System Requirements

Operating System Windows 98, Windows ME, Windows NT, Windows 2000, Windows XP.

Network

Each computer in your office must be networked to the eFileCabinet server. If you will be using eFileCabinet on only one computer it must have a network card.

Internet Browser

Each workstation must have an Internet browser such as Internet Explorer 5.x and higher or Netscape Navigator 6.x and higher installed on it.

Storage Space

The documents may be stored on the network server or a workstation. One four-drawer file cabinet will take between one and two gigabytes of disk storage.

Suitable Backup The computer storing the data should have an adequate backup system.

Scanner Your scanner should be capable of producing 20 to 30 pages per minute.

Installing eFileCabinet Server 1. Insert the eFileCabinet CD into your CD-ROM drive.

2. Click the Setup button on the displayed window.

If the menu is not displayed, from the Start menu, choose Run, type x:\autorun.exe (where x is the letter of the CD drive). Click OK to continue.

3. Follow the on screen prompts to finish installing eFileCabinet.

Administrator rights may be required install eFileCabinet.

Setting up the File Cabinet 1. Create a folder to place your File Cabinet data in. This can be done

through Windows Explorer® or MyComputer, by going to the desired drive, right clicking the mouse, and selecting New>Folder and typing a name for the folder (for example, File Cabinet, Tax File Cabinet, Smith File Cabinet, etc.). Remember that the data should be in a place that can be and is backed up regularly.

2. Share the Folder you created for your file cabinet data. This is done by right-clicking on the folder you created in step one and selecting Sharing. Selecting Share this Folder. Click on Ok.

If Sharing doesn’t appear on the menu you will need to install File and Print Sharing.

3. Map a drive to your file cabinet data folder. This can be done by right clicking on the Start button in the task bar and selecting Explore. Once you are in Windows Explorer click on Tools, Map a Network drive. Select the desired drive letter and enter the path to your file cabinet data folder in the Folder field.

Starting the eFileCabinet Server Double-click on the eFileCabinet icon on the desktop or select Start> Programs> eFileCabinet> eFileCabinet Server to open the eFileCabinet server.

A small, yellow file cabinet icon should appear in the tray near the clock, at the bottom right corner of the monitor, indicating that the server is running. This is the Server icon.

Configuring the eFileCabinet Server Before you can start using eFileCabinet you must configure the server.

1. Double-Click on the eFileCabinet server icon in the bottom right corner of your screen.

2. Select Create New and enter a name for your file cabinet.

Note: if the File Cabinet list dialog does not appear. Click File, Select/Create File Cabinet.

3. Highlight the name of your file cabinet and click on Select Cabinet and Close.

4. Change the Root File Cabinet Path to point to the network drive you mapped in Step two. Click Ok.

If folders already exist in the root file cabinet path you entered. The Import Records dialog will be displayed. To import the records, click on Start. If no folders exist you will be taken back to the main eFileCabinet Server menu.

5. Exit the server by clicking on File, Exit.

Installing eFileCabinet on a Workstation Use one of the following two ways to install eFileCabinet: manually or through your web browser.

Manual Install 1. Map a drive to your file cabinet data folder. This can be done by right-

clicking on the Start button in the task bar and selecting Explore. Once you are in Windows Explorer click on Tools, Map a Network drive. Select the desired drive letter and enter the path to your file cabinet data folder in the folder field.

2. Open My Computer and find the root file cabinet folder (I.e. T:\File Cabinet). This is the folder where your client folders are located.

3. Open the !EFC folder

4. Open the ClientInstall folder.

5. Double-Click on eFilePrinterInstall.exe

6. Follow the prompts to install the eFileCabinet printer and to place a search icon on your desktop.

You will need to repeat this process for each of the workstations that need access to eFileCabinet.

Web Browser Install 1. Open the eFileCabinet search menu on the machine running the

eFileCabinet Server and write down the address that appears in the address field.

Perform the following steps on the workstation that you are installing eFileCabinet on.

