Visitor Admission
- Visitors must register at the registration counter at the entrance area of the hall.
- Admission is free for professionals, invited guests, trade and business visitors only.
- The Organizer reserves the right to refuse admission to any person in the event without specifying any reason.
- Minors under 18 years of age are not allowed into the exhibition halls.
Facilities
An International buyer's lounge as well as a press centre of local and international media will be made available
throughout the opening hours to assist members of the press. Exhibitors may like to deposit press materials with the
duty staff to pass on to the media covering the show.
Cafeteria / Restaurants
A variety of coffee shops, snack bars and restaurants are available on-site or directly adjacent to the fairground.

Raw Space
Exhibitors opting for raw space Indoor / Outdoor or Live Demonstration area will be given an open area. Exhibitors will
have to organise their own stall designing, electricity requirement, etc. Organiser will not provide any other facilities to
the exhibitor opting for raw space. Various fair services that are being offered by the organiser can be availed at an
additional charge. The stall dimension will be approved by the organizer before finalizing the layout of the exhibition.
Participation Payment Terms
The prospective Exhibitors should apply on the Application for Participation form along with payment. Allotment will be
on first-come-first served basis subject to receipt of payment. All payments should be made by Demand Draft payable to
Federation of Indian Chambers of Commerce & Industry, payable at New Delhi, India. Application for Space towards
raw & built-up booths may be made in combinations/multiples of contiguous plots/booths. For a combination of
contiguous, furnished indoor standard booths allotted, provision of partitions with the area would be optional.
Overseas Payment Terms
Overseas companies willing to participate in the exhibition should contact the Organisers directly for the booking of
space at the address given in this manual.
For Overseas Participation, remittances may be made through electronic transfer

Right to Participation
There is no legal right of participation accruing to anybody. The Organisers, in their sole discretion may deny participation
to any applicant without disclosing the reasons there of.
Permitted Exhibits
Organisers have the right not to allow the display products, which are not included in the application forms submitted to
the Organisers. Permission of the Organiser must be obtained to alter the Exhibits
Allocation of Space
UNACOMA/FICCI will have sole discretion in allocation of space. However, due consideration will be given to the choice
and requirement of applicant.
Refundable Security Deposit (payable only for exhibitors booking raw space)
A refundable security deposit amounting to 10% of the participation charges will be payable by all exhibitors. The
amount shall be payable along with the participation form. The deposit will be utilized by FICCI to adjust outstanding

Operation of Stands

Right to Participation
There is no legal right of participation accruing to anybody. The Organisers, in their sole discretion may deny participation
to any applicant without disclosing the reasons there of.
Permitted Exhibits
Organisers have the right not to allow the display products, which are not included in the application forms submitted to
the Organisers. Permission of the Organiser must be obtained to alter the Exhibits
Allocation of Space
UNACOMA/FICCI will have sole discretion in allocation of space. However, due consideration will be given to the choice
and requirement of applicant.
Refundable Security Deposit (payable only for exhibitors booking raw space)
A refundable security deposit amounting to 10% of the participation charges will be payable by all exhibitors. The
amount shall be payable along with the participation form. The deposit will be utilized by FICCI to adjust outstanding
amount, if any. In the event of no outstanding, the amount will be refunded within 45 days from the date of close of the

during set up and dismantling period.
Sale of Exhibits
Counter sales are not allowed during the Fair. However, negotiations for sale may be conducted. Removal of any Exhibit
during the fair period is strictly prohibited.
Handling of Exhibits, Customs & Imports
Customs, clearing & forwarding services would be available at the Fair Grounds at extra cost. The Organiser has
appointed M/s. R E Rogers Pvt. Ltd. and M/s P S Bedi & Co Ltd as Clearing and Forwarding Agents, who would assist in the
handling and completing customs formalities, if required. Please refer to enclose FORM No 09 for further details and
tariff. The Exhibitor would be required to contact them directly for such assistance. Movement of Exhibits in the Fair
Grounds by agencies other than the official clearing and forwarding agents is prohibited.
Service Agencies
Service agencies/provider like security, cleaning, phones, catering, courier etc. empanelled with organisers will only be
allowed to provide services to exhibitors. Other agencies will not be allowed to enter/operate in the exhibition.
Photography
The organisers reserve the exclusive right to take photographs and films of the Exhibition stalls. Prior permission of the
Organisers will be essential for taking photographs and films by the Exhibitors and others.
Insurance
Against all ascertainable risks from transportation to display and removal should be done by the Exhibitors at their cost.
Organisers will not be responsible for any claim.

