WelcomeWe are glad you have chosen Kidstop for your childcare needs. As an Osseo Area Schools Community Education program we work closely with each school to support your child’s whole development. Our primary goals are to provide a choice based safe and welcoming environment where children are inspired, personal growth is nurtured, and families are supported. We welcome and invite parents, families and guardians to visit our program and participate in how our program benefits your child. This handbook contains information on how to support a successful experience for you and your child while enrolled in the Kidstop and Cosmic Club programs.

FAMILY PERSPECTIVES

Our ProgramKidstop and Cosmic Club are choice-based care programs that seek to foster decision making with healthy and independent thinking. Caring staff provide a welcome, safe, and engaging environment where children have fun, receive homework support, encouragement, explore new opportunities, and build self-esteem. Quality and enriching activities are available in small and large groups appropriate to the developmental level of your child.

During the school year, Kidstop functions as an extension of the elementary school day for children in kindergarten through fifth grade by providing care before school, after school, and on select non-school days. Kidstop also offers a summer program to all children K-5 (children entering kindergarten in the fall are eligible).

Cosmic Club refers to our Kidstop 4th- 5th grade students during the summer and at some of our school year sites. Programming supports the independent growth of our 4th and 5th-grade students. Often these students experience specialty camps, clubs, service learning, enrichment opportunities beyond the K-3 offering.

Kidstop and Cosmic Club seek to provide a program where:

• The environment and activities create a program that reflect the interests, talents, values and personalities of the kids and their families.

FAMILIES

• Each child is unique and has individual strengths and needs.

• All children should be provided with the opportunity to succeed.

• Children deserve a safe and supervised place to be before, and after school.

• Out-of-school time provides opportunities to grow and develop.

Program StandardsOur staffing and program standards are adopted by Osseo Board of Education and are adapted from research-based, best practice guidelines; by the Department of Education and Human Services and comply with the guidelines of the MN After School Accreditation Project. The standards are consistent with the policies of Osseo Area Schools. By Minnesota statute and School Board policy, we staff our sites according to the age and number of children in attendance: 1 staff per 12 Kindergarten-Fifth Grade, and 1 staff to 15 students in grades 1-5. Typical group size is 30 or less. Additional staff may be added to specific activities and events to ensure the safety and supervision of each and every child.

As a choice based program, each site utilizes a tracking systems and two way radios to monitor children’s whereabouts. We have dedicated and breakout spaces in each of our buildings for large and small group activities to encourage student choices that align with their interests. (IE: Classroom, Cafeteria, Media Center, Art room, Gym, and Computer Lab). Our staff are provided with annual training, orientation and professional development opportunities. Staff are trained in First Aid/CPR/AED, concussions, site emergency response and procedures, health and safety, food safety, handling medications, responding to allergic reactions, proper prevention and care for chemicals and hazardous items, and Bloodborne Pathogens.

Our program staff intentionally monitor environments for safety and ensure furniture, equipment, and resources that are structurally sound and appropriate to the age and size of children using them.

Breakfast & Snack

Breakfast is served as a part of your tuition for students who attend during the morning hours. Confirm with your site the time when breakfast is served. Snack and beverages are served to students in the afternoon period of programming. On non-school days, students receive breakfast and beverage in the morning, and a snack in the afternoon; lunch is not provided, and must be brought from home. All food served follows district nutritional guidelines.

Enriching Opportunities

Kidstop and Cosmic Club students have the ability to participate in multiple enriching experiences. These opportunities are designed with your child’s age in mind, and are meant to build upon their work within the school day. We intentionally partner with various community groups, businesses, and service organizations to expand those opportunities. Some activities your child may experience in our program include:

Family Checklist

☐ Read the Family Handbook and know the contract terms and program policies.

☐ Get to know your child’s program staff prior to the first day of care. Learn where the Family Area is at your site including what door to pick up or drop off.

☐ Sign your child(ren) in and out of the program daily on our iPads.

☐ Attend an orientation/open house to your site program, facilitated by a program staff.