2. Map a drive to your file cabinet data folder. This can be done by right clicking on the Start button in the task bar and selecting Explore. Once you are in Windows Explorer click on Tools, Map a Network drive. Select the desired drive letter and enter the path to your file cabinet data folder in the Folder field.

3. Click on Help, Install Printer Driver and follow the prompts.

You will need to repeat this process for each of the workstations that need access to eFileCabinet.

Creating Drawers 1. Double click on the eFileCabinet Search Icon on your computer's

Desktop.

2. Click on Add New Drawer and fill in the information required, click Save Changes to add this client to the file cabinet.

If you don’t enter anything in the Drawer Name field when you click on Save Changes it will change the Drawer Name to Last Name, First Name Cust ID.

Exporting Data From Your Existing Program Most programs have an Export feature, or a Save-as feature. We will utilize this and save the client list as an Excel® Spreadsheet with the information in separate columns.

If you cannot save to a spreadsheet, save to a comma delimited text file. Also, make sure the first row contains a column heading for each column and that you can have column for the drawer name. This can be done manually in the spreadsheet.

Using Drawer Names in Other Programs If during the export process a client ID number is to be assigned to each client, we recommend that the drawer name include the client name and ID number. For Example: Smith, John 14831.

This allows the database to search for names or ID numbers. Excel® has a function called concatenate which allows you to include text from different columns. See the Excel® help to find out the proper syntax for this command.

Adapt the steps below to the program you are exporting from:

1. In an empty column, type the column heading: Drawer Name.

2. Create the formula for the drawer name if necessary. Example: =CONCATENATE (B1,” “,C1)

3. Copy (or fill) this formula all down so each row has a formula name.

Make sure you have data for drawer names. If you do not, no drawers will be created for your clients.

See Appendix III Import Utility for instructions on how to use the import utility to import your client list into eFileCabinet.

Deleting Drawers Deleting a drawer from your file cabinet is a two-step process. You must delete the drawer from your hard drive as well as remove the drawer from the database.

1. Delete the drawer file. Open MyComputer or Windows Explorer, locate the drawer file and press the delete key to delete the folder and its contents.

2. Remove the drawer from the database. Double-click on the yellow file cabinet icon in the bottom right corner of the screen.

3. Highlight the name of the drawer and click on the minus sign on the toolbar at the top of the screen. Answer yes to the prompt to delete the record.

Creating Multiple File Cabinets eFileCabinet allows you to have up to ten separate file cabinets running from the same eFileCabinet server.

1. Double-click on the eFileCabinet icon on the desktop or select Start> Programs>eFileCabinet>eFileCabinet Server to open the eFileCabinet server.

2. Choose Select/Create File Cabinet from the File Menu. Select Create New and enter a name for your file cabinet.

3. Highlight your file cabinet and click on Select Cabinet and Close button.

4. Change the Root File Cabinet Path to point to the network drive you have mapped to your file cabinet data folder.

If drawers already exist in the root file cabinet path you entered the Import Records dialog will be displayed.

5. To import the records, click on Start. If no drawers exist you will be taken back to the main eFileCabinet Server menu.

Repeat the steps above for each file cabinet that you would like to setup.

Adding Security to your filing cabinet If your filing cabinet contains information that you don’t want everyone in the office to see, you can setup your filing cabinet so that it can only be accessed after entering a username and password. Below are the steps to add a password to your filing cabinet.

1. Double-click on the file cabinet icon in the bottom right corner of the screen (systray).

2. Choose Select/Create File Cabinet from the File Menu. Highlight your file cabinet and click the Select Cabinet and Close button.

3. Select Setup from the Cabinet menu.

4. Click on the Security tab.

5. Select Authentication Required box.

6. Enter the desired username and password in the appropriate fields, Click on Ok.

From now on when this File Cabinet is selected you will not be able to search it without first entering a username and password. Write this information down and store it in a safe location.

Removing Security from the Filing Cabinet Below are the steps to remove the password from your filing cabinet.

1. Double-click on the file cabinet icon in the bottom right corner of the screen (systray) to open the eFileCabinet Server.

2. Choose Select/Create File Cabinet from the File Menu. Highlight your file cabinet and click on the Select Cabinet and Close button.

