Introduction to eZee Sync for eZee POS

eZee Sync allows the properties to synchronize their back office tasks with all their other locations which are not or cannot

connect through LAN connection or are not on network. This means that the operations will be handled from the Head

Office location. The Branches or the outlets (Point Of Sale) can be updated with all the necessary updates related to price

and menu item changes directly from Head Office, even if they are not connected with each other.

To start with, the Head office is provided with a ‘key’ by eZee team which needs to be entered while creating the Head

Quarter or the Head Office for the property. This is a onetime procedure and the key provided is unique for each

property/head office/head quarter.

As soon as you start the software – eZee Sync, it will ask you to enter this onetime Key to activate the Head Office/Head

Quarter in eZee Sync. You simply need to import the text file that is provided to you and click on connect (Figure 1).

The next screen that you will see is the proxy settings screen (Figure 2) where you can enter the details if you want to

use proxy to access internet where eZee Sync is installed.

Users defined in POS Back Office will reflect here by default. One can however, manage this by setting privileges. Once

logged in, you will find the main screen for eZee Sync as shown below in figure 3.

Once this application is open, you will notice a message which will be –

Do not panic and simply click on YES. This will update the server version to the latest.

Now click on location under configuration option to create locations. You need to create the locations /offices other than

the Head quarter location as it is created by default when you install eZee Sync and enter the key provided by us.

Once created, you also need to activate the store location to start synchronizing them with the head office. Refer Figure

5 for more detail. You also need to generate the synchronizing key (the same as the one provided by eZee for the head

office) to activate eZee Sync at the other locations where it will be installed. To do that, you need to click on the “Options”

button as shown in Figure 4.

Once you are done creating the stores, you need to map the stores and the outlets that you want to keep in sync with the head office. (Figure 6 & 7)

You are all set to use eZee Sync now. Now you simply have to create a related task for synchronizing the data at the head office and the other locations created. You can create tasks for:

� Item inventory � Indent � Issue � GRN � Menu Item � Sales Receipt

Let me give you an example to create a task and execute it for “Item Inventory”. Click on Item Inventory button to create a task for it. A task wizard will open up to help you complete the process. (Figure 8)

Follow the instructions on the screen till you create a task to synchronize the Item inventory for the selected location and stores. The series of screens can be noticed here after. (Figure 9 to 12)

When you click on Finish button, a task information window will open up with the information of the task you just created. (Figure 13)

You can view the details of the task you created by clicking on the task detail link. You will not be able to edit the task though. If there are some changes that you may want to make, you need to delete this task and create a new one instead. Save the task after you have checked everything. Now this task can be seen on the main screen of eZee Sync Application. The tasks will be listed here by the order of latest on top. Once you are done creating the tasks and saving them. You can come to this screen, select the tasks and approve them to execute them. You will find these options when you do right click on the task after selecting them. (Figure 14)

The very first step after saving the tasks is to approve them (do a right click on the task to get the options). Next you need to upload the task to the servers for the sync to begin (do a right click on the task to get the options). Once the uploading is complete, the receiving location will show the following screen and the task can be downloaded there (Figure 15).

At the receiving location too, you can open the task and view details and the status (Figure 16).

Once downloaded, the inventory items will be in sync with the head office as requested. The logs of the tasks process can be seen in the panel towards the bottom (Figure 17).

The above explained process repeats for every task you create >> approve >> upload >> receive >> anddownload from one location to other.
