Introduction
This document outlines the policies and procedures at Longburn Adventist College. It covers all
students: day students/boarding students/international students.
Mission Statement
In Christ we Educate, Encourage and EmpowerLongburn Adventist College is a co-educational day/boarding school with a comprehensive
programme from Year 7 to Year 13. The property is owned by the New Zealand Seventh-day
Adventist Schools' Association Ltd to provide education with a special character in harmony with
the Christian beliefs, values and lifestyle of the Seventh-day Adventist Church.
This means that the school is committed to:
- A belief that God loves us and desires the best for us - spiritually, physically, intellectually,
emotionally and socially
- A belief that God is Creator and Ruler of the universe
- A belief in the Bible as the revealed Word of God
- A belief that all truth finds its centre and unity in Christ
- A belief that Jesus Christ is our only means of salvation
- A belief that the Holy Spirit leads us to truth and empowers the believer
Belief Statements
- The gospel of Jesus Christ provides the basis for Christian education.
- Church and college work in partnership to enhance the school's spiritual emphasis.
- Community links that develop the concept of service are to be fostered and developed.
- The special relationship engendered by the Treaty of Waitangi is to be upheld.
- All facets of college life should demonstrate respect for individuals and groups from varying
cultural and personal backgrounds.
- Learning empowers people to become more independent by applying skills and knowledge
to their environment.
- Teaching is to facilitate learning.
- Academic excellence is to be actively encouraged.
- Curricula are to be comprehensive, integrated and balanced.
- Evaluation processes are to be regular, consistent, easily understood and equitable.
- Lifestyle principles will be based on Scripture.
- Discipline models will focus on the Christian principle of self-discipline.
- Supervision is to be custodial and developmental.
- Equity issues will be addressed, within the bounds of available resources, by assessment of
and provision for people with special needs.
- Physical activity improves the total well being of the individual.
- Work is a dignified activity.
6
- People are social beings.
- Alumni involvement enhances the College programme.
Special Character
The Special Character of a Seventh-day Adventist School is defined by:
- a faith system made up of the Seventh-day Adventist Christian beliefs, values and lifestyle, as
determined from time to time by the Longburn Adventist College Board of Governors.
- the achievement of these beliefs in the daily well being of the child through a commitment to
a holistic development of one's spiritual, physical, intellectual, emotional and social well being.
- the provision of learning within the special character that is in harmony with the Christian
beliefs of the Seventh-day Adventist Church.
- Seventh-day Adventists believe in the seventh-day Sabbath and the second advent of Jesus
Christ.
- the provision of an environment where the students can develop a personal relationship with
Jesus Christ rather than an intellectual understanding. All knowledge must be measured against
biblical truth.
- the goal to equip students through participation in activities and new interests, to empower
the students to strive for their goals and for the students to make Jesus Christ first and foremost
in their life.
Preferencing:
LAC is a state-intergrated school and all new students legally must have their preference
determined. This is done at the time of enrollment where the student (and/or family) is a
practising and observant member of a Christian church then that student is deemed to be
preferenced. Where there is no connection with a Christian church then that student is
deemed to be non-preferenced. The Ministry of Education limits the number of non-
preferenced students that the college can enrol.
Board of Trustees (BOT)
The Board of Trustees is the governing body of the LAC day school. It is made up of members
from LAC management, parents and other stakeholders who are nominated by the school body.
Their role is to govern school decisions and to support the teaching and management staff.

Day School
General Information
Academic Year Deans
Academic Year Level Deans are responsible for the progress of students in Years 7-13. If a student
is having difficulties in this area, contact with the Academic Year Level Dean is the first point of
reference.
Assemblies
Assemblies are held regularly in the Chapel. They present a devotional thought, and there are
also various announcements along with presentations of awards and certificates. Students should:
- be courteous and quiet from the time they enter the assembly;
- stand when the platform group/party walks down the middle aisle to the front;
- immediately come to order and pay attention to the speaker;
- applaud to show approval;
- follow all dismissal directions.