☐ Let your child’s classroom teacher know which days your child is/isn’t going to Kidstop and what your child will do on days he/she is not attending Kidstop.

☐ Notify site staff if your child will be absent, attending after-school programs or picked up early for any reason. Notifying the school office is not sufficient.

☐ Dietary needs are important: Provide program staff with any modified or therapeutic diet information in relation to your child. Snacks are offered every afternoon; however, if your child requires a specific diet, you may need to supply a snack or work with site staff.

☐ Adequately dress your child for indoor and outdoor activities. Our program goes outside daily.

☐ Playground Shoes: Students are required to have closed-toe and closed-heel shoes when playing on the playground or in gyms to prevent injury.

☐ Label personal belongings: Kidstop and Cosmic Club are not responsible for the loss or damage of personal items.

☐ Electronic Devices: Students will need to fill out the Use of Personal Electronic Device agreement found on Program Forms web page to align expectations on personal electronic use. These are scheduled opportunities.

☐ To make a change in your child’s schedule, use our online registration system. Handwritten notes and verbal notices are not sufficient.

☐ Model respectful behavior when working with staff and students.

All children must be registered with our online registration system in order to participate in Kidstop, and Cosmic Club. Enrollment is limited at times and waitlist can occur, please contact our business office for details.

Kidstop school year registration begins the first Tuesday in March. Registration for summer programming opens the second Tuesday in January.

Sites or sections may be closed at the discretion of the program based on total enrollment, or other district needs. In such an event, the program will refund all deposits and provide as much advance notice as possible.

Kindergarten through 5th Grade Registration Requirements

• Must complete online registration• Need a valid and functional email• An account in good standing or payment plan• Provide a record of child’s current

immunizations or applicable exemption if not a student in our district.

• Must be entering Kindergarten in September (summer months only)

Registration Fee All Kidstop and Cosmic Club contract options require an annual non-refundable registration fee to be paid regardless of assistance or scholarship. Fees for registration may vary based on your registration date.

Non District andNon Resident Participation

Families who are not enrolled in Osseo Area Schools, nor live within the school district boundaries may enroll in the programs if space is available. Students of the district and area residents will be served first. We do not provide transportation; therefore, families must make arrangements for their child to be dropped off and picked up from the program and should fall within programming hours at the site. Immunizations records must be provided for enrollment to begin.

RegistrationProcessing Registration Registrations for the program will be accepted on a space available basis. All new registrations must be in by 11:59 pm on Wednesday for students to begin the following Monday. Your child’s first day of attendance in our programs cannot take place before this time. Previous balances or payments plans must be paid in full before contracts will be accepted.

Consistent Schedule

This fixed schedule requires a minimum of 3 programming periods (AM or PM) with the same schedule from week-to-week. Requests for schedule changes can be made online, and must be made by 11:59 pm Wednesday for them to go into effect by the following Monday. Rates for these contracts vary based on the days of care you need. All changes to contracts will be accepted on a space available basis and carry a $5.00 charge per change. If your child attends a section he or she is not enrolled in, your account will be assessed our drop-in fee for that section(s).

Pick Your Days

This is a variable schedule. Choose the exact days and/or programming periods (AM or PM) in a given period of time. Contract requests must be made on-line by 11:59 pm Wednesday for them to go into effect by the following Monday.

Bus Considerations

When choosing the right program location and schedule for your family, it is important to note that bus stops must be consistently the same stop five days per week. Please note that morning and afternoon stops can be different locations. Please refer to district Policy 707 Appendix A or reach out to our transportation department 763-391-7244 or [email protected].

Non-School Day

Non-School Days (NSD) when Kidstop is open, but school is not in session. All families with a contract have the option to register for non-school days. Families must register at least 14 days in advance for our standard per student NSD rate. All late registrations are subject

to space availability and are charged at the extended per student NSD rate. Non-School Day cancellations must be made by the cancellation deadline listed on your non-school day calendar. Failure to cancel by the listed deadlines will require payment for the full amount for that non-school day. No refunds are provided after this deadline. Visit our website for a current “Kidstop Non-School Day Registration Deadline” document.

