Section 1: The Boarding School Mission Statement
As Boarding School staff, our mission is to promote the personal growth, emotional development and
academic achievement of each student in the Boarding School community. We facilitate this
development by providing a supportive, comfortable and warm environment in which the students can
both live and learn. Our community celebrates the ethnic and cultural diversity of the Boarding School
and is sensitive to the individual needs of our international and domestic students.
We assist the students in acquiring life skills that will prepare them for life beyond the ivy.

Section 3: Boarding Structure – Who’s Who
VP School Life & Student Wellness
The VP School Life & Student Wellness provides leadership and strategic oversight for the day-to-day
operations of the Upper School (Grades 7 to 12), which includes the Boarding School (Grades 9 to 12).
The VP School Life & Student Wellness also works collaboratively with the School Nurse, Social Worker,
Guidance department, Head of Junior School, Head of Middle School, Head of Boarding School and
Head of Senior School to ensure that students’ social, emotional, health and wellness needs are
addressed from JK to Grade 12. The VP consults with faculty, staff and other school leaders in dealing
with serious student discipline and faculty / staff accountability related issues.
Head of Boarding School
The Head of Boarding School oversees and manages all aspects of the Boarding School community. She
is responsible for the safety and well-being of Boarding School students in her care and works closely
with Security, Wellness and Day School administrators and teachers to ensure the needs of Boarding
School students are met.
Boarding Dons
The Boarding Dons reports to the Head of Boarding and works collaboratively to ensure that the vision
and mission for the Boarding School community are met. Dons acts as role models and mentors for the
students.
Weekend Don
The Weekend Don acts as a role model and a mentor for the students. She is available to the students
to offer them support and encouragement as well as guidance and direction.

Boarding Families
The students in Boarding are divided into “families” comprised of girls from Grades 9 through 12. A
Boarding Don and two student Junior Dons lead each family under the direction of the Head of
Boarding. Families plan special meals, outings and celebrations together.
Each Boarding Don is responsible for a “family.” Within the family, the Don acts as the “parent” for the
year. Dons are the liaison between students, parents, the Day School and the Head of Boarding. They
also are in direct contact with teachers when needed. Havergal wants your transition into Boarding to
be as smooth as possible, so please feel free to approach the Dons with any questions or concerns that
may arise.
Head of Senior School - Day School
The Head of the Senior School oversees the progress and development of Grade 9-12 students in the
day school. This includes the delivery of the House, Teacher Advisor (TA) program as well as
Grade-based programming. The Head of the Senior School also ensures the school’s progressive
discipline framework is judiciously enforced in the Senior School in consultation with the VP Teaching
& Learning and/or VP School Life & Student Wellness and Head of Boarding School.

Teacher Advisor Students in Grades 9 to 12 are organized in Houses through small cross-grade Teacher Advisor (TA)
groups of approximately 10 to 12 students. The prevailing goal of the TA Program is to build
relationships and a sense of community between Teacher Advisors and students, as well as amongst
the students in the group. Teacher Advisor groups meet four mornings each week and deliver a
Teacher Advisor program two times a month on Tuesday mornings. The goal of Tuesday morning
advisory meetings is to both build relationships and deliver a curriculum that is integral to the Havergal
experience. The TA can offer general social-emotional support, but may also direct students to other
resources within the school as needed. The TA oversees attendance, announcements and uniform
checks.

Guidance Department The Guidance Department provides services and information to assist students and their parents in
educational, career and personal development and decision-making. The Guidance Counsellors act as
liaisons with teaching staff, Boarding staff, Wellness staff, Chaplains and, where appropriate, external
agencies.
● In Grades 9 and 10, Guidance Counsellors focus on the developmental and academic needs of
students, academic planning and transition.
● In Grades 11 and 12, Guidance Counsellors focus on the university planning and application
process. Additionally, Guidance Counsellors support students’ social and emotional needs.
Students are placed with their respective Guidance Counsellor by House.

Student Leadership
Boarder Prefect This is a Senior Year student leadership role. The Boarder Prefect is elected by both staff and students during the school elections in the spring. The Boarder Prefect leads the Junior Don team. Head Junior Don This is a Senior Year student leadership position. The Head Junior Don (HJD) acts as a support to the Boarder Prefect and is the designate in the Boarder Prefect absence. The HJD also oversees the Grade Representatives Council in Boarding. Junior Don Junior Dons are student leaders within the Boarding community who represent all fellow Boarders at Havergal. Individually and collectively, Junior Dons are ambassadors who represent the Boarding community both within the school environment and beyond. Grade Representative An elected leadership role to represent the interests of one’s grade on the Boarder Council. Grade Reps are elected in September and plan grade events/activities throughout the year. Note: If you are interested in running for a leadership position (Boarder Prefect, Head Junior Don or Junior Don), the elections are typically held in April. If elected, students must not book flights returning in fall until after the election announcements. Anyone who has been elected for these positions are required to return early to the Boarding School for leadership training.

Section 4: Daily Life and Routine
Boarding School students are subject to the rules and regulations in place for the Boarding School and Day School. What follows are routines and schedules that inform Boarding School and Day School life.
Day School Class Schedule

On Monday, Tuesday, Thursday and Friday, a regular school day begins at 8:20 am. There is a 15-minute morning break and lunch
lasts one hour. The school day ends at 3:35 pm. On Tuesday mornings, there are Form, House and TA activities that take place from
8:30-9 am.