3. Select Setup from the Cabinet menu.

4. Click on the Security tab.

5. Select Authentication Required to uncheck the box.

6. Enter the password when prompted.

Displaying a Complete List of Drawers 1. Open the eFileCabinet search menu by clicking on the eFileCabinet

Search icon on the desktop.

2. Click on Search Now.

The complete list of all your drawers displays. The number of drawers currently in the database displays at the top of the list.

Searching for a Specific Drawer 1. Open the eFileCabinet search menu by clicking on the eFileCabinet

Search icon on the desktop.

2. Select the desired file cabinet from the Current File Cabinet drop down box in the top right corner of the search screen.

3. Enter the desired search criteria into the search field and click Search Now.

By default, eFileCabinet will search all fields except the notes field.

If you would like to have eFileCabinet search all of the fields in the clients info.txt file do the following: Open eFileCabinet Server, Click on Server, Setup, Misc and select the option Search All Database Fields (Slower). This will slow down the time it takes you to find the needed file.

The search below found two people with the name “John” and one record with “John” in the address. Adding more words to the search narrows the number of entries. If the search is sufficiently narrow that it yields a single result, eFileCabinet will automatically display the details page or file drawer for the client you searched for. To view the file drawer for Johnny Appleseed in the example below you would click on Johnny Appleseed’s name.

Advanced Searching 1. Open the eFileCabinet search menu by double-clicking on the

eFileCabinet Search icon on the desktop.

2. Click on Advanced Search.

3. Enter the name or partial name of the file you are looking for.

4. Select the approximate time frame when the document was created from the selections given.

5. Click on Search Now.

eFileCabinet will search through all of the drawers in your file cabinet and display every file that matches the search criteria you entered.

Sorting Columns You can sort the files in each of the drawers displayed in the details list or file drawer for each client by clicking on the desired column heading: Name, Size or Date. Clicking the heading once will sort the files in ascending order clicking the heading twice will sort them in descending order.

Display Options

Expanding/Collapsing Folders The [-] next to each folder on the details page allows you to expand or collapse that folder. To change how many levels are displayed for all folders, click on the desired number next to Number of Levels to Display at the top of the search screen.

Display Preferences To specify how you would like your folders to be displayed in the search menu each time you open the search menu do the following:

1. Double-click on the eFileCabinet icon in the bottom right corner to open the eFileCabinet server.

2. Click on Server, Setup. Misc and you will see the following display options

Collapse Folders by Default, selecting this option will collapse all the folders viewed on the Search menu.

Folders in list before auto collapse, this option allows you to specify how many folders you want displayed before eFileCabinet auto collapses them. As a default, eFileCabinet will expand the first two folders to display the files with them and collapse all others.

Viewing and Editing a Clients Personal Information To view or edit a clients personal information do the following:

1. Open the eFileCabinet search menu by double-clicking on the eFileCabinet Search icon on the desktop.

2. Enter the client’s name in the search field, click Search Now

3. With the Clients File Drawer open on the screen, click on the clients name. This will display the Database Maintenance Screen where you can view or edit the client’s information or change the folder name for this client.

Below is example of the Database Maintenance Screen for Johnny Appleseed.

Viewing or editing a document eFileCabinet allows you to view your documents in two different ways. You can view it in read-only mode or have it displayed in a Windows Explorer window that allows you to open the document into the appropriate program and make necessary changes to it.

Viewing documents To view a document, click on the name of the document in the search results screen. This will allow you to view the document but you cannot make any changes to it.

Editing documents Clicking on the Edit Files link next to any folder on the search results screen you will take to a Windows Explorer window where you can open the file in the appropriate program and make the necessary changes.

If you don’t see a Edit File links next to your folders. Check to make sure that “Replace HTML links with real file path” is checked under Cabinet, Setup, HTML in the eFileCabinet Server.

Placing Documents in the File Cabinet Now that the File Cabinet is set up, the data must be placed in it. There are two main ways of putting files in the file cabinet. The first is printing the document using the eFileCabinet PDF printer. The second is to scan the document.

