1. Introduction

This document shows the steps to send and receive file with iGift (the service

of transporting large file) for the other users than Olympus group employee.

2. Operating Environment

iGift is the system to be operated in the following condition. The condition

except for it is out of our support.

3. Overview of iGift Service

iGift is the system to send and receive files up to 8GB. Olympus group employee

and iGift account users can send and receive files among them.

3.1 Flow of use

※Please take a contact with Olympus employee who submit your account application

for iGift account information.

3.2 The function of sending and receiving files

3.3 Security

This system maintains the security level with the network encryption of SSL and the

password of downloading files. User can send files securely by the function of being

automatically compressed and encrypted into ZIP format.

3.3.1 Account authentication

iGift service are available for OWP account users or the user who have the temporal

account OWP account user issue. User authentication is required to verify whether the

user have an access right to use this service or not.

(Users in Japan are automatically authenticated with the function of single-sign-on

function of using windows authentication.)

3.3.2 Download password

In order to prevent information leakage by sending data to wrong e-mail address,

users are required to enter the password to download files. The password is

automatically sent to the sender, not receiver. Sender has to send the password to the

correct destination address. If a user receives the URL from iGift, he/she would not

download the data without this password.

3.3.3 ZIP encryption password

In order to prevent information leakage by transferring the files to the other users

easily, the files to be sent is zipped and encrypted. (Up to 4 GB at total) The password

is automatically sent to the sender, not receiver. Sender has to send the password to

the correct destination address. If a user receives the file downloaded from iGift and

transferred from someone, he/she would not unzip it without the ZIP encryption

password.

4. Usage procedure

4.1 System Login

4.1.1 Log into iGift

Log into the following URL.

(3) Login (1), (2) Press Login Button.

(4) Language for mail notification Select language type, Japanese or English or Chinese

* The site can be switched after the login.

4.2 Send Files

4.2.1 Upload files

You can send files by selecting “Send Files” on the tab placed in the upper side of window.

Items you need to enter are settings for sending mails and ones for downloading files.

Items To do

(1) Security Level User select the confidencdiality of the file to be sent.Basend on the level

of confidence, the settings of download and zip encryption are changed.

For more details, please refer to the level of file confidence.

(2) Destination E-mail address Enter target mail address to send files. If you send this to several users,

you will need to click [+] button or insert “,” between mail addresses.

(3) Personal address book User can set mail address in the window of personal address book.

Please refer the usage to the steps to use Personal address book

(4) Subject Enter mail subject

(5) Reset Reset Subject to default.

(6) Messages Enter mail body

(7) Language for mail notification Select the language type of system message described in the mail

body. (Japanese / English / Chinese)

(8) Insert boilerplate Inserts the selected boilerplate into the messages.

<<Settings for downloading files>> ・・・Conditions at downloading files

Items To do

(9) File downloadable period Set the period of downloading files ※14 days at maximum

(10) Maximum Download count Set times to download files ※3 times at maximum

(11) Password protected ZIP file File smaller than 4 GB is zipped automatically. Password can be set

manually or automatically and will be noticed on mail.

(12) Download Password Set the password to download file. Password can be set manually or

automatically and will be noticed on mail.

(13) Files User can select file by clicking “Browse” button. (10

files at maximum) User can add or delete files by clicking

“Add” or “Delete” button.

(14) Clear Clear the items entered.

Select “OK” button in the following confirmation window after pressing “send” button.

You complete to send files and see the following window in the end.

<<File Confidencial level>>

Based on the confidential level of the file to be sent, Download password and ZIP

encryption settings are automatically switched mandatory or optional. The setting of

“Optional” in the following figure means to allow user not to set the password. (The

detailed explanation of each definition can be confirmed on “Details, please see here”.)

<<Personal address book operation>>

Personal address book function is available for all users. User can search the

pre-registered records and set the destination address.

The user data is listed after the search. User should check the target user and set it into

the destination address. (Move the destination setting area.) User should click the OK button

at the end to fix the settings.

(1) Name Set Name to be searched. (Partial match)

(2) E-mail address Add mail address to be searched.(Partial match)

(3) Company Search this by selecting company in the menu of list box.

(4) Search View address book area by searching user data with the above (1)

～(3) condition.

(5) Selectable check box Check the user to be added or deleted.

(6) ｢レ｣ Check mark

(7) Add Add user to the destination by checking the search result area.

