TERMS AND CONDITIONS
1. Tenders are requested to quote rates in specified format only otherwise their tenderwill be rejected.
2. The rates of unit must be entered in words as well as figures.3. Tender should be given only by those bonafide firms who are dealing with in
product/maintenance of D.L.P. Projector systems etc.4. Tender forms shall be filled in ink or typed. The tenderer shall sign the tender form at
each page and at the end in taken of acceptance of all the terms and conditions of thetender. No overwriting should be done, Corrections, if any, should be done clearlyand initialed.
5. Tenders shall be given only by bona-fide persons/firms. Declaration in form SR-3(Schedule-I) to be signed and enclosed.
6. Tenderer will have to submit invariably an Income Tax Clearance Certificate from theIncome Tax Office of the circle concerned and Sales Tax. Registration certificates,number and Sales Tax clearance certificate from Sales Tax/Commercial Taxes officerconcerned.
-2-7. Tender must be accompanied by an earnest money of Rs.6,000/-.Tenders will not be
considered without the earnest money.The amount should be deposited in the form of Cashor Demand Draft in favour of Director, NIA, Jaipur. The copy of the cash receipt isrequired to be attached with the tender.
8. If the tender fails to execute agreement within the prescribed period, such a failureshall be treated as a breach of terms and conditions and will result in the forfeiture ofhis earnest money.
9. The tender shall be deemed to have carefully examined the conditions and scope ofwork etc. to be done under the contract. If he has any doubt as to the meaning of anyportion of these conditions or the work to be done, he shall, before submitting thetender, get clarifications from office of Director, NIA, Jaipur.
10. The tender should furnish the following information invariably along with therelevant documentation. In the absence of this information or the informationsubmitted being incomplete, the tender may be rejected summarily:- List of clients in government/semi government sector during the last 5 years with
details and period of services. List of service Engineers along with their qualifications and their PF numbers. Office setup along with equipments in workshop. The bidder must carry the authorisation of servicing from OEM (Original
Equipment Manufacturer) for the models we have. Communication setup (please give all if available). (1) Phones (2) Mobile (3) Pager (4) Fax (5) Satellite Phones Down time of machines/services. List of equipments which the tenderer to provide after 24 hours in the case of
standby.11. Tender and the rates quoted are valid for 3 months from the date of opening of the
tender. Initially, the contract will be done for a period of one year from the date ofexecution of the agreement, which may be extended for a further period of 3 monthsat the discretion of Director. A further extension of 6 months can also take place withmutual consent.

13. The rates should be quoted inclusive of all taxes. If any, no separate payment of anytax or incidental charges will be made by the Institute. However, Statutorydeductions, if any will be effected from payments to the tenderer.
14. General Scope of works:I. Call should be attended on the same day (within 4.00 working hours)
II. Service site will be NIA office campus.
III. L.C.D./D.L.P. Projector AMC will be without parts list of Parts/Items andconsumables etc. not covered under AMC.
-3-V. Preventive maintenance is required once in a month. This schedule will be as
per convenience of Institute.VI. Corrective comprehensive maintenance, which includes to carry out necessary
repairs & fitting of the parts replaced.VII. Down time is kept 24 hours failing which a "standby equipment" of similar
nature & specification shall be provided. Failing which NIA will charge Rs.500/- per day in liew of penalty. This amount will be deducted from quarterlybills.
VIII. The services will be made available from 9.00 am to 5.30 pm. on weekdaysexcept Sunday and Public holidays. In case of emergency, services can beproviding beyond working hours also.
IX. The rates are inclusive of LAN cable & connectors.X. Firm is obliged the loading or installing of any software & remove virus
effects.XI. Director reserves the right of get maintenance done through other parties on
risk & cost of the tenderer if services of the tenderer is not found satisfactory.15. The rates for the maintenance of D.L.P. Projector system and peripherals etc. are as quoted in
column (4) of attached schedule-II.16. Successful tenderer will have to execute on agreement in the form appended with the tender
within a period of 7 days of receipt of the tender acceptance letter and deposit security equalto 5% of the value of the accepted tender cost.
17. If a tenderer imposes conditions, which are in addition to or in conflict with the conditionsmentioned herein, his tender is liable to be summarily rejected. In any case none of suchconditions will be deemed to have been accepted unless specifically mentioned in the letter ofacceptance of tender issued by the Director, NIA.
18. The Director, NIA reserves the right to accept any tender not necessarily the lowest, rejectany tender without assigning any reason.
19. If any dispute arises out of the contract with regard to the interpretation, meaning and reach ofthe terms of the contract, matter shall be referred to the Director, NIA. The decision of theDirector will be final & binding on the tenderer.
20. The mode of payment will as under:- No advance payment will be made. Payment shall be made on quarterly basis after completion of satisfactory services for
each quarter. Payment of parts consumables may be made on supplies and according pricelist of consumable parts.
Monthly preventive maintenance visit is required to be done and call report must besigned by L.C.D./D.L.P. Projector authority.