Entry into Fair Ground will be on the basis of exhibitor passes issued by Organisers. The exhibitor badges can be procured
from the site office during the construction period. Badges will be issued to the exhibitor as per the following table:
Entry of vehicles in Fair Ground will not be permitted during exhibition hours and other hours specified separately. Exit
passes will be necessary for exhibits / material to be taken out of the Fair Ground.
Vehicle Passes
The Organisers would be making arrangements for Parking of vehicles for exhibitors near fair ground. For this parking
labels will be issued by the Organisers from the site office.
Violation of Rules
In the event of violation of any rules, organisers will have the right to close down the stall of the exhibitor.
Dispute Resolution and Governing Law
All unresolved matters, questions, disputes or differences whatsoever arising between the Exhibitor and Organisers shall
be settled by arbitration in accordance with the rules of the Arbitration and Conciliation Act 1996. The arbitration
proceedings shall be conducted in English language in New Delhi, India. The arbitration agreement contained in this
paragraph shall be solely and exclusively governed by the laws of India.
Force Majeure
If the exhibition is abandoned, cancelled or suspended in whole or - in part by reasons of war, fire, national emergency,
and labour, non-availability of exhibition premises or re-allocation of exhibition premises or any other cause not within
the control of organizers. Organizers shall be under no obligation to refund such rental or part thereof and shall be under
no liability for any actions, claims or losses.

Eima Agrimach INDIA 2017 is being held in the temporarily constructed hanger structure based halls in the open ground
and also outdoor raw space at IARI, Pusa. The superstructure will be made of mild steel/Aluminum frame sections. The
roof of the structure will be a covering made of SRF Polypropylene. The flooring will be made of wooden platform. The
pitch roof type superstructure will have a maximum height of 10 m at the centre and the side eave 4 m. The Platform in the
hanger will have a load bearing capacity of 200 kg / sq m.
Dimension of halls
Specific Architectural Control and Guidelines
l Exhibitors are advised to follow guidelines specified by the organisers for the exhibition. The organisers would
particularly like to emphasize on the following points.
l Woodwork in the halls is prohibited. Platforms / panels and other decoration for the interiors must be
brought in pre-fabricated condition for assembly and finishing inside the hall. Use of systems will be
encouraged to result in timely completion of stalls. Passage area is to be kept clear of packing cases,
construction material etc.
l The exhibitors should leave minimum 30% of the stall area free for movement of visitors.
l Stalls should be completed in every respect by 1600 hrs. on December 06, 2017 with all exhibits in position.
l The exhibitors who have booked indoor / outdoor raw space can construct an office / cabin provided the
area covered is 25% of the total booked area and the balance space should be kept open. Height of the
sidewalls that open onto the passage area has to be of 1.5 m. The wall touching the adjacent exhibitor's
stall or the back wall has to be of 2.5 m in height, whichever is applicable.
For island positions, the openings on all sides of the stall / space will have to be maintained. The height of the
sidewalls should not be more than 1.5 mtrs. The display within the stall could go till 3 m. Exhibitor booking
outdoor raw space can go up to a height of 5 m.
Exhibitors should note that the partition wall between the two stalls / space in the indoor / outdoor raw space
categories will not be provided by the organisers. Exhibitors will have to finish the partition / sidewalls from both the
sides so that the attire exhibition is maintained. Exhibitors are advised to follow this guideline strictly.
It is mandatory for exhibitor to maintain the stand types in terms of openings of a stall / space. Exhibitor may like to
have an entry / exit point on the sides. Organiser can ask exhibitors, anytime, to follow the above guidelines.
Organisers decision in this regard is final and binding.
Use of any kind of cloth banner and tent structure in the stall/exhibition site is prohibited.
Exhibitors should advise their display and advertising agents about the rules and guidelines for stall decoration,
permissible size of display material, partition / side / back wall height restrictions, load bearing capacity, wall finish
from both sides, panels, office cabins etc. Organisers would not correspond with the advertising agents engaged
by the company / exhibitor. However, if the exhibitors themselves require any information or clarification, the same
can be obtained from the organisers.
The above height of features and their locations is subject to approval of plans from the organizers (FEDER
UNACOMA & FICCI)
No construction shall be permitted in front of emergency doors, service doors, electric distribution boards, switch
rooms, toilets, and other fair facilities. The unauthorized construction undertaken in front of such facilities would be
removed at the expense of defaulter participants and the organisers (FICCI) would also levy penalty as deemed fit.
Exhibitors booking indoor / outdoor raw space are required to submit their design drawings at least one month
before start of the exhibition and the plans would be scrutinized within 7 days after their submission to the
organizers (FEDER UNACOMA & FICCI). All exhibitors have to strictly follow the architectural guidelines laid down in
the manual. Any deviations will not be permitted.