Entrances & Exits
- Students may not enter the building using the front doors leading into the front office, unless
they are accompanied by a parent/caregiver or staff member.
- Exits: Students must exit the building at the end of the school day and leave the vicinity of the
building as quickly as possible. Students may not loiter in the building, on school grounds or
in the vicinity of the building at the close of the school day.
- Students may not bring unauthorised visitors into the school.
Fees
All fees are payable by the conclusion of the academic year. Outstanding fees will result in de-
registration unless acceptable arrangements are made. For a more detailed listing of fees and
the LAC Debtors Policy, refer to the LAC website - www.lac.school.nz.
Publications
- The Principal publishes a newsletter (approximately fortnightly) for the parents/caregivers of
all students.
- Once a year an appointed editorial committee of staff and students publishes the school
magazine, Hari.
- The Boarding Department publishes a monthly newsletter to provide information on the events
that have occurred in the dormitories. This is sent to all boarding parents/caregivers and others
who are interested.
- LAC has an up-to-date website with relevant information for all students and parents.
Reports
School reports are sent to the primary caregiver at the end of Terms 1, 2 and 4 for Years 9-13
and Terms 1-4 for Years 7 and 8.
Parents are invited to attend parent-teacher interviews on the Tuesday evening in the second week
of Term 2 and 3.
For boarding students, the dormitory dean will attend the parent-teacher interviews on behalf of
the parent/caregiver and report their findings back to the parent/caregiver.

Visitors on Campus
For security purposes, ALL visitors must sign in at the office upon entering the school grounds.
Students are not allowed to bring friends to school or school functions without prior approval
from the Management. Management must have at least one week's notice in writing, and the
request will not be approved until cleared and verified by parents/caregivers/guardians.
Management reserves the right to not allow any visitor onto the Longburn Adventist College
campus.
Student Services
Bicycles
- Bicycles are to be stored and locked in the appropriate place (on the outside of the Administration
building, in front of the Principal's office window).
- Helmets must be worn at all times while riding the bike.
- A bicycle shed is available to boarding students for the safe keeping of their bikes.
BOT Representative
- One student representative from Y9-13 is elected by the students to serve their interests on
the Board of Trustees.
Diary
- The school diary must be taken to all classes.
- Keep the diary, including the cover, neat and tidy - no pictures or graffiti. Should the diary be
defaced in any way, it must be replaced at the student's expense.
- Parents may use this diary to convey messages relating to homework, and to ask any questions
directly related to the subject.
- The diary also helps students to be honest about how much homework they have, and it helps
to encourage the student to record homework systematically.
- A diary check will be made in Form Class groups on Wednesday of each week. Failure to
have a caregiver's signature will result from a school detention.
ID Cards
Identity cards incorporate the student's ID and are issued annually. They may be used as a student
bus pass and borrowing books in the LAC Library.
Lost Property
- All lost property that has been turned in can be collected from the school receptionist.
- The school is not responsible for any materials or items of school uniform that have been lost
or stolen, but the school management will endeavour to search for the property concerned.
- All lost property that is left over at the end of each term will be given to a charity in Palmerston
North.
Lunchtime Leave
Students will normally have lunch at school. Permission to leave campus will only be granted if
a permission letter has been given to the office by morning recess time and approved by
administration.
17
Photocopying
A photocopier is available in the library for student use. Black and white costs 10 cents per page

Student Responsibility
Academic Policy for Students
Appeals
If you have a concern about the marking of work, the recording of results or other academic
issues, see the class teacher involved. If the issue still remains, obtain an 'Academic Appeal Form'
from the College office. Return the completed form to the appropriate Academic Year Dean.
Deadlines
Requests for extension to the assignment due dates need to be made well in advance of the due
date. Teachers need to provide students with the opportunity of sighting the marked work within
2 weeks of the teacher receiving it.
Authenticity
Students cannot use work that is not their own to gain credits. Whenever someone else's words
are used they need to be acknowledged as the source. Plagiarism is a serious offence and will
be referred onto the College's Academic Committee for disciplinary action. The student will also
gain no credit for the activity and will have no reassessment opportunity.
Assessments
Teachers will provide wherever possible (some field trips/practical work may not be able to be
repeated) at least one reassessment opportunity for each internal Unit Standard/Achievement
Standard. Students who know they will miss (or have missed) an assessment need to fill in a
'Compassionate Consideration Form' which is available from the receptionist and then return this
completed form to their Academic Year Dean.
Head Boy, Head Girl & Prefects
The Head Boy, Head Girl and Prefects are appointed from the senior school to help with the
running of the day school and to represent the school at any official functions during the year.
It is an honour for a student to receive such an appointment.
Educational Responsibility
Students have a responsibility to be prepared for class and to strive for their highest possible level
of academic achievement. Students are expected to approach their studies with honesty and shall
not engage in activities such as: cheating in exams, plagiarism or unauthorised use of material.
Parents must be notified for an infraction of this rule.
Student Council
Under the guidance of a selected staff member, the Student Council meets regularly to discuss
student concerns. Two students from each of Years 7 to 13 are elected by their own year level
to represent their interests on the Council.
30
Change to Student Enrolment
Change to Academic Programme
If you wish to alter your academic programme then you must see the Assistant Principal and fill
out the appropriate form within the first month of school. No other changes will be made after
that time period.
Change to Student Status
Should you wish to change your status from being a day student to a five-day or seven-day
boarder, or vice versa, application must be made by the caregivers to the Principal.
Debtors Policy
The LAC Debtors Policy is available on the LAC website - www.lac.school.nz.
Withdrawal Procedure
- If you wish to withdraw from College for any reason, a Student Leaving Clearance form needs
to be collected from the office and completed.
- Textbooks, library books and accounts need to be settled.
- Boarding students need the Residential Director's clearing report before their room deposit will
be reimbursed.
General Emergency
Fire/Earthquake Drill
- Follow the directions posted in buildings and instructions given by appointed persons in case
of a fire or earthquake.
- Be aware of evacuation procedures and where fire hydrants are stored.
- It is a serious offence to tamper with fire alarms or equipment, and this will result in serious
consequences.
- The assembly area for all students and staff is located on the tennis court at the far end of the
technology building.
- Students are to assemble in their roll mark groups if the alarm occurs during day-school hours.
First Aid/Sickness
- If you require first aid or become sick during the day, report to the front office. If you have
come from a class you require a note from your teacher. School first-aid personnel will attend
to minor ailments. Emergencies will be referred to the appropriate avenues.
- Boarders need to report to their residential deans during out-of-school hours if they need
medical care.
- All first aid/sickbay incidents are recorded in the incident book.