Summer Contract

Summer registration opens the second Tuesday in January. A reduced registration fee is available for those who register early. Families are allowed to drop and/or add dates once your contract has been approved until the third Wednesday in May if the dates and space is available. After this deadline, rates are subject to change based on the amount of days chosen and a scheduled change fee will be applied. All contracts are subject to space availability and may require placement on a waiting list if preferred site is at capacity.

Our standard summer program begins in June and runs through August. Tuition is based on the number of days selected. No swapping or banking of days are allowed. Families may add Drop-in Days at the drop in rate on a space-availability basis by entering it in the online registration system. Families may cancel days if notice is received by Wednesday 11:59pm prior to the affected week and will incur a cancel fee per child. Request must be made via Email to CECares@District279. org

Withdrawal from the Program

Families can withdraw at any time, but will be required to pay a new registration fee, and past tuition must be paid in full to re-enroll. In order to not pay for the following week’s care, withdrawals must be entered online by no later than each Wednesday at 11:59 pm. In addition, if a family withdraws from the program and re-enrolls, they are placed at the bottom of the waitlist if one exists.

Separate Household Families

Our registration system allows for parents/guardians to obtain their own unique registration, which is tied to a single child contract. This method permits families to have a joint account without seeing personal information from each other’s account. When accounts are merged in such a manner, each parent/guardian has the opportunity to make changes and additions to their child’s contract. Account mergers require written permission from both account holders. Please contact our business office to set your account up in this manner.

Payments and CreditsWeekly Billing

All accounts are required to be set up using auto pay with a bank account or credit card payment method. Tuition is billed in advance of service. An invoice will be generated for your account every week by Friday. These invoices require payment by 11:59pm on Monday of the upcoming week. Unpaid tuition will result in dismissal from the program, and may be sent to a collections agency. Tuition is due regardless of attendance. Tuition is also required for emergency late starts, early dismissal or during the closing of a school/district.

E-Mail Invoices

E-mail invoices are formatted in HTML; be sure your e-mail is set to accept this format. If you are having difficulties reading your invoice please contact us. If you do not receive email invoices, please consider the following possibilities:

• Have you had a recent change in your email address or are you using a different email address?

• If you’ve listed your work email address, does your employer have security filters that may have stopped our communication from being delivered?

• Have you checked your spam or junk email boxes?

Since timely payment of your bill is required, we ask that you contact our business office immediately if you have not received your invoice, 763-585-7281.

Auto Pay Required

Auto payment is required for all Kidstop contracts. You can use either a credit card or a checking/savings account as a part of this process. Auto Pay helps avoid late fees and saves time by having funds automatically withdrawn from the payment method you select. These payments will be taken from your payment method of choice on the due date for each invoice received. This payment method must be set up for each new contract and does not roll over from one season to the next.

Money Order

Money orders must be hand delivered to the business office at the Enrollment Center by each Monday, and will be deposited during the week it is submitted. If you are planning on using Money Orders to pay for your child’s tuition, please note that you must first contact our business office to register your child for our program.

Child Care Assistance and Scholarships

Kidstop has assistance opportunities for families that meet certain qualifications. Please contact our business office with questions. Families with county assistance MUST provide a written verification from the financial agency prior to use of our programs. Ultimately, the account owner is responsible for all expenses incurred. In the event that assistance is denied or terminated, the account owner is responsible for all expenses incurred and payment of any remaining tuition. Regardless of any assistance, you are responsible for registrations fees when you register in our programs. Financial assistance is available through your county of residence. (Hennepin County at 612-348-5937 or Childcare Resources at 651-641-0305).

Suggestions,Questions and

Concerns

In order to address your needs at the most appropriate and effective level, we suggest the following steps:

1. If you have basic questions about billing, navigating our program or other logistical questions you can email us at [email protected] or call 763-585-7281.

