complete 3
assessment tasks. For a task to be considered satisfactory, all elements of it must be
complete. On completion of the 3 tasks, the learner will demonstrate that they can:
- Establish project
- Undertake project planning and design processes
- Execute project in a work environment
- Manage project control
- Manage project finalisation
Introduction
Before you commence this Learner Assessment Pack, you must ensure that you have a
good understanding of this subject by completing all of the learning materials, learning
activities and quiz included in this unit. You must also make sure that you understand the
assessment requirements – by reading this document carefully.
All students who have nominated a third party for their course must provide a completed
third-party evidence collection form for this unit. You can nominate a third party here.
All documents submitted for this assessment must:

• have your name in the footer of each page of the document

Scenario: John Readings Pty. Ltd. Re-design Bookstore Café
John Readings is an Australian book publisher, distributer and retail business with
stores located throughout Australia and New Zealand and a large online business.
At present a total of ten retail outlets located in state capitals contain Cafes. As part
of the company’s future development plans all retail outlets will soon have Cafes
located within them. However, before this can happen, the current Café design for
the ten retail outlets need to be refreshed and upgraded. The upgrade includes a
fresh new menu, new furniture and layout design as well as a play area for children.
You were successful in your application for the Project Manager role and have just
had confirmation from Damian Black CEO that the project steering committee will
include the Procurement Director, Marketing Director, the Director of Finance and
the Café Operations Manager. The project is now ready to commence.
An architect has been contracted to design the new look and feel and this has been
approved by the steering committee.
The architect and building contractor have provided costing estimates on which the
project budget is being based. They have advised, in order to minimise business
disruption, the order of works will be:
Stage 1 – Two days (no business disruption)
- Playground fit out and flooring
- Fencing and shade sail installation
- Landscaping and new outdoor furniture
Stage 2 – Two days (café closure)
- Removal of booths
- Repainting of café dining area interior
- Laying of floating floor over existing tiled floor café dining area only
- New dining furniture and artwork

Damian Black, CEO has advised the following:
• It is assumed the marketing staff will contribute to the project, helping
with the branding and other promotional items as required. The existing
team is able to fully participate in training where required.
• It is assumed construction can take place simultaneously with other
project deliverables.
• Constraints - budget and time are sufficient for the project, all products
purchased for the café and playground will meet with the organisational
quality standards and safety standards. Only approved preferred
suppliers will supply equipment and furniture.
• The project is dependent on external dependencies, which involves
consultation with the architect, building contractor and consultant chef.
• Building contractor was chosen based on his assurance that café
shutdown times would be minimised to two days and the trade of the
attached bookstore would be able to continue.
• Kitchen modifications, equipment and fit out work will not be included in
the project and any requirements will need to be drawn from the
operational budget for repairs/maintenance/equipment.
• Plans have been completed for all building works and are not included in
the project budget.
A revised budget has been developed in consultation with the Finance Manager of
$200,000 for nine stores with the tenth store requiring a budget of $250,000 and an
extra two-day shutdown period. The project is scheduled to commence on
10/01/2021 and be completed by 10/05/2021.
The Procurement Manager will liaise with suppliers to ensure that the playground
equipment is delivered on day one of stage one, the following day the outdoor
furniture will be delivered. Dining furniture and artwork will arrive on day two of stage
two.

You are required to integrate and balance overall project management functions of
scope, time, cost, quality, human resources, communications, risk and procurement
across the project life cycle; and to align and track project objectives to comply with
organisational goals, strategies and objectives.

Procedure
NOTE: There are TWO parts to be completed in this assessment task.
Part A Project preparation and project management plan
1. For this task you need to identify and prepare initiation documents for the project. For
tips on writing and presenting this report click here.
Create a Word document titled: Project Initiation Requirements Report and develop a
report (project document) addressing each point below:
a. Explain the agreed project management framework
b. Explain the agreed project methodology to be used
c. Identify and discuss the relationship between the project and broader
organisational strategies and goals
d. Detail the client or customer requirements based on the case study
e. Include a list of internal and external stakeholders
f. Outline the governance structure for the project including the relevant authorities
g. Provide in an appendix of your report a separate document titled Project Concept
Proposal
h. Source and provide a copy of contract documentation for suppliers
i. Conduct feasibility study for a similar organisation to the case study and provide
your findings.
2. Book a simulation call with your Assessor. You will now need to meet with the steering
committee, Damian Black CEO, Procurement Director, Marketing Director, the Director
of Finance and the Café Operations Manager, to discuss the project initiation report
you have developed.