Access to the Boarding School During the School Day
Access to the Boarding School Office (BSO) during the day is limited. During Day School hours (8:20 am
until 3:35 pm) Boarders must abide by Day School rules. Lockers are provided in the Day School area
for books and gym clothes. Boarders must take all required materials (books, gym clothes, etc.) with
them to breakfast, as there is no access to the Boarding School during the school day.
Grade 9, 10 and 11 students must leave the Boarding School in the morning prepared for the school
day. Students in Grades 9 and 10 are not permitted into the Boarding School during Day School hours.
This includes students being prepared for sports teams. Students need to bring all sports clothing and
uniforms with them for morning practice. Students are not permitted back into the Boarding School to
change after practice.
Grade 11 students are permitted to study in their rooms only during spare study periods falling on the
last period of the academic day. All other spares are to be spent working in the Resource Centre or a
designated study room. Grade 11 students must always sign-in with the Day School Office (DSO) for
their spare.
Grade 12 students are permitted at the discretion of the Boarding School Staff to study in their room
during spare periods throughout the day. Grade 12 students must always sign-in with the DSO for their
spare.
Any Boarder who has an appointment during the school day is required to inform the Don on duty the
night before the appointment and to sign out in the DSO prior to leaving. Permissions must be granted
by parents, guardians, or the Head of Boarding for departures during the school day.

* The Don on-call overnight is posted outside of the Boarding School Office. If a Boarder needs assistance at any
hour after 11 pm, they may contact this Don using the Boarding School cell phone (416-936-1858).

Boarding School Study Time (6-8 pm, Sunday to Thursday)
The study periods below are intended for individual study only. Group study is allowed at the
discretion of the staff on duty.
Grades 9, 10 and 11 students are supervised in the Resource Centre by Boarding School staff.
Grade 12 students may study in their rooms monitored by Boarding School staff.
Grades 10 and 11 have the privilege of taking what we call an “in-room study.” This means that they
may remain in their rooms during the study period, either once or twice per week depending on their
grade. They are asked to make this request to the Don on duty prior to 6 pm in the evening if they
would like to have this option
Grade 9s have one in-room study per month. They are asked to inform the Don on duty if they would
like to have this option prior to 6 pm. Students must discuss any absence from study with the Don on
duty prior to 6 pm.
Cell phones must be left in their room and turned off during study time. Internet chatting (Skype,
Facetime, What’s App, etc.) and use of other social media is NOT allowed during study. Students may
use the Internet for research purposes only during this time.
Students who use their in-room study must leave their bedroom door open so that the supervising
staff may check on them with minimal interruption. Only one roommate may take in-room study on
the same evening.
Weekend Routines
Students are permitted to sign out for weekends with staff approval and parent/guardian permission
through the REACH application. Students in Grades 9 to 11 must return by 5 pm on Sunday unless a
dinner leave is taken. Dinner on Friday and Saturday nights are optional to attend for students;
however, students need to check in with the Don Duty prior to 5 pm in the Boarding School Office if
they are choosing not to attend dinner or have made other arrangements. Optional activities are often
planned on weekends and are posted outside the Boarding School Office.

Activities
The Boarding School provides many opportunities to participate in various weekend activities. Students
may choose to attend cultural events, theatre performances, sporting events, movies, etc. There are
also several annual events that occur each month.
September
Opening Weekend: this is a mandatory weekend at the school. Programming is in place to help
students settle into their new environment, develop friendships and get a sense of the Havergal
community. All Boarders, new and returning, are expected to participate and stay in the Boarding
School overnight.

Outside of School Activities
Many students participate in activities outside of school. These can range from sports teams to clubs,
volunteer work, music lessons or private tutoring.
The Boarding School encourages and supports such involvement but requires students to provide a
detailed schedule of their commitments in advance.
The Boarding staff are happy to save a dinner plate for any students who may miss the meal due to an
academically-related commitment.
REACH
The REACH student and parent app allow students and parents of boarding schools using the REACH
Boarding School System to access their school account to request and approve leave events, sign in
and out of locations at school, and manage their approved hosts.

Section 5: Sign Outs & Curfew
Student Appointments During the School Day (8:20 am – 3:35 pm)
When appointments or leaves occur during school hours, permission should be given by parents,
guardians or Boarding Dons 24 hours prior to the students appointment. Students must sign out
through our REACH application (which all students can download on their phones) and also sign out
with the Day School Office on the day of the appointment.
If a student has been absent from class for medical reasons, her evening and weekend sign outs may
be adjusted. This is at the discretion of the staff and nurse.
All students have permission to sign out of the Boarding School between the hours of 3:35 pm and
5 pm.

Students are also permitted to sign out and leave campus for short errands locally following study
between 8 pm and 9:30 pm. Students are strongly encouraged to travel with someone else at all times,
but are permitted to travel alone as indicated above.

Weekend Curfew
The weekend starts at 3:35 pm on Friday. Friday and Saturday evening curfews are listed below by
grade. Students must return by their appointed curfew unless special permission has been granted by
the Head of Boarding.
For students in Grades 9 to 11, Sunday curfew is 5 pm. Please note that there is mandatory study on
Sunday from 6 pm to 8 pm for students.

Extended Curfew
Curfew extensions will be granted on an individual basis. Students must request curfew extensions
before Thursday at 5 pm and require both Head of Boarding approval and parent/guardian permission.
Leaves
Leaves will be granted at the discretion of the Boarding School staff depending on the current state of
health, academic standing and behaviour of each student. For example, if a student has been ill, if
there are academic concerns or if behaviour is an issue, leaves may be denied. Students must follow
proper sign out procedures before a leave will be granted.
Students are expected to be present for dinner (5 to 5:45 pm) and study (6 to 8 pm) Sunday through
Thursday, unless permission has been given by the Head of Boarding for other arrangements to be
made. Students are granted extra leave time as follows and can occasionally make use of leave passes
to be excused from dinner and/or study.

