Assalamualaikum W.B.T and Greetings,
Internship is a compulsory course for Bachelor of Accounting, Bachelor of Business Administration, and
Bachelor of Economics in Faculty of Economics and Management. It is to expose the students to the real-
life working environment. Students will be able to practice the knowledge and skills related to the field of
specialisation as they have learned in university. Internship opens up opportunities for students to expand
their experience with the guidance of supervisors and lecturers. The faculty and the industry will directly
involve ensuring the students able to gain benefits from the structured training.
This FEP Internship Handbook aims to facilitate the student’s understanding of the internship they will
undergo for four to six months. This handbook details the policies, requirements, and the internship course
procedures for each programme under the Faculty of Economics and Management, UKM.
This Internship Handbook could also be used as a reference for all faculty members to gain information
on the process and procedures of the internship courses practiced in the faculty.
On behalf of all faculty members, I wish you all the best to all students who will undergo internship. Always
look for opportunities to gain working experience in the industry and uphold the faculty’s and the

Assalamualaikum and Greetings,
Students are required to undergo internship to fulfil academic and graduation requirements. The
Internship course was designed with collaboration from industries to place students and assign them with
appropriate tasks related to their studies. Students will be monitored by an academic supervisor and
internship supervisor throughout their internship period.
As a higher learning institution, the Faculty of Economics and Management, Universiti Kebangsaan
Malaysia, is responsible for building dynamic, knowledgeable, and virtuous human capital. Therefore,
FEP collaborates with industries to provide a learning platform for the students to put into practice the
academic theories they have learned in university. This handbook aims to guide the supervisors and
students to ensure the internship process runs smoothly and effectively.
As the Deputy Dean of Relations and Income Generation, it’s my responsibility to administer the Internship
in the Faculty of Economics and Management. I wish you all the best and hope you will benefit from the
opportunities given to build as much experience and knowledge as possible.

Greetings
The Industrial, Alumni and Community Relations (JIAM) is responsible for creating a network between
FEP, the industries and communities. The collaboration among these entities is important not only for
research and learning purposes but also to connect students with the industries for their internship.
The students will attend a Pre-Internship session before their internship semester. During the Pre-
Internship session, students will be given guidance in writing biodata and internship application letters,
apart from interview courses and clinics conducted by the industries. The Career Carnival and face-to-
face or online interview sessions will open opportunities to the students in getting a place in the
industry/agency for their internship.
JIAM also liaises with the Undergraduate Secretariat, which sets the Internship prerequisites and assists
the Head of Programmes to remind students to undergo the internships based on their related fields. JIAM
distributes the information on the Academic Supervisor to the students and lecturers in accordance with
the Head of Programme.
It is hoped that this handbook will smoothen the FEP student’s internship placement and help them in
getting a promising career after graduation.

1.0 INTRODUCTION
Faculty of Economics and Management (FEP), Universiti Kebangsaan Malaysia, Internship Handbook
guides students and academic advisors in implementing an internship programme for the current
semester. The internship process starts with the student’s preparation for internship until completion of
the internship. This handbook explains in detail the assessment structure and responsibilities of each
student and academic supervisor in conducting the internship programme.
2.0 AIM
In today’s world, graduates need job competencies and skills to make themselves competitive in the job
market. Having a bachelor’s degree alone does not guarantee one’s employment. Instead, graduates
should equip themselves with relevant and up-to-date knowledge, practical experience, soft skills, and a
positive attitude before diving into career challenges. Therefore, the internship programme is to enhance
graduates’ employability through the empowerment of required competencies. It also opens an
opportunity for students to experience a real-life working environment.
3.0 DEFINITION OF INTERNSHIP
Students are required to undergo internship for a certain period to fulfil the programme’s and graduation’s
requirements. Students will be placed in an organisation and carry out tasks assigned in accordance with
the purpose of the training. Students will be supervised and assessed by an Academic Supervisor and
Internship Supervisor. This internship is in accordance with the Ministry of Higher Education’s prerequisite
for the award of a bachelor’s degree.
4.0 OBJECTIVES OF INTERNSHIP
The Faculty of Economics and Management (FEP) has made the internship a compulsory course for all
bachelor’s programmes, namely, Bachelor of Accounting, Bachelor of Business Administration, and
Bachelor of Economics, in line with requirements from the Ministry of Higher Education. The objectives of
FEP internship are as follows:
4.1 to expose students to the working environment per their field of specialisation.
4.2 to enhance students’ practical skills in the organisation.
to enable students to apply new technology in the industry.
4.3 to polish students’ soft skills such as teamwork, leadership skills, ethics and professionalism, life-
long learning and information management, communication skills, critical thinking, and problem-
solving.
4.4 to enable students to practice theories and concepts learned in the workplace.