Your assessor will play the role of the steering committee during the role play.
During this meeting you are required to ask open and probing questions to ensure they
understand all aspects of your plan.
To prepare for the role play:
Review the Assessor Observation Report to ensure that you understand and address
all of the criteria listed. During the role play the Assessor will complete the Observation
Report to confirm the skills and knowledge being demonstrated.
Ensure that you address all criteria listed below and that your responses are clear,
detailed and reflect the appropriate tone and vocabulary for the context.
The simulation with your Assessor must be 30 minutes in duration.
The assessor will need to observe you completing the following:
a. Discussing the points within the plan as part of the negotiation process
b. Negotiate and document the project objectives and outcomes expected (this
information will be needed to complete Question 3).
c. Discussing and negotiating for the governance structure detailed in your report.
d. Applying effective negotiation skills to obtain approval for the project
governance structure, objectives and outcomes documented in your report.
e. Applying effective communication skills to explain information clearly and
confirm the understanding by the management team (project steering
committee)

2. Create a project charter document using the template here. You will need to apply the
objectives which were negotiated in the simulation with your Assessor.
3. Draft an email attaching the project charter to relevant authorities to seek approval to
proceed with the project.
4. Create a project management plan for all requirements for the project. Your plan must
be robust and detailed and include:
a. Project scope and charter
b. Project governance structure
c. Project time including schedule and key requirements for stage completion
including WBS
d. Project costs including budget
e. Project quality plan
f. Project human resources plan including roles and responsibilities
g. Project communications and stakeholder engagement plan
h. Project risk management plan including risk register and must include at least
interdependency and the impacts of the identified risks or constraints
i. Project procurement management plan including RFT/RFP and SOW for at least
one component of the project
j. Project monitoring, control and evaluation
k. Issues register
l. Change management process
m. Records management
n. Finalisation activities
o. Organisational policies and procedures applicable to the project

developed. Your assessor will play the role of the steering committee during the role
play.

proceed to implementation.
To prepare for the role play:
Review the Assessor Observation Report to ensure that you understand and address
all of the criteria listed. During the role play the Assessor will complete the Observation
Report to confirm the skills and knowledge being demonstrated.
Ensure that you address all criteria listed below and that your responses are clear,
detailed and reflect the appropriate tone and vocabulary for the context.
The simulation with your Assessor must be 30 minutes in duration.
The assessor will need to observe you completing the following:
a. Discuss the key points within the project charter
b. Seek approval for the project charter
c. Discuss the key points in the project management plan
d. Seek approval for the plan
e. Applying effective communication skills to discuss, negotiate and obtain approval
to proceed with the implementation of the project charter and plan.

Part B Project execution
1. With approval for the project plan and charter to proceed, you have been asked by
the steering committee to prepare a written report for the project sponsor.
Create a Word document titled: Project Strategy and address the following points in
detail:
a. The chosen methodology to disaggregate project objectives into achievable
project deliverables
b. Detailed information on the:
i. Project objectives
ii. project stages
iii. requirements for completion against client requirements
c. Based on the stages of the project, create a table which details:
i. Each stage of the project
ii. Estimated costs (you will need to conduct research to gain realistic
costings)
iii. Timelines
iv. Human resource needs
v. At least one constraint (based on your findings in the project planning
document)
2. Draft an email to relevant stakeholders to accompany your report seeking approval
for project to proceed.
3. Following the email sent to the stakeholders, the steering committee has requested a
report. Conduct the necessary research to create a Word document titled: Internal