All exhibitors opting for indoor space for Raw or shell stand, a wooden platform slighted or raised from the ground
made of ply board is provided as the base. This platform has a load bearing capacity of 200 kg / sq m. Heavy machines
of more than this load cannot be placed on this base. Exhibitors have to compulsorily opt for brick or paver floor,
which can take more loads. Organisers will try their best to provide flooring, which has uniform level for enabling
exhibitors to place & demonstrate sensitive machines but since the event is held in a temporarily created
infrastructure organisers cannot guarantee a quality, which can be compared with that of concrete floors of
permanent exhibition halls.
Procedure for taking possession of Stands
l Possession of Built up and Raw space area will be given to the exhibitor only after full payment of all dues
including the security deposit and service tax.
l The exhibitor must give a letter of authorization to the FICCI official at site office for obtaining possession of
their stand in the name of representative mentioned in the letter.

Procedure for taking possession of Stands
l Possession of Built up and Raw space area will be given to the exhibitor only after full payment of all dues
including the security deposit and service tax.
l The exhibitor must give a letter of authorization to the FICCI official at site office for obtaining possession of
their stand in the name of representative mentioned in the letter.

Possession of Built up stalls and raw space will be given as follows:
Indoor / Outdoor Raw Space : On December 02,2017 from 12:00 am onwards
Live Demonstration Area : On December 02,2017 from 12:00 am onwards

No entry of goods will be allowed after 1300 hrs on December 06, 2017. The exhibitors should complete the stall
construction and decoration by 1600 hrs on December 06, 2017.

The decision of the organizers of Eima Agrimach INDIA 2017 as regards the approval of the plan shall be final and
binding upon exhibitors and the work must be carried out as per the approved drawing only.
Exhibitors booking indoor / outdoor raw space must submit 3 copies of the design of the stand showing elevations
and floor plan for approval, by 10th November 2017. The Exhibitors sending their plans after this date shall be liable
to pay penalty of Rs.10000/US$225. The drawings must also clearly show layout of exhibits, logo details, supporting
stand electrical points etc. and clearly indicate wall/panel height; exhibits, meeting rooms etc.
All display will be inspected during the set up days exhibitor deviating from the regulations must make modifications
as suggested by FICCI on their own expense prior to the opening of the event.
The following are strictly prohibited:
l Use of electrical flash, flashguns etc.
l Cloth Banners, Velvet Banners / Covers on the panels / table.
l Stage show of presentations without prior permission in writing of the Organizer.
l Painting, Colouring, Wallpapering, Sticking of Thermocole cut letters,
l Nailing or drilling of panels. Exhibitors would be charged @ Rs. 2500 per panel for any damages to the panels.
l Hanging of items from the Hall ceiling or parts of it.
l Storage of any kind behind the display walls.
l Digging, grouting or cutting of the floor.
No additional stand fitting or display may be attached to the Built Up structure.
The exhibitors should confine their exhibits as well as personal furniture & other amenities from outside within
the area allocated to them. They should not encroach upon corridors, passages, vacant space etc provided by the
organiser.
The present regulation applies to the Live Demonstration, which will be held in conjunction with Eima Agrimach India
2017, hereinafter referred to as demonstration.
By booking a Live Demonstration area, it is implied that the exhibitor / demonstration holder completely agrees to all the
norms of the present regulation
l The liability of the exhibitor is absolute in accordance with the machinery / Equipments being used which Qualify the
Indian Standards relating to Technical aspects and Safety.
l The Organizers will have right to Terminate the demonstration at any time during the demonstration towards any
exhibitor, on the occasion of violation of any rules.
l The Organizers reserves the right to amend the present regulation and / or its sections at any moment. For any
alteration the exhibitors / demonstration holders would be intimated by the Organizer.
l The exhibitor would be solely responsible towards any public participation during the live demonstration.
l There will be special provision for Insurance to be offered during the live demonstration.