TERMS AND CONDITIONS
1. Tenders are requested to quote rates in specified format only otherwise their tenderwill be rejected.
2. The rates of unit must be entered in words as well as figures.3. Tender should be given only by those bonafide firms who are dealing with in
product/maintenance of computer systems etc.4. Tender forms shall be filled in ink or typed. The tenderer shall sign the tender form at
each page and at the end in taken of acceptance of all the terms and conditions of thetender. No overwriting should be done, Corrections, if any, should be done clearlyand initialed.
5. Tenders shall be given only by bona-fide persons/firms. Declaration in form SR-3(Schedule-I) to be signed and enclosed.
6. Tenderer will have to submit invariably an Income Tax Clearance Certificate from theIncome Tax Office of the circle concerned and Sales Tax. Registration certificates,number and Sales Tax clearance certificate from Sales Tax/Commercial Taxes officerconcerned.
-2-7. Vender should have Experience of 10 Years in same work.8. Vender should have a valid ISO 9001-2008 Certificate.9. Vender should be register in RISL.10. Minimum Turn over of Company should be 5 Crore in last financial year.11. Tender must be accompanied by an earnest money of Rs.10,000/-.Tenders will not
be considered without the earnest money.The amount should be deposited in the form ofCash or Demand Draft in favour of Director, NIA, Jaipur. The copy of the cashreceipt is required to be attached with the tender.
12. If the tender fails to execute agreement within the prescribed period, such a failureshall be treated as a breach of terms and conditions and will result in the forfeiture ofhis earnest money.
13. The tender shall be deemed to have carefully examined the conditions and scope ofwork etc. to be done under the contract. If he has any doubt as to the meaning of anyportion of these conditions or the work to be done, he shall, before submitting thetender, get clarifications from office of Director, NIA, Jaipur.
14. The tender should furnish the following information invariably along with therelevant documentation. In the absence of this information or the informationsubmitted being incomplete, the tender may be rejected summarily:- List of clients in government/semi government sector during the last 5 years with
details and period of services. List of service Engineers along with their qualifications and their PF numbers. Office setup along with equipments in workshop. The bidder must carry the authorisation of servicing from OEM (Original

standby.15. Tender and the rates quoted are valid for 3 months from the date of opening of the
tender. Initially, the contract will be done for a period of one year from the date ofexecution of the agreement, which may be extended for a further period of 3 monthsat the discretion of Director. A further extension of 6 months can also take place withmutual consent.

etc. not covered under AMC.

V. Preventive maintenance is required once in a month. This schedule will be asper convenience of Institute.
VI. Corrective comprehensive maintenance, which includes to carry out necessaryrepairs & fitting of the parts replaced.
VII. Down time is kept 24 hours failing which a "standby equipment" of similarnature & specification shall be provided. Failing which NIA will charge Rs.200/- per day in liew of penalty. This amount will be deducted from quarterlybills.
VIII. The services will be made available from 9.00 am to 5.30 pm. on weekdaysexcept Sunday and Public holidays. In case of emergency, services can beproviding beyond working hours also.
IX. The rates are inclusive of LAN cable & connectors.X. Firm is obliged the loading or installing of any software & remove virus
effects.XI. Director reserves the right of get maintenance done through other parties on
risk & cost of the tenderer if services of the tenderer is not found satisfactory.19. The rates for the maintenance of computer system and peripherals etc. are as quoted in
column (4) of attached schedule-II.20. Successful tenderer will have to execute on agreement in the form appended with the tender
within a period of 7 days of receipt of the tender acceptance letter and deposit security equalto 5% of the value of the accepted tender cost.
21. If a tenderer imposes conditions, which are in addition to or in conflict with the conditionsmentioned herein, his tender is liable to be summarily rejected. In any case none of suchconditions will be deemed to have been accepted unless specifically mentioned in the letter ofacceptance of tender issued by the Director, NIA.
22. The Director, NIA reserves the right to accept any tender not necessarily the lowest, rejectany tender without assigning any reason.
23. If any dispute arises out of the contract with regard to the interpretation, meaning and reach ofthe terms of the contract, matter shall be referred to the Director, NIA. The decision of theDirector will be final & binding on the tenderer.
20. The mode of payment will as under:- No advance payment will be made. Payment shall be made on quarterly basis after completion of satisfactory services for
each quarter. Payment of parts consumables may be made on supplies and according pricelist of consumable parts.
Monthly preventive maintenance visit is required to be done and call report must besigned by computer authority.
