IntroductionAn assessment was done on Progressios Comic Relief funded partners
(ZACRO,ZAPSO,ZNCWC and NECTOI) in order check the organisations level of
maturity in the use of ICTs (Information and Communication Technologies).Progression believes that the appropriate use of ICTs can increase the efficiency and
effectiveness of each partner organisation, can help bridge the digital divide and can
act as a springboard to enable them to do things which would be impossible without
this technology.
We identified four maturity levels for assessment purposes: Non-existent computer infrastructure Early stages Intermediate Advanced
We applied these maturity levels to each of the following areas: The technological infrastructure: this includes computer architecture, network
infrastructure, telecoms and internet access. Required resources: these includehuman resources, management and finances and external support
The level or sophistication of the use of computers within your organisation is ofprimary importance.
NGOs utilise skills and resources to carry out operational processes linked to:- Applications- Stakeholder communications- Web utilisation
Progressio Development Workers went through all the areas with the each partner to
decide which areas they want to improve. The idea was to pick the lowest hanging
fruit first i.e. improve those areas where the most benefit is gained with the least
effort

Computer Infrustructure
ZACRO has a full complement of mostly recent hardware whichcan work together. Most have been sourced from a single or two
vendors. ZACRO has a complete inventory of all systems(hardware and software) including full documentation (invoices,warranties, installation documentation, software installationdiscs, and software manuals).
However there is need for regular servicing of the computers andprinters as part of preventive maintenance. There is also a needto setup an upgrade plan that determines when to replace orupgrade computers and also factor it in the budget plan
Network Infrastructure
ZACRO has a very good network infrastructure that uses bothethernet and wifi connectivity. There is need to configure thenetwork to enable users transfer or share files using sharedfolders and share specific devices such as printers or faxes whichare attached to specific computers.
Internet InfrastructureZACRO has generally reliable WIMAX internet connection.However ZACRO needs to regulary change their wifi passwordsas security measure against unauthorised use of its internetfacilities.
ZAPSO
Computer Infrustructure
A few ZAPSO employees have their own computers but mosthave to share computers; many of the computers are quite old.
There is need for ZAPSO to prepare a plan for acquiringadditional computers, carefully looking at current and future
application needs and matching them with ZAPSO staff situation.Network InfrastructureZAPSO uses both ethernet and wifi network connectivity. ZAPSOhas a dedicated file server which stores and shares groupinformation. There is a however need that all users understandand agree to the file sharing, location and naming conventions(when and where a file must be stored on the server, how tochange files and name the different versions). There is a also aneed to set up a server backup procedure (how often and where
to) and ensure that all data continuity issues are addressed.Internet InfrastructureZAPSO has recently acquired WIMAX internet connection.

ZNCWCComputer Infrustructure
A ZNCWC have sufficient computers for all employees, althoughsometimes employees ( especially interns)need to share acomputer. There is need to setup and configure multiple useraccounts on shared computers.
Network InfrastructureZNCWC has a wifi network enabling them to share printers.However the computers are not linked. They need to be set inthe same workgroup for them to communicate with each otherand share files and folders.
Internet InfrastructureZNCWC has a broadband WIMAX internet connection. HoweverZAPSO needs to regulary change their wifi passwords as securitymeasure against unauthorised use of its internet facilities.
NECTOI
Computer InfrustructureNECTOI has sufficient computers for all employees, althoughsometimes employees need to share a computer. However thereis need for regular servicing of the computers and printers aspart of preventive maintenance..
Network InfrastructureNECTOI has no operational local area network. There is a need tonetwork the workstations to enable sharing of files, folders andresources such as printers and internet facilities. We proposesetting up of a wifi network at NECTOI.
Internet InfrastructureNECTOI has an ADSL internet connection serviced by Telone.However the internet facility is only used by two officers. Settingup a wifi local area would enable sharing of the internet facilityby all staff who need it.

Communication with StakeholdersNECTOI has a few organisational e-mail addresses but not foreach staff member. They send and receive documents and files.However they need to compile mailing lists enabling them tosend bulk emails. They also need to develop e-newsletters topromote their work and services. Bulk emails and e-newsletterswill ensure communication with other stakeholders such asdonors and volunteers happen quicker, cheaper, more effectivelyand professionally.
Web PresenceNECTOI has an attractive, extensive and detailed website whichis accessible using the organisation's specific domain name www.nectoi.org. Some staff members were trained to update the

website. However the website is not being updated regularly. It isrecommended that at least one staff member has websitemaintenance and update as part of their job responsibility. The isalso need to ensure continued skills training, especially on writing
articles for the web. There is also need for some redundancy inskills so that someone could take over at short notice or in caseof emergency.
Staff updating the website need to arrange feedback sessions toNECTOI management on a regular basis on issues such as theweb visibility, issues, content and traffic analysis. There istherefore a need to incorporate traffic analysis capabilities in thewebsite to capture traffic details: who visits the site, where dothey come from, which pages do they view and how much time
