Golden Key Duties of Chapter

Officers

Required Officer Positions

PRESIDENT

· Organize, plan and lead to ensure the perpetuation and overall success of the chapter.

· Work with the chapter advisor to plan a calendar of activities for the upcoming year.

· Plan regular meetings and prepare agendas for the officers; delegate responsibilities as necessary.

· Plan meetings and prepare agendas for a general chapter meeting at least once per semester.

· Coordinate the planning and the implementation of the induction ceremony reception.

· Meet with the other officers and the chapter advisor to choose new honorary members.

· Ensure that the chapter fulfills all chapter standards.

VICE PRESIDENT

· Fulfill president’s duties in the absence of the president and assist in the completion of duties as needed.

· Coordinate executive board and committees to conduct ongoing campus awareness campaigns –

particularly the annual membership drive.

· Assist the president in coordinating activities to help the chapter fulfill all chapter standards.

TREASURER

· Manage all financial transactions of the chapter with guidance from the chapter advisor.

· Receive and distribute chapter funds.

· Work with the president and advisor to prepare an accurate budget for the chapter within one month of

the new member induction ceremony.

· Balance the chapter account and report to the chapter, the advisor and the regional director at least once

a month.

· Submit to International Headquarters, by June 1, a financial summary of the past year’s income and

expenditures.

RECORDING SECRETARY

· Record and prepare the minutes of each executive board and chapter meeting to distribute to chapter

leaders, advisor(s) and regional director (minutes to RD can be submitted in a batch every month by the

corresponding secretary).

· Prepare and deliver the reception invitations to the administrators and faculty.

· Mail all the new member profile sheets and fees that may have been hand delivered to the advisor's

office to the International Headquarters by the membership deadline. Serve as chapter archivist with the

assistance of the chapter advisor (unless there is a historian).

· Work with the chapter historian to prepare the annual Chapter Yearbook. Complete chapter activity

summaries.

CORRESPONDING SECRETARY

· Distribute messages from the chapter advisor, the chapter president or other officers to all chapter

members through e-mail.

· Compose and send any chapter correspondence to university administrators and faculty, members,

honorary members, campus student organizations, etc.

· Prepare and mail correspondence to the International Headquarters.

· Send Advisor and Officer Profile Forms when new officers are elected or anytime there is a new

advisor and any time any contact information changes.

Additional Officer Positions

VICE PRESIDENT – MEMBERSHIP COMMUNICATION

· Coordinate and implement initiatives to reach current and potential members.

· Institute personal phone contact with prospective members during the membership drive.

· Promote meetings and activities to the membership and campus-at-large.

HISTORIAN

· Prepare the annual Chapter Yearbook (document history for future officers and apply for int’l awards)

· Obtain all correspondence and minutes from both secretaries.

· Save and document any evidence of chapter activities, including posters, newspaper clippings, etc.

· Take pictures to include in the Chapter Yearbook

· Submit the annual Chapter Yearbook to International Headquarters by June 1.

SERVICE DIRECTOR

· Network and partner with other student organizations with programs and activities.

· Plan and coordinate at least two service projects per term/semester.

· Coordinate the service committee and call committee meetings as necessary.

ACADEMIC PROGRAM DIRECTOR

· Program activities that have an academic focus.

SOCIAL DIRECTOR

· Plan and coordinate at least one social activity for chapter members per term/semester.

· Coordinate the social committee and call committee meetings as necessary.

CONCEPTS DIRECTOR

· Encourage members to write articles for CONCEPTS and submit entries for CONCEPTS

PUBLIC RELATIONS DIRECTOR

· Coordinate all publicity for chapter activities and events. Coordinate efforts with the Vice President.

· Maintain good relations with campus and local newspapers and radio stations.

· Place ads and public service announcements in local media.

· Write and submit press releases for important chapter activities.

SOPHOMORE RECEPTION DIRECTOR

· Coordinate and implement a sophomore recognition program.

FUNDRAISING DIRECTOR

· Investigate sources of local funding and coordinate activities. Set fundraising goals per term.

· Coordinate the fundraising committee and call committee meetings as necessary.

· Recruit fundraising volunteers from chapter members and/or officers.

HONORARY MEMBER & CAMPUS OFFICIALS LIAISON

· Prepare and send chapter updates to honorary members throughout the year.

· Inform honorary members and campus officials about membership drive initiatives.

· Prepare and send invitations to the new member induction ceremony and to other events.

· Plan and coordinate at least one honorary member activity per term/semester (honorary member meal

w/ members; wine & cheese social; guest speakers, etc.)