the International Department. They meet each week to discuss individual student progress,
upcoming weekend programmes, and to review reports from Day School, the Boarding Department
and the International Department. Student queries, questions and issues can be raised during
this time.
Student Deans
Student deans are senior students who are nominated to assist the boarding deans. This is a
privileged student-driven position to encourage leadership, organisation and participation within
the dormitories. Some of these responsibilities are to:
- Assist the Dean on Duty
- Assist with administration
- Mark attendance
- Collect mail
- Supervise cleaning
- Co-ordinate worship

happening and any action that has been taken.
Dormitory Staff - Parents
Dormitory staff are keen to keep parents informed on their child's academic performance, general
well-being and any boarding developments that have occurred.
This communication comes in the form of:
- A monthly newsletter entitled 'FYI'
- A Dormitory Report and Duties Report to caregivers at the end of Terms 2 and 4.
- A phone call from the deans once per semester.
- Emails and phone calls, as required.
Parents-Day School
Parents/caregivers are encouraged to contact the appropriate Year Level Dean or Deputy Principal

are designed to inform the parents/caregivers of their child's attitude, progress and areas for
improvement. The reports are posted home to the parents/caregivers along with the students'
academic report.
Visitors
It is appreciated if all visitors contact dormitory staff two weeks prior to their visit. Visitors are
allowed to enter the dorm only if they have been granted permission by a dean and/or are
accompanied by a dean.
35
Pastoral Care
Duty of Care
Student safety and wellbeing are the primary considerations of Boarding Staff at all times. Staff
will take the utmost care to ensure that all potential risks are minimised. If any unforeseen
circumstances do arise that put a child at risk, their parents/caregivers will be promptly notified
and given regular updates of the situation.
Student Wellbeing
Within LAC boarding, pastoral care is provided by boarding staff and fellow students. Dormitory
staff ensure that:
- the dormitories have a safe, homelike atmosphere
- students are listened to and affirmed
- the individual and boarding community needs are met
- guidance and discipline are applied as needed
Student deans also provide pastoral care as they interact with other boarding students.

1. Report to school front office.
2. Office staff contact Deans on Duty to get permission for boarder to return to the dorms.
3. When boarder returns to dormitory, they must report to the dean on duty.
4. Sick students are to stay in the dormitory and rest until the next school day. Meals will be taken
to them.
5. A doctor 's appointment will be arranged by the duty Residence Staff, if required. All doctor's
fees are charged to the students LAC account.
6. If the boarder is injured or requiring prolonged medical care, the parent/guardian will be
notified and given regular updates of the situation.
Students who have infectious diseases, e.g. mumps, chickenpox, glandular fever, may be required
to return home or remain in dorm isolation until they have passed the contagious stage and are
well enough to return to school.
Deans always accompany all students to medical appointments, unless prior arrangements are
made by the parent/caregiver. For special doctor's appointments during school hours, students
must travel in full school uniform.
All medications, for students who are required to take daily medication, are kept in the dormitory
office and will be administered by dormitory staff.