2. If you have site specific questions or concerns please speak with your Lead Instructor at your child’s site.

3. If concerns or questions persist, or discussing the issue(s) with the staff proves to be insufficient, contact your child’s Program Manager.

4. If concerns or questions remain, contact the Kidstop Coordinator.

5. Families are welcome to request a conference or meeting as needed.

6. Staff and families are given opportunities to provide input on programming through electronic surveys and our parent advisory council.

Late Payments

A late payment fee of $5 will automatically be assessed for any payment that is not made within 14 days of the payment due date, and for any declined credit/debit card payments. An additional $5 fee will continue to be assessed each 14 days until all tuition is paid in full.

Tax Information and Deferred Reimbursement

Osseo Area Schools tax identification number is: 41-6001421. On January 1st of each school year, a tax statement will be posted to your online account in PDF format. We do not mail out tax statements unless requested. Child care tax deferred reimbursements will only be signed after payment has been made.

Tuition Credits

Credits will not be given when a child is absent, arrives late, or is picked up early. Tuition credits will only be given for the following circumstances, with appropriate documentation:

• Illness or medical condition that lasts longer than 3 consecutive days: Must be verified with a doctor’s note

• Funerals: Require an obituary, or other verification• Loss of Job: Requires verification

Refunds

Request for reimbursement of tuition paid are at the discretion of the district. Any tuition that is returned may result in a processing fee. Any reimbursement of tuition will be returned on the card and account that the tuition was generated from.

Respectful Communication

We expect our staff to maintain respectful and professional communication during all interactions. Please inform your Program Manager or the Kidstop Program Coordinator if you have concerns. In addition, we expect that families will maintain respectful communication with all program staff.

Media Release Photographs

As a part of our Terms and Conditions for enrollment, students are automatically opted into our media release policy for photographs. If a family would not like their child’s image or name to be used in news articles, brochures or other marketing materials they are required to let their site know in writing.

Pets in Program

Our program will notify families of any animals that may be brought to the program. Special consideration is provided for students that may have allergies to certain animals. All animal visits require pre-approval from your child’s Program Manager.

Family Involvement

Families are welcome to visit and have access to their child in our programs at any time and are allowed to be with their child in any of our programming spaces. They may also call to set up a time to tour the facility and talk to staff. Families are encouraged to talk with staff directly to learn more about their child’s day. Additionally, an orientation/open house is provided for new and returning families prior to the start of each school year and summer. Families are also encouraged to give program feedback through our on-site parent suggestion box, surveys, or through participation in our Family Advisory Council.

If you have a skill or talent that you are willing to share with our program participants, please speak with your Program Manager. There may be additional requirements prior to participation.

Teacher Support

Parents/Guardians must give written permission for any student to assist or learning support outside of our program from a teacher during scheduled programming hours. Teachers must sign out and in students as needed and understand that they are accepting responsibility for that child.

Communicating Absences

If your child(ren) will not be attending the program:

1. Call or email your program site and inform them that your child(ren) will not be there. Site phone numbers/emails can be found by choosing your site when visiting www.Kidstop279.org. If it pertains to the same day, please make sure and call the site.

2. Do not rely on the school office or your child’s teacher to tell our program staff that your child will be absent.

3. Failure to inform program staff that your child is not attending on a regularly scheduled day may result in a finders fee of $5.00.

If you know in advance that your child(ren) will not be attending on a specific day, you may leave a note with our program staff. Both school office staff and program staff should be made aware of any changes to your schedule.

Release of Information and Student Records

The Minnesota Data Privacy Act governs the Osseo Area Public Schools and our programs. All data about staff and students is considered to be private and will not be released without written permission. Communication between staff and other relevant district staff may take place regarding your child, to promote his or her success in our program, on a need to know basis.

