INTRODUCTION 1.1.Objectives 1.1.1.The Management Internship Program (MIP) forms an important component of course curriculum at MPSTME. 1.1.2.Itisanattempttobridgethegapbetweentheacademicinstitutionand corporate world. 1.1.3.AtMPSTME,studentsundertakea4months(20weeks)MIPatany organizationduringtheIXth semesterprecededby summervacationandprior to c o mme n c e me n tof Xth Semester 1.1.4.The program carries a Weightage of 200 marks. 1.1.5.Forpropercoordinationandensuringorganizedandsmoothconduct,each studentwouldbeundertheguidanceofanMPSTMEfaculty(referredas facultymentor).Arepresentative(referredtoastheindustrymentor)of organization where student is doing MIP (referred to as the host organization) alsoguidesthestudentandassiststhefacultymentorinmonitoringthe students progress. 1.2.Welcome Letter 1.2.1. WelcomelettertothehostorganizationbytheDeantobesentbeforethe students start the MIP. The format for the letter is given in Annexure-I 1.3.Assignments 1.3.1.MI Passignmentsmustnecessarilybethoseofdirectinteresttothehost organization. 1.3.2.Studentsareencouragedtotakeupassignments,whicharetechnical,multi- disciplinary,involveteamwork,aremissionandgoaloriented,andaretime bound. 1.4.Student Faculty Mentor interaction 1.4.1.Thefacultymentorisrequiredtobeappointedbeforethestudentjoinsthe host organizationforthe MIPsothatthe student is ableto consultthe mentor abouttheprojecttobeundertakenbyhim/herandtheoveralloutlinesbased on which the student carry out the project work in the period of the MIP. 1.4.2.The facultymentorshouldnormallyconductatleastonevisittothehost organizationwherethestudentisdoingtheMIP.Ifduetodistanceorany otherreasons,suchvisitin-personcannotbedonethenthementorshould monitorthestudentduringtheMIPperiodbyremaininginconstanttouch with the student. Management Internship Program2015 6 1.4.3.The faculty mentor will facilitate the student to ensure smooth pursuing of the MIP. 1.4.4.The faculty mentor would efficiently coordinate and interact with the respectiveindustrymentorofthehostorganizationtomonitorthestudent's progress. 1.4.5.Theresponsibilityofthestudentinthisregardistoregularlyreporttothe faculty mentor, and cooperate in effective monitoring. 1.4.6.Any change in the mentor details or in an event of change of mentor, students mustimmediatelycommunicatesuchchangestothecoursecoordinatorand faculty mentor. 1.4.7.Thestudentshouldmaintainadailyworkdiaryandsubmitweeklyreportto the faculty mentor 1.5.Student Industry Mentor Interaction 1.5.1.Theindustrymentorfromthehostorganizationactsasaprojectguideand helpsinidentifyingtheassignmentsuitableforthestudentandprovide guidance about project technicalities. 1.5.2.Industrymentoralongwiththefacultymentorwillevaluatethestudenton MIP work progress. 1.5.3.Thestudentshouldtakeappropriateappointmentoftheindustrymentorfor specificassistanceorguidanceorsuggestionsontheprojectandshouldmeet him/her well prepared. 2. DISCIPLINE AND CONDUCT 2.1.Attendance 2.1.1.100% attendance during MIP is compulsory. 2.1.2.Studentshouldrecordtheirattendanceaspertheprocedureofthehost organization 2.1.3. However, if for any genuine reason a student is not in a position to report to thehostorganizationon anyday,he/sheshouldhaveobtainedpriorwritten approvalforleaveofabsenceaspertherulesandregulationsofthehost organization. 2.1.4. If student has to remain absent due to medical reasons, student must submit the medical certificate along with the relevant documents including treatmentreportsandapplicationforleavetothehostorganizationand obtain written approval. 2.1.5. Studentmustinformthefacultymentorandthecoursecoordinatorabout any leaves taken by him. All types of leaves must have the written approval of theindustrymentorand/ortheHRdepartmentofthehostorganization.Management Internship Program2015 7 2.1.6. Thestudentwillnotbeallowedtoundertakeanyotherassignmentsorduty byanyother section/departmentofMPSTME.In caseitisessentialtoutilize theservicesofthestudentsforplacementactivities,priorapprovalofthe chairperson/associate dean of technology management department has to be obtainedbytheplacementdepartmentforthespecificstudents,specific assignments, and specific days. 2.1.7.Ifthestudentissentoutofstationbythehostorganizationaspartofthe project,studentmustprovideawrittencommunicationcoursecoordinator and faculty mentor. 