Students must sign out from the Boarding School Office whenever they leave the building by the
REACH application and a face-to-face check-in with the Dons on duty. They must sign back in with the
staff on duty in the BSO immediately upon their return. For your safety, it is important that the BSO is
aware of your whereabouts at all times.
Students must alert the Boarding staff should they plan to leave the Boarding School to visit other
areas of the school. Students wishing to go to the gym, Rotunda, front doors, etc., or to visit with
friends on the school grounds must advise Boarding staff in advance of leaving the Boarding School and
change their location on the REACH application.
(Boarders are expected to be present for Sunday night family intramurals and for Monday evening
community events).
Overnight Leaves
All students are expected to be in Boarding Sunday to Thursday overnight. Special requests to be out
overnight Sunday to Thursday must be discussed with the Head of Boarding no less than 24 hours in
advance. Approval from the Head of Boarding and parent/guardian are required.
Overnight requests should be submitted through REACH for weekends no later than Wednesday night
prior to the weekend. Permission may also be given by phone to the Boarding School office (Ext. 6522)
or to the staff by email ([email protected]).
Please note that students are not permitted to stay overnight with anyone under the age of
21 years old.

Section 6: Rooms and Facilities
Student Rooms
Rooms are checked by Dons on a daily basis for cleanliness. It is the student’s responsibility to maintain
a clean and tidy room.
In order to maintain safety and security, students are required to keep their doors closed and locked
when they are not in their room. It is the responsibility of students to always have their swipe card and
room key on their person at all times. Students should not lend their swipe cards or keys to other
students for any purpose.
Students are also required to take care of the furnishings and fixtures in their rooms. Damages to
rooms or room furnishings (including graffiti) will be repaired at the student’s expense.
Students are asked not to rearrange furniture in their rooms without obtaining permission and
assistance from staff. Students may decorate their rooms with posters and pictures. All posters must
be put up with blue tack so the paint and walls will not be damaged. Scotch tape, masking tape and
thumbtacks are not allowed. Command strips are also allowed for hanging objects.
There is to be no drug or alcohol paraphernalia in rooms or in pictures or posters of any kind. Any
materials deemed offensive or inappropriate will be removed.
Vaping and vaping products are strictly prohibited on campus at ALL times.
Expectations for Daily Room Checks:
Before leaving the Boarding School each day, all students must:
● make their beds; ● clear the floor of all articles of clothing, shoes, books and paper; ● clear/organize desk and dresser surfaces; ● ensure all valuables are in their closet and the closet is locked; ● turn off all lights, radios, cell phones and electronics; ● open blinds; and ● tidy bathroom surfaces and hang bath towels on hooks provided.
Students are responsible to ensure that rooms are kept tidy. At least once per week, rooms will be
cleaned thoroughly by the housekeeping staff.

Room Expectations for Long Weekend and Holiday Closures:
Long Weekend Closures: November (Mid–Term Break)
February Long Weekend
April (Easter Weekend)
When the Boarding School closes for the above long weekend holidays, students must tidy rooms prior
to departure and ensure that all valuable items are stored in locked closets. The students are also
asked to close their windows.
Holiday Closures: December/January (Christmas Holiday)
March (March Break)
The Boarding School closes for approximately two weeks for both Christmas and March Break. During
these closures, students will be provided with a room checklist to be completed prior to their
departure. Thorough cleaning and facility maintenance occurs during these two holidays, requiring
Boarding rooms to be accessible to housekeeping and maintenance staff. Students will be required to
remove all bedding and clear all surfaces. Belongings must be stowed in closets, dressers and drawers
prior to student's’ departure. All valuable items are to be stored in closets and closets must be locked.
June Closing and Room Clearing
Graduates must have all belongings packed and moved out of Boarding by 6 pm the day of graduation.
Graduating students are not permitted to store belongings at the school over the summer.
Following their final exam, students in Grades 9 and 10 will be required to move out of the Boarding
School 48 to 72 hours after their last exam. Returning students may store no more the two bins of
personal belongings in the Boarding School over the summer. Students who wish to store belongings
will be provided with two storage bins. Due to limited storage space, students will not be allowed to
leave any articles that do not fit into the two bins provided. Students who require more time in the
Boarding School after their last exam must seek the permission of the Head of Boarding.
All rooms must be completely free of students’ belongings, garbage, posters, school books, library
books, electronic equipment, etc., upon departure in June. ALL tape & blue tack must also be removed
from the walls.
Failure to comply with this request results in a room deposit charge of $100 to the student’s account.

Hawkins Dining Room
1) Health regulations require that shoes must be worn at all times.
2) No hats, sleepwear or inappropriate clothing may be worn. This is at the discretion of the staff on duty.
3) No cell phone use.
4) Tables must be cleared before leaving the dining room.
5) Appropriate behaviour is expected (i.e., a reasonable noise level, good table manners, etc.).
6) All weekday meals are compulsory (except for approved dinner leaves and Grade 12 breakfast privilege).
7) Because meals have been provided for you by the school and at your parent's’ expense, we do not encourage food to be ordered and delivered during the week.
8) Food, such as pizza, may be ordered in on Friday and Saturday. Delivery must be made before 11 pm (no later). Students must be present in the Boarding School when orders are placed.
9) If, on rare occasions, dishes are brought up to the Boarding School, they must promptly be washed and returned to the Dining Room.
Fitness Centre
1) Boarders must participate in a Fitness Centre orientation prior to use.
2) Boarders may use the Fitness Centre during their free time up until 9:30 pm, but must always be with a buddy.
3) A member of the Boarding staff must be informed when Boarders go to the Fitness Center and students must change their location on the REACH application.
4) Proper gym attire must be worn (i.e., gym clothes and running shoes).
5) All equipment must be cleaned and put away after use.
* Boarders may jog alone on Havergal property during daylight hours and must sign out in the Boarding School Office. Jogging off campus may only occur with a buddy and students must provide their detailed route. They must also carry identification and preferably a mobile device.