5.0 PREREQUISITE
Students from Bachelor of Economics (EPPE 3098) and Bachelor of Business Administration (EPPM
3098) are required to complete ALL course studies before their internship programme. Whereas, students
from Bachelor of Accounting (EPPA 409C) are required to complete up to semester six courses as
stipulated in the programme structure.

The score requirement for PASS is 65% and above.
7.0 SELECTION AND PLACEMENT OF INTERNSHIP VENUE
Students may choose and select the internship placement based on the channels set by the faculty.
Students are required to submit the internship placement application to JIAM in advance.

Students need to manage the process of acceptance, interview, and feedback to the respective
companies they applied to for the internship.
Students should select the internship placements through the following channels:
i. the Internship Application programme (ALI),
ii. reference list of companies through industrial network collaboration,
iii. reference list of companies in the SLAI system,
iv. confirmation from Head of Programme.
8.0 INTERNSHIP APPLICATION PROCESS
8.1 BEFORE INTERNSHIP
8.1.1 It is COMPULSORY for students to attend the series of Pre-Internship Briefing sessions
organised by the JIAM secretariat.
8.1.2 Students will be exposed to internship learning through the provision of programmes such
as resume clinics, placement clinics, pre-training clinics by industry, and the preparation of
checklists for internship registration.
8.1.3 Students are required to complete the confirmation letter and the organisation answer form
provided by the JIAM secretariat during the internship application period.
8.1.4 Students must provide a cover letter and personal biodata when applying for internship
placement in the organisation.
8.1.5 All relevant feedback forms and letters must be forwarded to the JIAM secretariat for
students’ documentation on campus.
8.1.6 Any application received from the organisation must be approved by the Mentor and Head
of Programme before giving feedback to the organisation.
8.1.7 Should the Head of Programme not approve of the internship placement application, the
student must send the rejection form to the organisation and make a new application.
8.1.8 Students are given a period of one week to obtain new internship placements.
8.1.9 Should the application for internship placement be accepted by the Head of Programme,
the student must send the acceptance form to the organisation immediately.
8.1.10 Students need to attend the final briefing as a final preparation before undergoing
internship.
8.2 DURING INTERNSHIP
8.2.1 Students MUST report to the organisation on the date and time stipulated by the
organisation.
8.2.2 Students will be assigned under an internship supervisor during the start of an internship
session.
8.2.3 Students will also be placed under the supervision of an academic supervisor appointed by
the Head of Programme.
8.2.4 Students are responsible for informing academic supervisors regarding the current status
of internship.

8.2.5 The academic supervisor will conduct at least one visit to the industry per internship
session.
8.2.6 Students are required to make a presentation on the tasks/projects assigned by the
organisation.
8.2.7 Students are required to submit the final report and logbook to the academic supervisor on
the 15th week of the internship period.
8.2.8 Students are required to submit all related internship evaluation forms to the academic
supervisor.
8.2.9 Students are required to complete the online Internship Effectiveness Assessment form
provided by the JIAM secretariat.
8.2.10 Students are to complete the internship course.
9.0 DURATION OF INTERNSHIP
The FEP internship is subject to the course programme, as in Table 2. Students are NOT ALLOWED to
register for the internship course in Semester 3, EXCEPT for those who are graduating or special cases.
The exemption is subject to the faculty’s decision. The duration of internship MUST be carried out
continuously, as stated in Table 2.

Students need to do the following during the semester before undergoing internship as stipulated on the
timeline below:
A semester before Internship
Week 2 Attend Internship briefing
Whole Semester Attend Resume Clinic/Mock Interview/Career Talk
Week 2 – 10 Students apply for the internship placement
Week 11 Submit internship placement acceptance letter of the company and other
supporting documents
Week 12 Receive internship application results.
A meeting of the Head of JIAM with all Head of Programmes will be held to
endorse the internship placement as stipulated in the Undergraduate
Meeting.

The duration and working hours during the internship are subject to the current Labour Law. Any overtime
or increase in workload is subject to the agreement between the employer and the student. The minimum
working day is from Monday to Friday or Sunday to Thursday or equivalent to 40 hours a week.
10.0 SPECIAL CASE AND EMERGENCY RUBRIC
10.1 Employers have the right to determine the internship implementation. The students will either need
to Work from Office (WFO) or Work from Home (WFH) is based on the current Movement Control
Order (MCO) regulations. Therefore, students will be assessed based on a special rubric, as shown
in Table 3.

11.0 RESPONSIBILITIES OF JIAM
The FEP internship programme is administered by the Deputy Dean of Relations and Income Generation
with the Head of Industrial, Alumni, and Community Relations (JIAM) assisted by the Relations and
Income Generation Secretariat.