Using the eFileCabinet PDF Printer Using the eFileCabinet printer you can create a PDF file from any Windows application and place it in your file cabinet. There are four steps to printing a document and placing it in the file cabinet.

1. Print the Document—Choose File, Print from any Windows application.

2. Select eFileCabinet as your printer and click on print.

3. Once the document has been printed Store A Document In The File

Cabinet web page will be displayed. Select the File Cabinet from the drop down box on the right and enter the name of the drawer that this document belongs to and click Search Now.

If the client this document belongs to does not exist you can click on Add New Drawer to add the new client.

4. On this page you will be shown a list of the folders and files within that clients file drawer (folder). Click on the folder you would like to have this document placed in.

If the folder you would like to place the document in does not exist you can use the Create New Folder button to create a new folder.

5. Enter the desired name for the document and click on Store Document.

6. Click on Close Window to close the browser.

Scanning a document If you have Windows 98, Windows Me or Windows 2000 you can use Windows Imaging to scan the document and then print it using eFileCabinet printer to convert it to a PDF file and place it in the file cabinet. Windows Imaging is not included with Windows XP, if you have Office XP you can use the Document Imaging feature. Otherwise you will need to use the scanning software that came with your scanner. See printing a document for instructions on how to use the eFileCabinet printer.

Windows Imaging 1. Click on Start, Programs, Accessories, Imaging.

2. Click on File, Acquire Image.

3. Follow the prompts to complete scanning of your document. Once the scanning is complete you will see the document on the screen.

4. Click File, Print and select the eFileCabinet printer as your printer and then click print to create a PDF file and place it in the file cabinet.

Scanning Tips • While scanning, we recommend that you scan at a resolution of 300

dpi. This should ensure fair quality when printing.

• Depending on the scanner, scan in either B&W or Lineart. Do not use greyscale or color. A typical letter sized page should take between 80-100 kb of storage space.

Appendix: Commands

eFileCabinet Search Screen Commands Tells eFileCabinet to search the filing cabinet based on the information entered into the search field.

Allows you to search for a particular document in the entire file cabinet. This is particularly useful for locating a misfiled document.

Allows you to create a new client drawer and information sheet. This is the recommended way for creating new drawers.

Allows you to select how many levels of folders you want to be in your expanded view.

Allows you to select what file cabinet to search.

Allows you to view the eFileCabinet manual in PDF format, install a printer driver and get basic information on the search feature.

Allows you to select the file cabinet that you want to search.

eFileCabinet Server Commands • Select/Create File Cabinet – Allows you to select an existing file

cabinet or create a new one.

• Export Database – Allows you to export your eFileCabinet database into an ASCII delimited file that can be used to import into other programs.

• Setup -- There are two tabs available from this menu: Setup and Misc

o Setup -- This tab allows you to configure the TCP Listening Port

o Misc – This allows you to change defaults regarding searching.

• Actions – This option allows you to perform server actions such as Start Server, Stop Server and Empty the Debug file.

o File Cabinet - This tab allows you to enter a File Cabinet Name, Root File Cabinet Path or location of your filing cabinet and specify whether you want to search all Database fields or not.

o Security - This tab allows you to enter place a password on your file cabinet so that it can only be accessed after entering a username and password.

o HTML - This tab allows you to configure how files are viewed or edited.

• Maintenance - This tab allows you to perform maintenance on the selected file cabinet. You can import records, empty and repair the file cabinet, Create a shortcut to the file cabinet on the desktop.

• Debug Output - This option allows you to view the debug or log file output provided by eFileCabinet. This view is used for troubleshooting only.

• Database - This option allows you to toggle back to viewing the database after viewing the Debug Output.

• Help

• About - This option gives you information about the version of eFileCabinet you are running. You can click on the “www.efilecabinet.com blue link to launch the browse to the eFileCabinet web site.

• eFileCabinet Manual - This allows you to view the eFileCabinet Manual in .PDF format.

Appendix II: Import Utility The import utility allows you to import an existing client list that is in tab-delimited format.

Running the Import Utility Click on Start, Programs, eFileCabinet, eFile Import Utility.