Swimming Pool
There are a number of different staff/student swim times available during the weekdays. In addition, a
private time slot is allocated for Boarder swim on a weekly basis. This time is supervised by a lifeguard
and occurs once a week in the evening after study.
Music Tower
1) Boarders are permitted to practise their vocal or instrumental music in the Music Tower with permission from the Boarding staff.
2) Boarders may practise during their free time and up until 9:30 pm. Special permission may be granted by the Boarding staff to practice during study time depending on a student's homework level.
3) The Music Tower is a shared space between the private music teachers and the students and must be respected. No food or drink should be consumed while practicing. As well, the rooms should be left the way they are found.
4) Misuse of the space can result in the loss of the privilege of using it.

Section 7: Technology & Communication
REACH APP
The Boarding School uses a Boarding software system called REACH. This application allows students to
sign out via their phones, laptop or ipad to the location of their choice. For overnight sign outs,
permissions will automatically be sent to a parent's email address for confirmation of the girls’ release.
Parents will get an automated message where they simply have to click accept or decline. This includes
sleepovers, guardians and parents houses. All students are required to download this application on
their devices at the start of school and sign out using their own devices or devices that are located in
the Boarding School for their convenience. The application also allows students to change location on
campus and day sign outs. Students must always have a face to face check in both at departure and
upon their arrival back to school.
Computer Use
All Boarding School rooms are equipped for internet use. Internet access is available 24hrs a day. Each
student will be assigned an email address. During the academic day and study time, students may use
the internet for research purposes only.
Watching movies during study, during day school hours or after curfew may result in the loss of
computer privileges.
Personal computers may be confiscated at the discretion of the staff if the above expectations are not
met.
Cell Phones
Mobile devices are permitted; however, students may use them during their free time only. Mobile
devices should not be used during school hours, during meal times or during study time. Mobile
devices may be confiscated at the discretion of the staff if the above expectations are not met.
*Grade 9 students will be required to hand in their mobile devices at 9 pm every night on weekdays.
Mobile devices are returned before breakfast in the morning each day.

Section 8: Student Services
Insurance – Personal
The school does not carry insurance for students’ personal effects. Parents should check with their
insurance agents to ensure continuation of appropriate coverage while their daughters are at school.
Safety and Security
Boarding School staff members are on duty as follows: Monday to Thursdays 7:30 am – 11 pm Fridays 7:30 am – 1 am Saturdays 9 am – 1 am Sundays 9 am – 11 pm
In addition, a Boarding Don, Senior Administrator, School Nurse and School Doctor are on call to the
Boarding School 24 hours a day on weekdays and weekends. Havergal Security Officers are also on site
and routinely patrol the building and grounds.
For safety reasons, we encourage students to travel in pairs whenever possible. Outdoor exercise is
only permitted during daylight hours, with a friend or when accompanied by a staff member.
Students are responsible for their belongings. Valuables should be locked away when students are out
of their rooms. Student rooms have locks on the doors. Students are responsible for closing and locking
their doors and for keeping their keys and swipe cards in their possession at all times.
Students are encouraged to sign in their passports and any important documentation with the
Boarding staff in the Boarding School Office. Items are stored in individual files and kept in a safe.
Students may have access to these items at any time.
Laundry Service
Laundry service is provided by our housekeeping staff and is available Monday to Friday for students. It
is essential that all clothing be clearly labeled in order to facilitate efficient sorting and to prevent
clothing from being misplaced. In addition, laundry facilities are available for students who choose to
do their own laundry during free time (up until 10:30 pm). Laundry soap is available in the Boarding
School Office.

Housekeeping
Students are expected to keep their own rooms tidy on a daily basis. However, each student will have
her room cleaned at least once per week by the Housekeeping staff. Bathrooms are cleaned daily and
garbage pails are emptied. A rotating schedule is used for community cleaning duty of the Common
Room.
Wellness Centre
A school nurse is on-site from 8 am to 4:30 pm during the week and on-call during the evenings and on
weekends. Our school physician, Dr. Sheana Desson, has her office in a medical building around the
corner from Havergal. She is available by appointment and the girls can often be seen on a same day
basis.
Boarders with prescription medication are asked to sign it in with the nurse. Boarders are not to have
prescription or over the counter medications in their rooms unless it has been approved by the
Wellness Centre staff.
All new students will be given an appointment to visit the Wellness Centre and meet with the nurses
on the first day of school. Please ensure that we have received all of your daughter’s school health
forms and immunization records by that time.
Medical Insurance and Costs
All Boarding students must have an active and current Ontario Health Insurance Plan (OHIP) card or
subscribe to the mandatory health insurance package through the school’s provider, Destination
Travel.
Ontario Health Insurance Plan (OHIP)
OHIP is only valid after completion of a minimum 90-day residency in Ontario if you hold a Canadian
passport; if your daughter has an OHIP card but has not completed the residency requirements, she
will be required to subscribe to Destination Travel.
If your daughter has landed immigrant status, an Ontario birth certificate or a Canadian passport and if
she meets other eligibility criteria, she may apply for OHIP. By living at Havergal, your daughter meets