Emergency Contacts

Prior to attending, any pertinent medical needs such as allergies, specific triggers, avoidance techniques, symptoms of an allergic reaction; and procedures for responding to an allergic reaction, including medication, dosages, and a doctor’s contact information must be provided. For safety reasons, it is critical that you provide our program with current information on your child’s registration. Families must update changes online to their account for child profiles, contact resources, and emergency information that changes throughout the year. Additional communication to our business office and your child’s Program Manager are required. It is the parent’s/guardian’s responsibility to keep the program up to date with changes. Teachers must sign out and in students as needed and understand that they are accepting responsibility for that child.

Late FeesWe Close at 6 PM

If you will be arriving after 6pm, make plans for your emergency contact person to pick up your child and notify staff immediately. Prepare in advance for poor road conditions due to weather. Pick up after closing time results in a $5 charge for the first 5 minutes and $1 per minute after that, until your child is signed out of the program. Your account will be charged and you will be invoiced for the amount. The time of pick up is automatically generated from your signature on the ipad. Failure to pay late fees will result in discontinued service. After three late pick-ups, your account will be charged $10 for the first 5 minutes and $2 per minute until the child is signed out from the program. If you pick your child up after 6:00 pm more than 6 times, program services may be terminated.

Make sure to bring your ID when picking up your child.

Family Area and Family Folders

Each of our programming sites has a family area with dedicated student folder where we will communicate to you about various programming details, updates, and alerts. Please check your parent folder daily for up to date information related to your child’s participation in our program.

Sign In-Out Procedures

All sites have a staff member as well as a doorbell at our secure program entrances.. In order for us to accept legal responsibility for your child, you or an authorized adult or sibling over the age of 12 must sign your child in and out of the program daily using the iPad located at your program entrance. This procedure is designed to protect your child. Failure to sign your child in or out of the program may result in termination of services. Children may not sign themselves in or out of the program on the iPads (these are for adult use only who are authorized pick ups). Make sure to bring your ID when picking up your child. Students will not be released to anyone without proper ID verification.

Drop-Off Procedures

When dropping your child(ren) off, it is your responsibility to walk them into the building, sign them into the program on an iPad located at the program entrance. You are welcome to help them settle into a space or assist them as needed.

Authorized Pickup

Our programs will only release your child to someone listed as “authorized” pick up on your account with exception of the local authorities if necessary. Please remind all authorized pick-ups to bring identification. Program staff are required to ask for identification from anyone unfamiliar attempting to pick up a child. This policy is designed to protect your child. Authorized pickups must physically sign children out daily.

If an unauthorized person attempts to pick up your child, you will be contacted. If you cannot be reached, your child will be held until you or your emergency contact person arrives. If you or your emergency contact person cannot be reached after 6:00pm the police may be called to pick up your child.

Authorizing Staff Pickup

Program staff are not authorized to take a child home – unless they are on the authorized pickup list. However, a staff person must be off duty. Staff may not transport students in their personal vehicles while on duty. The program will not release your child to anyone who is not listed as “authorized pickup” on your account.

Custody of Children

Our program will release children to either biological parent, unless we have a copy of a complete court order prohibiting one of the parents from having custody of the child. A biological parent can only be designated as an unauthorized pick-up through a court order. These documents must be submitted to the business office at the time of registration or decree, and you are required to inform your Program Manager about such situations to list any biological parent as an unauthorized pickup in our registration system. The program will not obtain court orders for families. This is each family’s responsibility. It is our policy to work with both parents for the welfare of the child.

Field Trip Information

FIELD TRIPS AREINCLUDED IN YOUR TUITION

Off-Site Field Trips

Sites may plan field trips for non school days throughout the school year. During the summer months field trips are part of the summer program. Care is not available on-site during time periods where students and staff are off-site on field trips.

Field Trip Guidelines

The program is committed to providing a fun and safe field trips, which all students will enjoy. Staff to child ratio will vary according to the type of field trip that has been scheduled. Please support us by reinforcing the following field trip guidelines with your child prior to each trip:

• Your child will be paired with a “buddy” throughout the duration of the trip.

• All students will receive a field trip shirt. Have your child wear the shirt that is provided to you.