Importing the File Below are the steps for importing an existing client list that is in tab-delimited format.

1. Click on the yellow folder next to Root File Cabinet Path to select the path for your File Cabinet Data.

This will be the same location that is specified in the eFileCabinet server under Cabinet, Setup.

2. Click on the yellow folder next to Import Filename to select the file containing the client list you want to import. This is the .txt file you saved from your spreadsheet.

A list of the different columns appears. From the drop down menu underneath each column heading, choose the field that corresponds to the information in each column. (i.e., First Name, Last Name, Address, etc.)

Note: You must specify a drawer name field or no client drawers will be created. 3. Click on Import

This will create a drawer for each of the clients in the list you are importing.

4. Double-click on the file cabinet icon in the bottom right corner of the screen (systray) to open the eFileCabinet Server.

5. Choose Select/Create File Cabinet from the File Menu. If your file cabinet is not listed, select Create New and enter a name for your file cabinet.

6. Highlight your file cabinet and click on Select Cabinet and Close button.

7. Change the Root File Cabinet Path to point to the location of your file cabinet data folder. Click Ok.

8. Click on Start to import the records into the database.

Appendix III: Archive Utility The eFileCabinet archive utility allows you to move or copy existing folders in your file cabinet to a backup location for archival purposes. It also allows you to create new folders under each client drawer saving you the time of doing it manually one at a time.

Running the Archive Utility Click on Start, Programs, eFileCabinet, Archive Utility.

Creating a New Folder Highlight your file cabinet data directory under the Source column.

This will be the same location you specified in the eFileCabinet server for the root file cabinet path.

Click on Create folders and type in the name of the folder that you want to be created as a sub-folder underneath each client drawer (i/e, 2002). Click on Ok.

The listing under source is not automatically refreshed you will need to close the folder and re-open it to see the changes that have been made.

For example, it is January 2003 and you would like to add a 2003 folder to each one of your client drawers in your file cabinet named D:\Lincoln File Cabinet. To accomplish this, open the eFileCabinet archive utility highlight the D:\Lincoln File Cabinet under Source, Click on Create folders and type in 2003 and click on OK.

Creating a sub-folder 1. Highlight your file cabinet data directory under the Source column.

2. Click on Create Folder and type in the full path and name of the folder that you wanted created as a sub-folder in each client drawer (i/e, 2002\Taxes). Click on Ok. This will create the Taxes folder under each of the 2002 sub-folders for each one of your clients.

Deleting a Folder Highlight your file cabinet data directory under the Source column

Click on Delete Folder and type in the name of the sub-folder that you want deleted. This will delete the same sub-folder in each client drawer (i/e, 2002). Click on Ok. This will delete the 2002 folder that is in each client drawer.

Moving Files 1. Highlight your file cabinet data directory under the Source column.

2. Highlight the desired location under the Destination column.

The destination folder must contain the same clients drawers (folders) as the Source folder does.

3. Select the year that you would like to move under the select years column.

4. Click on Move

This will move the folders from the location you specified under Source to the location specified under Destination and then delete them from the source location.

For example, You want to move the 1999 folders from your current file cabinet (D:\Lincoln File Cabinet) to your archived filing cabinet

(E:\Archive Lincoln File Cabinet) since they are no longer needed. To accomplish this you open the eFileCabinet archive utility, highlight D:\Lincoln File Cabinet under Source, highlight E:\Archive Lincoln File Cabinet under Destination, select 1999 under Select Years and click on Move. This will move all of the 1999 folders for each of your clients to the archive filing cabinet on E:\Archive Filing Cabinet.

Copying Files 1. Highlight your filing cabinet data directory under the Source column.

2. Highlight the desired location under the Destination column.

The destination folder must contain the same client drawers as the Source folder does.

3. Select the year that you would like to copy under the Select Years column.

4. Click on Copy.

This will copy the folders from the location you specified under Source and place a copy of them in the location you specified under Destination.