WEB MASTER

· Update and maintain the chapter Golden Key web page.

· Make sure the web page is linked to the Golden Key site at http://goldenkey.gsu.edu

NEWSLETTER EDITOR

· Create and edit chapter newsletter at least once per semester. The newsletter can also be web-based.

· Write and/or solicit articles for the newsletter.

Golden KeyInternational Honour Society

The crest is symbolic of the ideals upon which the society was founded. The book represents the knowledge we hope to attain. The scroll stands for the scholarship

which knowledge brings us, and the key opens the future for applying that knowledge. The shield denotes protection of personal ambition by using knowledge

and scholarship to build potential and make future goals reality.

Dear Dr. Karen Gould,

As Co-Presidents of the California State University, Long Beach (CSULB) chapter of Golden

Key International Honour Society, we would like to extend an invitation to you, to be our

keynote speaker at our annual Induction Ceremony on Saturday, November 3, 2007 at 2:00

pm at the University Student Union Ballroom.

We would also like to recognize you as an Honorary Member of the CSULB Chapter of

Golden Key International Honor Society at the same time.

The top fifteen percent (3.5 GPA), academically qualified juniors and seniors, have been invited

to join the CSULB Chapter of the Golden Key International Honour Society. This year we plan

on inducting over 300 new members into the organization. We would like you to speak for

approximately 10-12 minutes on a topic of your choice (i.e. leadership, value of an honor

society, striving for academic success). *See attached schedule for this year’s program.

Golden Key’s website is www.goldenkey.org if you would like an update on what is currently

happening with the honour society.

Did your chapter achieve the goals in these two items above? Why, or why not?

Yes. We had more student memberships and responses than the planned goal. This was through multiple

e-mails that kept the members readily informed. We also participated in the school’s Week of Welcome

which allows on campus organization to set up a booth to give information to students about their

particular organization. It helps increase awareness with students about Golden Key.

We were able to achieve Gold Standing because of our many on-campus and off-campus activities. We

hosted workshops that were available to the whole student body, not just Golden Key members. This also

helps increase awareness of Golden Key and to be able to recruit more members. Workshops are very

well attended by Golden Key members which helps increase our chapter’s activity. Our Resume Writing

workshop we were able to partner with Target to provide a great workshop on resume formatting and

content. We also participated in several community service activities. We volunteered at a homeless drop-

in center several times, formed a team for Relay-for-Life, and held a book drive for Raising-A-Reader.

These activities involved increasing member participation, alumni involvement, partnering with other

organizations on-campus, and membership engagement. All these events really help more students know

about Golden Key. During Relay-for-Life we had many people come and ask us about details of Golden

Key who were interested in joining our club. It was great for us to be involved with other organizations

on-campus. We did one of our Homeless Drop-In Center volunteer days with Petra, which is one of the

best community service clubs at Long Beach Sate. Our book drive, was our literacy focused activity

where we get books for a local library to give to children who are participating in a reading program. Our

graduation fair also helped us reach the Gold Standard. Grad Fair is one of the best ways to interact with

our members. We are also able to recruit new members during the fair. It gives graduating seniors and

other student members to learn more about Golden Key and because Grad Fair is before school ends, it

gives our seniors one last chance to become an active member before they graduate. Another activity that

greatly aided in accomplishing the Gold Standard was our 1st Annual Tri-Chapter Bonfire we did with

University of California Irvine and California State University Fullerton. We were able to network with

these two chapters, and while at the bonfire we discussed popular events, made new friends, and were

able to involve many of our members and students. Members were allowed to bring friends, so it was

great having a lot of people show up to enjoy the beach, food, and a bonfire. Overall we had a great year,

it went very smoothly due to our organized E-board.

We accomplished all that we wanted to achieve. We feel that this semester we went above and beyond in efforts to get more involved on campus as well as with the Long Beach community. Not only did we

accomplish our planned activities like Relay-for-Life, workshops, volunteering at shelters, doing a book drive, social activities, and putting on the Induction ceremony we also did a few other activities. We

participated in the school’s Graduation Fair, held regular general meetings, and had an end of the year

social. It is great that we not only completed our planned activities, but we were actually able to

accomplish even more activities to better involve our members.

Comments on variance from plan:

In regards to our funds we had made a great deal than we had planned. Additionally, for expenses, we

had spent more than we had planned. However, we had achieved so much more. The difference between

the goal and the actual expenses is not too wide.

The Performance Review is accurate to the best knowledge available at the time of submission and has also

been shared with the leadership of the chapter.