the residency requirements for OHIP and the school can provide documentation of this. You should
apply for OHIP immediately upon arrival in Toronto and purchase Destination Travel insurance for the
interim period. This can be done on a month-to-month basis. The school nurses will enroll your
daughter in the Destination Travel plan. Click here for more information about OHIP.
Destination Travel
If there is no valid OHIP card, the school will register the student with the insurer of our choice, this
registration is mandatory. Our current Destination Travel health insurance package costs
approximately $700 for the 12-month period beginning September 1. It includes office and hospital
visits, a drug plan and other coverage such as lab work, x-rays and physiotherapy. Dr. Desson’s office is
able to bill directly to the insurance company, thereby eliminating the necessity of filing claims for
individual office visits. Details of the plan may be found at www.desttravel.com.
Additional Medical Costs Not Covered by Insurance
Should monies have to be spent by the school in emergency or exceptional circumstances and the
medical or dental costs exceed the insurance coverage provided, then the parent accepts full liability
for the fees incurred and will reimburse the school within 30 days of occurrence.
With respect to costs that are not for emergency or exceptional situations, the parent should make
arrangements for a credit or debit card that the student may use to pick up prescriptions and pay for
lab tests or x-rays or other procedures as required. If the medical costs are significant and/or ongoing,
the parent may make arrangements to pay the medical practitioner directly, or through the guardian/s.
Food Services
Students are provided with three meals each day during the week and two meals on Saturday and
Sunday. A vegetarian option is always available. If a student has any food allergies or other special
dietary needs, she should speak to the School Nurse and the Boarding staff immediately. Additional
snacks are ordered from the kitchen twice a week and are available to students in the Common Room.
The Junior Dons meet once a month with the Director of Food Services to discuss concerns and
nutrition and to make suggestions for menus and special dinners. All Boarding students are welcome to
participate in this meeting.

Banking
Boarding students must make their own banking arrangements. There are several banking facilities
within walking distance of the school. Students are discouraged from having large amounts of cash in
their rooms. It is highly recommended that Boarding students open a Canadian bank account while
they are enrolled in the school.
Public Transportation
Public transportation in Toronto is known as the TTC (Toronto Transit Commission). With the help of a
TTC map, students can reach most areas of the city. TTC tickets are available in the Green & Gold Shop
and are charged to student accounts.
Taxi/Airline Limo Service
Students are encouraged to use public transportation whenever possible. If a student requires use of a
taxi or airport limousine service, chits (paper receipt used instead of cash) are available in the Boarding
School Office and will be charged to the student’s account. Taxi chits are distributed at the discretion
of the Boarding staff for medical appointments, school related appointments, family occasions and so
forth. Taxi chits will not be distributed for leisure outings unless permission is granted by a parent.
Airport limos are to be booked in advance with the Boarding staff so that they may ensure that the
Boarders arrive at the airport in enough time to make their flight.
UBER
The use of Uber is allowed with the permission of a parent or at the discretion of the Boarding school
staff depending on age. Students are responsible to obtain their own accounts and method of
payment.

Cars, Bicycles and Inline Skates
Boarders are not permitted to keep cars at school. Bicycles may be kept locked outside.
Inline skating is ONLY allowed outside of the school building. Helmets and other safety equipment
must be worn.
Travel/ Vacations
Reservations for air travel should be made well in advance of school vacations in order to fall within
school holiday dates, which generally occur at peak times of travel. Exam schedules will not be changed
to accommodate travel arrangements.
Havergal gives generous holiday time. Time for travel is included in the holiday periods. Parents should
not allow students to be absent from classes before or after any holiday by more than three days.
Parents and local guardians should note that we cannot make arrangements to accommodate students
staying in the Boarding School during major holidays such as Christmas, March Break and the summer
holidays.
If a student’s parent(s) or guardian(s) plan to be away, the Boarding School staff must be informed. A
forwarding telephone number and address should be left with the Boarding School Office or an
alternative emergency contact must be provided.

Weekends in Boarding
All Boarders are required to remain on campus/in Boarding during:
● Orientation Weekend (first weekend of the school year); and
● Celebration Saturday (school community event and alumnae reunion weekend).
Boarding School Closures
The Boarding School will be closed at the following times:
● November Mid-Term Break;
● Christmas Holiday (December - January);
● February Long Weekend;
● March Break(Mid-Term Break);
● Easter Break (late March, early April); and
● The Boarding School remains open during the October Thanksgiving Weekend and the Victoria
Day weekend in May.
Long Weekend Closures
Boarders are encouraged to stay with friends, family or guardians during long weekend closures.
Please ensure that arrangements have been made for your daughter. Boarding School staff must be
informed of plans two weeks in advance of the holiday.
Long weekend trips planned and supervised by Boarding Dons will be available to students for some of
the long weekend closures. These trips are subject to student interest and feasibility.
Valuables
Girls are encouraged to leave valuables at home. Purses, wallets and personal belongings of value must
be kept locked in bedroom closets at all times. The school will not accept responsibility for lost items if
they are not stored in the Boarding School Office.
Visitors
Parents, female siblings, guardians and female friends are welcome to visit the Boarding School during
free time (3:35pm-5:00pm, 8:00-9:30pm) Monday-Friday. Female visitors are welcome between
9:00am and 5:00pm on Saturday on Sunday. All visitors are required to sign in and out with Security in