For example, For backup purposes you want to copy the 1999 folders from your current file cabinet (D:\Lincoln File Cabinet) to your archived file cabinet (E:\Archive Lincoln File Cabinet). To accomplish this you open the eFileCabinet archive utility, highlight D:\Lincoln File Cabinet under Source, highlight E:\Archive Lincoln File Cabinet under Destination, select 1999 under Select Years and click on Copy. This will place a copy of all of the 1999 folders for each of your clients to the archive file cabinet on E:\Archive File Cabinet.

Common Problems Problem

PDF documents are coming in my browser instead of in Adobe Acrobat. How do I change that?

Solution

You will need to disable the web browser integration. Below are the steps for disabling web browser integration in both Adobe Acrobat 4.0 and Adobe Acrobat 5.0.

Using Adobe Acrobat 4.0:

Select File, Preferences, General and unclick the Box marked “Web Browser Integration”.

Using Adobe Acrobat 5.0:

Select Edit, Preferences, General, Options and unclick the box marked “Display PDF in browser”.

Problem

Shortcut to search doesn’t work on the computer running the eFileCabinet Server.

If the browser opens, but then your browser has a message similar to the following:

The page cannot be displayed

The page you are looking for is currently unavailable. The Web

site might be experiencing technical difficulties, or you may need

to adjust your browser settings.

Cause

File Cabinet Server isn’t running.

The shortcut to the eFileCabinet was created with an error.

Solutions

Make sure that the eFileCabinet server is running. (A file cabinet icon will be displayed in the lower right hand corner of the screen on the machine eFileCabinet was installed on. If it isn’t running, click on the eFileCabinet icon on the desktop to start the server.

Recreate the shortcut: Double-click on the file cabinet icon in the bottom right corner of the screen, Select Maintenance, Create Shortcut from the Cabinet menu

Problem

Your database becomes lost or corrupt.

Solution

Rebuild the database. Below are the steps to rebuild the database.

1. Open your eFileCabinet Server.

2. Choose Select/Create File Cabinet from the File menu and select the file cabinet that you are having problems with from the list.

3. Select Maintenance, Import Records from the Cabinet menu. You will see the following dialog:

4. Click Start and eFileCabinet will scan the Root File Cabinet Path and it will restore a database record for each client folder in that path.

If files are missing, you will need to restore them from a backup file.

Problem

You added a new client but no drawer was created for them.

Cause

The new client was added from the server instead of the Add New Drawer Button on the Search menu.

Solution

When you add a new client while in eFileCabinet server a drawer is not created and you will need to manually create one and then go into eFileCabinet server and click on Cabinet, Maintenance, Import Records to update the database.

Problem

You created a new drawer and placed files in it but you cannot see it when you do a search.

Cause

The drawer was not created using eFileCabinet

Solution

Open eFileCabinet server and select Import Records from the Cabinet, Maintenance menu to import the new drawer.

Problem

You receive the message “Windows Socket Error” when clicking on the eFileCabinet Server icon.

Cause

This problem can be caused by one of the following:

• You have IIS installed on the machine.

• You are trying to start a second copy of the eFileCabinet server.

Solutions

Check to make sure that IIS (Internet Information Server) is not running on your machine. If you are running IIS you will need to install eFileCabinet on another machine on your network. You may want to consider placing it on the computer attached to your scanner.

If you have already started and configured the server you will receive this message if you attempt to start another copy of the server. If this is the case you can ignore this message.

Problem

I am unable to open or view any documents in my file cabinet

Solutions

Netscape has made it so that you can’t view local files through Netscape. They have done this for security reasons. You can however correct this problem by adding the following line to the pref.js file on your computer. User_pref(“security.checkloaduri”,false);

If you are running Internet Explorer you must add the Server IP to “Trusted Sites”.

Misc This folder contains a copy of Internet Explorer 6.0.

Tech Support This folder contains a few files to assist in Tech support. Including the update for the database engine.

Acrobat Reader This folder contains a copy of Adobe Acrobat Reader.

Archive Utility This folder contains the archive utility see Appendix II for more information about the archive utility.

eFileImport Utility This folder contains the eFileImport for more information about the eFileImport utility see Appendix III.

Demo File Cabinet This folders contains the demo file cabinet. `