Equipments concerning with sound or any sort of noise inside the stall should be in permissible decibels. No sound system
will be allowed inside the demonstration area. For any demonstration / presentation, there should be right level of sound
(Decibels) to be maintained which should not hinder the surrounding exhibitors. Any sort of devices and activities
gathering public attention leading to chaos are not allowed.

Demonstration Slots :
It is in the discretion of Organizers' for allocating the demonstration slots to the participants for demonstrating the
equipments as mentioned in the schedule by the Organizers'. Exhibitors' request for specific slots will be kept in due
consideration, compatibly with availability of the same.
Speed Limit :
Demo vehicles are not allowed to exceed the 30 Km/h speed limits.
Parking:
Vehicles will be allowed to be parked in allocated slots only. Vehicles should not obstruct aisles, emergency entry/exist,
traffic lanes and escape routes. It is in the discretion of organizer to change the allotted parking slot as per the requirement
of other companies.
Additional Material:
Procurement of any additional equipment and/or material required to carry on the live demonstration lies with the
Exhibitor/Demonstration holder only.
Qualification of Drivers:
l The driver must hold a Valid Driving License and should be well qualified to handle the driving conditions of the
demonstration.
It is mandatory for the exhibitors / demonstration holders to submit their drivers name, their driving license copy and a
document attesting their qualification which satisfies the criteria for driving in demonstration area by the company.. All
the drivers will need to carry their driving license during all the three days of event, if any driver found without driving
license in the demonstration area, he will not be permitted to run / operate the Machinery / Equipment.
Safety:
The exhibitors / demonstration holders must comply with all the laws & regulations pertaining to safety and accident
preventions. For safety reasons, use of flammables and / or other dangerous item in the demonstration area is strictly
prohibited. The exhibitor / demonstration holder will be solely directly and / or indirectly liable for any damage and / or
accident, occurring from non-compliance with safety norms.
Insurance:
It is mandatory and at the sole responsibility of the exhibitor / demonstration holder to obtain insurance policy, covering
risks against civil liability, transport, theft, fire and exceptional events.
Security:
The organizers will provide a general security for the Live Demonstration Area, which will not be left unattended at any
time during the demonstration period.
Force majeure:
Should the demonstration be abandoned, cancelled or suspended due to any reason whatever, which is not under the
control of the Organizers', the latter shall not be held liable for any action, claim or loss thereof.
Connections to India
l All the major Airlines operate to & from New Delhi / Mumbai. There are regular freight services with enough
spare capacity.
l All major Shipping Lines dock at Mumbai, offering FCL and LCL facilities. Alternates also available at Chennai
and Calcutta Ports, which also offer the same.
l Modern handling facilities are available at ports and airports.
All Major Shipping lines & Airlines have connections to Mumbai.
Material Handling At the Exhibition Site.
On arrival at the airport or the ports, our Official Freight Forwarding Agent M/s R E Rogers India Ltd and M/s. P. S. Bedi
& Co. Ltd. after completion of necessary custom formalities will transport the exhibits to venue by road/rail. For
contact details refer FORM No.09.
Safe and reliable inland transit facilities are available.
i) Custom Clearance at the Fair Site
a) India, being a signatory of the ATA Carnet System offers the ATA Carnet as means of clearing exhibition goods.
Alternately, goods can be cleared under simple Embassy Bonds, which does not entail any financial overheads.
Bank guarantees can be a third alternate.
b) Unlike in most parts of the world, no duty is required to be paid on exhibition goods at the time of initial entry.
ii) Handling at the fair grounds.
a) Official Handling Agents operate with modern mechanical equipment (forklift, cranes etc) and a specialized work
force is present at the fair site.
b) Through their International network, they will provide detailed shipping instructions and offer services to
exhibitors from the point of origin to the fair and back.
iii) Post Exhibition
a) Goods displayed during the event can be sold after the exhibition, subject to the buyers complying with regular
import procedures and payments.
b) Goods can be kept in the Customs Warehouse for a period of six months. The period may be extended upon
request. During the tenure, display items can be taken for private demonstrations, subject to the permission
from Customs.
c) There would be no duties on consumables like printed matter, literature, pamphlets, etc.
d) If not sold, exhibits can be re-exported within the stipulated period of time.