2.2.Conduct and Behavior 2.2.1.Asinterns,studentsareplacedintheroleofambassadorsofMPSTME;the institutewouldalwaysexpectstudentstomaintainhighethicalstandards such as being regular, punctual and obedient at work. 2.2.2.Ensure strict adherence to the timings of the host organization. 2.2.3.Unprofessionalbehavior,misconduct,indiscipline,irregularityatworkand unsatisfactoryperformancewillleadtodisciplinaryactionastechnology management department of MPSTME may deem fit to impose. 2.2.4.StudentsmustcommunicateoccurrencesofanyMIP-relatedexceptional incidencesimmediatelytothefacultymentor.Someexamplesincludeany conflictwiththe mentor andDamage causedto importantassetofthehost organization 2.2.5.Ano-duecertificateshouldbetakenfromthehostorganizationbythe student at the close of the internship and submitted to the course coordinator (refer Annexure-XII). 3. START OF INTERNSHIP 3.1.All students should join their respective host organizations on 27th April, 2015 for internship. 3.2.Because MIP is an on-the-job training (OJT), students should work for 20 weeks at the host organization. 3.3.Students can proceed for MIP-2015 only after they clear all the dues (Fee/library/computer/casebooks, telephone, others) at MPSTME. 4. MIP EVALUATION CRITERION 4.1.Students are required to maintain a log book (of A4 size in bound/spiral form at least one page per day, maintained chronologically) in which they may make alltheirnoting/drawingsetc.Thislogbookshouldbeshowntoandinitialed bytheindustrymentorperiodicallyandtobeshowntothefacultymentor duringthevisit.Thelog bookshouldberetained bythestudentasithelpsfor future reference. Management Internship Program2015 8 4.2.Students must submit weekly reports of the tasks conducted at the host organization to their respective faculty mentors and the course coordinator. 5. EVALUATION PROCESS The process of MIP evaluation is as follows. The stages mentioned are consecutive. 5.1.Initial Information Report (IIR) 5.1.1. OnecopytobesubmittedeachtothePlacementdepartment,MPSTME Faculty mentor and industry mentor 5.1.2. This report is to be submitted to MPSTME course coordinator of Technology ManagementasperProformaattachedasAnnexure-II,Caremustbetaken to ensure that all information provided in this report is accurate. 5.1.3. Itismandatory forstudents tosubmit acopyto MPSTME facultyand Mentor. 5.2.Project Proposal (PP) 5.2.1. One copy to be submitted each to faculty mentor and industry mentor 5.2.2. Describe your project in up to 100 words 5.2.3. Iftherearemorethan1studentsdoingMIPinthesameorganization,they have to take separate projects for each one of them. If there is a large project which requires to be taken up by more than 1 students, following procedure is to be followed 5.2.3.1.The students should submit a communication signed by the industry mentor justifying such requirements 5.2.3.2.This type of arrangement has to have the prior approval of Chairperson (Technology Management) 5.2.3.3.Withthehelpoftheindustrymentor,heoverallprojectshastobe bifurcatedinamannerthateverystudentsisallottedaspecificpart oftheprojectforMIPsothatseparateandindividualreportsare submitted for evaluation. 5.2.3.4.The title oftheproject should clearlyindicatethe partoftheproject undertaken by the concerned students. 5.2.4. Projectproposalshouldbesubmittedasbelow(seeAnnexure-IIIforthe detailed format) 5.2.4.1.Project Title page 5.2.4.2.Tasks that you have to perform in the project 5.2.4.3.Expected methodology/approachManagement Internship Program2015 9 5.2.4.4.Expected outcome/learning of the project 5.2.4.5.Projectanditstitlewillnotbeallowedtobechangedwithout justificationandpriorapprovalofChairperson(Technology Management) 5.2.4.6.For criteria for project proposal evaluation, refer Annexure IV 5.3.Interim Report (IR) 5.3.1. This report is a mid-term evaluation report. 5.3.2. Bythistimethestudentwouldhavedonesubstantialworkontheproject. Thisreport isanattempt todocumenttheworkdonesofarbythestudent and how he expects to proceed further. 5.3.3. For the format of the cover-page, see Annexure-V 5.3.4. The structure of the Interim Report is as follows 5.3.4.1. Introduction About the company (not more than 100 words) Work profile of department in the MIP organization (not more than 200 words) 5.3.4.2. Project Description Description of the tasks conducted at the MIP organization Outcome/learningofthetasksundertakenbystudent(also include partially completed tasks till date of the submission) Descriptionofthetaskstobeundertakenintheremaining period of the internship 5.3.5. The following should not be a part of the interim report 5.3.5.1. Glossary, Definitions, Description of the products/services of the MIP organization,guidelinesoftheregulatoryauthorities,andhistoryof the MIP organization. 