(8) Delete Delete user to the destination by checking the search result area.

(9) OK Add all users into the destination if user would like to add all users

listed in the destination setting area

(10) Cancel Close this window.

As for the edit of personal address book, refer to “4.7 Edit personal address

book”.

4.2.2 Notification for the completion of uploading (TO: Sender)

After chapter 4.2.1 is completed, the following notification is send by mail. In case that files

are compressed and encrypted in “Zip” format, Send password information on this mail to

receiver.

4.3 Receive Files

4.3.1 Notification for the completion of receiving mail (TO：File receiver)

After chapter 4.2.1 is completed, the following notification is send by mail. URL in this mail

body, you can access to iGift system.

4.3.2 Download Files (1 / 3)

Open download window by clicking the URL in the notification mail.

(1) Password(In the case that sender set

the password for downloading the file.)

Enter download password which is informed by sender.

(2) Messages to the file sender

Enter comments, if you have something to comment. ※ This is

described in the notification for the completion of downloading.

(3) Language of download notification

Select language type of system message described in the mail

(4) Accepted Press “Accepted” button when you agree with the terms of service.

4.3.3 Download files (2 / 3)

Click file name on the line of (1) in the following window shown after clicking

“Accepted” button.

4.3.4 Download files (3 / 3)

Click [Save] button when you see the following message.

The number of download is counted up by even clicking “Cancel” button.

4.3.5 Notification for the completion of downloading (TO: Sender)

After receiver download files, sender receive the following mail.

4.4 Change the settings of contents (Available period, count, password and

deleting file)

4.4.1 Click the tab of “Sent List” and the link of “Status”.

4.4.2 Change the settings in the window of “Upload information”.

(1) Change Downloadable period User can change the value to a certain day up to 14 days after

checking the box of the string starting ” You can change

(2) Change Maximum download count User can change the value of a certain time up to 3 times after

checking the box of the string starting “You can change

* The count of downloading can not be changed.

(3) Re-set password Enter new password more than 8 characters after checking the

box of the string starting “You can change –“. It is possible

to set this even if the password is not set at the initial file

transferring.

(4) Update Refresh the contents of (1) – (3) the box of which is checked.

(5) Delete Delete the file uploaded.

4.5 Modify personal address book

User can register or modify in the “Modify address book” in “Personal setting”

menu.

Select “Add” for new registration and select Name colored in blue in order to modify

the registered data.

(1) Name Set Name to be searched. (Partial match)

(2) E-mail address Add mail address to be searched.(Partial match)

(3) Company Search this by selecting company in the menu of list box.

(4) Search View address book area by searching user data with the above (1)～

(3) condition.

(6) Add Register e-address

(7) Name Modify address book information by clicking this link

(8) Check box Check the box of users to be deleted.

(9) Delete Delete the registered users from the address book.

(10) Back Move back to the personal settings menu.

4.5.1 Data registration

Register e-mail address.

Item Explanation

(1) Name Enter user name.

(2) E-mail address Enter e-mail address

(3) Company Enter company information (Optional )

(4) Registration Register the data input in (1)～(3).

(5) Back Move back to the list.

*User can search and select the unit easily, if “company” values are registered by the unit of

business. This function is useful to send several users periodically. “E-mail address” can

be registered into several business unit.

* The two way of data registration are there, “manual registration” and “automatically

registration”.

If user sends data to the destination which is not registered in your personal address book,

the target mail address is registered automatically into personal address book. The following

items are the contents of registered data.

User can edit the data registered.

4.6 Edit boilerplate

User can register or modify or delete in the “Edit boilerplate” in “Settings” menu.

Select “Add” for new registration .If you need modify or delete, select “modify” or “delete”

after select the boilerplate.

(1) Add Insert the input line for add boilerplate.

(2) Modify Make the selected boilerplate editable.

(3) Delete Delete the selected boilerplate.

(4) Radio button for select Select the boilerplate.

(5) Title This title displayed when selecting boilerplate.

(6) Boilerplate It is the body text of boilerplate, when adding / editing, enter it

directly here.

(7) Up Moves the display order of the selected boilerplate up.

(8) Down Moves the display order of the selected boilerplate down.

(9) Update Reflect the changes to the system.

(10) Back Move back to the Settings menu.

4.7 Logout

Please close a browser with the Close button.