• If a student were needed to be picked up from a different location, details must be worked out 5 days in advance with the site Program Manager and Lead Instructor. Not all requests may be able to be accommodated due to staffing needs or field trip location needs.

• Children are expected to follow all bus guidelines including:

○ Children will not stand, kneel, switch seats, or put anything out windows.

○ Children will talk using their indoor voices.

If extra support for your child is needed while on a field trip we may contact you for assistance including possibly picking up or meeting us at the field trip location. We reserve the right to call emergency services for assistance during field trips, if needed.

Parent-Guardian Attendance on Field Trips

Parents/Guardians are welcome to occasionally accompany children on field trips, if space allows. Accompanying family or guardians may be required to pay associated admission and transportation fees. This requires prior approval from your Program Manager, and may also require a background check. You and your child must stay with the group you are assigned at all times, and you must adhere to all field trip guidelines.

Child Abuse and Neglect

Under Minnesota State Law, all professional staff working with

children are required to report any and all suspected abuse or neglect of children to the authorities. This reporting includes any staff having a reason to believe a child is being or has been neglected, physically

or sexually abused.

Illness Symptoms

Our programs follow Osseo Area Schools illness guidelines and policies. If your child is ill, they may not attend the program. You will be contacted to pick up your child if your child has any of the following symptoms:

○ Vomiting ○ Diarrhea ○ Temperature above 100 degrees ○ Skin Rash ○ Symptoms that lead us to believe your child has a

communicable disease such as scabies, whooping cough, severe sore throat, measles, pink eye, ringworm, fifths disease, mumps, chicken pox, impetigo, diphtheria, scarlet fever, and strep throat.

Do not send your child to school or the program if they are exhibiting one or more of the aforementioned symptoms. In addition, do not send your child back to school until treatment for a communicable disease has been established for at least 24 hours, or 24 hours after all symptoms subside (without the aid of medication). If your child has been exposed to communicable diseases, you are required to inform our program staff. Parents and guardians will be notified in the case of any infectious diseases at the site according to the policies set by the school health officers and County Health

Illness and InjuryServices Guide. Notifications will be posted in the family area, and or with a note in family folders, and or a phone call.

If your child should exhibit any of the above symptoms while in our care we will:

○ Immediately notify the sick child’s parent or legal guardian and arrange for pick up by phone.

○ We will find a safe and quiet place away from others while they are waiting to be picked up. We will comfort them as much as we can until pick up arrives.

○ If a parent/guardian is unable to pick up their child within one hour of being contacted, the parent/legal guardian is responsible for contacting an emergency contact to pick up the child.

○ If staff cannot reach the parent/guardian, then staff will call an emergency contact to pick up child within one hour.

Emergency Care

In the event that your child requires emergency care, staff will take the following steps:1. Administer first aid as needed and/or consult

with the school health specialist (if available).2. Contact parents/guardian. If unavailable call

an emergency contact.3. Our program reserves the right to call 911

without parental approval.4. If emergency staff (EMS) feel transportation is

needed we will attempt to check with the parent/guardian if as allowed by EMS.

5. If parent/guardian or emergency contact cannot be reached, and it is a emergency situation, staff reserves the right – with the assistance of EMS to determine where your child will be transported. Families will be responsible for any expenses incurred due to injuries.

6. If a student is transported by EMS a staff member will remain with them to the hospital.

7. Staff members are not allowed to transport students in their vehicles.

Accident Reports

Our programs are not liable or responsible for any accidents or injuries that may occur in the absence of negligence by the staff. The district’s policy will be followed when recording and reporting accidents. You will receive written documentation when an injury occurs involving your child.

Special Needs & Medical Needs

Inclusive Programming

Our Program is committed to providing high quality and enriching inclusive programming to all students. Our staff is committed to working with families, district staff, program staff, and students by fostering a team based approach to meeting the needs of a given student. It is important for families to communicate openly about the needs of their children with our program staff so that we can create a safe and successful environment of care. If you would like to schedule a meeting with our staff to discuss the creation of certain accommodations to meet the needs of your child, please contact your site’s Program Manager.