5.3.6. The interim report must be between 4000 to 5000 words 5.3.7.Interim report to be evaluated by faculty mentor & industry mentor together during industry visit made by faculty mentor. 5.4.Industry Visit 5.4.1.Duringthevisitbyfacultymentor,aninternalseminarcanbeorganizedas partofevaluation.Duringapresentationbythestudent,theindustry mentor, other senior officials of the MIP organization including HR personalsManagement Internship Program2015 10 lookingaftercampusplacement&industryprojectsshouldalsoparticipate alongwiththefacultymentor.Forevaluationformatofinterimreport during this visit, please see Annexure VII 5.5.Final Project Report 5.5.1. One copy to be submitted each to faculty mentor and industry mentor 5.5.2. Thefinalprojectreportmustbesubmittedinhardcopyaswellasinsoft copy in MS Word Document file. PDF file will not be accepted. 5.5.3. TheProjectReportsaretobepreparedbasedontheguidelinesgivenin Annexure VIII. 5.6.Executive Summary 5.6.1. ExecutivesummaryissummaryofMIPreportin5-6pagesrequiredtobe submitted by the student along with final project report. 5.6.2. Thisreportshouldcontainallimportantaspectswhichthestudentdesires that the evaluators should know. 5.6.3. This report wouldbe used alongwith Resume of student for placement Purpose. 5.6.4. Students are to take utmost care in writing the report. 5.6.5. Two Copies to be submitted to the coordinators office 5.6.6. The students must retain a copy with them for further use 5.6.7. Institutecopywillnotbereturned/availableonloantothestudentin future for any purpose 5.6.8. Forevaluationcriteriaoffinalreportandexecutivesummaryreport,refer Annexure IX 5.7.Presentation & Viva 5.7.1. Studentswillbeaskedtomakeindividualpresentationsoftheirrespective projects. 5.7.2. Upon completion of MIP, VIVA-VOCE of individual students will be conducted at MPSTME. 5.7.3. ForevaluationcriteriaforpresentationandVIVA-VOCE,pleasesee Annexure-X. 5.7.4. Points to be kept in mind while making the final presentation 5.7.4.1. Total time allotted for the presentation and VIVA is 20 minutes.Management Internship Program2015 11 5.7.4.2. Ifastudenthasdonemorethanoneproject,he/shewillstillget20 minutestopresentalltheprojects.Studentsmustnotconsider20 minutes as the time allotted for each project. 5.7.4.3. Presentationshouldcontainthematteranddatawhichisreadable bytheevaluators.Thecontentshouldnotbeplacedinthe presentation only for the sake of increasing the number of slides. For example,companybalancesheetsneednotbeincludedinthe presentation 5.7.4.4.TheguidelinesforVIVAandpresentationspreparations are given in Annexure XV 5.7.4.5. Any content that has no bearing on the project must not be included inthepresentation.Forexample,studentsmustrefrainfrom includingvideosandpicturesprovidinggenericinformationabout the host organization must be excluded. 5.7.4.6. Students must use appropriate formatting of the presentations. Note:Management Internship Program2015 12 Forsubmissionofreportsandevaluation,extensionwillbegiventostudentswho are unable to join the MIP organization. Inspecialcircumstances,additionaltimewillbeconsideredforsubmissions of projectproposalsbythestudentsandfortheevaluationdatesofthestudentswho are given extension of time to join the MIP organization. This extension cannot be more than a week. However the dates decided for submission of interim report, final report, and presentation viva will not be changed under any circumstances. The student must obtain the prior permission for an extension. The extension would be total number of days that are delayed to start the project. The panel will comprise of MPSTME faculty and industry domain experts as well as HR managers. 6. MIP COMPLETION 6.1.MIP completion date mentioned in the calendar will not be changed 6.2.Onsuccessful completion of20week MIPproject, thestudent must collect a relievingletter andnoduescertificatefromtheMIPorganization and should be submitted at MPSTME coordinator office. 6.3.AftercompletionofMIP,studentsshouldreporttotheinstitutealongwith completioncertificatefromMIPorganizationontheletterheadoftheMIP organization. 6.4.Thecompletioncertificatemusthavethesignatureoftheindustrymentor and the seal of the company 7. STUDENT FEEDBACK FORM 7.1. In anefforttostrengthen andimprovetheMIPproject,thePlacements department will collect feedback o nt h ee n t i r ep r o g r a m from t h estudents. 