the Rotunda. Additionally, any visitor to the Boarding community must sign into the Visitor’s Book
located in the Boarding School Office. All guests and visitors must be accompanied by their Boarding
School resident.
Male guests are not permitted into the Boarding School during the school year (move in and move out
days are exceptions) or in the case of an emergency. Male guests and family members must meet
Boarding residents in the Rotunda.
Students are permitted to invite guests for dinner. However, the Boarding School Office must be
informed at least 24 hrs in advance. Student accounts will be charged accordingly.
Guests must be received in the Rotunda. Boarders must return to the Boarding School by curfew.
Boarders are not permitted to visit outside of the Boarding School after curfew (for example, in the
Rotunda or on the school steps).
If there are concerns of any nature with guests, please contact the senior staff member on call.
Overnight Visitors
Boarders may have a friend visit for a night during the weekend provided there is an empty bed
available. Visitors will not be permitted to sleep on the floor or to share a bed. The number of visitors
on any weekend is restricted. Permission must be obtained at least one week in advance of the visit
and will be granted at the discretion of Boarding staff. All overnight guests must submit written
permission from a parent or guardian and abide by all Boarding policies during their stay.
All overnight visitors must comply with Boarding School policies and provide the BSO with pertinent
information including health concerns and an emergency contact name and phone number.
Opportunities to Gain Work Experience and Earn Money
Resource Centre Monitor
A paid position selected through application. Resource Centre (RC) Monitors supervise and oversee the
operations of the RC from 6 pm to 9:30 pm, one evening per week. You should contact the Librarian,
Mr. Tony Nardi, if you are interested in this role. The RC shifts are 5:30 to 6:30 pm.
Lifeguard
Any student who holds a Canadian National Lifeguarding certification may be eligible to work at the
pool. This is a paid position. Students also have the opportunity to lifeguard for scheduled Boarder

swim activities.
Green & Gold Shop Employee
A paid position selected through application for students in Grade 11 or 12. Students work in the shop
after school hours in order to accommodate different school functions.
Scorekeeper
In coordination with the Director of Athletics, students who are interested in scorekeeping may put
their name forward for various sporting events. Students in this role earn an hourly wage.
Babysitting
Students who have an interest in babysitting are provided with the opportunity to have their names
placed on the Havergal Old Girls Babysitting registry. Students are then able to be contacted by
Havergal families for compensated babysitting opportunities.

Section 10: Boarding School Policies
Dance Policy
Boarders may attend dances held for their grade level hosted by Havergal as well as by other schools
with which Havergal is associated. COSSOT rules and regulations apply for all school sanctioned events.
Permission to attend a school dance is considered to be a privilege.
Students who have shown lack of cooperation with the Boarding School or who are experiencing
disciplinary issues or who are having problems with schoolwork may lose the privilege of attending
dances. This is at the discretion of the Boarding staff.
Fire Precautions
Fire doors, smoke detectors and heat sensors in rooms, corridors and fire escape routes are checked
regularly by the Facilities department. Fire drills are held frequently. Tampering with any fire
equipment is a criminal offence. The burning of incense or candles in the Boarding School is strictly
forbidden as is the use of any open flame, including lighters.
The Head of Boarding works with Security to plan and execute regular scheduled evacuation drills.
Electrical Appliances
Due to the limited number of outlets per room and the residence fire regulations, students must limit
the number of small appliances they bring to school.
Computers, radios, low wattage hair dryers, curling irons, fans, humidifiers are permitted in rooms.
TVs, refrigerators, corn-poppers, kettles, rice makers or other domestic appliances are not permitted in
rooms.
Lost Room Keys
A fee of $60 will be billed to the student’s account for the first lost key and $75 will be billed to the
student’s account for the second lost key. Loss of the third key will result in the lock being changed

with costs charged to the student’s account. Student accounts will be billed at the end of each school
year.
Guardians
Each family must identify a local guardian (in the Toronto area) who will act on the parent’s behalf in
the case of health or disciplinary issues and to serve as a host family if required.
Some Boarders do not require a guardian because their parents live in close-enough proximity of the
school. The Admissions Office will make clear what your guardian obligations are. It is very important
for the parents and the guardian(s) to understand the responsibilities of the guardian.
Guardian responsibilities include:
● To act on behalf of parents in the event of an emergency or illness when, for example,
quarantine is required or the Wellness Centre is closed).
● To host your daughter on occasional weekends and holidays or in the event of an unexpected
school closing (at the discretion of the Head of Boarding, Vice Principal and Principal).
● To make decisions pertaining to overnight invitations and co-curricular activities.
● To provide housing for said students in the event of suspension or expulsion from Boarding.
● In the event that a designated guardian is unable to accommodate hosting their assigned
Havergal Boarding student, the parent(s) must arrange alternative accommodation and
transportation within 24-hours of being notified by the school.
Energy Stimulating Beverages
Beverages (such as RedBull, Rockstar, Monster, etc.) are not permitted in Boarding, nor may these
beverages be purchased and stored for consumption in the Boarding School.
Peanuts and other food products containing nuts are forbidden in the school. Havergal College is nut
aware, which means that we can not guarantee the school premises are nut free. Students that are
highly allergic to specific food products and food groups need to alert the school nurse before moving
into the residence. These students must carry an epi-pen with them at all times.

