7.1. Management Information System

7.1.1. Definitions:

The word `system ' does not necessary related to computer or other electronic device. The word

actually implies to two or more related components working together to achieve a common

purpose. In the simplest explanation, management information system is the system of records a

business keeps maintaining its management system. It is a system of collecting and processing

transactions data and disseminating financial information to interested parties (Kieso and

Weygant, 1998. Factors that shape the AIS include natures of the business, the size of the

firm, volume of data and the informational demand that management and others place on the

system. The main purpose of AIS is to accumulate data and provide decision makers with

information to make decisions.

7.1.2 Origins

The concept developed as a logical consequence of the industrial revolution. Littleton implied

that the existence of factory system and the issue of mass production resulted in the necessity of

a system that will manage and control all managerial requirements of the company. However, the

first sophisticated management system is not recognized until the existence of railroads. It was

the first entity to produce detailed information concerning returns on invested capital. The use of

management information in the railroad industry to assess managerial performance developed

46 | P a g e

rapidly during the next decades. While the process was previously paper based, today, businesses

use management software as their tools (Brecht and Martin, 1996).

7.1.3 Information System Objectives

Accountants play roles of tremendous significance in the economy. Without information

expertise of accountants, business will be unable to evaluate their cost and profit position, gauge

product or business unit performance, or to plan future financial success (Brecht Martin, 1996.

The increasing use of computer software that automates most of our works, now accountant

possess the opportunity to assist creating and designing AIS that serve as more efficient

management tool. Management systems deployed within companies required a sizeable

investment and maintenance cost. Thus, companies generally has clear objectives of installing

the system, some of them are:

To support the stewardship function of management

most organizations possess. Without good, accurate and timely information, good decisions

cannot be made. The flow of information from the management department can influence all

other departments within a company. For example, operating personnel require very timely,

detailed information for immediate decisions, while upper management needs summaries of

financial information for longer time periods in making long term decisions. Well-organized AIS

will make everyday business a lot easier and more effective (Hall, 2001 .Some of the practical

Balance Score card (BSC) is currently the most popular performance management system

framework worldwide. It provides a framework in which both financial and non-financial

success measures are linked by the firm’s strategy. It looks at performance from four

perspectives: financial, customer, internal process and learning and growth. BSC minimizes

information overload by limiting the number of measures used, so it forces managers to focus on

the most crucial measures.

When creating a Balance Scorecard, a software company needs to have a BSC tool. With the

BSC management tool, a software company can organize the list of numbers and show the part

where the organization is succeeding and the aspects that need work. When this is presented

before the employees, they have a better idea on the company's finances, staff, operation,

supplier, customers, and support systems. It has been proven that this is quite a good move

because this will make the employees be more part of the company; therefore they will work

more effectively.

In the financial world, balance score card is a determinant of how well a business has placed a

strategy in terms of finances. This means that the strategy should be driven across all areas of

operations, and the implementation of these strategies or action plans should translate into

results.

Suggestions

Page 62: Internship Report

Suggestions:

Employees do not input their entry time and working time regularly. Which

effects on company’s revenue generation process. So company should be more

aware this area and take necessary steps to resolve it.

The entire things are operated with software. So there is a possibility for data or

information loss. And sometimes incorrect entry in the software makes

harassment to the use of software for employee. So company also should look on

that area.

Wrong entry in general ledger may cause wrong income statement, trial balance

and balance sheet. So company should arrange alternative like manual balance

sheet, income statement and trial sheet for keeping records of the company.

They have got huge software collection for implementing Management

Information System by balanced scorecard to their company but they don’t have

enough skill people to operate those software which sometimes creating problem.

So company should look on that.