Laundry
The Boys' and Girls' dormitories are both equipped with:
- 2 heavy-duty washing machines
- 2 dryers
- 1 clothes line
Students are required to do their own laundry and to provide their own laundry basket and pegs.
Laundry powder is provided by the deans; however, students are welcome to purchase their own.
Any items that need to be dry-cleaned are to be taken by the students into Palmerston North
during their town trip and can be picked up the following week.
All clothing/personal items are to be clearly marked with student's name. Sewn-on labels are
preferred.
Dress
For dress expectations during school hours please refer to the Uniform section in the Day School
Section of the Student Handbook.
If a student takes leave during school hours, they must wear full school uniform. If the travel
occurs after school hours, the student is required to wear a school top with the school logo that
identifies them as a Longburn Adventist College Student. This is for personal safety during travel.
Acceptable standards of modest dress and general tidiness are to be observed for all meals. If
you are unsure if a particular item is appropriate to wear, ask the deans. Footwear is compulsory
in the dining room, with covered footwear being obligatory in the kitchen area.

Leave
All students or groups of students must request leave from the boarding deans if they are planning
to independently exit the LAC school grounds.
The leave application process is:
1. Dormitory staff are informed by the student AND the persons involved as to the purpose of
the leave and time of return.
2. Student signs out in the Leave Register which is located in their dormitory foyer.
3. The leave register is then checked and verified by the dean on duty before the student can
leave the campus.
4. If the boarder is on kitchen or dormitory duty, they must find a replacement in their absence.
For weekend leave:
1. Parent/guardian/person requesting leave send a written note (letter, fax or email) to the boarding
deans and/or student confirming the leave details.
2. Student completes and submits application form, including parent/guardian/person confirmation
letter, to boarding deans at Wednesday morning worship prior to the weekend they want to
take leave.
3. Weekend Committee discusses the submitted applications at their weekly Thursday meeting.
4. Students are informed at Thursday evening worship of the final decision.
5. Duty deans drop off and pick up students at leave destinations. If there are any changes to
transport arrangements, the student must contact the deans on duty.
Students are allowed to carry out exercise along Walkers Rd. Students must sign out on the
sign-out sheet and sign back in when they return.
On long weekends, boarders are expected to go home or to approved homestay accommodation.
If a boarder is unable to do either of these options they must make alternative arrangements with
the boarding deans.
Boarding trips are carried out regularly throughout the school year. They include excursions to
various locations in New Zealand as well as public relations trips. These trips usually take place
over a weekend, from Friday to Sunday, and are organised by boarding staff.
Meals
The cafeteria is run by boarding deans and catering staff who provide a vegetarian:
- Continental breakfast
- Packed lunch (packed by the boarders at breakfast time)
- 3 course dinner
Attendance to all meals is compulsory with the only exception being sickness or prior arrangements
with boarding deans. Students are to eat together, with all boarders being rostered for kitchen
cleaning duties throughout the term.
40
Students with special dietary needs need to provide the necessary information on their medical
forms. If additional information is required, please contact the Boarding Staff.
School Accounts/Pocket Money
Each student has a boarding account with LAC. This can be accessed through the Accounts Clerk
at the LAC reception. Parents are able to deposit pocket money in this account.
School Start/Finish Procedure
The dormitory is officially open to boarding students from 2.00pm on the Sunday before the term
starts, unless otherwise notified. It closes at 5.00 pm on the last day of term, unless otherwise
notified. Students are expected to vacate the boarding premises during school holidays. Students
who do not live in New Zealand are provided with an approved Homestay Host (Police Vet as
per the Code of Practice for the Pastoral Care of International Students) during the school holiday
period.
A copy of the details for student arrival must be sent to the boarding director via email or fax at
least 2 weeks prior to the travel occurring. Deans are able to drop off and collect students from
public transport. If required, deans can also book the transport, charging the cost of the travel
to the student's boarding account.
Students who arrive early or leave late are expected to make arrangements with boarding staff
for the provision of their meals, transport and individual needs.

at the sails area for roll mark. A roll of the students will be taken by their respective deans - girls
and boys. Remain at the sails area until the all clear signal is given.
Fire alarm procedures are displayed in each room. A fire drill will be conducted once per term.
Student wardens are arranged at the beginning of the year, when they will also be informed of
what their role involves.
Students who falsely set off smoke alarms or damage heat sensors will be charged for the Fire
Brigade call out fee of $500 and may face prosecution by the Fire Service.
Medical Emergency
In the case of a medical emergency, an ambulance will be called and the parents/caregivers will
be contacted as soon as possible. Communication between school and parents will continue
until the situation returns to normal. All incidents are fully documented and kept on file, with a
copy of all reports passed to the Principal.
Earthquake Procedure
In the case of an earthquake, students are to shelter under a sturdy object such as a desk or
doorway until the earthquake has subsided. They are then to immediately exit the dorm and meet