For site handling operations, cargo-handling equipment such as forklifts, mobile cranes and skilled labour will be
available at the Fair Ground, from the Official Agents on hire. The rates for On-site handling will be settled by the
exhibitor with the agents directly, depending upon the quantum of work and kind of job required as per the official
on-site handling tariff approved by the organisers. The Official Agents will have their offices at the site during the pre
& post exhibition period.
The Organisers will not be responsible for damages caused to exhibitors while handling at the site. Therefore, the
exhibitors must insure for all their display against possible transit & handling damages, which are meant to exhibit.
Electrical Supplies & Installations
The electric power supply available in India is as under:
Single / 3 Phase : 230 / 400 volts 10% fluctuation
Frequency : 50 cps 3 % variation
The Organiser's engineers responsible for supply of power will be entrusted with the authority of regulating and
controlling the power supply to the exhibition hall and individual stalls. Each stall will be provided with electric power
at one or more main points depending on the total load requirements. Exhibitors should use Distribution Boards for
feeding power to their machines. Individual isolation switches should be provided for each machine. Exhibitors
should use either armored cables or metal conduits for connecting power supply to machines.
The work of drawing power from main points to machines / exhibits is to be carried out by the exhibitors, at their own
expense. Exhibitors may engage the services of their own engineers or authorised electrical contractors for wiring
work inside their stall subject to the condition that they are duly licensed to undertake electrical work. Exhibitors are
advised to exercise highest level of safety precaution for electrical wiring and installations. The service charges of
electrical contractor are to be borne by the exhibitors that are payable directly to the contractors.
The Exhibitors should connect power to machines and exhibits as per the requirement given in their Application.
Connecting power to the Exhibits other than those mentioned in the Electricity requisition Form No. 3 or more than
the specified load or the allotted by the Fair Electrical Department will not be permitted.
Exhibitors must install independent switch for their machines/exhibits. Alternate connections or throw-over switches
are not allowed. In case power is supplied to the stall from two or more main points, Exhibitors must distribute the
load as per the capacity of the respective switchboards in consultation with Fair Electrical Department. The Exhibitors
requiring single-phase power for lighting purpose should carry out necessary wiring from 3-phase outlet through two
poles single phase switches if necessary for further distribution. After the electric wiring work is completed, the
exhibitors must obtain a completion report from the Electricians or Contractors engaged by them and file the same
with Fair completed Electrical Department. Actual connected load for the individual machines/exhibits is to be
mentioned in the report. Power will be released only after the wiring work is carried out. All the main electric supply
points must be accessible for operation and repairs in the event of emergency. Main electrical supply points should be
concealed or covered.