7.2. Afeedbackisdesignedforthispurposeandaimsatcollectingstudentsviewsand opinions on the basis of their experiences regarding various aspects during the MIP project. 7.3. Allstudents must submit theduly filledup feedbackform provided as Annexure XIII 8. FACULTY STUDENT INTERACTION 8.1.Faculty Guidance 8.1.1. Every student is assigned a faculty mentor at the beginning of the MIP. 8.1.2. Student mustgettheirprojecttitleapproved from thefaculty mentor and theManagement Internship Program2015 13 Industry mentor 8.1.3.TheroleofthefacultymentorduringtheMIPistofacilitatethestudentto undertake a meaningful project, provide the necessary academic guidance, and to facilitate evaluation, with the aid of the company executives, while MIP isin progress. 8.1.4.Faculty mentors are requested to visit the allotted students at students individual host organizations. 8.1.5. Regular periodic interaction of the faculty with the student and respective MIP organization is necessary for the successful completion of the program. 8.1.6. Thefacultymayinvitetheindustrymentorforallintermediatestagesofthe student for his comments and evaluation as per the decision of the institute. 8.1.7. Paragraphs from the original guidelines 9. FACULTY FEEDBACK FORM 9.1.InanefforttostrengthenandimprovetheMIPProgram,MPSTMEcollects feedback on the entire program from the faculty. 9.2.A feedback form is designed for this purpose of collecting facultys views and opinions. 9.3.The Faculty Feedback Form is provided as Annexure XIV 10. EVALUATION GUIDELINES Inordertobringaboutuniformityinevaluationateachoftheorganizationsandto minimizesubjectivityinevaluatingstudentsitisessentialtoadoptaunifiedevaluation procedure at all centers. The broad guidelines for evaluation of the major components of the MIPsubmissionssuchasprojectproposal,interimreport,seminarsprojectreportand presentation & viva are given in under evaluation criterion: 11.1.Initial Information Report 11.1.1. This report is not meant for evaluation. It should be sent to MPSTME after signature of industry mentor. 11.2. Submission of Reports & Marks to MPSTME 11.2.1.Evaluation of interim project report is to be done by MPSTME faculty mentor along with industry mentor 11.2.2. Marks after each round of evaluation should be reported within the last dates stipulated for the same. 11.2.3. The final project report is to be evaluated by the MPSTME faculty mentor. 11.2.4. ItisdesirabletoinvolveasmanyrepresentativesaspossiblefromtheMIP organization. 11.2.5.Eachevaluator(includingMPSTMEFaculty)mayindependentlyaward marksagainstthecriteriaexaminedunderpresentationandprojectreports asenclosed.ThereaftertheconcernedMPSTMEFacultyshouldsubmitto Deans/Chairpersonthemasterlistafteraveragingthetotalmarksawarded by all the evaluators as per format at Annexure XI. 11.2.6.Deans/Chairpersonshouldtransmitthemasterlistsubmittedbyallthe facultymemberscoveringallthestudentsalongwithaCertificateofDue DiligenceasperformatfurnishedatannexureXIIwithinthestipulated dates.Management Internship Program2015 15 Annexure I: Welcome Letter Date: To, Dear, We thank your organization for kindly allowing our student to undergo his/her Management Internship with you. Management Internship Programme Management Internship is an integral part of the curriculum for securing MBA (TECH.) from NMIMSsMPSTME.Thus,itisofvitalimportancethatthestudentissubjectedtotherigor expected from any MBA (Tech.) joining any organization. This will help the student hone his skills better and be better prepared for a career in Management. ThestudentcomestoyourorganizationaftercompletingfourthyearoftheMBA(Tech.) programmeandhasbeenexposedtothebasicsofmanagementrelatedsubjects.TheMIP projectisexpectedtobuildonthetheoreticallearningwithpracticalexperience. Moreover, students also discover certain areas of interest and future career options. We request your kind contribution in this process of creating an effective manager. Duration of Internship Thedurationofinternshipshouldbeforaperiodof20weeksbetween27thApril 2015 to 12th September 2015. The academic session for the final year MBA (Tech) begins on 14th September 2015. Evaluation of the Management Internship The students performance in the Management Internship program will be evaluated by the company mentor and a faculty mentor.