ADA

Our programs aligns with the Americans with Disabilities Act (ADA) by creating an accommodating environment for students with disabilities. Our program is committed to providing an accommodating and inclusive environment for all children needing care. In accordance with ADA, there are times when it is not reasonable to accommodate the needs of a particular student (such as when a child is a direct threat to themselves or other students).

Accommodations

Our programs are not designed to provide long term 1:1 assistance for students. Staff do communicate with school district personnel on a need to know basis regarding student needs. However, if a child receives student support in the classroom, has an identified special need, or has a behavior plan in place it is the family’s responsibility to identify their child’s needs on the appropriate forms and during registration. An individual conference/meeting may be necessary before enrollment is processed. If your child has a special need, his/her start date will be determined by the program’s ability to accommodate the needs of your child. Failure to identify your child’s needs may result in temporary removal from the program while we assess and put in place appropriate accommodations.

Chronic Health Conditions

Families must complete any pertinent medical information during the registration process, and inform their Program Manager if their child has a health condition that requires regular or continuous medication, or a medical condition that impacts the child’s health and well-being or involvement in activities.

Program Staff will work with families and school health officials to meet the needs of children with allergies or chronic health conditions. If necessary, families may be required to train program staff on the personalized use of inhalers, bee sting kits, epipens, diabetic testing, etc… Staff are trained on basic EpiPen and inhaler use during required Adult and Pediatric First Aid/CPR/AED certification.

Medication

We will only administer prescription or over the counter medication with a written approval from your child’s doctor and a completed medication administration consent form. This must be signed by a parent or guardian. The form must include the student’s name, diagnosis, name of medication, dose, time to be given. Forms can be found on our Kidstop279.org Program Forms web page. Staff will document the date, time, and who administered the medication during your child’s participation in our program. Any questions about medication should be directed to the Program Manager.

Prescribed medications must be provided in pharmacy-labeled containers that indicate pharmacy name and telephone number, student’s first and last name, physician’s name, name of medication or prescription number, expiration date, and dosage of medication. Parents/guardians should ask the pharmacy to split medication into duplicate bottles if it is necessary to store and dispense medication during program hours. Medication will not be given after expiration on the label. Over the counter medications must be in the original containers.

Medication must be handed directly from a parent or guardian to a staff member. If requested, students will be allowed to carry and self-administer medications only with a physician’s and parent’s written permission, but generally all medications are stored in a secure location in accordance to directions on the original container or with a designated staff member while on a field trip. Students observed by school personnel self-administering unauthorized medications shall be reported to their parents/guardians, and this medication will be confiscated and returned to families.

The first dose of any newly administered medication must be given at home, and you must observe your child to ensure that they do not have an adverse reaction.

Sunscreen And Skin Care

Parents and or legal guardians grant written permission to administer non prescription diapering product, sunscreen, lotion, and insect repellent to their child during registration when agreeing to program Terms and Conditions. Nonprescription skin care products will be administered according to the manufacturer’s instructions unless provided written instructions by a licensed health professional to use a product differently. Products must be provided in the original container.

Our program actively promotes the use of personal sunscreen. We ask all families to supply a sunscreen that meets the needs of your child. Families are required to apply the first application of sunscreen before arriving or upon arrival in our programs. Our staff will assist children in putting on sunscreen but encourage a certain degree of independence in this process and will help coach your child in this. Our programs do not provide sunscreen for our students. Parents/guardians must request and sign a release form if they decline to have skin care products provided for their child.

Prevention

Every effort will be made to make a reasonable adjustment to the program to accommodate the unique needs of each child. Adjustments may be made in these four areas:

• Environment

• Grouping of children

• Activities

• Staffing

Modeling

Staff and peers provide positive modeling of appropriate behavior. Children learn to take responsibility for their actions.

Setting Limits

Expectations are established for the site.