Alcohol and Drugs
Use of illegal substances or controlled medications (without a prescription) is illegal in Canada. The
drinking age in Ontario is 19. Consequently, no drugs or liquor in any form may be brought into the
school or used on the school grounds at any time by students. For the safety of the students and the
community, students who are suspected to be under the influence of drugs or alcohol inside or outside
of school will be, after a school investigation, subject to disciplinary action, which may include gating,
suspension or expulsion.
Smoking
The purchase of cigarettes and vaporizers is illegal in Canada for any persons under the age of 19.
Havergal’s buildings and grounds are designated smoke and vape-free. Students are not permitted to
smoke or vape at any time on the school grounds or while in school uniform. Students found smoking
or vaping in the Boarding School will be subject to disciplinary action, which may result in suspension
or dismissal.
Restriction of Cannabis Policy
Havergal is fully committed to ensuring the safety and security of its students, faculty, staff and members of the
school community. This policy is intended to inform members of the school community of their obligations
associated with maintaining a smoke-free and drug-free school and must be read in conjunction with the School
Code of Conduct.
Definitions
Cannabis: includes the definition provided in the Cannabis Act (Federal) and the Cannabis Act, 2017 (Ontario)
any part of a cannabis plant, including the phytocannabinoids produced by, or found in, such a plant, regardless
of whether that part has been processed or not, except a non-viable seed, a mature stalk without any leaf flower
seed or branch, fibre derived from a stalk, the root or any part of the root of a cannabis plant.
a) Any substance or mixture of substances that contains or has on it any part of such a plant.
b) Any substance that is identical to any phytocannabinoid produced by, or found in, such a plant,
regardless of how the substance was obtained.
Drug: any substance, chemical or agent including those for which the use or possession is:
● unlawful in Canada; or
● requires a personal prescription from a licenced treating physician.
Employee: an individual employed by the school.

Medical Cannabis User: a person who is authorized to possess cannabis for the person’s own medical purposes
in accordance with applicable federal law. Currently medical cannabis users are authorized under the Access to
Cannabis for Medical Purposes Regulations under the Controlled Drugs and Substances Act.
School Premises: a building or portion of a building occupied by a private school within the meaning of the
Education Act and the grounds surrounding the buildings of a private school where a private school is the only
occupant of the premises, and the grounds annexed to a private school, where a private school is not the only
occupant of the premises.
Policy
This policy is reviewed and approved by the school’s Board of Directors. All members of the school community
are required to understand their responsibilities under this policy to create a smoke-free and drug-free school
community. Minimizing the health and safety risks associated with cannabis use is the responsibility of all
members of the school community. Anyone who breaches this policy will be subject to disciplinary measures as
set out in the Code of Conduct.
Zero Tolerance of Impairment
Cannabis is a substance that can cause impairment. Impairment at school creates health and safety risks for the
school community and impedes the ability to learn. The school does not tolerate impairment at school, whether
by students or employees. For students under age 19, cannabis remains an illegal drug within the meaning set
out in the Code of Conduct. Attending school under the influence of cannabis remains unlawful and is a violation
of the Code of Conduct.
While there may be certain limited circumstances where cannabis use is lawful for adults in Ontario over age 19,
the school strictly prohibits students over age 19 and adults from being impaired on school premises and such
action will be considered a violation of the Code of Conduct.
Restrictions on Cannabis
To help ensure a safe and healthy school community, the school requires strict compliance with the Cannabis
Act, the Ontario Cannabis Act, 2017, the Smoke-Free Ontario Act, 2017 and any other law applicable to cannabis.
No person is permitted to possess, consume, purchase, attempt to purchase or distribute cannabis on school
premises.
Pursuant to the Cannabis Act, 2017, anyone under age 19 is prohibited from possessing, consuming, purchasing,
attempting to purchase or distributing cannabis anywhere in Ontario. Further, no one under age 19 in Ontario
may cultivate, propagate or harvest, or offer to cultivate, propagate or harvest, cannabis. Youth under age 19
should be aware that violations of the Cannabis Act, 2017 can result in fines of up to $200 and the requirement
to participate in an approved youth education or prevention program.
Cannabis use, including by medical cannabis users on school premises, is subject to the restrictions in the
Smoke-Free Ontario Act, 2017. No person is allowed to do the following on school premises:
1. smoke or hold lighted tobacco;
2. smoke or hold lighted medical cannabis;

3. use an electronic cigarette; and
4. consume any cannabis-based prescribed products or substances, in a prescribed manner.
The following acts are strictly prohibited on school premises or during any off-site school-sponsored field trips,
excursions or activities:
● possession of cannabis;
● consumption of cannabis;
● purchase or attempted purchase of cannabis; and
● distribution of cannabis.
Medical Cannabis Use by Students
Students who are lawful Medical Cannabis Users remain subject to the applicable rules under the Ontario
Cannabis Act, 2017 and the Smoke-Free Ontario Act, 2017. The school will review individual circumstances to
determine what accommodation of a student’s medical cannabis use is reasonable. Medical cannabis, to the
extent it is permitted on school premises in accordance with applicable laws, will be controlled in a manner
similar to other medications.

Section 11: Gatings
Gatings occur when a student has violated Boarding policies and procedures. Practically
speaking, it means that students are not permitted to leave the Boarding residence and must
check in with the Don on duty every hour in the BSO.
Green Gating
24 hours: Saturday 9 am to Midnight (with one half hour leave)
*Saturday, 9 am to 1 pm: student will be in supervised study or will be required to complete other
duties as assigned.
Red Gating
Friday 5 pm through Sunday 5 pm (with one half hour leave daily)
*Students who are required to serve a gating must sign-in to the Boarding School Office hourly.
General Expectations:
● Meeting room check requirements.
● Leaving room tidy when out of Boarding for the day, weekend or holidays.
● Performing community-cleaning duties.
● Attending and signing in for breakfast and dinner.
● Returning items and not leaving items unattended in common rooms (e.g., movies and office
items).
● Signing out of study to go to the computer lab, classroom or for tutoring.
● Arriving on time for study.
● Calling the Boarding School Office when unable to return to Boarding on time (due to
circumstances beyond your control).
● Attending all community meetings, family dinners, family events and family meetings (Dons and
Junior Dons will keep track of attendance).
● Not leaving keys in doors.
● Being considerate of others at all times (i.e., not making excessive noise, leaving a mess in a
common area or borrowing items without asking).
● Talking on the phone at appropriate times and in appropriate places (i.e., not using in common
areas, halls or at a time that is inconvenient for your roommate).
● Doing laundry at appropriate times.