Environmental Report which outlines the organisation’s internal work environment
including:
a. An overview of three key organisational policies/procedures
b. An overview of the organisational culture and style
c. The geographic location and/or dispersion of stores
d. An overview of the process which will be followed to ensure the established
internal environment will be managed effectively
Scenario
The project has been approved but there are issues with operational staff at some of
the John Readings bookstores. The Café Operations Manager has come to you
seeking advice on how to manage the issues.
Some of the staff have heard about the issues in the Tasmanian stores. Due to delivery
issues the existing bookstore and café staff helped out to set up the café furniture. Staff
in the Victorian stores have held informal meetings to discuss their objections. They
have told the Café Operations Manager that they have severe misgivings about store
refurbishment process and the new look.
Existing café employees believe that the changes will erode the homelike feel of their
cafes and not be welcomed by regular customers. Other staff have applauded the
proposed change and see it as an opportunity to open up this innovative side of the
John Readings business to new customers.
Staff meetings have recently become very negative, with over-talking, and snide and
offensive remarks being bandied between staff. Two different "camps" appear to be
emerging, antagonistic to each other's stated positions and actively lobbying for support
from other quarters of the organisation.
4. Based on the case study, complete a project status report using the template
provided here titled: Project Status Report 1 and report on the issues in the case
study and how you manage them by addressing each point below in detail:
a. What are the likely competing needs and underlying motivations?

b. What would be your first step in addressing this issue and why?
c. What steps would you take to avoid escalation of the situation? Explain the steps
you would take along with why.
d. What outcomes would you like to achieve?

f. How can you ensure you have maintained established links to align project
objectives with organisational objectives? Why is that important when dealing
with this issue?
g. What are the risks for your project and the organisation if the conflict remains
unresolved?
5. Based on the case study, complete a project status report using the template
provided here titled: Project Status Report 2 and report on the issues in the case
study and how you manage them by addressing each point below in detail:
a. Analyse the impacts to the project and provide an updated risk register and
issues log.
b. Outline your findings regarding the re-opening of the stores and your
reasonings.
Scenario
Problems have occurred with the landscaping company which has been chosen to
provide the garden works nationally. The organisation has failed to deliver
installation on time and this is impacting on the re-opening schedule for stores.
A decision needs to be made on whether to re-open stores without gardens installed
and what risks and issues that this will pose.

6. For this task you need to email the two project status reports to all members of the
project steering committee. In your email provide a brief overview of each issue and
the recommendations you have made in each report to resolve each situation.
7. Based on the issues which were identified and addressed in Questions 4 and 5, you
need to provide an updated project plan which reflect the necessary changes.
For this task, make the necessary changes to the Project Plan you developed in Part
A of this assessment. Highlight the changes you have made so it is easy for the
Assessor to identify and submit the updated plan as evidence.
Part C Project finalisation
Scenario: John Readings Pty. Ltd. Re-design Bookstore Café
You have now completed the project and the steering committee has asked you schedule
a meeting to discuss the closing process.
Prior to this meeting you have been asked to prepare a project closure report for
discussion.
1. The project is being finalised and all associated activities need to be implemented.
Using the template provided here create a Project Closure Report addressing the
following points:
a. Identification and allocation of project finalisation activities
b. Process to ensure project products and associated documentation are prepared
for handover to Project Sponsor in a timely manner
c. Process to finalise all the required financial, legal and contractual obligations
d. Evaluation and project review assessments as input to future projects
2. Prepare a budget monitoring and review plan using the template here for the project to
date.
3. Prepare for project finalisation by conducting and documenting a minimum of four
activities required for project completion. You must provide screen shots as evidence
that you have completed each of your listed activities.

all of the criteria listed. During the role play the Assessor will complete the Observation

You must submit:

Procedure
With the project finished the CEO has asked you to write an evaluation report and has
provided you with a series of points which need to be addressed. Ensure that you
appropriately identify the project you are discussing.
Create a Word document titled: Project Evaluation Report, list the headings below and detail
the following information:
1. Establish project and undertake project planning and design:
a. Describe the improvements you could make to your own performance in the
project planning phase,
b. How did you negotiate and document project objectives, outcomes and benefits?
c. Why is project governance important and how did you manage this process?
d. What methodology did you use to disaggregate project objectives into achievable
project deliverables?
e. What process did you use to analyse project interdependencies and impacts of
any identified constraints?
2. Execute project in a work environment:
a. How did you support the project team to achieve deliverables?
b. How did you create a positive, inclusive and productive workplace culture in your
team?
c. How did the workplace culture you established assist project team members to
deliver on their responsibilities?
d. How did you ensure project objectives were aligned to organisational objectives
during the life of the project?