The JIAM Secretariat administers the internship of mainstream students only. Meanwhile, internship for
students registered with the Centre for Educational Extension (PKP) will be managed by PKP officers.
12.0 RESPONSIBILITIES OF HEAD OF PROGRAMME
12.1 The Head of Programme is responsible for confirming the student’s internship placement with
Mentor’s assistance.
12.2 The Head of Programme is responsible for ensuring that students undergo internship according to
their field of specialisation.
12.3 The Head of Programme will need to approve any acceptance of internship placement.
12.4 The Head of Programme has the authority to reject any internship placement that does not meet
the student’s field of study.
13.0 RESPONSIBILITIES OF STUDENTS
13.1 It is COMPULSORY for students to report for duty on the date and time as stipulated in the offer
letter.
13.2 Students MUST comply with the policies and regulations of the organisation and Universiti
Kebangsaan Malaysia (UKM).
13.3 Students are reminded to uphold the good name of UKM and the company and comply with the
employer’s and internship supervisor’s commands during the internship programme.
13.4 Students SHOULD seek assistance and discuss with the Academic Supervisor if they encounter
any problems related to their internship. Students should never make their own decisions before
the consultation.
13.5 Students are NOT ALLOWED to change organisation without faculty’s consent, it is subject to the
faculty’s approval.
13.6 Students are NOT ALLOWED to engage in any activities prohibited by UKM and the internship
organisation.
13.7 Students MUST MAKE SURE to fill out all internship related forms and submit them to relevant
parties.
13.8 It is COMPULSORY for students to pay tuition fees to UKM during the internship period.
13.9 It is COMPULSORY for students to submit a written report and logbook no later than week-15
during the current internship semester.
13.10 Students MUST communicate with the JIAM secretariat with regards to internship matters and not
through intermediaries such as Academic Supervisors, Mentors, friends, family members, and
others.
13.11 Students are responsible for meeting the internship requirements as per guidelines, failing to do
so will cause disciplinary action.
14.0 RESPONSIBILITIES OF SUPERVISORS
14.1 ACADEMIC SUPERVISOR
14.1.1 Academic supervisor should always contact and advise students accordingly.
14
14.1.2 Academic supervisor is required to visit students at least once during the internship
period.
14.1.3 Academic supervisor should establish good relations between the faculty and the
organisation.
14.1.4 Academic supervisor is required to evaluate student’s performance during the
presentation using the form provided (UKM/FEP/LI/B04) during the visit to the
organisation.
14.1.5 Academic supervisor is required to evaluate student’s written reports using the form
provided (UKM/FEP/LI/B06/PA / UKM/FEP/LI/B08/PA).
14.1.6 Academic supervisor is required to submit student’s internship grades online within the
period determined by JIAM.
14.1.7 Academic supervisor should refer to the JIAM secretariat for any cases related to the
exchange of internship placement, student withdrawals, conflicts with employers,
misconduct of the employer, and the like.
14.2 INTERNSHIP SUPERVISOR
14.2.1 Internship supervisor is required to determine the placement and specific tasks that are
appropriate for the students upon receiving the student’s internship admission.
14.2.2 Internship supervisor should guide student related to tasks given according to student’s
specialisation.
14.2.3 Internship supervisor is required to evaluate the student’s performance throughout the
internship period using the evaluation form provided during the student’s presentation.
14.2.4 Internship supervisor needs to submit the evaluation form (UKM/FEP/LI/B07/PI/BI) to
JIAM after the student has completed the internship session.
14.2.5 Internship supervisor may use own discretion to approve student’s sick leaves and
holidays under their supervision.
14.2.6 Internship supervisor is required to inform the faculty of any problems that may arise
during the student’s internship period.
14.2.7 Internship supervisor is required to comply with the work ethics as per National Labour
Act throughout supervising the internship student.
15.0 OTHERS
15.1 HOLIDAYS
Student’s entitlement for holidays is upon the Internship Supervisor or the head of the department’s
approval. Students are not allowed to take leave as they please.
15.2 HEALTH AND SAFETY
All UKM students are covered under life and accident insurance policies throughout their studies, including
the internship period. Students may refer to the registrar’s office regards to insurance matters.

Students are to abide by the Universities and College Universities Act 1971 (Amendment 2009), IPTS Act
1996 (Act 555), and Education Act 1996 (Act 550) throughout their internship period.
16.0 SPECIAL CASES
16.1 EARLY TERMINATION BY THE EMPLOYER
Students should immediately report to the JIAM secretariat if they are terminated early due to unforeseen
circumstances such as the company’s internal problems, health issues, and others. Students will be given
special assignments or be reassigned to a new organisation based on the Head of Programme’s approval
to complete the remaining hours of internship.
16.2 EARLY TERMINATION OR CHANGE OF PLACEMENT BY THE STUDENTS
Students are strictly prohibited from self-terminating before the stipulated date or change the internship
placement. Students need to seek advice from the Academic Supervisor if they encounter any problems
such as self-adjustment, stress, health, safety, or any other reasons. The Academic Supervisor should
refer the case to JIAM secretariat for further action in finding the best solutions, if necessary.