Section 12: Living in a Community
When living in a community like the Havergal Boarding School, there are certain behaviours and
attitudes that are constructive to the well-being and happiness of all Boarders and staff. Boarders are
expected to respect and comply with the Havergal Code of Conduct, as well as the policies created to
address the issues of community life. The cooperation of each student and their family is vital to
providing a supportive, functional, comfortable and healthy environment.
Consideration of Oneself & Others Students should respect rules for room appearance, tardiness, meal attendance, dining room
behaviours, study attendance, telephone use, common room use, Boarding School timetables, use of
equipment, noise levels and the property of others. Infractions may result in warnings, detentions, loss
of privilege or other disciplinary measures deemed appropriate by staff.
Trust and The Honour System Students are expected to honour the “sign in” and “sign out” system and respect curfews as well as
bedtimes. Students who violate the honour system or the community rules will be disciplined as befits
the infraction.
Behaviour Students are expected to be courteous to their peers and to staff members. Rudeness, use of
inappropriate language, destruction of property, uncooperative behaviour or unaccountable absence
from study or other required Boarding School activities will be disciplined.
Deception and Disrespect If a student is caught in a lie or is disrespectful, she will be directed to book an appointment to meet
with the Head of Boarding or her designate.
Community Cleaning Duty Each Boarding School family is responsible for keeping the community clean on a rotating schedule (by
term).
Duties include the following: wiping down kitchen counters and fronts of kitchen cabinets/drawers;
general tidying of common rooms (i.e., putting away videos, magazines, placing newspapers in

recycling bins); taking lost and found items to the office; encouraging peers to tidy up after themselves;
and checking the fridge for spills or spoiled food (cleaning/removing as required).
Evening & Weekend Boarding Events Dons will be in ongoing contact with teachers. If a student is not performing well academically, she will
not be permitted to participate in weekend activities or evening activities that may affect study time
until her academic standing improves. This includes completion of late assignments/homework. This
will be decided by the Boarding staff team.
Sunday overnight leaves are not permitted unless approved by the Head of Boarding.
Lateness ● If a student does not return to the Boarding School by curfew or by the return time indicated on
REACH, she will receive consequences for her actions.
● If a student is unable to return by the time indicated on her REACH request, she is asked to call
the Boarding School Office. There must be a valid reason (i.e., transportation issues.)
Students Out of Their Rooms Past “Lights Out” ● If a student is out of her room past lights out, without a reasonable explanation or without
permission from her Don, she will receive a consequence by the Don on duty.
● Students should not be out of their rooms after 9:30 pm unless absolutely necessary.
● Students must organize their evenings so that their homework is completed at a reasonable
hour.
● The Boarding staff encourage all lights to be off by 11 pm to ensure a proper night's sleep.
Students may study quietly with their desk lamp if necessary and are reminded to be respectful
of their roommate.
● The student laundry room closes at 10:30 pm.
Breakfast ● Breakfast is served from 7:30 to 8 am.
● Students are responsible for signing themselves in for breakfast with the Don on breakfast duty.
Students must be at breakfast by 8 am in proper uniform.
● If a student misses breakfast, arrives late for breakfast or fails to sign in for breakfast twice in
one week, she will serve duty the following breakfast.
● If a student has missed breakfast, the Don on duty is expected to follow up to ensure that the
student is up and accounted for.

Dinner ● Dinner is served from 5 pm to 5:45 pm.
● Students are responsible for signing themselves in for dinner with the Don on dinner duty.
● If a student misses dinner or fails to sign in during dinner twice in one week, she will serve
breakfast duty the next day.
Miscellaneous ● All food in staff and student rooms must be kept in sealed containers.
● Students are strongly discouraged from keeping food in their rooms.
● Students may not charge long distance calls to their accounts (no exceptions).
● No pets are allowed in student rooms with the exception of fish and turtles.
● No bicycles are permitted in the Boarding School, but they may be kept locked to the bicycle
racks located on the school premises. The school will not be held responsible for lost or
damaged property.
● Students are not permitted to keep a vehicle on school grounds.
● Students must store suitcases in the storage rooms on the fourth floor.
Parental Communication
There are a variety of modes in regards to communication to parents. The Boarding team makes
considerable effort to have open and frequent communication with parents and guardians. The
Boarding staff will typically use email and telephone to contact parents as the primary mode of
contact. However, Skype is another resource that can be used for one-on-one conversations.
The Boarding School distributes a newsletter via email every second month starting in September.
Similar to the publication put out by the Day School (Inside Havergal), there will be messages from the
Head of Boarding and student editors as well as articles and written works by Boarding School
students.
Twice a year (once at Christmas and one come the end of June), a Boarder report will be sent home to
parents. The Boarder report in a summary of your daughters time here at Havergal. It will outline her
activities, health and wellness, social interactions, achievements and areas of improvement. Boarder
reports are sent out around the same time as report cards.
