How to Create and Share a Custom List View in ARIAS

CREATE A CUSTOM LIST VIEW
1. From your Contacts or Assessments home screen, click on “Create view”
NOTE: A custom list view can be created for both the Contacts and Assessments
2. This should take you to the “Advanced Find” screen. Click on “Select”

3. Select the field(s) you want for your custom list view
4. Select the variable(s) you want for that field

5. Click on “Edit Columns”
6. This should take you to the “Edit Columns” screen. Click on “Add Columns”

7. This should take you to the “Add Columns” screen. Select all the column(s) you want in your
custom list view, click on “OK”
8. This should take you back to the “Edit Columns” screen. Click on “OK” again

9. This should take you back to the “Advanced Find” screen. Click on “Results”
10. If the results you are seeing are the correct results you were wanting or expecting, click on
“Advanced Find”

11. Click on “Save”
12. Enter in a Name and optional Description for your custom list view. Click on “Save”
13. Go back to your Contacts or Assessments home screen. Click on the List View selection
button, your custom list view should now appear under “My Views”
NOTE: If your custom list view is not there, refresh your page

SHARE A CUSTOM LIST VIEW
14. If you want to share your custom list view, from your Contacts or Assessments home
screen, click on “Create view”
15. This should take you to the “Advanced Find” screen. Click on “Saved Views”
16. This should take you to the “Saved Views” screen. Click ON the custom list view name you
want to share

17. This should take you to back to the “Advanced Find” screen. It should now display your
custom list view field(s) and variable(s). Click on “Save As”
NOTE: Do not skip this step, if it is skipped, your custom list view will be removed from your list
of saved views
18. Save a copy of your custom list view by clicking on “Save”
NOTE: Save the same amount of copies as the number of users you are going to share your
custom list view with
NOTE: Both the “Name” and “Description” can be the same as the original, you do not have to
rename your custom list view

19. This should take you back to the “Advanced Find” screen. Click on “Saved Views” again
20. This should take you back to the “Saved Views” screen. First, right click on an empty area
next to your custom list view name, this should bring up a small menu. Click on “Refresh List”
21. All your copies of your custom list view should now appear. Click to the left of the name of
the custom list view you want to share, this should bring up a checked checkbox

22. Click on “Assign Saved Views”
23. This should take you to the “Assign Saved View” screen. Click on the “Assign to” field that
says “Me”

24. In the “Assign to” field, the text “Me” should have changed to “User or team”. In the “User
or team” field, enter in the user or team you want to share your custom list view with. Click on
“Assign”
NOTE: If a custom list view is shared with a team, and if anyone on the team deletes the custom
list view, that custom list view will be deleted for EVERYONE that is on the same team
NOTE: If a custom list view is deleted by the Owner of the list view, that custom list view will be
deleted for EVERYONE that it was shared with
25. This should take you back to your “Saved Views” screen. Notice how the custom list view
you shared is now gone! This is normal, any custom list view you share with be removed from
your list of saved views. This is why you want to save the same amount of copies as users you
are going share your custom list view with
NOTE: If you forgot to save a copy, you can have the user that you shared the custom list view
with share it back to you. It will appear back in your list of saved views

26. Depending on what type of custom list view you created, have the user you shared the
custom list view with go to either their Contacts or Assessments home screen. Have the user
click on the List View selection button. The shared custom list view should now appear under
their “My Views”
NOTE: If the shared custom list view is not there, have the user refresh their screen
DELETE A CUSTOM LIST VIEW
27. If you want to delete your custom list view, from your Contacts or Assessments home
screen, click on “Create view”
28. This should take you to the “Advanced Find” screen. Click on “Saved Views”

29. This should take you to the “Saved Views” screen. Click to the left of the name of the
custom list view you want to delete, this should bring up a checked checkbox
30. Click on “Delete Saved View”
31. Click on “Delete”

EDIT A CURRENT LIST VIEW
32. If you want to edit a current list view, from your Contacts or Assessments home screen,
click on “Create View”
33. This should take you to the “Advanced Find” screen. Click on “[new]”, next to “Use Saved
View:”
34. This should bring up a drop-down menu of all the System Views, select one you want to edit

35. Modify the fields and variables
36. Click on “Save As”
37. Enter in a Name and optional Description for your newly edited list view. Click on “Save”

38. Go back to your Contacts or Assessments home screen. Click on the List View selection
button, your newly edited list view should now appear under “My Views”
NOTE: If your edited list view is not there, refresh your page
