Session #1Creating an email marketing list

Email List

If you have existing contacts in Microsoft Outlook follow these steps to export the list. For more help watch this video

Export Your Microsoft Outlook Contacts to a CSV File1.To save your contacts from Outlook to a CSV file: ›› Step by Step Screenshot Walkthrough 2.Select File | Import and Export... from the menu. 3.Make sure Export to a file is highlighted. 4.Click Next >. 5.Now make sure Comma Separated Values (Windows) is selected. 6.Click Next > again. 7.Highlight the Contacts folder. 8.Click Next >. 9.Use the Browse... button to specify a location and file name for the exported contacts. Something like "Outlook.csv" or "ol-contacts.csv" on your Desktop should work fine. 10.Click Next > (once more). 11.Now click Finish.

Email List

If you have existing contact in Gmail follow these steps to export the list.

Export Your Gmail Contacts to a CSV File

1.Select Contacts from the left Gmail navigation bar. (Gmail > Contacts) 2.Select all the Contacts you would like to export. 3.Go to More > Export at the top (or at the bottom or in the contacts' toolbar using Gmail's older version). 4.Select Outlook CSV format (or Outlook CSV).

• Both Outlook CSV and Google CSV export all data. The Gmail format uses Unicode to preserve international characters under all circumstances, but some email programs — including Outlook — do not support that. Outlook CSV converts names to your default character encoding.

5.Click Export or Export Contacts.

Email List

If you have existing contact in Hotmail follow these steps to export the list.

1.Select Contacts from the Hotmail navigation bar on the left. 2.Choose which contacts to Export (Ex. All > All)3.Click Manage > Export4.Open the Exported file in Microsoft Excel.5.Save the file as Hotmail Contact Master File

Email List

After you have exported your list, you will need to clean it up to a common Master Excel sheet format.

This will involve copying and pasting to fit the required format for bulk uploads.

Follow the instructions on the next slide to set up your master list.

Email List

We will use excel to create a master email marketing list for you to use with the different email marketing programs. This will allow you to bulk upload all of your emails from one file. You can also add contacts individually.

Go to www.nrtgateway.comClick HomeBase inTouchWhen signed into HomeBase inTouch click Your Leads > Import My Leads

Click on the following link:If you're not using Outlook, or for additional information click here.

Click on the Download Sample CSV File Button. This will open up a sample CSV (SampleFile.csv) file which we will use to create our template.

Email List

When making a master email list, certain field are required. This means on the first row, fields will need to be entered in order to use the excel list to bulk upload to various email marketing tools (third-party included).

These requirements change slightly from tool to tool, but a lot of the information is the same.

The main three that we will want to add is First Name, Last Name, E-mail Address

Enter your clients in this excel sheet and save this file as – Sphere of Influence Contact List Coldwell Banker – Agent Name (Sphere of Influence Contact List Coldwell Banker – Brandon Pines.xls)

Tool Required Fields Important Notes

One Touch In Touch Last Name, Email Address or Phone Number Maximum file size of 500KB.If the import file contains less than 1000 contacts, contacts imported will be available immediately.

If the import file contains more than 1000 contacts, import will be processed overnight and will be available the following morning.

AZ Moves.com Admin File must contain only e-mail addresses. You need to create a Distribution List to save your contacts.

Imports may be any of the following file types: Comma delimited (CSV), Tab delimited (TXT or CSV), Outlook (CSV), Gmail (CSV), Yahoo! (CSV), Sharper Agent (CSV), Top Producer (CSV), LeadRouter (CSV)

Files may contain no more than 20,000 records

Note: Only contacts with valid email addresses will be imported; any invalid records will be ignored. Valid email addresses must have no spaces and be in [email protected] format.

Importing Leads

One Touch In Touch – Your Leads > Import Leads > Upload CSV File (Browse then Upload)

AZmoves.com Admin – From your Master List delete all rows and columns except for email addresses. Delete the Row Email Address.

E-mail and Client Tools > Email Tools > E-mail Distribution Lists • Select yourself from the agent drop down list.• Enter a Distribution list name > Upload Distribution List (Browse then Import). • After import the emails will be in the To: field. Click Save to save the Distribution List.

Importing Leads

Coldwell Banker Works – From the home screen click > eMarketing under Browse popular sections.

Click eMarketing Tools > Address Books > Import > File Location > Browse (upload and search for master file).

It will ask you for duplicates, choose replace existing entries then import. A pop-up screen will display confirming your contact, review and choose continue. Close the window.

One Touch In Touch can send out emails of our monthly statistics and client contact flyers which will contact your sphere of influence whenever you choose!

We call it One Touch, In Touch because with literally one click, you're going to be able to keep in touch with anyone you want, as often as you want, in the way that you want.

Just one click, and you're done for the year! You can keep in touch with your clients, your friends, your past customers . . . basically everyone and anyone in your sphere of influence. One Touch and you're done for the year!

All agents need to do is create a signature, import their clients into the system, and assign our premade email templates to your clients.

Each template will automatically be emailed at certain times throughout the month.

To be eligible for One Touch, make sure you are LeadRouter Certified.