Staff will:

1. Collaborate with chi ldren for expectations.

2. Remind children what is expected of them in a positive manner.

3. Continue to educate and help children learn about the what the expectations mean.

4. Apply expectations consistently and appropriately.

5. Use natural and logical consequences.

6. Communicate with families if students are needing more support around program expectations.

Student Code of Conduct

By enrolling in our program, families are agreeing to our student code of conduct. Children will agree to:

• Show respect to self, other students, and staff

• Follow all program expectations, directions, and guidelines

• Engage in safe and appropriate behavior

Students that are unable to abide by our program code of conduct may be removed from the program. Behavior considered unsafe and unacceptable include:

• Physical harm or consistent aggressiveness towards self, other students, or staff

• Bullying behavior. Defined as intentionally harmful or disrespectful acts that cause harm or discomfort to other students and staff; this can include unwarranted physical contact, verbal assault, social ostracism, obscene gestures and language, and emotional or physical dominance that causes fear and trauma.

• Behavior that damages others or school property.

• Behavior that may be perceived as sexual in nature

• Inability to function cooperatively in the program’s group setting.

• Needs that create a fundamental alteration of program and program philosophy.

• Running from programming spaces, program staff or district building/grounds.

• Frequent and regular insubordination.

• Bringing any instrument to the program that could be perceived as a weapon, (including all firearms, whether loaded or not, knives and explosives - either look alike or real).

Harmful or Inappropriate Behavior

In the case of harmful or inappropriate behavior we will:• Inform parents/guardians of extreme or continuous

inappropriate behavior.• Require parent/guardian to come and pick up their

child, including on field trips if intervention and guidance has not been successful.

• May temporarily remove the child from the program.• Hold a formal parent/guardian conference/meeting

to create a student plan including accommodations.

Termination of Kidstop and or Cosmic Club Service

There are times where the program environments may not be the most appropriate place for a particular student. If the code of conduct is broken, program officials will communicate the details of the incident and work towards an equitable resolution. If the behavior is repeated after program intervention and guidance, my student may be dismissed from the program and contract terminated with no option for refund.

If a child presents himself or herself in a manner that requires a fundamental alteration of our program or program philosophy, or poses a significant safety risk to themselves, staff or students – our program reserves the right to terminate services with no option for refund. Reintegration into the program will take into account the students continued behavior, growth and development in multiple contexts (including his or her school day).

Parents and/or guardians, must abide by and adhere to all of the expectations, processes and procedures of the program, read the Code of Conduct Agreement and will adhere to its principles and policies. Failure to abide by these principles may lead to my student’s dismissal and the termination of my contract with no option for refund.

Our programs follow all Osseo Area School policies surrounding inclement weather and site closures. Tuition will still be charged and not refunded under these circumstances.

In the event of an emergency that causes the district to close school or release students early, instructions will be distributed to families using the following:

• Automated calling system• Email• District website• WCCO 830 AM Radio• Local TV stations

School Closure

Our programs will be closed on days Osseo Area School is closed due to severe weather. An individual school program may be closed if the individual school building is closed due to maintenance or other issues. These closures will be posted on the www.Kidstop279.org website, and you will also receive an email.

Early Dismissal

If the school district closes early, the program will open and we request you pick up your child early. The program will remain open until all children are picked up. Standard late pickup fees apply for children picked up after 6:00 pm.

Emergency & Inclement Weather-Site Closings

Outside Temperatures

We ask that families dress their children appropriately for the different weather conditions we experience.

If temperatures are between 100-109 degrees with the heat index included, outdoor activities will be limited and students will be regularly reminder to drink water. If temperatures are 110 or higher, children and staff will remain indoors.

If the temperature or wind chill drops to -5 or lower, children and staff will remain indoors.

Emergencies on site

In the event of an emergency such as fire, tornado, intruder, outdoor hazard, or shelter in place, each site has an Emergency Preparedness Response Plan specific to your child’s school space, students, and program dynamics. Staff are trained to handle these emergency situations. Additionally, each program location practices assigned safety drills with students to provide comfort and familiarity when responding to a crisis.
